2 General Information Venue Wantage Leisure Centre, Portway, Wantage, OX12 9BY Sessions Session 1 Saturday 9 th June 2018 Swimmers to Arrive at:5.45pm Warm-up: 6.00pm Session Start: 6:30pm Session 2 Sunday 10 th June 2018 Swimmers to Arrive at: 4.45pm Warm up 5.15pm Start 5.45pm No session will last for more than 3 hours total duration and in any event will end no later than 9pm. Coaches/Lane Marshalls are to supervise swimmers during warm ups Volunteer Helpers and Officials Needed Please help if you can! WWHSC would greatly appreciate the support of parents to assist with staffing this event. Any assistance that can be offered by parents who are ASA qualified (or who are currently training to be ASA qualified) officials or ASA Timekeepers would be greatly appreciated as the without their support the meet will not be able to proceed as a Licensed meet. Sign up to the volunteer and officials roles will be available online via the Wantage White Horses Swimming Club Team Unify system. In addition a form will be placed on the notice board at the Leisure Centre listing the positions that need to be filled. The Club would be grateful if you could add your name to any vacant positions as the championships cannot take place without volunteer support. Coaches All coaches and chaperones must hold a relevant CRB/disclosure certificate. Parking There will be ample parking spaces at the Wantage Leisure Centre. Photography Photography is not permitted, this includes use of mobile phones or other image capture equipment e.g. ipads Results Results will available on the club noticeboard, normally within 48 hours and then on the club website.

3 Spectators Entry is free however the club would be grateful if you would purchase a programme of events. A programme costs just 1.00 and this includes a raffle ticket for the raffle draw. Further raffle tickets will be available to purchase during the evening. The programme of events is subject to change and the Promoter reserves the right to change spectator entry fees. Spectators with disabilities should inform the Promoter prior to the meet. A separate viewing area will be made available if required. Seating for spectators is in the viewing gallery and along one side of the pool. Seats cannot be reserved and are on first come first served basis. Refreshments Various vending machines in the Leisure Centre reception area dispense snacks and drinks Awards Medals will be awarded to 1st, 2nd and 3rd placed swimmers and ribbons to 4th, 5th and 6th placed swimmers within each age group. The age groups are 8 and under, 9, 10, 11, 12, 13, 14, 15 and over (subject to entries).there are also trophies for the best overall boy/girl in each age group. Medals and ribbons will be awarded that evening. Trophies will be awarded at a presentation evening following the championships. Swimmers Requirements Swimmers must : wear appropriate footwear whilst poolside e.g. flip flops, crocs etc. wear a club swimming hat whilst competing bring a t-shirt or WWHSC shirt to keep warm between events. bring plenty of drinks to remain hydrated during the meet and also a snack (snack to be kept in a locker) be on their best behaviour at all times use the lockers provided to store clothing, bags etc. Items must not be left in changing cubicles. No large bags are to be taken poolside.

5 Competition Rules& Promoter s Conditions 1. License The competition will be held under ASA laws and Regulations and ASA Technical Rules of Racing This is a licensed level 4 meet (license pending) 2. Pool The competition pool is a 6-lane deck level 25m pool. The water depth at its shallowest is 0.9m and at its deepest is 1.8m. Anti-turbulence lane ropes will be used and turning flags will be placed at both ends of the pool. 3. Entries All entrants must be members of Wantage White Horses Swimming club and must be registered as a member of Swim England (or WASA/SASA). Age will be as of 10 th June Entries must be submitted electronically via Wantage White Horses Swim Club Team Unify online system. The closing date for entries is 31 st May Entries must be received via Wantage White Horses Swim Club Team Unify online system by 23.59hrs on the closing date. Any entries received after this time and date may be rejected. Cost per individual entry is 3.50 per event. The promoter hopes to be able to accommodate all applications but reserves the right to refuse or restrict entries if the event is oversubscribed, such that the volume of entries means that time and safety limits would be exceeded. In such circumstances entries will be limited to four events per person and those swimmers having selected to swim all five events will be asked to elect one event to withdraw from. All entry fees payable will be based on the final entry accepted per swimmer and can be paid either at the sign in desk on the day of the event or by bank transfer prior to the first day of the meet to Wantage White Horses Swim Club, Sort Code , account number using the reference Swimmername Club200. Please bring a print out of your payment on the day as proof of payment. 4. Withdrawals If for any reason it is necessary to withdraw from the club championships you must inform the Head Coach or Promoter before 3pm on the day of the meet.

6 5. Signing In All swimmers must sign in upon arrival at the Leisure Centre and in any event no later than the commencement of the Warm Up for each session. Failure to sign in may result in the swimmer being unable to participate. 6. Changes to the Program The Promoter reserves the right to change the program of events to facilitate the smooth running of the meet. All changes will be notified on the WWHSC Swimming Club website 7. Swimmers Coaches, please note that you are responsible for your swimmers at all times. WWHSC poolside marshals will be responsible for ensuring swimmers are organized and are presented for each heat. Swimmers leaving poolside should inform a member of the coaching staff or WWHSC poolside marshal so their whereabouts is known. All swimmers must be able to execute a competitive racing dive as laid down in ASA law or they should start in the water. No swimmer should topple into the water In the event of a false or faulty start a proper shallow dive must be performed. It is the swimmer s or their representatives responsibility to inform the Referee or the Promoter of any reason why they cannot conform to ASA technical rules; this should be done before the event in which they are taking part commences. 8. Access to Poolside Access to poolside is restricted to officials, meet admin staff, swimmers, WWHSC poolside marshals and coaches only. Please note parents are not allowed on poolside other than in the areas designated as spectators seating. Poolside is defined as all deck space commencing from lane 1up to and including lane 6, the marshaling area around the pool and the far side of the pool (referee, starters and system managers areas). 9. Warm-Up Coaches are required to ensure that their swimmers adhere to the warm up procedures, as announced, or they may be requested to leave the pool. Lane marshals are responsible for individual lanes during warm up. Swimmers must adhere to instructions issued by the lane marshal.

7 10. Meet Proceedings All events will be swum in combined age groups seeded on entry times, with the slowest heat swum first. Timing of events will be via an electronic start and manual timing. The final placing and times will be at the Referee s discretion. Competitors must report to the Competition Marshals at least one event before their own event and must remain in the marshaling area until called to compete. The Promoter reserves the right to withdraw a swimmer if this is not adhered to. The competition will be held under the One Start rule and over the top starts will be at the discretion of the Referee. The Referee may make alterations on the day to facilitate the smooth running of the meet, any such changes will be announced at the meet. The Promoter reserves the right to refuse admission or exclude any spectator, swimmer, or coach from the meet who displays inappropriate language or behavior. Where events are not covered by the above conditions they will be referred to the Referee for a decision on technical issues or to the Promoter. The outcome of any decision will be based on ASA Law or Technical Rules or in the spirit of fairness and equity and will be announced accordingly. Any situation not covered by the above Rules and Conditions will be handled at the discretion of the Promoter. 11. Data Protection WWHSC Swimming Club uses a computer to manage entries and results. By submitting and accepting entries to the meet consent is hereby given, as required by the Data Protection Act 1998, to the holding of personal information on computer. Personal data handled such as name, age, club, events entered and recorded times may be made public during or after the meet typically via the WWHSC and British Swimming websites. 12. Liability Wantage White Horses Swimming Club and Better (the operators of Wantage Leisure Centre) cannot be held responsible for any mistakes, omissions or any act beyond their control or responsibility. 13.
