5 2018 Dear Community Member/Business Owner, I am a representative of the AquaKnights Swim Team and I am writing to you in regards to team sponsorships. We are a recreational swim team comprised of children 4-18 years old located here in Rio Linda-Elverta. We compete with other swim teams within the Northern California Swim League. Our goal is to build confidence and to promote a positive influence by physical fitness, team work and commitment. Studies have shown that children that are involved in community programs grow up to be community supporters. The Rio Linda Elverta Aqua Knights respectfully requests you support our children and community through team sponsorships and/or donations. The cost for a child to swim is approximately $ for the full summer recreational season; this includes registration, pool usage, coaches, equipment, uniforms and other miscellaneous costs. With the help of the Rio Linda Elverta Recreation and Parks District, and generous businesses like you, we have been able to keep costs for families to less than $200 a child. We would be most grateful for any amount that you could give in support of the upcoming swim year. We have developed several levels of sponsorship to help generous companies such as yours select a level that best fits your needs. In addition to monetary sponsorships, we are in need of material donations including water bottles, snack bar items, hospitality items and raffle prizes. 8 Volunteer Parent Committee Teams are successful because of committed athletes and engaged volunteers. Without engaged volunteers our swim team cannot thrive and grow. In addition to the Meet Volunteers the team needs volunteers throughout the pre-season and season to assist with many functions. To facilitate planning and work the District has established a Volunteer Parent Committee. The Committee works together with the District Recreation Supervisor and is divided into a few focus areas including: Administration Team This team helps with basic organizational needs such as Swimmer Registration, Swim Suit & Apparel Orders, Communication, and Team Orientations. Positions on the Administration Team include: o Team Lead o Registration Manager o Swim Suit and Apparel Manager o Webmaster o Awards Dinner o Picture Day o Computer Operator Fundraising Team This team coordinates yearly fundraising activities to help the team raise money to keep registration costs low and fund coaches, facility rentals, supplies and equipment. Positions on the Fundraising Team include: o Team Lead o Lap-a-Thon o Spaghetti Dinner o Candy Sales Swim Meet Team This team works to coordinate all meet logistics and is responsible for swim meet supply management. Positions on the Swim Meet Team include: o Team Lead o Meet Director o Equipment Manager o Snack Bar Manager o Hospitality Manager o Incentives Manager Volunteer Coordination Team- Coordinates and organizes volunteers for meets, special events and fundraisers. Holds volunteer checks and tracks hours worked. Positions on the Volunteer Coordination Team include: o Team Lead o Meet/Event Volunteer Manager o Volunteer Program Manager Coaching Team This team consists of the Head and Assistant Coaches and together they work to establish practice schedules, workout groups, Coach in Training program plans, meet seeding and the always popular Awards Banquet. Available positions on the Coaching Team include: o Parent Volunteer Coaches Volunteer Parent Committee meetings are scheduled monthly throughout the pre and post season and are open to all parents/guardians. Team Leads are required to attend Committee Meetings and there is an incentive program in place for Parent Committee Members. Please consider taking on a role with one of these fantastic teams. 9 Administration Team Swim Team Parent Committee Responsibilities Team Lead - Oversees all members of the Administration Team, taking on all unfilled roles. Must attend all Parent Committee Meetings and provides input and oversight for this area. Manages the general administration of the team by working closely with District representatives and coaching staff to ensure all team needs are met. Assist the District to ensure all team equipment, schedules, documents and policies are current and in place prior to open registration each season. Manage administrative activities for the team throughout the season. Ensure District staff understands the team operations and lobbies the District in the best interest of the team. Communicates with swimmers/families/district, via distribution list and/or Team Website database, information regarding team schedules, functions, important dates, schedule changes, deadlines etc. throughout the season. Sends weekly updates during peak season with weekly schedule, event information and important deadlines including swimmer meet declaration and volunteer sign-up deadlines. Registration Manager Receives and maintains copies of all swimmer registrations from District. Ensures District has copies of all swimmers birth certificates. Enters all swimmers into team database and assigns to appropriate age group rosters. Tracks swimmer completion of Team and League website registration and assists District with activation and confirmation of website registration. Ensures only active swimmers have membership access to team website, deactivating past swimmers/families and ensuring activation of new members. Provide coaching staff with final rosters and age group rosters as requested. Swim Suit and Apparel Manager Maintains swim suit and spirit gear sizing kits. Maintain relationship with swim suit/swim caps and spirit gear vendors. Negotiates pricing and ensures availability of team suits/caps and gear on an annual basis. Prepares/edits order forms for proper availability, pricing and due dates. Conducts suit/gear sizing clinics during scheduled orientation dates and ensures access to sizing kits for all swimmers at nightly practice during the order period. Collects order forms and payments writing receipts and tracking payments on order forms. Distributes and tracks distribution of swim caps at the time orders are received. Turn in all payments with proper documentation of associated swimmers to the District. Reconciles all credit card payments made directly to the district prior to order submission. Compile order forms and submit bulk order to vendors ensuring proper lead time to meet all team deadlines. Work with vendors and District to ensure proper shipping, invoicing and payment for all orders. Audit received orders for accuracy and prepare for distribution. Distribute received orders in a timely manner. Maintain copies of all order forms and provide to the District final financial statement of payments received, orders placed and payments made to ensure accurate profit/loss statements. Webmaster Ensure team website is current and up to date. Work with District staff to ensure public domain is current and up to date, including News, Events, Coaches Information, Practice Times, Pools, Documents and Team Gear. Work with District staff to ensure annual registration is set-up and assist with the management of website registration each season. Work with District staff and other Parent Committee members to keep members interface current and up to date including Events (Meets and Fundraisers), Volunteer Opportunities, Meet Results, Records, and Photos. Awards Dinner Maintain relationship with awards vendor. Negotiate pricing and select awards and medals each season. Work with team database, coaching staff, parent committee, and District staff to identify appropriate award recipients. Ensure orders are placed and shipping arranged to meet team deadlines. Work with vendor and District to ensure proper shipping, invoicing and payment for all orders. Prepare certificates for printing by District staff. Work with Parent Committee, District staff, and photo vendor to plan appropriate recognition for Coaches and other staff. Plan awards night to coordinate invitations, food, supplies, awards, and agenda. Work with District to ensure staff is scheduled for the event. Picture Day Maintains relationship with photographer/vendor. Negotiates pricing and schedules picture day with input from the District and Parent Committee. Ensures order forms are properly prepared by vendor and available online prior to scheduled picture day. Works with the vendor and the District to plan the schedule for picture day set-up and photo shoot. Work with the District to ensure proper access and availability of the pool and proper set-up for picture day. Is present on picture day to coordinate with vendors, swimmers and families to ensure smooth operation of

10 photo shoot. Receive and maintain copies of all order forms. Ensure shipping will meet all necessary team deadlines. Preform audit of received photo packages and prepare for distribution. Distribute photo packages in a timely manner. Work with vendor to ensure the team receives payment for fundraising portion of photo package payments. Computer Operator Ensure meet software is current and up to date for the season. Prepare database for each dual and championship meet. Ensure each swimmer has seed times for all events. Work with Coaching Staff to prepare seeding for each meet by providing seeding rosters to coaching staff in a timely manner, entering seeding into meet database, run reports to verify proper seeding and provide copies of entries and rosters to appropriate teams. Provide feedback to coaching staff on seeding and prepare pre-meet documents as available. Track swimmer eligibility throughout the season to ensure maximum number of team members meet championship eligibility. Provide eligibility updates to swimmers, families and coaching staff throughout the season and for Meet of Champs. Swim Meet Team Team Lead Oversees all members of the Swim Meet Team, taking on all unfilled roles. Must attend all Parent Committee Meetings and provides input and oversight for this area. Meet Director Direct Friday evening and Saturday morning set-up and tear-down of pool deck for home meets utilizing set-up diagram. Direct volunteers to ensure equipment is set properly prior to the meet and stored properly at the conclusion of the meet. Equipment Manager Ensure the proper use and storage of all team equipment on pool site during season. Manage inventory of items and provide feedback on quality, condition and status of equipment to District. Assist with final storage of equipment at end of season. Snack Bar Manager Determine menu of items to sell in snack bar observing all Health Code requirements. Manage inventory of supplies and equipment. Compile donation requests to input into the website for parent donations/volunteer hours. Provide District inventory needs to purchase with 2 weeks advanced notice to have supplies available as required for home meets and other team events. Direct volunteers and manage snack bar during set-up, throughout event duration, and during clean-up. Ensure proper storage of all inventory and equipment during season. Work with District personnel to manage cash box and ensure all monies are accounted for and submitted to the District. Monitor cost of goods and sale prices to ensure profitability. Assist with final storage of inventory and equipment at the end of season. Hospitality Manager Plan hospitality items and generates donation lists to input into the website for parent donations/volunteer hours. Ensure donations are received in advance of event. Manage inventory of supplies and equipment. Direct volunteers in set-up and preparation of hospitality station and supplies. Direct volunteers throughout event in distribution of items. Ensure the proper storage of inventory and supplies during the season and assist with final storage at the end of season. Incentives Manager Works with the Coaching staff to plan and implement swimmer incentive recognition programs. Plans fun nights to be held onsite during practice, coordinating the event, supplies and donations. Plans team building activities to be held offsite outside of practice such as skate nights, Sunsplash, bowling etc. Works with District Personnel to track sponsorship incentives for team sponsors ensuring website is updated with sponsor logos as necessary. Volunteer Coordination Team Team Lead - Oversees all members of the Volunteer Coordination Team, taking on all unfilled roles. Must attend all Parent Committee Meetings and provides input and oversight for this area.

11 Meet/Event Volunteer Manager Swim Meet Volunteers Work with the District to ensure lists of volunteer positions for each meet, both home and away, are added to the website for sign-ups. Print sign-up sheets and make available at practice to gather additional volunteers. Enter manual sign-ups into online forms to prevent double bookings. Manage those lists ensuring all positions are filled prior to meet. Make calls as necessary to uncommitted families to fill open positions. Print completed sign-up sheet and have volunteers sign-off during each shift at the meet. Request additional volunteers during the meet to fill any open positions, keeping accurate records of any no shows as well as those that step in to fill vacancies. Provide/transfer data to tracking sheets. Event Volunteers Work with the District to ensure lists of volunteer positions for each fundraiser/event are added to the website for sign-ups. Print sign-up sheets and make available at practice to gather additional volunteers. Enter manual sign-ups into online forms to prevent double bookings. Manage those lists ensuring all positions are filled prior to event. Make calls as necessary to uncommitted families to fill open positions. Provide completed sign-up sheet to event coordinator and have volunteers sign-off at event. Provide/transfer final data to tracking sheets. Volunteer Program Manager Donation Hours Work with other committee members and District to ensure lists for all needed donations are added to the website for sign-ups. Collects donation forms and transfer final data to tracking sheets. Parent Volunteer Checks Collect parent volunteer checks from District and hold in a secure location for duration of season. Reach out to obtain checks from families that did not submit during registration. Track against roster to ensure all families have submitted checks. Return all collected checks to District at conclusion of season. Tracking Hours Collect and manage donation/volunteer forms for tracking parent volunteer hours and donations. Maintain a binder to make available blank forms and to collect volunteer/donation forms. Create and manger a tracking form to track all donation and volunteer hours. Enter data collected from forms and Swim Meets into tracking sheet. Cross reference against swim meet participants to track exemptions for meets not attended. Provide progress updates to families periodically throughout the season. Provide final hours to District within a reasonable amount of time after the completion of the season. Coaching Team In addition to the paid coaching staff, the AquaKnights utilizes Parent Volunteer Coaches to provide additional help and supervision during practice and meets. Parent Volunteer Coaches Interested parents must complete the District background check and all necessary paperwork prior to working directly with any team members. Swimming and or coaching experience is not required but it is helpful. Parent Volunteer Coaches may be needed in the water to assist with non-swimmers and well as on deck to assist the Coaching Staff with the implementation of the day s workout. Must be willing to commit to a semi regular schedule. All Parent Volunteer Coaches will be required to represent the Aqua Knights in a mature and professional manner at all times during all practices, competitions and team events following all Pool Safety Rules, Coaching Expectations, Aqua Knights Code of Honor and Swim Meet Etiquette as outlined in the Team Handbook. They must always use positive reinforcement and behavior management techniques when dealing with all swimmers.
