Brian Bolitho AIA Sports Information (24hr. report number) MEDIA CREDENTIAL POLICY AIA has a Media Credential Policy that needs to be followed to protect the proprietary rights of the Association and to protect the student-athletes and coaches at region and state tournament events. The following link ( is to the AIA Media Center which houses the AIA Media Credential Form and the AIA Approved Media List (those that have requested and been granted AIA media credentials). Please download the AIA Media Credential Form and should a media member need access that is not on the media list, they will need to sign off on the form. Please print out several of the Media Credential Forms so each media outlet fills out its own form. Should the media member refuse to sign off on the form, they will not be granted access to the region or state tournament event you re hosting. At the conclusion of the event, please fax or mail those forms to the AIA so that we may follow up and credential those people the approved media list will be updated as forms are received and processed. Please download the AIA Approved Media List (which is constantly being updated) so that those members of the media that are already approved may be granted access. Please note that some members of the media might show up with Freelance Credentials. These have no pictures on them, but do allow for access to the event per the designated media outlet on the AIA Media Credential. Only videotaping by member schools of their own games is permitted for game tape purposes. 3

4 Qualifying Criteria: Questions and Answers Q: How many opportunities will we have to qualify? A: 14 regular season matches and/or invitational s (At an Invitational Tournament you must use the same 9 hole course score regardless of where the players begin). Q: What is the last date for a school to play a qualifying round? A: Saturday May 10, 2014; Division III Q: Can a school qualify more than five players? A: No school can qualify more than one team (five players). If you qualify as a team you may bring any number of players you want but only 5 players will play per day. Q: What if a school qualifies four or five players individually, but has not met the team qualifying criteria for five qualifying legs? A: Those individuals who have met the qualifying criteria are eligible to play in the State Championship but they will only compete as individuals and not for any team awards. Q: Who will be monitoring the qualifying scores? A: The players will exchange score cards at the end of their round, the coaches will transfer scores to the schools Golf Score Sheet. Then each team will be responsible for inputting their qualifying scores onto the AIA web site. (list individuals and scores who made up qualifying team). Go to aiaonine.org athletics aiai365 Spring - Sports golf - Results must be reported within 72 hours. AIA By-law 11.5 Q: What if an error in reporting of Official scores is found? A: If the scorecard is signed and that is the number reported it will remain, however, if the school administrator made the error transferring the score(s) to the AIA web site it can be corrected. Course Rating / Scoring: Q: Where do I find the course rating? A: The course rating is different for every tee box on a golf course. It may be printed on the course scorecard. It may also be posted in the pro shop or can be found on the USGA web site. Q: Can we play on an Executive course and will those scores count? A: Yes, as long as it is a rated course..note: The slope rating of an executive course may affect the qualifying score see guidelines. Q: What if we have more than one Home Course? A: Designate one (1) course as your home course. Q: What if my team is the visiting team at my home course? A: This situation would not constitute one of your home course scores. Q: Can we play multiple tees? A: Yes by using the USGA Handicap System: page 34 (women s ratings adjustments) page 35 (men s ratings adjustments). Q: What if the round is not completed due to darkness? A: In order to count as a qualifying round, all nine holes must be completed. The AIA strongly encourages schools to work with other member schools and golf courses to insure that the starting time allows the match to be completed before dark. All the scores that were completed before dark can be used to qualify. 4

5 Local Rules: Miscellaneous: Q: What about local rules printed on the scorecard for the course being played? A: The local rules printed on the course scorecard are not in effect for qualifying scores. Q: May any local rules be used for qualifying rounds? A: Yes. The allowable local rules are listed below: Abnormal ground conditions: o Burrowing animal holes: In desert areas relief is for lie of ball and swing only; not stance. o Ground under repair: Areas enclosed by white lines. o Aeration holes: Free relief. o Sod seams: Except in a hazard, if a seam of cut turf (not the turf itself) interferes with the lie of the ball or the area of intended swing, the player may take relief without penalty by dropping the ball within one club-length of the nearest point of relief, not nearer the hole. Dropping zones: Areas may be provided as additional relief options for specific situations. Embedded ball: Relief through the Green. Obstructions: o Stones in bunkers: Are treated as movable obstructions. o Prepared rock beds: All areas of prepared rock beds are deemed to be obstructions. Q: To speed up play and for safety concerns for the players, we have typically played the desert rule in our matches. Is this allowed? A: As a coach, you can decide how your players will play the match. However, only the round(s) played by USGA rules will be eligible for qualifying scores. The desert rule is not a USGA rule. Therefore playing by it will prohibit those scores from being possible qualifying scores. Q: To speed up play, matches are occasionally played with double par pickup. Is this allowed? A: Again, as coach, you can decide how your players will play matches. However, only a round(s) played by USGA rules will be eligible for qualifying scores. Double par pickup is not a USGA rule. Therefore playing it will prohibit those scores from being possible qualifying scores. Q: Must all players participating in a match play by USGA rules? A: All players who are attempting to post a qualifying score must play by USGA rules. However, if an individual player or team decides prior to the start of the round or during the round that they no longer wish to attempt to post a qualifying score they may play by another set of rules as specified by the host school. Q: Do spectator rules apply during the regular season? A: Yes; see AIA golf tournament guide for spectator rules & information (pages 8 & 10). Q: Who should I contact if I have additional questions regarding the golf qualifying procedure? A: Start with your Athletic Director or your golf sports advisory rep. If they cannot answer your questions have either one or both call Dean or dvisser@aiaonline.org Q: What if a school plays an ineligible player, does the team score count toward qualifying, if not, how about the individual scores. A: If a golf team plays an ineligible player, the team score is forfeited and does not count toward a qualifying number, however the individual player s scores will count as one of their individual qualifying scores. The Team will still need to make the 5 qualifying scores or legs to receive a team total at the State competition Q: Do girls and boys have the same target score? A: No, girls can use any of the forward tees, they must use appropriate course rating and will need to shoot course rating plus (7) as their target score to qualify for the State Tournament (five times minimum to qualify). Q: If a Team has a combination of Girls and Boys (Coed) is the Team target score different? A: Yes, take the boys course rating x the number of boys and then the girls course rating x the number of girls (total of 4 players) and add (28) to equal qualifying score. 5

6 RULES Rules shall be those of the current USGA Rules of Golf, AIA Constitution and Bylaws and these tournament instructions. Proper attire must be worn at all times in the clubhouse, on the golf course, and on the driving range. Jeans, bathing attire, undershirts, gym shorts, coaching shorts, cutoff shorts are inappropriate. Coaches and players are required to follow the below dress code requirements: Belts on boys No Cargo/Carpenter shorts. Shoes must be worn at all times Collared shirts on boys Capri Pants on girls are acceptable Sleeves or sleeveless collared shirts on girls Girls shirts may not rise above the belt line during the swing Mock turtle necks are allowed Length of shorts must be no shorter than a dollar bill length from the top of the knee Spike less golf shoes or tennis shoes only ALL CLOTHING MUST BE WORN IN A NEAT AND RESPECTABLE WAY (SHIRTS MUST BE TUCKED IN) 6

7 COACHING AND USGA RULE 8 A coach or school representative must be present and cannot play while his or her players are competing on the course. Each team may appoint one person (coach) who may give advice. Only a certificated Board of Education approved person shall coach the high school team and/or qualifying individual. (This regulation shall apply to all paid, non-paid volunteer or student teacher coaches). UNSPORTSMANLIKE CONDUCT Unsportsmanlike conduct will not be tolerated at any event. An athlete using abusive language, throwing clubs, or who is involved in any other act judged to be unsportsmanlike by the Tournament Games Committee will be penalized in the following manner: First offense a two stroke penalty will be incurred by the player. Second offense disqualification, if disqualified on first day player will not be allowed to participate on second day of competition. Individuals or team members may be disqualified from the State Tournament for disciplinary reasons as determined by the games committee and/or tournament director. See AIA Constitution and Bylaw Article 16 Sportsmanship Rule, Section , page 53. CELL PHONES The use of a cell phone is allowed only for tournament related communication (such as call a rules official) by coaches and rules officials. Spectators ate not to use cell phones while on the course! DISTANCE MEASURING DEVICES Per USGA and local association guidelines, DMD s are permitted in all high school play - regular season matches and tournaments (including the State Tournament). Other technology (including, but not limited to, mobile phones, music players and the like) is NOT permitted for use during a competitors round. The penalty for using illegal technology is, in the first incident, two (2) strokes and, in the second occurrence, disqualification. SCORING Each player in a group shall responsible for keeping and verifying the score of each player in the group. Scores should be recorded immediately before moving to the next tee. Make sure the cards are correct and signed before cards are turned in at the scoring table at the end of each round. Slow Play: Slow play cannot be tolerated. Slow play may lead to stroke penalties and participant disqualification. Rules and Games Committee will monitor pace of play. Slow players will be issued one warning. If slow play continues, a two (2) stroke penalty will be assessed to one or more players in the slow group, at the discretion of the Games Committee. A subsequent violation may result in a disqualification. 7

8 TIE BREAKING PROCEDURES In the event of a tie in team scores at the completion of Regulation play (four out of five scores counted each day), the winner shall be determined by comparing the fifth score posted on the second day from each team involved in the tie. If a tie still remains, then the same procedure will be used by comparing the fifth score posted on the first day of competition. If a tie remains after both scores have been compared, the teams will be declared co-champions. An individual tie: In the case of a tie for the medalist championship at the conclusion of regulation play, the individuals tied for the championship will proceed to a hole designated by the tournament games committee as the first play-off hole. Play will continue from designated holes until a champion is determined. (In case of darkness co-champions will be declared). QUALIFYING INDIDVIDUAL PLAYERS FOR DIVISION III STATE GOLF (36) + 7 = 43 Example (Girls Division III Individual) (36) + 6 = 42 Example (Boys Division III Individual) QUALIFYING TEAMS FOR DIVISION III STATE GOLF (36) x 4 = = 172 (Coed Division III Team) Coed teams need to use the boys course rating x the number of boys and then the girls course rating x the number of girls (total of 4 players) and add 28 to equal the qualifying score. Matches Matches must be played on a rated course. A maximum of 14 (9 - hole) matches can be played for qualifying purposes (qualifying score can be part of an Invitational using the SAME nine hole score played). NOTE: If a tournament is teeing players off both # 1 and # 10 tees, the same nine shall be scored for all players. Only full teams (four or five members by definition representing a particular school) are eligible for the AIA state team trophy competition. Teams advance to the State Tournament by equaling or exceeding the qualifying standards set by the AIA for the regular season ( target system). Team must qualify a minimum of five legs, which must be shot on at least two separate courses, to advance to the State Tournament and may only qualify three times on their school s designated home course. Course Rating Use the appropriate front or back 9 course rating use. Course Ratings can be found by going to the USGA web site. The home school or Tournament Director will declare before play starts which tee location will be used. State Automatic Qualifying Formula Target Scores (Shot Five Times on at least two different courses.) REPORTING QUALIFING PLAYERS FOR THE STATE TOURNAMENT Scores must be attested to by all the coaches from the participating schools. Each participating school must enter qualified scores onto the AIA web site. Results must be reported within 72 hours (AIA Bylaw 11.5). 8

9 SCORING Each player in a group shall be responsible for keeping and verifying the score of another player in the group. Scores should be recorded immediately before moving to the next tee. Make sure the cards are correct and signed before cards are turned in at the scoring table at the end of each round. Scorecards will be considered officially turned in when a player turns his/her card into the official scored at the scoring table. The player is responsible for his/her scorecard after it has been turned into the official scoter and has been accepted. TOURNAMENT ORGANIZATION The State Tournament shall be run as a team tournament. The five players of each team shall be played in consecutive tee times. TROPHIES/MEDALS Awards will be as noted in the AIA Constitution and Bylaws. Winning teams and runner-ups will receive team trophies. Individual medals will be awarded to the top 10 places. Practice on Site: State Tournaments- A practice (including walking the course) or competition on the site of the state tournament, except for a regularly scheduled match, is not permitted beginning with the Monday of the week of the tournament, except by the school/schools which use the course as their regular practice and match site during the season. AIA Bylaw: OTHER INFORMATION Qualifying teams may change players from one day to the next but may only play 5 players each day. Only participants are allowed to play the course, alternates not involved in the competition will NOT be allowed to play. Coaches will not be playing golf. One golf cart will be issued to each team for their head coach, individual head coaches will need to share within their group(s). Spectators may rent a golf cart (if available/first - come first serve basis) from the golf course for a fee and must abide by rules listed to the use of carts. Permanent handicap placard holder (spectator) must check with host Tournament Director regarding use of cart 24 hours in advance and pay for the cart rental. Spectators may walk cart path 30 yards behind competitors and 30 yards in front of next group of participants. 9
