1 RHA Board Meeting, 3/19/18 Thunderdome Board members present: Chris Dietrich, Hollie Hoffman, Greg Chisolm, Gordon Merchen, Mike Good, Vern Burress, Ben Nelson, Christine Ritter Call meeting to order: Chris Dietrich 6:00 pm Approve meeting agenda: Presidents Report: Year End Status- Compressors off Varsity- Nationals team update- Our varsity team was not originally selected for nationals. Sioux Falls had contacted USA hockey & took the spot for mixed schools. There is a pure division (only from 1 school) that Brookings had- they backed out after state. We were offered that position & will compete in the pure division. There are multiple mixed groups competing in the pure division now. We are in & leave Wed. They have a go fund me up & are fundraising for the trip. Task Force groups- multiple groups Fundraising: Ronda Simmons will head this one up. Ronda, Connie Price, Scott Montague, Rachael Hepper & Tanya Nelson. They will look at fundraising & also dasher boards, etc. Substance abuse: Gordon Merchen. Will be looking at setting up a solid policy, the old one is inconsistent & outdated. Will be looking at locally what the schools do and also other organizations. Discipline: Sean O Conner, Hollie Hoffman. Will be looking to be fair & consistent. Director of coaching: Danny Battachio, Woody, Konrad Reeder, Vern Burress, possibly Riley Weselowski(?). Will look at a discussion on keeping with ADM? Looking at what other towns are doing. Dick Novak had put together a proposal. Looking at that position & what it pays in other organizations. Sioux Falls pays about $85,000; Brookings is estimated around $65,000-$100,000. Paying for a position like this would increase sot of all players. Mites and up would all have to increase about $300+ per player if it went thru rates- not what we are wanting to do for funding. The goals would be to increase skating/goalie camps to be more competitive. We need to look at the goals and how we would pay for this. The problem with the above mentioned proposal is that it takes from the general fund- which would be our operating costs. *There was a discussion on better communicating fundraising and why it helps RHA, so we are all better at it. Also discussion on getting old bylaws & info pulled over to the new site- and getting more tabs added- to include tourney info & a handbook online for reference.

2 Positions/openings- multiple openings Registrar: Mr. Hawk will be working with Norm this year & possibly take over the following year. Score Sheet reports to state (Previously Jean Petereit): open This position gathers all scoresheets weekly & sends them to Jennie Wirkus, who works with the state. They are in charge of getting them sent each Monday- and hunting down any missing sheets. Referee payment verification (Previously Kirstie Dikoff): goes with bookkeeper position. Krista Chisolm may have someone to recommend for this position- will check into this first to see if it will be filled. Media contact/coordinator/reporter (?): open This position would also handle the social media. They would be in charge of getting scores, etc out. Keeping in touch with media to get interviews, game info/scores out. It was noted that in the past, Steve Nolan has handled some of these things, and provided write ups to the paper. They would like this position to also handle the Facebook and maybe post who s who articles, senior profiles, etc. It was also mentioned that we would need to add the media person to FB admin to manage, even if others are posting- we need this person to have access Budget Update/Report (Mark Benson): Financials handout- Mark is not here. Advertising in question, along with other lines- but some of this is also due to bookkeeper categorizing, it s there, may be listed in another place. Discussion on registration fees, haven t gone up last few years. There is also talk of a new league coming in, NHLPA- would be buying ice time from Roosevelt. Sounds like it will be during the daytime. We could lose some players to this program, is a pay to play, older players. We are currently stable, but no significant growth. We have big projects to finish still, also the zam. Mark wants to get together in May to work on the budget, will get to the April/May meetings & then work in the budget. (Vern) Varsity would like to request funds to go to Nationals, are asking for $1,000 and they are leaving in 2 days. This would be pending Mark s approval (Chris). It was noted that the girls did fundraising when they went. Vern stated there was a tournament in Brookings that JV paid $800 for & then pulled out there should be a refund for that. Chris will send an to Mark in regard to this. Will look at what we did last year for this also. Motion to give $1,000 to varsity for nationals pending Mark s approval (Hollie), motion carried Registration Fees: Need to look at cost vs hours per week- practice time. Looked at what other organizations do, Sioux Falls, Brookings, Aberdeen one group does about $220 fee plus $600+ mandated fundraising- so about $900. Question on if this is up to kids/parents to get a dasher board sponsors? In the past yes, but multiple people have hit the same places. Goal would be to assign contacts (Chris). Asked about assigning teams

3 2-3 sponsors or new sponsors (Hollie/Vern). Chris would like to leave dashers etc to the fundraising group, let them follow thru on these. (Chris) Doesn t want to touch the mite fees. We are trying to grow our association- we want to keep these as affordable as possible. Squirts are one of the most expansive groups- in terms of the tournament fees, is there room to adjust these? Pee Wees are also getting more expensive with cost of officials. Varsity/JV has paid coaches, usually 4 officials, more ice time, nicer locker rooms, cost is probably not correct on this level either. Norm wants to open up registration on April 1, so we are needing to get registration fees set. We also need to look at how to handle skate sharpening should we break it out from the fees & handle separately? Discussion on if we have people trained, are they available, getting someone at each level/team trained. Not everyone pays for this when it s separate, but sometimes whole teams will send skates with someone to sharpen. Is it easier to include. Some groups are not at rink much either. Look at getting someone trained on each team. See below for rates: Mites-currently $320 House-currently $320 Squirts-currently $580 Pee Wee-currently $680 Bantam- currently $680 Girls- currently $780 Varsity/JV/JV2-currently $780 3 to 4 hours/week 10 hours/week (4 hrs for JV, the rest is the house teams- 2 JV, 4 house) 3 hours/week (2 teams) 3 hours/week (3 teams) 5 hours/week (2 teams--- took the early practice all season M-F) 3.75 hours/week (2 teams) 9.75 hours/week (3 teams) Varsity/Jv1 team had ice time 4-5:15 (5 days/week) JV2 team had ice time 5:30-6:30 (4 hours/week) Girls had ice time 8:15-9:45 ( 3 nights/week)* was noted that due to zamming, usually not able to start till about 8:30 In looking at rates, need to see what we are anticipating for the fall. We need to plan for officials, paid coaches, ice time. Wanting to keep mites the same. Discussion on house. (Tree & other house parents/coaches present.) There are a lot of people who go thru scholarship program and the girls/boys club. If we bump up the fees, may not get their kids sponsored. (Chris) If we can keep the rates, we need to have flexibility on the ice time. Trying to keep rates low for this group as well. There are 4 house teams with about 15 kids/team. It was stated that the squirt teams are similar in size & nobody has full ice, teams on all levels are sharing ice. State schedule was discussed. This is set and out of our hands- we then fill in the ice time after the league games are set. We try to balance as we can- question on when it comes in? Some parents were upset losing Fridays- it works better to have set days. They lost 9 Fridays this is due to games & also reschedule from storms. Jenni with the state does the schedule, then it goes to Paul Ferdinand who proofs for our tourneys, etc.

4 Discussion on the ice time being made up to house. They do show that efforts were made to replace and give even more time. Chris said he is trying to be reasonable on the times. They also look at the cost, and time of ice given. Travel teams won t have the same ice time as house- cost would not be fair. House has the least amount of volunteer hour requirements, and rates much lower. If we can keep the rates down, Chris asked them to please be flexible with ice time. We are trying to get them taken care of as well. Question asked about getting other venues, possibly Civic Center like the other teams? Other ice has been offered it comes down to timing though. No ice available on Fridays at CC. Question on getting info updated on website- felt it was generic. They are able to write up something on the house program & we will be sure there is a house tab online. They asked about advertising the program, making brochures, etc. Teams can do these things- ex. Varsity/Jv, Girls but they need to pay for it. Parent also said she was checking into working with the booster clubs. Discussion on keeping the JV house program. They have smaller teams & older kids- they are more comfortable with their sizes & getting physical. Have been approved to keep the JV house going. Tree addressed board with regards to the rates & keeping them affordable. Doesn t want there to be a hardship for families to pay for registration. Discussion on volunteer hours- blue binder. They did have Dibs issues since ice time would change, so they have more manual hours to track. Further discussion on volunteer hours and current requirements: house & mite 25 hours for 1 player, 35 for multiple players. Travel are 45 and 60. Discussion on tracking and what should be counted. If it is not online- need to check with your coordinator for approval & need to track manually. Motion to keep the volunteer hours the same made by Vern, motion passes Motion made to keep both house & mites registration fees the same made by Vern, second by Merchen, motion passes Motion made by Vern to change registration fees for (pending approval by Mark as well) : squirts $600, peewee $700, bantam $ 750, girls $850, Varsity/JV $850 Hollie added to motion to keep the reduced rate for girls first year of ½ price, and also 2 nd year ½ price (as in the past) Motion passes Concessions (Niki): Not present, but it is noted the Tracey Fine will be taking over as Concessions Director beginning season. Dibs: Status Report/?hours/cashing checks- (Hollie) Need to have these by April meeting, she has the checks.

5 2 nd position assistant add- Previously discussed help for Dibs, in the past has been multiple people helping. Leberknight will help next year with spreadsheets, we will have eth uploader (Eric), and then a checker- in the past it was Heather Jenner, will check into getting this covered, or possibly a mite parent may take it over. Process- Went over the process, look at getting things up sooner to get them filled- when there are changes, it can affect Dibs as well. Website: Off Season updates- Need to get forms etc online Building Committee report (Brady/Olson/Nelson/Fullerton): Updates- summer projects- Looking to place a gate over the road to lock up the rink over the summer. Vern suggested swapping the home bench side- so that the visitors are on the far end, the players don t have to walk by the home crowd and student section. Handout on various projects for the summer, including flooring and dryland area. March 27 th LaCrosse event- Were approached to hold this at the rink, would need to have ice gone & floor cleaned, will not have ice melted in time. This is a timing issue. Fundraising report (Ronda Simmons): Status Update- Have received $175 from Hardware Hank, 5 sold here, 9 sold at the store. Would like the pasta fundraiser to go towards the dryland room. Raffle Winners- Gill Person picked names, they mixed them all up: Ronda, Raelynn, Alisa Bender & Gill Fall Dinner,Jam for the Zam 2- Looking at Sept 15 th, will be ahead of ice. Will not have the zam here yet. Also need to verify this will not coincide with homecoming for any schools. Committee- Would like to add a person from house as well. Have started working on sponsorships. Discussion on getting media involved & also giving tickets to Jam for the Zam (2) to sponsors. Billie Webb will not be doing the 50/50 next year, need to fill this. Toni Huber did the date on the Safeway cards, Jennifer Bartling will be taking over. Script Save ready, will get board approval & then launch There was a varsity parent who had over $400 in Script Save last year. She plans to continue to use the program & donate to the scholarship program. (Chris) Noted the BH Rapids had a good description of uses. Proshop:

6 Update- Chris would like to wait for Mark on where we're at and inventory. Girls Program (Hollie): Summer Plans- Brady wants to meet House Update (Tree): Board Rep- Hollie asked if there was a board rep yet? There are 3 moms attending the meetings, they will wait till the fall to elect a board rep. Report- Tree wants to continue the JV program. Didn't like that kids would age out of the house program & either have to travel or be done. This is a good option for older kids. There were 22 kids when they started, ended with 19. They did lose one from Chadron- with all the changing of times, it was hard for him to make it. Also lost a kid due to equipment issues. Advertise more, maybe they can pick up more players in the JV level. Did have a JV2 vs JV house scrimmage that went over well. Wed practices were good, otherwise they would have to skip practices & just have games on Sundays. Discussion on coaches and certification, behavior etc. Chris will meet with Tree to further discussion.
