1 FIM MOTOCAMP SUPPLEMENTARY REGULATIONS Reg. 1 The 38 th FIM Motocamp is organised by MOT.O.E. on behalf of A.MOT.O.E. The event will be held from 19 st to 22 th June 2019 according to the FIM Code for Touristic Gatherings (hereafter known as CTG), to the FIM Regulations, FMNR Regulations and these Supplementary Regulations and to the FIM Environmental Code. Reg. 1.1 The organisation of the 2019 FIM Motocamp has been delegated to: MOT.O.E. Event Director: Panagiotis (Panos) Kalaitzis Event Secretary: Cathy Welch Internet site: Official mail: fim.motocamp2019@gmail.com Location: Reg. 1.2 Composition of the Executive Committee of the meeting: FIM Jury President: Niels Hansen Member of the CTL: Franz Pintarich Deputy Director: Petros Andrianakis Environmental Steward: Nikos Psimmenos Results Team: Stjepko Varga, Thomas Viale The first meeting of the Executive Committee will be held on 19 th June 2019 at 17.00h at the Motocamp Secretariat in Nestorio Camp, only for the executive committee members and the members of CTL - not for the national delegates. First National delegates meeting will be held on the 19 st June, 18.00h at the Motocamp Restaurant. Second National Delegates Meeting will be held on the 20 st June, 18.00h Further National Delegates Meeting will be fixed by the Executive Committee if needed. 1

2 Reg. 2 Participation in the Motocamp The number of participants is limited to 350 on a priority basis, upon verification of data and funds transfer Reg. 3 Entries Reg Individual entries will be made on the form available for this purpose (or the duplicate) which will be delivered to the FMNs by the Organiser (Art. 3 of the category 1.2 of the CTG). The FMNs will return the entry forms to the Organiser after verification Reg The FMNs will also add a summary list of the members entered and the sum paid for the entry fee and for the accommodation camping in accordance with Reg. 7 Reg Individual non-fmn entries will be accepted. Confirmation of participation will be given to potential participants by the Organiser only after the 31st March deadline. Participants not affiliated to FMNs or their delegated bodies will not be accepted according to CTG 2.2. (Conditions of participation) Reg. 4 Entry Fee The entry fee is fixed by the Federation (FMN) of the participant. This is composed of the Organiser s fee of 135 Euros ( ) plus any administrative expenses which may be added by the FMN of the participant. Children between the ages of 8 and 12 will pay 50% of the adult entry fee. Children under the age of 8 will be admitted free of charge. The entry fee will be paid in full (100%) by the FMNs of the participants before 31 st March 2019 to the following account. Participants outside Europe will pay 50% of the entry fee according to Organiser s special decision. The transfer costs are to be paid by the expeditor. The organizer is not obligated to accept entries after the closing date for entries, nor the entries made at the venue of the meeting Should the Organiser accept entries after the closing date, a surcharge of up to 25% to the entry fee may be imposed. Vacancy check prior to sending late entries is advised subject to the maximum number specified in Reg. 2 Should Organiser accept entries made at the venue of the meeting, a surcharge of 25% will be imposed. Vacancy check prior to arrival is advised. 2

3 Reg. 5 Closing dates Entries deadline is 31 st March 2019 Reg. 6 Gifts, souvenirs and services for the participants Participants receive the following minimum benefits: Participation in the FIM Motocamp Campsite for the duration of the event (19 th to 22 nd June 2019) All meals. The kitchen will be open all day, at any time of the day, from morning until after midnight and various fresh meals, local dishes, fruits and sweets will be available around the clock at the campsite restaurant). Light buffet or snacks, fruits and non alcoholic beverages during the excursions. One daily excursion plus Parade of the Nations at the waterfront of Kastoria Lake. Rock, pop and traditional live music bands, plus traditional dances. Souvenir medal or pin - other souvenirs at the discretion of the organizer. Reg. 7 Accommodation The whole campsite is reserved for the sole use of Motocamp participants for the duration of the event. List of nearby hotels and guesthouses is available in the official site for non-camping participant. (Note: Non-campers will not be classified). Participation fee (including additional nights) must be paid in full upon registration. Additional camping nights will be 15,00 Euros per night/per person, breakfast included. Reg. 8 Welcome/Administrative Centre The Administrative Centre will be open on the following dates and times: 17 th June 2019 from 12:30 to 20:00h 18 th June 2019 from 10:00 to 20:00h 19 th June 2019 from 10:00 to 22:00h 20 th June 2019 from 10:00 to 20:00h 21 st June 2019 from 10:00 to 20:00h 22 nd June 2019 from 08:00 to 12:00h 3

4 The entry papers, vehicles and IDs of the participants (with picture) will be checked at the Welcome Centre upon arrival. The FIM Meritum and Co-Meritum stamps will be distributed at this time. After successful participant identification, participant classification card, (similar to their ID card, but used for classification) will be put in the results box to be used for classification and results. Reg. 9 Results and Classification According to Art. 7 of the category 1.2 of the CTG. Participants not affiliated to FMNs are not going to be classified. Participants who are not camping are not going to be classified. If there would be any problem with participant classification, the problem should be solved according to the CTG between FMN National Delegate and the members of FIM CTL Results Team. Classification will close at on Thursday 20th June, riders arriving after this time can enjoy the benefits of Motocamp but will not be included in the Classification. Reg. 10 Disqualifications Participants shall be officially disqualified at the discretion of the Executive Committee if necessary Reg. 11 Prize-Giving Ceremony (According to Art. 12 of category 1.2 of the CTG) Award giving ceremony will take place on the evening of 21 st June 2019 Reg. 12 National Delegates Each participating FMN should nominate one delegate, holder of a Tourism Steward s license. The nomination shall be made in writing to the Organiser at least 15 days before the event. (See Art. 8 - Appendix C - CTG). Reg. 13 Cancellation of meeting According to Art. 2.7 of the General Part of the CTG), the Organiser can cancel the meeting: If, at the closing date, the number of entries is below 200 In the case of absolute necessity In the case of cancellation of the meeting, the participants who transmitted their entry forms before the closing entry date, through FMNs will be notified and reimbursed through their FMN 4

5 Reg. 14 General During the meeting of the delegates, the Motocamp Director will give information on the daily programs. Every evening at the time and place of dinner, the organizer will display on a board the details of the following day s program (place and departure time of the trips, planned events, etc.). The delegates of the FMNs are requested to collaborate in preparing a version in their national language. Cancellation of registration: In case of individual registration cancelling, it shall be made by FMN on behalf of the participant and shall be sent to the Organiser until 1st of May In such case 80% of the registration fee will be refunded. Between 1 st May 2019 and 15 th May 2019, 50% of the registration fee will be refunded. After 15 th May 2019 no refund is possible SR The English version of this document is always determinative Reg. 15 Liability of the Authorities, Organisers and Participants According to Art. 4 of the General part of the CTG. Reg. 16 Responsibility of the participants Participants have to respect local authority regulations and the Organisation house rules during the event. As the campsite is part of National Forest, any use of any kind of open fire is ABSOLUTELY prohibited; any violation will lead to immediate expulsion from the Motocamp. Reg. 17 Rider Conduct and Protection of the Environment Participants of the FIM Motocamp are motorcyclist ambassadors for their country and are expected to consider other road users in accordance with Art. 3 of the General Part of the CTG. Recommendations to Road Users: a. Individual motorcyclists should develop riding habits to ensure full integration with other types of road user b. Ride safely and avoid aggressive and competitive riding c. Save petrol and reduce pollution by avoiding unnecessary idling of engines d. Ride politely and limit noise pollution by using your horn only in an emergency 5

6 e. Noise annoyance. Use a standard or another quiet exhaust system and keep audio systems at a low level f. Use only routes which are open to motorcyclists g. Ride like a professional by riding at a quiet and unobtrusive pace when riding in groups h. Respect nature by not travelling on paths which risk being damaged beyond a point of natural recovery i. Protect wildlife and its natural habitat by riding intelligently j. Ensure that your used oil, tyres, batteries and other recyclable items are properly recycled k. Encourage a rational use of fuel and space economy by using motorcycles instead of driving automobiles l. Remember that our cities and our roads are not circuits m. Refrain from alcoholic drinks during rides 6
