Purpose and Application These Rules have been established to govern the use of the Membership facilities and programs at Colonial Williamsburg to promote enjoyment and safety for all persons using the Membership facilities. It is the responsibility of the Members to be familiar with these Rules and to abide by them at all times. The Membership facilities referred to in this document include the Golden Horseshoe Golf Club, The Spa of Colonial Williamsburg and the Williamsburg Inn Tennis Club and Membership programs and activities that take place on and off the grounds of the Membership facilities. II. General Rules 1. Members acknowledge that the Membership facilities are owned and operated by Colonial Williamsburg. Members also acknowledge that membership privileges and payment of dues and fees do not create equity or ownership in Membership Facilities. Also, memberships are not transferable. 2. Members, their immediate family and guests must abide by these Rules and any posted rules applicable to each Membership facility, as they may be amended from time to time. Members are responsible for ensuring that their immediate family members and guests comply with these Rules. 3. Members are responsible for their actions and those of their immediate family and guests. Anyone violating these Rules or facility rules may be refused access or requested to leave Colonial Williamsburg property. Management reserves the right to suspend privileges or terminate membership for violations of these Rules or facility rules as determined in its discretion. 4. Each facility has various age restrictions for minors. It is the responsibility of each family member to be aware of and abide by the age restriction for each facility. 5. Dependent memberships are only available for Golf, Spotswood and Tennis and only when purchasing an Individual membership. 6. Family Memberships include the applicant and his/her immediate family to include the spouse or domestic partner * and the unmarried children of each who are under the age of twenty-three and living in the applicant s household while attending school on a full-time basis or serving in the military on active duty. (*To receive membership for a domestic partner, the members will need to complete a Certification of Domestic Partnership form.) 7. With the exception of service animals, pets or other animals are not permitted indoors unless at an authorized event. Colonial Williamsburg reserves the right to exclude any animal that disrupts programs or events or that it deems a threat to others. 8. The Membership facilities reserve the right to update rules, policies or fees without prior notification. 1

2 9. Under no circumstance should a Member provide his/her membership card to a nonmember. Doing so may lead to termination of membership. 10. Requests for any changes in membership status should be submitted in writing on a form provided by the Membership Office. Any questions should be directed to the Membership Office at (757) Conduct 11. Members should not reprimand employees. Concerns or complaints involving staff members should be directed to the Director of Golf, Spa Director, Tennis Professional or Membership Manager. 12. Anyone under the influence of drugs or alcohol, using profane language or behaving in an inappropriate manner all as determined by Colonial Williamsburg, will be asked to leave Colonial Williamsburg property. 13. Colonial Williamsburg and its staff are not responsible for lost or stolen items. Members are encouraged to store and lock all personal belongings in lockers, or leave them at home. Staff members are not permitted to hold valuables or other items for Members or their guests. All found items should be turned in to the staff for storage in the lost and found at the Colonial Williamsburg Security and Safety Office. III. Food and Beverage Rules 1. All food and beverages, including alcoholic beverages, consumed at any of the Membership facilities must be purchased from the Membership facilities. 2. Employees are not allowed to serve alcoholic beverages to anyone under the age of 21, and are required to refuse service to anyone who has, in the employee s judgment, consumed an excessive amount of alcohol. Appropriate ID may be required. IV. Membership Privileges 1. Members who desire to terminate their Membership Agreement must give the Membership Office notice in accordance with the Membership Agreement. In addition, notice of termination must be made on a form provided by the Membership Office. The form must be returned to the Membership Office. 2. Termination will be effective upon expiration of the 30-day notice period and payment in full of all current fees and dues owned to Colonial Williamsburg. Paid, but unused dues may be refunded, in Colonial Williamsburg s discretion, less a 10% processing fee. 3. Members who leave in good standing and who wish to rejoin the Membership within 5 years of terminating their Membership Agreement may be extended a 50% reduction in the initiation fee at the time of signing a new Membership Agreement, provided they rejoin with the same type of membership previously held. The reduced initiation fee shall be paid in full at the time the new Membership Agreement is signed. Suspension/Termination of Membership Privileges 4. Failure of any Member to timely pay initiation fees and/or dues, and violation of these Rules and/or facility rules by Members, their family members and/or guests shall constitute grounds for suspension of Membership privileges and termination the Membership Agreement without refund. 5. Memberships are nontransferable. A member who permits the use of his/her card by a nonmember immediately forfeits membership. 2

3 Leave of Absence 6. Colonial Williamsburg, in its sole discretion, may grant a Member s request for a leave of absence, depending on the circumstances. If approved, the leave will take effect at an agreed upon time and upon receipt of written notification from the Member. A leave of absence will not be approved retroactively. The Member request should list the reason for requesting such leave, as well as the length of the leave of absence, which shall be for a minimum period of two months. During the leave of absence, a Member will be required to pay one-half of the applicable dues and all privileges and benefits of Membership, including those of family members and guests, shall be suspended. Payment of Membership Dues 7. The Membership year runs for a 12-month period beginning April 1 st of each year. Members will be notified of any dues increases prior to each membership calendar year, and such changes will take effect April Continuous membership dues are required, otherwise we consider your membership canceled and repayment of the initiation fee is required to reactivate. 9. New Members dues will be prorated as of the day of the month they join. 10. Members may pay dues in full upon joining or on quarterly installments. 11. Members acknowledge and agree to pay the appropriate dues and fees as stated in their Membership Agreement and below: For new Members or rejoining Members, the full initiation fee shall be paid upon signing the Membership Agreement. Each Membership Year, the initial payment of either annual dues or first quarter dues must be received by the Membership Office on or before April 1. Quarterly dues will be automatically billed by the 10 th day of April, July, October and January of each Membership Year, as authorized in the Membership Agreement. 12. If the quarterly dues are selected, the Member authorizes the Membership office to charge one fourth (1/4) of the annual dues to the credit card specified in the Membership Agreement. The Member agrees that it is his/her responsibility to keep a valid and authorized credit card number on file with the Membership Office at all times and to inform the Membership Office of a change in the credit card to be charged. 13. Past due payments will accrue a late fee of 1.5% per month, which will be applied to the outstanding balance. The Member agrees to pay all reasonable attorneys fees, investigations fees and other costs incurred in connection with the collection of delinquent accounts. 14. Memberships that are past due for more than 60 days may be terminated and Membership may be denied in the future. Applicable initiation fees, dues and other fees may apply to re-join the Membership, if the Member is permitted to do so. V. Golf Rules Tee Times 1. Tee times may be reserved up to seven days in advance. The name of each player in the group may be required when booking. 2. Groups of fewer than four will be combined with others whenever necessary. Groups of more than four require the permission of the Golf Professional Staff. 3

4 3. A second round may be booked on the same day upon completion of the first round. 36-hole bookings may not be reserved in advance. 4. Tee times or participation in golf events must be cancelled 48 hours in advance by calling the golf tee times office at (757) A cancellation fee may be assessed per person when cancelling inside the 48 hour period. 5. Members may rent carts for 9 or 18 holes. Any Member choosing to play additional holes will need to re-register prior to play. A valid driver s license is required to operate a golf cart. A maximum of two bags per cart is allowed and only two people may ride in a cart. No carts are allowed within 30 feet of a tee or green except on a path. The 90-degree rule is mandatory unless otherwise posted. Golf cart safety rules must be followed by all drivers and passengers. 6. Walking members are not required to pay a golf cart fee during the following times: a. December through February anytime b. March through November beginning one hour before the twilight time. Registration 7. Registration in the applicable Pro Shop is required of all players, whether walking or riding. Each player must present a receipt to the starter or ranger upon request. 8. When using a golf cart, each Member is required to pay the applicable cart fee. Pace of Play/Playing Policies 9. All golfers will play at a proper pace. Recommended pace, as established by the USGA, is 4 ½ hours for an 18-hole round of golf. Rangers will monitor the golf courses to encourage this pace. 10. Golfers should pair up on golf carts whenever possible. Etiquette 11. Golfers will replace divots, repair ball marks on greens, rake smooth all marks made in bunkers and remove tees from the teeing ground. Rakes will be placed inside the bunkers. Members will assist with the upkeep of the courses and encourage their guests to do likewise. 12. Practice is available in designated areas only. Driving range balls are not permitted on the courses. Dress Code 13. Appropriate golf attire is required for all players on the golf courses and practice facilities. Members will ensure that family members and guests adhere to this rule and will remind guests of the dress code prior to arrival at the golf club. Golf shoes and a collared shirt (or collarless designer golf shirt) are required. Denim, T-shirts, undershirts, cut-offs, gym shorts, tennis shorts, sweat suits and multipurpose cleated athletic shoes are not permitted. Improperly dressed players, as determined by Colonial Williamsburg will be asked to change before playing. 14. The golf club strongly recommends nonmetal spikes when playing the Golden Horseshoe golf courses. 15. All Golf Members will receive a 15% discount on merchandise in the Golf and Tennis Pro Shops and Spa Boutique. (Discount does not apply to the purchase of gift cards). Select merchandise may be excluded. 16. All Golf Members receive a 15% discount in the Gold and Green Clubhouse and the Williamsburg Lodge, Inn and Huzzah restaurants (alcohol excluded). This discount will apply to the Member s check, not to exceed ten guests. 4

5 VI. Wellness (Spa and Fitness Center) Rules General 1. Use of the Spa amenity areas (the lower locker rooms to include steam room, experiential shower (ladies locker room), cold plunge (men s locker room), whirlpools, daily use locker, robes, slippers, and hair and bath products is restricted to Members with membership access to these areas and their guests. To gain access to the amenity areas, you must have your Membership card with you. Your membership card protects you and the facility from non-member entry. 2. Members must have their membership card in their possession at all times for identification to enter and utilize the Wellness amenities. Members must sign in at the Spa/Fitness Front Desk. All Members and guests must sign the liability waiver before utilizing the equipment, locker rooms or pools. 3. Guests must be accompanied by a Member and pay the appropriate guest fees. 4. Members and their guests should seek the advice of their physician before engaging in physical exercise. All Members utilizing the facilities, programs and activities assume the RISKS ASSOCIATED WITH THE ACTIVITIES as stated in the Membership Agreement. Members agree to inform their children under 18 and guests of these risks. 5. Excessive noise is not permitted. 6. Smoking in the Wellness facilities or grounds is not permitted. 7. Personal music devices are permitted if used with headphones and played at a volume that does not disturb others. 8. To maintain a wellness environment cellular telephone use is not permitted. 9. Towels, robes and slippers must remain in the facilities. 10. Members are encouraged to participate in an orientation of the facilities, which will provide information for safe and proper utilization of the equipment. For Members age 15 17, the orientation from a Member of our staff is highly recommended. Members under the age of 15 may not utilize the fitness equipment. 11. All programs and services, including personal training, group exercise and instructional programs, may only be conducted by an approved Colonial Williamsburg employee or contractor. 12. Appropriate attire including shorts, shirts, and closed toed athletic footwear must be worn at all times in the fitness center. 13. If a Member/guest is waiting for cardiovascular equipment, use is limited to 30 minutes. 14. If a Member/guest is waiting for weight equipment, individuals should allow others to work in between sets. 15. Water or other sport drinks must be contained in non-breakable spill-proof containers. 16. Free weights, yoga mats and aerobic equipment must be returned to the appropriate location after each use. Stacked weight equipment should not be slammed while lifting. 5

6 Main Level Locker Areas 17. All lockers are for daily use only, and all items must be removed from the lockers before the close of business. Members may rent lockers for a nominal fee. 18. Children 5 years of age and older are required to use the locker room/restroom of their gender. Downstairs Level Locker Areas 19. The Lower level locker area is for adults only. However, Members ages may use this area when accompanied by an adult Member. 20. Women who are pregnant, individuals with high or low blood pressure, heart disease, or diabetes should not utilize the whirlpool and steam room without first consulting a physician. For safety, do not stay in the steam room for longer than 15 minutes. Prolonged exposure in these high heat areas may result in nausea, dizziness, or fainting. No one under the age of 18 is permitted to use the whirlpool or steam room. 21. No paper materials (newspaper, magazines, etc.) are permitted in the wet lounge. Group Exercise Studio 22. All instructors must be approved and employed or engaged by the Spa. 23. Members may use the studio and the equipment when classes are not in session and the room is unlocked; however, all equipment must remain in the studio and be returned to its proper location. 24. Members, under the age of 15, must be accompanied by an adult to participate in group exercise classes. Indoor / Outdoor Pool 25. The indoor pool is an adult athletic facility. No lifeguards will be on duty. Classes and lap swim are generally scheduled in the mornings. Family swim is daily from noon until close. 26. Members between the ages of may utilize the indoor athletic pool. An orientation by a member of our staff is recommended. No lifeguards will be on duty. It is not recommended to swim alone. 27. Age requirements for the outdoor recreation pools: During the spring, summer and fall seasons, when the outdoor pools are open, children under the age of 15 years must be accompanied by an adult member. Children 16 years of age and older are permitted to use the pools without adult supervision. No lifeguards will be on duty. 28. All children who are not toilet trained must wear approved swimmers diapers while in the pool and be accompanied by a parent or other adult at all times. 29. Admission to the pools will be refused to any person having a skin disease, inflamed eyes, nasal or ear discharge, or any communicable disease as determined by the staff. 30. In addition to Virginia Health Code Standards, pools will be closed for the following reasons: Operational and mechanical difficulties affecting pool water quality During severe weather conditions (heavy rain, lightning, and thunder) and alerts, especially when visibility to the pool bottom is compromised (deck also closed) 6

7 For 30 minutes following the last occurrence of thunder or lightning (deck also closed) For a period of time following any mishap that results in unsafe substances in the pool water 31. All pool users must wear appropriate swimwear attire as determined by the staff. 32. No glass, alcohol, outside food or drinks or tobacco are permitted anywhere in the pool area. 33. Inappropriate behavior such as running, pushing, wrestling, excessive noise or splashing, standing or sitting on shoulders, or spitting of water is NOT allowed and may result in removal from the pool areas. 34. Scheduled fitness classes take priority over open swim. 35. Diving is not permitted in any pool. 36. Lounge chairs may not be saved for Members and/or guests who are not presently on pool premises. 37. Pool towels should be returned to one of the towel bins at the Spa and may not be taken from the property. Discounts 38. All Wellness Members receive a 15% Member discount on merchandise in the Tennis and Golf Pro Shops and Spa Boutique. (Discount does not apply to the purchase of gift cards). Select merchandise may be excluded. 39. All Wellness Members receive a 15% Member discount on Spa services (Monday-Friday, excluding holidays). Discounts are available on weekends or holidays with day of bookings. 40. All Wellness Members receive a 15% discount in the Gold and Green Clubhouse and the Williamsburg Lodge, Inn and Huzzah restaurants (alcohol excluded). This discount will apply to the Member s check, not to exceed ten guests. Membership ID card must be presented to receive discount. VI. Tennis Rules 1. There is no charge for court time for Members. Members must register in the pro shop prior to play, and are limited to one reservation per day during peak playing periods (as defined by staff) unless permission for additional courts is granted by the Head Professional. Members must notify the Tennis Club in advance of cancellations. 2. Members are permitted to bring guests and must register their guest in the pro shop prior to play. Guests are required to pay the appropriate Member/guest fee. A local guest is limited to three visits during the season and an out of town guest may play an unlimited number of times. League play does not count towards the visit limitation. For information on the area designated as local, please contact the Tennis Pro at (757) As situations warrant, court reservations may be adjusted to accommodate hotel guests. In the event the clay courts are reserved by Members and a hotel 7

8 guest wishes to make a reservation for play, court #1 will be designated for guest play, and Members on that court will be assigned to a hard court, or asked to move to another reserved time. Hotel guests will have priority for reserving court time. 4. Members may request specific court times seven days in advance beginning at 7:00 a.m. Court assignments will be made according to the order reservations are received. Member reservations received prior to 7:00 a.m. will not be accepted. Members are responsible for confirming their voice mail messages. Court assignment changes will be made depending on weather conditions, court maintenance, or other relevant circumstances. 5. Children 12 years of age or younger must be accompanied by an adult Member, or have permission from the staff. 6. Appropriate tennis attire, including proper footwear for courts, must be worn, including smooth sole tennis shoes for the clay courts. 7. Proper tennis etiquette and demeanor must be exhibited at all times. Violations may result in removal. 8. Shower facilities are available to tennis club Members at the Golden Horseshoe Clubhouse. 9. All Tennis Members receive a 15% Member discount on merchandise in the Tennis and Golf Pro Shops and Spa Boutique. (Discount does not apply to the purchase of gift cards). Select merchandise may be excluded. 10. All Tennis Members receive a 15% discount in the Gold and Green Clubhouse and the Williamsburg Lodge, Inn and Huzzah restaurants (alcohol excluded).
