9 Timeline 7:30 AM - Set up Volunteers (Staging & Marshals welcome to come early to help) 8:00 AM - Staging Volunteers arrive 8:30 AM - Parade Marshals arrive - De-Staging Volunteers arrive - Shuttle Transportation starts running 9:00 AM - Route Volunteers arrive 9:30 AM - Entry numbers 1-50 in the staging area 10:00 AM - All entries need to be in the staging area 10:45 AM - First Entries pull up to the start 10:45 AM - Girl Scouts start distributing programs 11:00 AM - National Anthem begins 11:02 AM - Parade Starts 12:30 PM - Last Entry leaves the staging area 1:00 PM - Parade concludes

10 Emergencies EMTs are located at 54 th Avenue & Glendale in case of an emergency. They are also on Radio CHANNEL 3 Notify Police or an event staff with Radios Police and fire are monitoring our Radios CHANNEL 3 If entries break down they are to pull over to the right and other entries move around to the left If emergency crew needs to access the parade route, parade entries must move to the side and stop For lost children, find police or staff with radios and provide a description of whoever is lost. First aid kids are available at the volunteer check in areas

11 Things to know Portable restrooms available in de-staging, staging and at the grandstand area on 54 th Avenue Waters and snacks are available in both staging & destaging Wear comfortable shoes & be prepared to walk Parade judges will be at the reserved seating area, awards given out after the event If an entry breaks down they are to pull to the right.

12 Promotional Ugly Sweater Contest The ugly sweater contest is taking place before the parade begins at Brelby Theater. Registration is at 8:30 am, Judging begins at 9:00 am. Winners announced at 10:45am, winner rides in the parade Hometown Carolers Last entry in the parade After you finish you are welcome to join in Encourage your friends and family to join in

13 Donation Collections We are collecting non-perishable food, new toys and clothing as part of Operation Santa Claus and Hope for Hunger For food collecting Please take a boxes with you Bring them back filled with non-perishable food donations Bring any other new toys & clothing All may be turned in at the staging area check-in or at the end of the parade at Murphy Park. 17 Staging Area Job Description All entries are assigned a number indicating their order in the parade Numbers are placed in an orange cone in the staging area Vehicles should pull in so they are able to pull out quickly on the west side Your Job: Assist entries in finding their spot Make sure they have their number with them NO PARKING IN THE STAGING AREA FOR ENTRIES Snacks & Drinks will be available First aid kits are available at the volunteer check in areas Any volunteers working on the street needs to have a traffic vest on they are available in the volunteer check in area

18 Parade Marshal Job Goal is to have the parade move as one unit, so when one entry stops the entire parade stops. Each marshal is in charge of 4-10 entries, you will be given your groups numbers. (They may be in different areas in staging) Introduce your self ahead of time, make sure they understand who you are and to follow your lead when stopping and starting. Communicate on the radio when you need to stop. Keep it short, Parade Stop, Parade Rolling Use hand signals to communicate with entries. Communicate to Stacey if anyone falls out of order Do not position yourself by a loud entry, you will need to hear the radio. If an entry breaks down, have them move to the right, parade flows around the left. If an entry needs back in, work with them and communicate the change. Try to keep entries feet apart (about 2 car lengths) Watch what you say on the radio, you never know who is listening Help in the staging area at the beginning so review that job description When you end the parade you may take the shuttle back to the staging area Make sure entries do not go longer than 3 min at the reserved seating area Be friendly & have fun please help clean up the staging area if you can.

19 De-Staging Job Description Direct parking of entries, once the main lot fills up you direct them to the City lots - City Hall & on the north side of Murphy Park (see map) Direct people to the Shuttle bus As the parade finishes direct them to go as far into the de-staging area as possible. Help clean up after the event.

20 Parade Route Volunteer Safety is critical make sure kids do not run onto the parade route Spread out on both North & South sides of the street. The goal is to have 2-4 people per city block along the whole route. Parade route is 1 mile Assist in keeping the area clean, pick up trash Encourage attendees to join in with the Last entry in the parade the Sounds of the Southwest Singers
