2 GENERAL INFORMATION Entries: Deadline for the receipt of entry forms is 23:59 Tuesday 15 th April No late entries. No telephonic or arrangements will be attended to. No late payment will be allowed. An athlete, who has not paid the entry fee and/or is not a paid-up member of a province, will not be allowed to participate. Athletes must therefore ensure that they are fully paid-up members of their province. Entry forms will be cross-checked against provincial membership lists. All entry forms must be completed correctly by the athlete. Please enter your name and surname on the deposit slip as a reference. Please make sure that we have received your entry form, as we cannot take responsibility for entries not received. NWN Masters Athletics will confirm entries by /sms by 20 April It is your responsibility to contact the organizers should no confirmation be received. Provincial secretaries will be held responsible for the correct completion and processing of all entry forms and any costs arising out of queries encountered by the LOC (e.g. telephone, fax, etc.) will be borne by the said province. No restriction on the number of entries. However, medals will be restricted to four (4) excluding those won in multiple events. This ruling has deliberately been brought into effect in order to discourage athletes from competing in events where a specific age-group is poorly represented and where there is no competition, hence giving an athlete easy access to a medal. We must protect the credibility of the SAMA Championships. It is up to the individual athlete to ensure that their events do not clash, if so, the athlete will have to face the consequences. Registration: This will take place at the Royal Bafokeng Sports Palace, Main Building (adjacent to the main pavilion). Athletes will receive a registration envelope which will include an event number, program, dinner/dance tickets (if booked) etc. Registration will take place on Thursday, 24th April 2014 (14h00 18h00) and Friday/Saturday (06h30 close of program). Athletes must report to their respective events at least 30 minutes before the start of an event. Pole Vault at least 45 minutes (No poles will be provided, athletes to bring own poles). Licence numbers: 2014 ASA licence numbers are compulsory and must be worn by all athletes, at the back and their allocated championship number in front of their vests. Temporary licence numbers at the cost of R25-00 will only be made available to athletes 75 years and older (unless they have already purchased an ASA licence number). Please bring your own safety pins. Lost licence numbers will have to be substituted by the purchase of a temporary licence number (R25.00). Dress Code: Athletes are to wear their provincial colours. Only under exceptional circumstances, or where provincial criteria require it, will athletes be permitted to wear their club colours. Remember this is your SAMA championships; afford it the dignity it deserves. No civvies, baggy shorts or t-shirts are allowed. Weights and Measures: In the event of a South African/Africa/World Record being thrown by an athlete using their own implement, the said implement will be impounded after the event by the Field Referee for the purposes of assizing. NWN Athletics will however provide implements in all the throwing events that have already been assized and will be marked accordingly. Hence athletes using own implements will be advised to make sure that their implements meet the

3 specifications set by World Masters Athletics (WMA) prior to coming to Rustenburg. According to the rules, athletes using their own implements are obliged to make their implements available to fellow athletes in their age-groups. ChampionChip: Chips will be used for lap counting for the 5000m run, 5000m race walk, 10km race walk and 20km race walk. Athletes who already own a ChampionChip must ensure to bring it with and use it at these events. Athletes taking part in these events, who do not own a ChampionChip are requested to buy a ChampionChip, or alternatively rent a chip for the day. Athletes are to ensure that their chips are registered before the start of their respective races. Please report well in advance to the ChampionChip registration point. The m run lap counting will be done by officials counting the laps, and will not be using the ChampionChip. Weight Pentathlon: The venue for the weight pentathlon is Rustenburg Hoërskool, cnr of Kock and Von Wielligh streets, Rustenburg. Transport between the Royal Bafokeng Stadium and the school will be available, but seats will be limited. Field events: Due to the large number of athletes entering for the field events and the limited number of circles available at the stadium, athletes are requested to please warm up well in advance. The times indicated on the program are the starting times of competition for these events, and not the starting times for warm-up. Athletes are requested to not waste any time during the field events. Spikes: The maximum length of spikes on running shoes shall be 6mm. Starting blocks: These will be provided by the Stadium. Electronic Timing: This will be available. Changes to Events: An athlete may withdraw from an event(s), but will under no circumstances be permitted to add or change to another event during the championships. The Technical Official in charge of the specific event must be advised of the withdrawal timeously by the athlete him/herself i.e. at least 30 minutes before the start of the event. This is an act of courtesy and enables effective planning. Lane draws will not be affected in any way, thus the lane will be empty for the specific event. No event will begin before the time indicated on the official program. However, under specific circumstances, (e.g. rain/storms etc) later starting times may take place. Complaints: Kindly bring all complaints to the attention of the registration table, from where it will be channelled to the correct person to deal with it. PLEASE no arguing with officials, treat them with the greatest respect. Race Walking: The 10km and 20km : Will be in the main road in front of the Sports Complex. Relays: A team manager or provincial representative from each province must be appointed to compile a list of their relay teams. List must be on a provincial letterhead and handed to the Announcer by 10h00 on Saturday. The athlete s name and completed years in brackets must appear on the list. Cost per team (no restrictions on number of teams entered, providing they meet the age-composition requirement) is R Medals will be awarded to the first three teams (men and women).

4 Composition of Relay teams: Men years (cumulative ages) Women years (cumulative ages) Medals: These will be presented in accordance with the existing SAMA medal standards. If a foreign athlete, including athletes from Namibia and Zimbabwe, is placed in the first three places in an event, then they will receive the SAMA gold, silver or bronze medal. Similarly the first three SAMA registered athletes will also receive the same medals irrespective of their positions when competing together with foreign athletes, providing of course their performances are in accordance with the said medal standards. A secondary medal will be awarded to athletes placed in the first three places who do not meet the existing SAMA medal standards. Only collect your medals once the results have been announced. Athletes must collect their own medals. SA Records: The onus is on the athlete to see that the paperwork is done. Opening Ceremony: Friday, 25 April 2014 (12h15 13h15) All athletes are requested to attend the opening ceremony, dressed in their golf shirt which they have received at registration. This is a kind gesture towards our sponsor, and all athletes are requested to please co-operate in this regard. The Queen Mother of the Royal Bafokeng Nation will be one of our VIP guests. Due to her presence, security at the stadium will be strict. Athletes are requested to please obey the security officers that will be present around the stadium. Two representatives from each province will parade their banner/flag. Representatives must report to the start of the 100 metres at 12h15 where they will form up behind the SAMA banner. Once the parade is in position in front of the main stadium, the National Anthem will be played, followed by a minute silence and a few short speeches. The ceremony will not exceed 50 minutes. Golf-Shirts: Golf-Shirts are given free of charge by the main sponsor, Miracle Magnesium, to all athletes. Please note that the sizes of these shirts are about one size smaller than the white golf shirts that were available at the SWD, KZN and WP champs of the past few years (e.g. if you purchased a Small of the white golf shirts you will need to get a Medium of the new golf shirts). Please keep this in mind when indicating your golf shirt size on your entry form. Medical Services: First aid personnel will be on duty throughout the championships. Security: Please ensure no articles of value are visible in vehicles. Security will be on duty during the championships. Be careful with your personal belongings throughout the championships as the organizers cannot be held responsible for any loss of possessions. Please obey instructions from the security officers at all times. Parking: The entrance to the parking is situated to the right of the stadium. Kindly only park in the designated parking areas. Annual General Meeting: Friday, 25 April 2014 at 19h00 at the Royal Bafokeng Sports Palace in the Main Building (adjacent to the main pavilion). Please support the AGM as important issues are to be voted on, and a new committee will be elected this year. Athletes competing late in the afternoon are advised to bring their clothes to the stadium where shower facilities are available.
