Just when I thought I was getting to know everything that was needed, I find out more everyday. I m learning that as President I am the CEO, COO, a financial analyst, an event planner, and custodian, with several of these coming from a personal interest. During my working career, I was involved with the analysis of information, so it s not unexpected that I would examine information about our membership and finances. I have information about the attendance at different venues, through a search of zip codes know where our members live and the details of our finances. My intent was not just to gather information, but to use it for the benefit of Indy Dancers and those attending our events. There has already been an effort to contact members who have not attended dances for a long time. We have had many positive comments about these phone calls, with several people taking to the dance floor once again. Knowing the general location of where members live gave us an opportunity to find venues more convenient for you. We are fortunate to have locations around Indianapolis for our dances, but finding a location in the northeast area was considered to be priority. Our return to the K of C seemed to fit our needs and resulted in a great turn out. Your participation will determine which venues we continue to use. Let me know of other locations that may be suitable for our dances. While we often think about our social activities or dances, there is also a business aspect to Indy Dancers. It is important that we balance our income and expenses to make sure that we are being fiscally responsible and can continue to operate for many more years. Scott & Yulia are also available for Private Lessons- Receive $10/hr Discount Contact them at ninedance03@yahoo.com or at Starlite Ballroom We have been fortunate that the admission to our dances at locations other than Starlite Ballroom have been $5.00 since 2002, however expenses, especially those associated with the rental of venues, have increased. This meant that it was necessary to increase the admission to our dances and find ways to reduce expenses without changing the format of Indy Dancers events. The vote to increase the admission to most dances by $1.00, to $6.00 for members and $11.00 for guests, will allow us to meet dance related expenses. If membership and attendance, which is very strong, exceeds expectations, we will be able to have special events at a reduced fee to members. I want to give a special Thanks to Shirley Callahan for the decorations and those that prepared and served food at our School Days dance. It was fun to see those school photos and have several people dressed as we did just a few short years ago. Life is a party, so dance! Dave

2 Secretary s Report Treasurer s Report Indy Dancers August 17, 2010 Meeting Minutes Margaret Bell Indy Dancers, Inc. Income Statement Don Mindach President Dave Berard called the meeting to order. The minutes and treasurers report were accepted as printed in the Footnotes Newsletter. OLD BUSINESS: Membership dues were due or you will pay non-member price. If you haven t paid your membership, please take care of it as soon as possible. Thanks to everyone that participated at the Indiana State Fair, Clarian Dance for Health Stage on Sunday, August 8th. It was great to be able to get the audience up and dancing. NEW BUSINESS: Saturday, August 21 is School Days at Starlite. Wear your school colors, letter sweater, cheerleader outfit, etc. There will not be a dance lesson so dancing will be kicking off at 7:00 PM Tuesday, August 24 will be at a new venue, Northside K of C, 2100 East 71st St. Just west of Keystone on 71st Street. Dance lesson at 7:00 PM with Scott and Yulia followed by dancing till 10:30 PM. Have you ever gone to the wrong venue for a dance? You can check our dance schedule by calling or visit our website: We have received some input on dances and music, but we would like to receive more. The great music search will be passed on to our DJs, and they will incorporate the music into their mix. We want you to have the opportunity to learn the dances you are most interested in. Any other comments, suggestions, or concerns are also welcome. To help pass the information onto us we have a form which is easy to fill out. We would enjoy hearing from you and getting your input! Thanks for inviting friends to our dances. Reminder: If you invite someone to attend our dance and they sign up to become a member you get two free dance passes. At each dance, Rheta and Don Mindach work together to finalize the money summary including the member/guest fees and etc. After looking ahead at our expenses and putting together information for a year, our expenses far exceed our income. Since 2002 we had a $5 admission for members. Income has been fixed. Rental of facilities is our big expense. Dave, president, passed information onto the officers and came up with the discussion of two proposals: $1 increase for dances other than Starlite While a $1 increase for dances other than at Starlite with reductions in expenses gets us into the black The $1 increase should work financially (assuming attendance and membership stay the same). We had a motion to increase admission $1 other than Starlite. Member cost would be $6 and guest $11. By a show of hands, the majority voted on this increase and it will be effective September It is the policy of Indy Dancers that: No one is permitted to distribute anything at our events, so please leave the flyers, tickets for other events, handouts, and commercial messages at home. Operating Account Beginning Balance 6/30/10 $7, Dance Revenue /Expenses ($ 87.00) Membership Revenue/Expenses $2, Balance as of 8/30/10 $9, Our Club s fiscal/budget year is just starting, so this money will need to last until July 1, Winter months in the past have averaged $1,000/month loss plus special events offered. We will need about $12,000 in the treasury by the end of October. Remember we are non-profit, so 100% of the money collected is spent to bring you the best and most affordable events. When starting a dance, especially with someone you don't know, take it slow.
