1 LFCCI Board Meeting Minutes September 12, 2017 Present: Don Brewer, Theresa Bryant, Renee Edwards, Linda Issitt, Ron Horensky, Mike Newland Absent: Jon Peters, John Meng Staff: Eric Morgan, Janette Schroeder, JD Franck Call to Order: 3 pm Minutes approved by e- mail for August meeting. I. Administrative Reports Finance J. Schroeder Andrews house on Holden Beach. They are LFCCI members and can have a licensing (amenities) package. Projected to have $71,709 at end of year, includes write-off of Sal s account; will need to be voted on. $15,000 for practice green and storm left in; could reflect an even better end of year. Pay It Forward 48 members; we pay $9,000 a month (See Mike Newland for suggestion on how to handle this issue) Oak and Anchor Insurance renewed - $22,081 plus worker s comp which will go up due to increased restaurant workers. Eric and Mike replacement costs for equipment over 5 years old; need to get info to Janette Course JD Franck Accomplishments o Driving range tee sodded o Dead trees removed at 7, 14 and 18 o Fountain removed from 18 and working on relocating o Pot holes are constant problem. #5 has been filled numerous times. Cart path measurements have been made and we need to ask the board how much Joe Parnell would be willing to donate. Discussion items o Fairways and roughs will soon be sprayed with pre-emerge weed control o Tees will be over seeded in October o Tees to be aerified o Level collars #1, 2 and 3 with sand and raked in o Sand wagon for practice tee divots to be purchased
2 o Discussion on rakes on carts. Some golden boys want rakes in plastic sleeve in bunkers. Committee voted unanimously against this. If golden boys have more information how this would benefit us we would like a letter and information about rakes in bunkers. o Committee would like Eric to consider putting rakes on carts Cart Path Repairs o 1 to 1 ½ of pavement needed to repair the worst areas on the cart paths. o 5,000 square foot minimum for company to come out (about ½ of bad spots) o 3 miles to include greens and tee areas. $ 18 a linear foot. New process; JD will learn more about this method. There are ways to do just greens and tees rather than driving straight down cart path. o Approximate cost to do areas need tees and greens is $285,120 o Complaints about cart paths are the most complaints we receive; Mike, Jim discussed doing the worst areas now and have 2 or 3 years to wait to do the entire project. Ron will call Southern and see if they can do it when they come back to complete the road paving on Genoe s Road. Practice Tee Area o Divot buckets to help fill divots; JD will make these available soon. Golf Operations Eric Morgan Holden Patterson has joined the staff as assistant golf pro. 640 rounds of package play have been booked this year; more being booked for the fall Tournaments: o September - 3 weeks of Tuesday and Thursday covered with member tournaments; will try to spread out more next year. o South Fork Invitational Friday 23 rd o Club Championship 26 th and 28 th of September o LGA Member Member Tournament became a one day (September 14) due to Hurricane Irma o October Tournaments: VFW Saturday, October 14 Brunswick Family Assistance Alzheimer s Fund Raiser October 12 o November Folds of Honor Fall rates: $40 am rate; $35 afternoon rate September 25 Nine and Dine event; see if there is interest in this type of event; get some afternoon play; member only. II. Committee Reports Finance John Meng (out of town, no report ) Membership Renee Edwards
3 The Membership Committee met on August 24 and discussed various types of memberships. We focused our conversations on opportunities that we do not currently employ. We decided to research the following options: o Corporate Membership. In this area, we named Novant, BEMC, ATMC, BCC, and BCS, and car dealerships as the area s largest employers. Jean D Addario is looking specifically at corporations that may be interested. Eric is looking at the particulars of Corporate Membership. o Duel Membership. o Junior Executive Membership to target younger golfers. Eric will report details of these three membership types at the Board Meeting. Members of the committee continue to call on new residents. At this point, we are net+1 for the year. We ve had no takers on the Trial Membership Offer. The Committee has put invitations for information/membership on our Facebook page, and our webpage. Would like to work with Marketing and create a Christmas Package to offer to members as a Christmas present. Membership Programs to increase outside play: o Corporate Membership one fee of $5000 gives 40 rounds for foursomes; more rounds, more cost. Can use for clients, etc. o Junior Executive Membership 50 and younger (example of age range). Objective is get younger people to join this course. Ron suggested offering this type of membership to Chamber of Commerce. o Dual Memberships i.e. St. James members who cannot get on their own course. Comment from one person said they can just pay local rates, why become a member. Must be a member of a golf course in Brunswick, Horry or Wilmington counties. Don concerned that is may be less expensive for our members to join another club. Suggestion: community rate for members of other courses. To be done: Small committee to evaluate cost/benefit for Corporate Membership, St. James special rate, etc. Don will let John know about creating this committee. Marketing Theresa Bryant LFCC receives a complimentary ad in the 2018 Golf Guide and 2018 Vacation Guide for Brunswick county. The ad has been updated with current information and pictures. Ben has installed the new Oak & Anchor sign on the side of the building. I am working with Eric and Holden on promoting the new 9 & Dine Member events to begin in September. Holden and I will be discussing adding Twitter and Instagram to our social media marketing campaign. Working with Vicki S. to come up with Member Only events for LFCCI, i.e.: Quarterly Socials Next year is 30 th anniversary of Lockwood Folly. POA will be willing to split cost of ad in SBM quarterly. $1475 a quarter. $200 for banner at high school football stadium in fall; basketball field, etc. each season location changes. Theresa will submit bill to Janette.
4 A motion to approve the $200 for the banner at North Brunswick High School was moved by Jim Noel; seconded by Theresa Bryant; approved. Grounds and Greens (report submitted by Jim Noel Jim discussed issue that excessive storm water was running into pond #5. Jim discussed the storm water ditch that borders Lockwood Folly and Varnamtown needs work. Specifically, behind Mary Ward s house. He suggested that a surveyor should be contacted to survey the area. Don suggested that Jim work with Ben Galletto to determine what work needs to be done. Don states that his effort needs to be done by the POA. House Ron Horensky Potential buyer for back-hoe; only worth 5,000 to 7,000. Jim will talk with JD and Jimmy about selling it. Restrooms to replace porta-johns on 5. Has its own septic system; recycles water. Waiting to obtain cost. Can also get solar panels for it. Now pay $150 a month for the porta-potties. Current area will get siding, gravel walk-way, some plants. Bag drop area waiting for Graka to reinstall electric. Do we want to reopen the Snack Shack at 10. Inspection ($250), need menu, etc. before they will come and evaluate the building. Could do hot dogs, etc. if we have a permit. A motion to apply for a permit for the Snack Shack was moved by Ron Horensky; seconded by Mike Newland; approved. Golf Mike Newland Suggested that there be a dues increase of 5% for There has not been a dues increase several years. III. Unfinished Business None IV. Open Business Restaurant Issues (Linda Issitt) The Oak and Anchor staff should have more management from the LFCCI. Below are suggestions to give the staff more direction with the goal of a more efficient staff, less complaints from customers and a better handle on the financial status of the restaurant. Mandatory staff meeting Weekly or biweekly meetings to discuss upcoming events, specials, etc. Also review profit and loss for events. Those present to include the LFCCI Restaurant Committee (Jon Peters, Chair, Ron Horensky, Linda Issitt), Vicki Spicher, Allen Stocks, Julie Warren, Janette Schroeder
5 More extensive training of wait staff to provide better customer service. Job description for all positions in restaurant. Concerns regarding support from POA: o Reduced rental fees for non-profit organizations o Insurance for ½ day events can this be less than $100 or adsorbed by POA o Not renting River Room for less than current fees is sending interested individual to other restaurants. This impacts the restaurant as no catering fees can be brought in when the River Room is not rented. The restaurant needs outside events to become profitable. Eric would like to have lower costs for dinner for golf tournaments. Men s Restroom # 10 White epoxy to put down on floor will make it look better; cost about $55 Paint over wall paper 2018 Budget Planning process started for next year s budget; needs to be done and voted on by December. Hurricane Jose Update change of path; hope we will be okay Maintenance Yard Fence JD looked at cost to remove trees, $8,000 and $12,000 to replace fence. Ron feels we can prop up the fence and straighten it out; feels POA could put plants, etc. 100 a bush; 8 to 10 bushes needed. Don said we are responsible for fixing the fence. Steven Kay Final Master Plan Jim and Don talked with Steven. He will have the final plan in 2 or 3 weeks. Putting Green, #1, 4, 13, 9, 18 are the priorities. Mike asked why do the putting green first. V. Adjournment The meeting was adjourned at 5:20 pm. The next Board meeting is October 10, 3 PM in the Boardroom. Minutes submitted by Linda Issitt
