3 WELCOME TO Whitby Seals SWIMMING CLUB The purpose of this Handbook is to provide an introduction to Whitby Seals Swimming Club to new members and will explain what we try to achieve, and to outline various policies that affect all swimmers, year after year. It should be read by all families so that they become familiar with the rules of the Club and also understand how it is run. You will find that we are a friendly, active and ambitious Club that has come a long way since its formation in The Club was originally formed to meet the huge local demand for swimming lessons, and today Seals is both a competitive and a teaching Club, which became a Registered Charity in On the whole, the Club is run by parents of the swimmers, who you will see on the poolside teaching and coaching, or running the Club s day to day affairs. Because we are a large organisation we can always do with more help from parents, so whatever time you feel you can give it will always be welcomed. Above all else, swimming should be fun, so enjoy yourselves with Seals, get in the swim, and we hope you have a long and successful association with the Club. WHY SWIM? The Amateur Swimming Association (A.S.A.) age group swimming programme is the U.K. s largest programme of guided fitness activity for children. Age group swimming builds a strong foundation for a lifetime of good health, and teaches healthy fitness habits. OBJECTIVES OF THE CLUB Within a happy friendly environment we are able to teach children to swim from the age of five and continue their development into competitive swimming right up to and beyond University years. Swimmers can enjoy being part of a team, swimming in many of our competitions from our fun Novice and Friendly galas to representing the club in the Riding s league, Graded, County or Regional competitions. We endeavour to provide every club member with the opportunity to realise his or her full potential. We are linked to a Performance Swimming Club for those swimmers who want to develop their swimming to National level. 3

4 MEDICAL INFORMATION It is very important that the Club should be informed if any member has a medical problem, e.g. asthma, diabetes, epilepsy, etc before they start to swim. In this way the lane coaches can be made aware of any potential problems and they will be able to keep a special watch on the situation, please make sure you fill in the Medical form when completing your Membership details and keep the Club informed of any changes. FEES The policy of the Club is to keep fees as low as possible. The session fees vary according to the pool costs, amount of swimming undertaken and number of swimmers that can be accommodated. It is our policy that each session should pay for itself, although there are occasions when this is not always possible. Fees are derived by calculating the costs involved over the whole year, excluding holiday periods when pool time is reduced, and dividing this into 12 equal payments. Fees are payable monthly by standing order and will be determined by membership of a squad. The club membership fees are paid separately in January and this covers the insurance of your child to swim and the teachers on the poolside. Swimmers will not be allowed on the poolside until this is paid otherwise the club is liable. Fees should be paid directly into the clubs Fee account by standing order, or by a similar method, on or around the 1 st of each month, payable in advance. The clubs bank details should be made available when starting with the club or can be requested via the Club's Treasurer. The Annual calculation of fees commences on the first of April, if you start after this date then your fees will be calculated on a pro-rata basis. Members are expected to pay the fee for the squad they belong to (squad allocation will be advised by your coach). Physical injuries such as broken or fractured limbs etc. incurred outside the club will be a basis for a temporary reduction of fees but these will be strictly dealt with on a case by case basis. 4

5 From time to time, pools become unavailable unexpectedly, and a session may have to be cancelled at short notice, if this happens then appropriate refunds will be made. For swimmers that have dual club recognition (guest swimmer) ie on holiday or a returning university student and are only swimming a limited number of sessions Seals fees may be paid on a pay as you go basis. Session fee to be agreed by the Treasurer (university students pay a minimum membership fee) COMMUNICATION When you are new to any organisation it can sometimes be very confusing not knowing who to ask about the things that established members take for granted. The people who run the Club are most busy whilst your children are swimming. All these factors combined can make communication in a swimming club difficult but we do have a desk at Whitby Leisure centre on a Thursday 5.30pm- 7.15pm and Friday night 7pm 8.15pm. If you have any questions about any of the Club s activities, please make contact with the person on the desk who will be able to redirect your queries to the appropriate person and if you leave your details we will be able to contact you once the swimming sessions are over. Please check the Seals notice board located on the wall next to the small pool viewing window in the reception area of Whitby Leisure centre, this is how we communicate with each other most of the time and this is where you can find all contact details. We have a Facebook group- Whitby seals A.S.C. which only members of the club can join, that also keeps all members informed (children and parents). Our mobile Number is and this number is used primarily for poolside swimming related issues i.e. Time Trials and for contact at galas. 6 SWIM21 Swim21 is the ASA s club development model - a planning tool, enabling clubs to help swimmers, coaches and administrators achieve their full potential. It is centred around the needs of the swimmers - striving to provide them with the best possible environment. It is regarded as the backbone of the ASA s development programme. Currently we are working towards becoming a Skills Development Club, for more information please go to PROGRESSION THROUGH THE CLUB Learn to swim sessions- Seals Pups take place at Whitby Leisure Centre on a Thursday and Friday evening. The Leisure centre now teaches these classes and they are specifically designed for our requirements as a club so please contact the WLC to join these sessions. ( ) as Whitby Seals no longer run these teaching classes. Progression into Whitby Seals will then be into the Harbour Seals (width Improvers session) currently held on a Thursday at 5.30pm, where the large pool is divided into six widths groupings. Starting at the shallow end the children will gain competence as they learn to swim. Once this is achieved they will progress through the groups towards the deep end of the pool. The emphasis at this stage is Streamlining all the strokes; it is very technique and drill orientated rather than stamina based. It is not how fast or far the children can swim at this stage but how technical their stroke is, this is the basis of all swimming and makes it easier for them to progress to lengths and then, stamina swimming. When swimmers are width Group 6 (deep end) they are put forward for Time Trials which comprises of 1 length of Butterfly and two lengths of all the other strokes, swimmers are timed and all the times are added together to form an aggregate, from this we can see which of the squads they will move into, if the swimmers technique is not up to where we think it should be, we will retain them in widths to concentrate on their weaker areas. Length sessions are on a Thursday and Friday evening at WLC. Progression is still dependent on stroke development, technical skills with a small amount of stamina. Black squad is stamina and endurance based as the skills are already in place. The club is able to develop swimmers to County and Regional standard and with its Swim 21 performance link club, can offer a pathway to National standard. Not all swimmers want to train or compete at such high standards and may be content with developing their technique and maintaining a good basic level of fitness. Seals cater for these swimmers in Green Squad on a Thursday and Friday evening. 6

8 TRAINING Seals are working towards Swim21 accreditation and support the ASA Long Term Athlete Development Programme. With a few exceptions, generally swimmers are swimming in their age group category and by ability. Black Squad: Senior, Youth and Age group swimmers with or aiming to achieve County/Regional times. Swimmers who no longer wish to train at this level may move to the green Squad. White Squad: Age group swimmers looking to develop into County swimmers. Some swimmers may have achieved county standard times but are placed in the White squad for appropriate training until they are ready to move up to the Black Squad. Green Squad: Senior Youth and age group swimmers. Many of these swimmers represent the club in interclub galas. These swimmers will train along the lines of the Black squad with sessions appropriate to ability. Green squad swimmers are able to move to the Black squad subject to ability and lane availability. Blue Squad: Youth and Age Group swimmers generally swimming in the novice and friendly galas. Swimmers will be able to improve their stroke technique in this squad. Swimmers can progress to other squads subject to age group criteria and ability. Red Squad: Junior and Development swimmers. These are our youngest swimmers in the main pool. Swimmers will be concentrating on stroke development for progression in the club. Whitby Seals Swimming Club works very hard to ensure that swimmers get to swim at a level appropriate to them. Swimmers cannot be expected to improve without putting in the training and listening to what their coach/teacher is telling them. It is important that swimmers arrive poolside 10mins before their session starts to do stretching and to ensure they are on time to start the warm up, bad behaviour will not be tolerated. Attendance must be kept up to be fair to swimmers who are waiting for places. All Coaches and Teachers are volunteers and work very hard to ensure all swimmers have a chance of realising their potential so parent support is essential for the smooth running of the sessions. 8

9 EQUIPMENT What do I need, and why? Harbour Seals - Your child needs to come to swimming with a hat, goggles and appropriate swimwear, i.e. Girls one piece swimming costume and Boys swimming trunks not surfing or baggy shorts. Lane swimming for competitive development Each training session a swimmer needs to come equipped with: Drinks bottle filled with appropriate drink, no fizzy drinks. You can avoid the expensive energy drinks by making your own Water with some squash and a pinch of salt is all that is required. Generally many of the energy drinks do not hydrate swimmers enough during training Training Fins Provided by seals Kickboard - Provided Pull Buoy- Provided Hand Paddles These are generally not required until swimmers progress to the Black, White and Green Squads- Not provided Goggles These can be a very big advantage to the competitive swimmer. For safety and effectiveness follow the manufactures instructions for correct use. Goggles can cause injury if incorrectly used. It is essential that parents teach their children the correct way to put the goggles on: a) Place goggles on palms with strap hanging down b) Cover eyes with goggles c) Pass hands and head strap over head d) Adjust the head strap to a comfortable position e) to remove goggles place thumbs under head strap at side of head, slide thumbs to back of head and lift elastic from back to front of head f) To clear water or to adjust goggles take a firm grip on the eye cup and tilt lower edge of eye cup slightly away from face A spare pair is useful in case of breakages during a session g) Kit Bag to keep all this equipment in! The Club colours are Gold and Black. All Seals swimmers must wear a swimming hat and T-Shirt with Seals colours and logo poolside when representing the club. Seals racing hats, tops, towels and bags with the swimmers name on them are available to order from the desk. To stand a better chance of having lost property returned, please put names in all items of clothing worn poolside, plus kickboards, fins, pull buoys, bottles, etc. Goggles should be marked on the strap with a ballpoint pen; this will last quite a time before it needs to be redone. 9

10 SESSIONS Generally swimmers will swim in the sessions as detailed below but to try and accommodate everyone s needs there is usually some flexibility. Specific training sessions are designed around the competitions dates and certain swimming classes will be covered with that in mind, ie turns and dives. So it is very important that they turn up for all sessions so they can progress and not miss important skill classes. These are organised on a Thursday 6-8pm and Friday night at 7-9pm. From these results we are able to move the swimmers from squad to squad depending on their times, ability and age. Parents will always be notified by letter if your child might be moving, if not, then they just turn up to their usual session. Please look on the notice board, website or on Facebook for the details and results. 10

11 Parent/guardians of children up to the age of 10 are requested to remain on site during their children s sessions and when attending galas, Whitby Seals can only be responsible for swimmers whilst they remain poolside. N.B. Cancellations: On the rare occasion it may be necessary to cancel a session. This can be due to weather, pool breakdowns or other situations outside of our control. The Club will attempt to let everyone know by telephone or , however, it may not be possible to contact everyone at short notice. In circumstances where you suspect a session may be cancelled, such as adverse weather, it is advisable to try and contact our Mobile number, Facebook or Whitby Leisure Centre on AWARDS There is an opportunity to qualify for distance badges at our Badge sessions usually held during our Friday evening length session at 7pm approximately three times a year. This is a great opportunity for our younger swimmers to see how far they can swim, please look on the notice board or Facebook for details. These can be purchased for a small cost at the Seals desk. AGE IN COMPETITION COMPETITIVE SWIMMING At first most people new to swimming competition tend to get confused by the age bands which are used in galas and competitions, etc. These age bands are generally decided by the A.S.A. and are used by all affiliated clubs in the country. They are complicated to understand but all the Coaches do and therefore will automatically enter your child into the correct age group, please ask if you would like to know more. Conduct at galas is important as all the swimmers represent the club once they are away, once on the poolside the team managers will have responsibility of controlling behaviour as they see fit as they are ultimately accountable to the gala referee. It is expected that all swimmers will behave in a polite courteous manner to all officials and other swimmers and the team managers have the right to send them off the poolside if their behaviour is not appropriate. 11

12 At all galas the swimmers stay on the poolside until the last race has been swum, this keeps the team spirit going and as the older swimmers look after and encourage the younger swimmers, it is expected that the younger swimmers will also do that in return for the older ones. We go as a team, we swim as a team and we go home as a team. SWIMMING GALAS The competitions in which the Club squads take part are mostly external Novice, Friendly galas or League competitions. These are where we swim as a Club with the achievements of the individuals in the team added together on a points system to decide the outcome after an evening s competition between up to six clubs depending on the size of the pool. We currently swim in three Leagues, Novice Galas For our inexperienced swimmers who would like to see how galas work; this is a fun gala with no pressure on the swimmers at all. Friendly Galas Which are exactly that, are for the bit more experienced swimmers than the novices and the races have time limits, so if they swim too fast they incur a speeding ticket and lose gala points. Our swimmers prefer getting speeding tickets rather than winning the gala!! Riding s Galas These are usually for the more experienced Black Squad and are usually very exciting for swimmers and parents alike, the galas are spread out over the year and can involve swimmers from White and Green squads. There will normally be at least one individual race for each team member against swimmers of similar age, plus any relay races for which they have been selected. The atmosphere at these events is usually very good, with the squad having as much fun cheering as swimming, especially if the Club hires coach transportation, which seems to add much more fun to the proceedings, buses are usually only used for long distance and Riding s league galas. The Club accepts responsibility for the care of the swimmers and getting them safely there and back, however where younger swimmers are involved it is requested, where possible, that a parent/guardian accompany them. The pickup/drop off point for the coach is normally Whitby Leisure centre car park and parents must ensure that their children arrive on time as the coach cannot wait. Parents can either telephone the Club s mobile number or keep in contact with their child for an estimate of the arrival time. Parents must be at the pick-up point to collect their children on time. 12

13 CLUB CHAMPIONSHIPS In November we hold the Annual Club Championships. This is a competition where entry is limited to members that are first claim (as defined by current Clubs Constitution). Entry is optional but encouraged as this information is crucial to the coaches and team managers to assess the improvement of the swimmers from widths to Black Squad. The Championships are also a valuable opportunity for our less experienced swimmers to experience a gala first hand amongst friends. All members are encouraged to enter, no matter what their age or ability as some of the Club s best swimmers have come to the fore in their early days during the Championships. COUNTY CHAMPIONSHIPS The County Championships are also an annual event, usually taking place within the months of February/ March at Leeds and Sheffield. The competition is open to swimmers aged 9 and over on the last day of competition of any club, which is a Yorkshire A.S.A. Entries are considered for swimmers achieving the minimum qualifying times. Qualifying times are attained in the six months prior to the start of the competition. This condition does not apply to nine year olds or team events or to those swimmers in possession of an A.S.A. certificate of disability. Swimmers must also be registered with the A.S.A. in Category 2 or Category 3 and registered to a Yorkshire affiliated club at least 60 days prior to the first date of the competition. OPEN MEETS You may see Open Meets mentioned on the Seals notice board from time to time and wonder what these are. They are events that are open to entries from members of any A.S.A. affiliated club and for which there is an entry charge. Swimmers compete as individuals against other swimmers entered in their age groups. Sometimes there are relay events and awards for the top performing swimmer at the meet. The entry times are graded so that the swimmers are in a heat with others of a similar standard. Medals or trophies are awarded to the winners and runners up. Open Meets can be useful if you want to compete over different distances or if you need qualifying times for County or Regional Championships, if you do need qualifying times, make sure that the Meet you are attending is licensed. There are different grades of Meets, from C grade to AA" grade where the level of competition can be high. To enter these competitions you will need to meet a certain criteria on entry times, the coaches will advise the swimmers on whether they have reached those times. 13

14 MOBILES/PHOTOGRAPHY As part of our Child Protection Policy, the use of mobile phones is not encouraged and should be switched off when entering the changing area unless there is an emergency. The uses of cameras/camera phones are not permitted without signing the Video/ Photography Record Log; please speak to a poolside helper if you wish to register this use. ASSISTING THE CLUB At any one time the Club has between 100 and 200 swimming members. This makes us a very large organisation and, as you can probably imagine, to run a club of this size takes a lot of work by a lot of people. When you swim or watch a gala you can get some idea of the help needed to make it all possible. To run a four lane gala needs about 20 staff, consisting of timekeepers, runners, recorders, programme sellers, starter, referee, announcer, touch, stroke and turn judges, and also several people acting as whips to get the swimmers in the right place at the right time so that races can start promptly. As mentioned earlier, almost all of these people you see doing all these jobs are parents, doing it voluntarily, so if you feel that you can help us with any of this in whatever way you can, please make yourself known to one of the committee members. Even helping to put the ropes, floats, pull buoys and flippers out before and after a training session makes a huge difference to the coaches who would like to talk to the swimmers after their training sessions but can t as they are putting the equipment away. Apart from helping us, you will probably enjoy getting into the thick of it. Some of the jobs on offer may look complicated, but like most things they look harder than they really are. So please don t wait to be asked just offer your time and we will always say Yes Please. SOCIAL EVENTS Every year around early December Whitby Seals holds its Annual Presentation Evening and disco. Apart from being a fun occasion for the swimmers and their families it is also the time we present awards to those who have excelled at the recent Club Championships, during the year the Club committee also organise additional events, trips to a Theme parks, Splash night, a Summer Beach Barbeque. Full details can be found on page 16 and also on the notice board, website and Facebook. 14

15 ANNUAL GENERAL MEETING The A.G.M. is held in January each year. The actual date of the meeting will be published on the Club notice board. All parents and interested parties are welcome to attend. Voting members elect the Club committee at the A.G.M., as defined within the Club s Constitution. This Handbook is subject to change, a current copy can be found on The Whitby Seals website: Clothing NUTRITION/ CLOTHING FOR GALAS AND TRAINING Training costumes are usually made from a heavier more durable fabric to last in the pool and a racing costume is thinner, lighter and is only designed for competition, drag shorts can be worn for both Female and Male and they increase resistance during training therefore improving racing times, hats and goggles are compulsory for both training and racing. At galas it is necessary on the poolside to remain warm, if swimmers have a warm up costume then replace it with a dry racing costume for racing. If it is an all-day comp then take two costumes, one for the morning and the other for the afternoon, or make sure it is dry for the next session. If muscles get cold they then don t function as well in the water so wearing the right poolside clothing to maintain this is crucial. Plenty of towels to use poolside so there is always a dry one (as wrapping a cold wet towel around a swimmer is not going to keep them warm). T-shirts, hoodies, surf shorts, flip flops and tracksuits will all do the job as long as they are dry. Nutrition Releasing the right amount of energy for completion of training and then for competition is now a science and not unique to swimming but all sports. It is widely recognised that the right type of food/drink before and after training /competition is so important to the outcome. WATER is essential in the form of sports or electrolyte drinks are ideal. By the time you are thirsty you are already dehydrated! FOOD is fuel to an athlete and should always be thought of in that way. Eat a light meal 1 1/2 hours before a session/gala from the foods that have a low/medium glycaemic index, e.g; brown bread, brown pasta/rice with small amount of protein ie peanut butter sandwich, banana/grapes and nuts which release glucose into the blood system slowly therefore sustaining energy throughout a training session. 15

16 Immediately after a swim session, within minutes ideally, eat foods that have a high glycaemic index with the addition of protein, to replace the exhausted glycogen stores. ie Jacket potatoes, jam sandwiches (white bread), cereals(or bars) yoghurts, milk shakes, biscuits, fruit or a chocolate bar. A 2-3 hour gala will require nibbles of grapes, raisins, dry cereal, and water to keep the energy levels going. Glucose tablets should only be used 10 mins before the last race as they cause the blood glucose levels to spike and drop leaving zero energy remaining, use only if nothing is left in the tank! All day comp, Breakfast - porridge preferably, Lunch - brown bread sandwiches, brown rice/ pasta dishes, sushi, bananas, nuts and yoghurts. Nibbles i.e. fruits, nuts, dried fruit eat 30 mins before a race and drink constantly. Then high GI foods in the minutes after the event to recover with. 20 APPENDIX A - INSURANCE We confirm that the Club has arranged insurance via the A.S.A. which in turn has been arranged through the brokers Perkins Slade Ltd. Who is insured: Each and every member, as with all clubs affiliated to the A.S.A., is automatically covered by insurance from the date of joining the Club. When: Whilst participating in any activity of the Association or organised Club travel anywhere in the world. What for: Civil Liability Insurance; sometimes known as Third Party Insurance, with a limit of indemnity of 10M in any one occurrence. Coaching and Instruction: This is automatically insured and the cover includes errors and omissions in advice or guidance given by coaches. Voluntary Helpers: Are automatically included in the liability insurance. Pool Proprietors: Their interest is included in the liability insurance and this enables the Club to sign pool hire contracts calling for such cover. Club Employees: Employers Liability cover is automatically provided free of charge where needed. How is it paid for: Partially from the per capita membership fee. What exclusions are there: Few if any which can affect our sport, other than road vehicles, aircraft and powered boats. It is obviously expected that all swimmers and officials act sensibly, but equally it is recognised that mistakes can happen. The policy wording is as wide as can be obtained. Other insurances: The Club has in addition arranged Personal Accident cover to include death and permanent total disablement cover, together with emergency medical expenses and a weekly benefit where a person is gainfully employed. The Club, it s Committee and Volunteers do not accept liability of anything that is not covered by the insurance policy. 20

The Club is committed to everyone having the right to enjoy their sport in an environment free from threat of discrimination, intimidation, harassment and abuse. All Club members have a responsibility to challenge discriminatory behaviour and promote equality of opportunity. The Club will deal with any incidence of discriminatory behaviour seriously, according to the Club disciplinary procedures. 21

22 APPENDIX C - CAN YOU HELP? All the people involved in the running of this Club do so on a voluntary basis. We never have enough helpers to spread the load as efficiently as we would like. If you would be willing to help in any way please make contact with one of the current Committee Members or the desk, or fill in the slip below and return it to the Secretary or any Committee Member. We need help in a number of administrative and organisational ways as well as help with teaching children to swim. You do not need to be able to swim yourself and would always be mentored by a qualified teacher and receive training. Any training undertaken by outside organisations is paid for by the Club on the understanding that you would remain and help within the Club for a period of 24 months after the completion of any course or repay the club the cost on a prorata basis if you have to leave the club before the time stipulated Name...
