4 Rotary Club of Hertford Shires Peter Elliott President DRAGON BOAT REGATTA: Saturday 9th June 2018 Notes for Potential Team Leaders If you are considering entering a team in the 13 th Annual Dragon Boat Race to be held on the river in Ware these few admin points may be helpful at this stage. Parking Free parking will be available at the Sacred Heart school in Broadmeads postcode SG12 9HY The registrations tent and other stalls will be located on the school playing field. Registration of Teams Please arrange for your whole team to be within the grounds by 9.00 am sharp so that the first race can start at am. Register your arrival at the Registration tent where the registration process which will consist of a safety briefing and demonstration by TAG Events and the signing of disclaimer forms required by the Dragon Boat Company. A green wrist band will then be issued to each participant which will allow them to enter a boat. Your team T shirts will be issued at this stage. (unless you are self supply) After registering, and when your team is called, walk from the field towards the river and at the gate by the river turn left and walk over the bridge from which you will see the landing bay where the dragon boats will be moored. Races Each team will race in three heats which start by the Saracens Head and finish alongside the gazebos just before the Priory. After the heats there will be a final between the two teams recording the fastest times. (subject to change). Races will run continuously from am during the day with a short break at lunchtime (probably after all teams have completed 2 heats) with the final taking place at around 3.00 pm. There will be a prize giving ceremony for the three winning teams.

5 To save time on the day perhaps the Crew Information Form (attached) which provides some amusing information about strategy and some information about the team could be completed and sent to me before the event. This will be used by our commentator. Progress of Event Just after the first race a schedule of all races for the day will be on display. Advanced technology is used to time each race and will be updated and displayed on a chart at the race control tent in the main area. The judges decision will be final. Announcements over the tannoy system will give the progress of races. The rules of the racing for the day will be on display at the control tent. Please ensure you are aware of the times at which your team is due to race and be ready to have your complete team at the assembly point when called. A pitch has been booked on the playing field for you to place a small tent/gazebo as your team base. Between your races there is also an area to relax. There will be an opportunity to buy hot and cold food as well as tea, coffee and a range of drinks during the day. Please note that wearers of green wristbands should not consume alcohol until their races are completed. There will also be other stalls and some entertainments to visit on the site during the day including those which form part of The Sacred Heart s summer fete. Please respect the school s rules of no dogs or smoking within the school grounds. 8 TEAM MANAGER Every team must nominate a Team Manager who will have overall responsibility for the conduct and ac:ons of the team. The Chief Official and other Race Officials will only communicate on ma@ers with the Team Manager. EXPERIENCE The compe::on is open to all comers. Previous experience of dragon boa:ng is not necessary, but all team members MUST BE WATER COMPETENT IN LIGHT CLOTHING. A responsible adult must supervise compe:tors under the age of 12 years, when in a dragon boat. TEAMS Teams are to consist of a maximum of 12 par:cipants per race, which must include a drummer and a helm. The minimum number of paddlers is six. Only the number of paddlers in the team may be reduced, a drummer and the helm must be present. Teams may race with less than 12 but the number in the boat at the finish of the race must be the same as at the start. EQUIPMENT All boats and necessary equipment will be provided. PADDLES Teams may use their own paddles provided they conform to the design and dimensions laid down by the Bri:sh Dragon Boat Associa:on. All paddle looms (shats) must be of straight design. Paddles with a cranked (off set) design or loom are not permi@ed. BUOYANCY AIDS All compe:tors must wear a buoyancy aid provided by the race organiser when on the water. Team members will not be allowed to race in their own buoyancy aid. HELM (steerer) Dragons Alive will provide a helm for each boat. THE DRUMMER The drummer must sit on the drummers seat provided and ac:vely beat the drum throughout the race. EMBARKING Teams must report to the boat marshalling area when called forward by the chief boat marshal or over the public address. However, irrespec:ve of any call forward, teams should report to the marshalling area at least 20 minutes before the race start :me. Teams failing to report on :me may be barred from taking any further part in the compe::on. STARTS Teams must be in the dragon boats and at the start area at least 5 minutes before their start :me. All races will start without reference to absentees. STARTING POSITION The posi:on of the dragon boats on the start line shall be that the front most part of the boats (including the heads) are aligned. STARTING SIGNAL When the starter is sa:sfied that all the boats are correctly aligned, the starter shall alert the teams by saying ARE YOU READY?. When the starter is happy that all teams are ready the starter shall give the star:ng signal by shou:ng ATTENTION followed by the word GO. RACING RULES & REGULATIONS ATer disembarking from the dragon boat the team is responsible for the safe return of all paddles and buoyancy aids to the place designated by the boat marshal and for bailing out any water from their boat. RACE CONTROL Teams must paddle a straight line and keep within their allocated lane/line from the start to the finish of their race. It is forbidden to knowingly impede other boats. Helms will order their paddlers to STOP PADDLING if a collision is imminent. Teams that do not stop paddling and cause a collision will be disqualified from the compe::on and may face a further ban from racing in the future. Any team that causes a boat to collide with another one whilst racing, or that damages a boat or paddles of another team, or that deliberately swamps or causes another boat or their own boat to capsize will be disqualified from the compe::on. OFFICIALS All the officials appointed for the compe::on are responsible to the Chief Official for the conduct of the races and for ensuring that the Rules and Regula:ons are fully complied with. Crews must follow the direc:ons of the Race Officials at all :mes. Failure to do so may result in disqualifica:on of the crew or par:cipant concerned. The Chief Official s decisions on all ma@ers affec:ng the races are final. SAFETY ON THE WATER The safety of a dragon boat team on the water is the prime concern of everyone associated with the event, not least of which is the team itself, who have a responsibility to conduct themselves properly, in both a compe::ve and social sense. All compe:tors are to a@end their team safety briefing before racing commences, ater which they will be issued with a green wrist band. MEDICAL RESTRICTIONS. Each par:cipant must be reasonably fit and able to swim in light clothing. Must be a minimum age of 8 and not vastly overweight to their height. If you are unsure whether you can take part please seek your doctor s advice. If you have any medical condi:on which the Race Organisers should be aware of, please speak to the Race Official before your first race of the day. NO ALCOHOL Consump:on of alcohol, by any par:cipant is strictly prohibited un:l racing has finished. Any par:cipant who is thought to have consumed alcohol or is not in a 'fit state' to par:cipate will not be allowed to race and their green wrist band will be removed. The unlawful use of any banned substance is not permi@ed at any :me. NOTICE The event is an adventure sport and as such involves a risk of injury regardless of the standard of training, supervision and equipment involved. Each par:cipant will be required to sign the team sheet following their safety briefing on the race day. By signing the team sheet each par:cipant voluntarily accepts all risks involved and is fit and able to swim as per the medical restric:ons above and will not hold Dragons Alive liable for any claims arising from any accident resul:ng in any loss or damage including bodily injury or death. LEPTOSPIROSIS & WEILS DISEASE It is stressed that Leptospirosis and Weil's disease are both rare but can be FALSE STARTS caught by anyone engaged in a water sport.
