2 Events Limited view EVENTS LIMITED VIEW This role allows access for you to search for events and view Registrants on an Event. Events Functional Area The Events functional area is a centralized page to create, search, and report on your events. You can view your events in a calendar or list view. The Event Calendar displays several types of filter items based on your access: Khaki Events Yellow Calendar items Coral Appeal Mailings Marketing Efforts Violet Plan Activities - Periwinkle 2 Last Revised Date: June 13, 2017

3 Event Search You can search for a specific Event by using the quick search at the top of the Event Functional area, or the Event Search page located below the calendar. To Search for an Event: 1. From the Functional area, click Events. 2. On the Events page, enter an event name in the event search field or click the search icon. 3. Enter filter values to refine your search criteria. 4. Click Search. 5. Click the event to open. The Event Record Based on your access, each event record contains a summary area and includes several tabs that store information about the event. The expenses thermometer and capacity thermometer display in the summary area at the top of the event record. o o The expenses thermometer displays a comparison of the total amount budgeted for expenses and the total amount you have agreed to spend. The capacity thermometer displays a comparison of the total event capacity and the total number of registrants. Last Revised Date: June 13,

4 Events Limited view The following table identifies the tabs available on the event record and includes a description of each. Description Registrations Displays constituents invited to the event and indicates which of them have registered for the event. Speakers Displays the speakers associated with the event. Event Summary Record All events associated with multi-level events have an event summary record. This can be found in the event hierarchy if one exists in the Navigation Tree. 5 Information Events Displays information about the main event and each event that supports the main event. Registrants Displays registrants for all events associated with the main event. Event Registration Registrants are the event s attendees, players, team captains, coordinators, instructors, vendors, and other businesses that supply a service or product for the event. Registrant Record The registrant record tracks information about guests, registrations, preferences, and benefits for the selected registrant. Last Revised Date: June 13,

6 Events Limited view To Open a Registrant Record: 1. Open the event record. 2. Select the Registrations tab. 3. Click the name of the registrant to open. The following table identifies the tabs available on the registrant record and includes a description of each Description Registrations Displays information about the registration options for the registrant and their guests. On this tab you can add, edit and delete registration and guest information in addition to event preferences. Benefits Displays applicable benefits information for the registrant. Displays information about the registrant s lodging and travel plans. Lodging and Travel Lodging and Travel will not be used at this time 6 Last Revised Date: June 13, 2017

7 Description Displays restrictions that must be accommodated. Any Registrant restrictions for an event are displayed here (eg. dietary or accommodation). If the type of Dietary Restriction or Accommodation is listed as other, go to the Individual record under the Attribute tab to determine the value. Restrictions Displays attributes for the registrant. Attributes This tab on the registrant record of the event notes Historical One- Time Guest or Paid by Department For all personal dietary restrictions and accommodation requirements can be found on the individual Constituent Record on the Personal Info tab and Other dietary restrictions are listed in the Attribute tab of the individual record Last Revised Date: June 13,
