Call to Order: The meeting was called to order at 1:05pm by Presidents Martha Thompson and Bob Lawn Introductions: Present in Waynesboro were Bob Lawn, Martha Thompson (SVSRDA) and Jane Styer (Del Valley), Participating remotely are, Tony Rock, Clyde Miles, Michael Hopf and Barb McDonald (Western Pa) Ted Rotwitt (Del Val). Minutes of last meeting, 10/7/2018 were distributed by and on the website. There were no additions or corrections to the minutes. They are approved as written. There was a request that the minutes be sent to all who participate in the meeting. Motion and second to approve by Tony/Clyde after a short discussion on whether we had provided $1,000 for the festival (we have but it has not been needed yet) and the lack of flyers for the festival so far. Education Grant, $290 of $2,000 has been used to date.

2 Constitution and ByLaws Revision allowing callers and cuers to hold office was changed as per previous discussions. Annual dues was changed from $1.00 to $2.00. There was a discussion as to how this information was provided to members. Motion/Second by Clyde/Tony to make a final approval of this change. Jane S voted against the motion because she is a cuer. All others in favor of the motion. Call for people willing to serve President, VP s, Secretary, Treasurer: At the end of the meeting we will vote on new officers. USDA Report Reported by Tony Rock, VP, Eastern Region, USDA Centenial Award from the USDA is awarded to dancers who have reached 100 years of age and are still dancing. 14 of them have been given out. If you have someone in your group who qualifies please submit their name. Youth Founders Memorial Scholarship, Tony thanked PSRDF for their donation of $200 to the fund and noted that a $1,000 and a $500 scholarship were give out. USDA is looking into the process of registering as a not for profit organization that could include any affiliate square dance club/federation who wished to participate. Would require by law changes. There would be a one time fee for this process. Tony has 3 delegates to represent Pennsylvania at the next meeting at the National Convention in Atlanta, and is looking for more. Tony and Diane s terms as VP, Eastern Region for USDA is ending and he is looking for someone to take his place. Let him know if you have any suggestions, or would like to know more about the duties involved. Brief Federation Reports Central PA. No report Delaware Valley. Federation of Delaware Valley Square & Round Dancers (FDVSRD) Report for PSRDF April 7, 2019 Meeting 1) The FDVSRD is encouraging our member clubs to hold square dance classes in an effort to keep our membership over 500. The FDVSRD offers a New Dancer Education Grant of $150 to clubs that graduate at least four new dancers in a year's time. The federation has been successful in that effort for 2019 with our membership at 502 and counting. 2). The FDVSRD is raising their dues for the next year so that we can continue to keep our federation running smoothly while we still keep making changes for the good of our dancers.

3 3) In order to encourage fellowship amongst our member clubs, the FDVSRD sponsors six dances throughout the year (3 for fee & 3 free to members). a) Early fall The Dance to See for a fee to raise donations for the Blind Sports Organization. (This is a great cause) b) Late Fall Membership Dance free to members. c) Winter Annual Meeting Dance free to members. Meeting in the middle of the dance to elect officers and bring issues to membership. d) Spring Spring Fling Dance for fee dance. e) June - New Grads Dance no fee, held to get new grads out to a Federation event. Callers & cuers who held classes during the year donate their time to call and cue. f) Summer Summer Dance for fee dance. 4) Per our Marketing Committee s suggestion, the FDVSRD has purchased 100 lawn signs which were distributed to our member clubs for displaying at the appropriate times throughout the year. Submitted respectively, Susan & Jeff Kaufman, FDVSRD Presidents SVSRDA SVSRDA currently has 12 active square and round dance clubs. Our Presidents Ball will be held on April 28th with Hunter Keller calling the squares and Butch Bloxom cueing the round dances. Dance will be held in Quincy PA. Our Graduation Dance has been put on hold. Very few clubs are having students and those that due have their own graduation dance. Heart Fund Dance: There were 200 dancers and a total of $6,000 was turned over to the American Heart Association. For several years now, this dance has been making the largest non-corporate donation to this region's AHA office. The SVSRDA Visitation program continues to be a very strong program attracting many dancers to clubs throughout SVSRDA. For the dance year, through the end of March there were over 450 individual visits made by our dancers and a total of 41 club visits. Our Gettysburg Festival will be held on May 25th with Clay Goss, Bill Harrison, Dan Prosser and Art Lavigne calling. Linda Prosser will be cueing. We anticipate a great dance year with many of our clubs planning dances with guest callers including Mike Sikorsky, Howard and Donna Williamson, Tom Miller, Bill Harrison, Clay Goss, Hunter Keller, Ken Bower and Gary Shoemake among those scheduled. 4 Western PA for April 7, 2019 PSRDF Meeting President: Michael Hopf Vice President: Joe Nardi Treasurer: Dick McCracken Secretary: Barb MacDonald The WPSRDF still has 11 clubs. We have 220 dancers with 63 belonging to more than one club. We are continuing our Visitation Program for 2019 with the same four clubs participating. Happy-Go- Lucky Squares is leading in all categories. All four of the clubs enrolled are experiencing increased visits from other clubs. Fall Festival North Hills Squares hosted the Fall Festival Saturday October 13th. Howard Williamson called and Donna Williamson cued. There were 49 dancers. The cost to the Federation including the $ for the hosting club was $ USDA Special Dance: This dance was held Friday January 25, 2019 and hosted by Dance A Round. Brad Deibert called and Bob Heath cued. We had 76 folks in attendance and danced 6-7 squares. Sophomore Dance 2019: This dance was held March 31, 2019 and hosted by Y-Knot Square and Round Dance Club. We had 54 folks taking advantage of the $4.00 fee while we had 4 students for the $2.00 fee. There was a used clothing sale and a purple heart dance. Our federation bi-monthly publication West Pen News is down to 61 hard copy subscriptions. We made the decision to send it out electronically through the WPSRDF Google Group since the printer would not increase the cost per copy. Secretary, Barb MacDonald has created a new updated directory for We are encouraging all of our clubs to introduce their new dancers to the West Pen News and the Google Group and to ask them to get involved in club and federation activities so they will feel like part of a family. We are also encouraging club members to make an effort to square up with new dancers and on a more personal level try to get to know them better. Michael Hopf, President Laurel Mountain Square and Round Dance Federation The LMSRDF held a meeting on Thursday March 7, 2019 at Jaggard United Methodist Church in Altoona, PA. The clubs represented were Chimrock Squares, Do Si Do s, Swinging Squares, Track II s and Wheelers N Dealers. Treasurer s Report: Ken Graham was unable to attend but sent in a report. Beginning balance was Expenses were $92.54 for schedule booklets. The ending balance was $ Club reports: A written report was received from the Chimrocks and Wheelers N Dealers. Oral reports were received from Do Si Dos, Swinging Squares and Track II.

5 Old Business: Larry Crone reported that State membership information and dues had finally been sent in. No club has volunteered to sponsor a Sophomore Dance this year. It was suggested that the federation should use some of its funds to give federation members something extra. Possibilities mentioned included a dance with a paid outside caller and free to the dancers. Another idea was to subsidize a bus trip to a dance outsidethe area. The Federation Dance will be Saturday October 19 from 2 to 5 pm at the Track II hall in Salex. (The November minutes said 3-5 pm, but the intent at the November meeting was for 2-5 pm.) Larry and Lynne will invite the callers and cuers to participate. Featured callers will be Ted Lizotte, Jimmy Robertson and Gary Shoemake. Our next meeting is scheduled for Tuesday May 21 at 6:30 at Somerset Church of the Brethern, 606 Berlin Plank Road, Somerset prior to the Wheelers N Dealers dance. A motion to adjourn the meeting was made by Ed Vonarx and seconded by Clara Cable (passed). The average daily visits reported by the Web site host for the last six months is 186 visits per day. (34,000 visits in 6 months. Submitted 4/01/2019 Kenton Adams PSRDF Web master Flooring (Bob Lawn) There have been no requests for the flooring in the past year. We are planning on using the flooring at the Fall Festival. Incentive Programs As noted in the treasurers report two clubs have applied for and received an inventive award so far in YKnots and North Hill Squares. (Both Western PA.) There was some discussion on the terms of this program. After some research into previous minutes it was agreed by all that the Incentive Program is a calendar year program to match up with our dues payment that are on a calendar year, and that we agreed to fund the program with $2,000 yearly as long as money in the treasury can support the program. This to be determined each year at the April meeting. It was also noted that the application asks if the new member is a member of PSRDF, so applications should be submitted after dues are paid in January. We will look at the incentive application form and make sure it agrees with what we have discussed. The application does not ask if the new dancer is a member of PSRDF, but the guidelines do state that.

7 Proposal for State Dance (Pete Wex) Pete was unable to attend today because of an illness, but provided this written report. Pennsylvania Fabulous Fall Festival Here are some updates. Registrations are starting to come in, including 17 room nights reserved. Also calls are coming in, asking questions and expressing intentions of attending. Still resolving one detail, and then I'll send the flyer to you to submit to the printer. We will then distribute them throughout the state. Tammy Diamond will be moving to Wisconsin shortly, so Sue Hein will take (albeit reluctantly) the Registrar/Asst. Treasurer roles. At tomorrow's meeting can we get everything resolved and created that we can take to a PNC bank convenient to us so that not only I but now Sue, too, can be added to the account with deposit and check writing authority? I continue to feel it would be potentially most convenient because of proximity if you were to become the Treasurer. We have filled a role that was a major concern, someone to sound the halls. Doren McBroom has done it for Star Spangled Banner for many years, and his cost will be a small fraction of what the State Convention paid in the past, confined pretty much to a free room and reimbursement for any rental charges he incurs and a small cash payment after we've seen the Festival's result(s). We've also met with the hotel to reconfigure some of the halls (with no change in the price) to accommodate the changing demand for space, with more needed for Advanced and DBD and less for pure Plus than in the past. There is an address on the preliminary flyer of where to send registrations. This is available at the web site. Ted Rotwitt discussed several methods of attracting new dancers, one of which is to get people out for line dancing first, then introduce square dancing. For more info contact Tedd. Bob requested a $100 donation to KofC for use of hall for the last two years. (4 meetings) Motion and Second, Clyde/Tony, all in favor. As part of the festival, election of officers discussion it was noted that the PSRDF account was being used for the festival expenses. This was because we were not able to open a separate account for the festival.

8 Elections, Tony in his role as Immediate Past President nominated and the following were elected unanimously for the positions indicated to include appointment of Pete and Sue as Assistant Treasurers. We need to determine how long to hold on to these records. A suggestion was made to scan them to a disc, or to rent storage space. No decision was made.
