1 #8. Delegation Update October 2016 Friendly reminders: 1. Travel information forms. There are still some Delegations that have not returned the travel information form, please see attached the overview of missing forms. Also, it is very important that you include the number of people arriving. 2. Payment of the registration fee for the HOD seminar. The deadline for the registration fee was 09 September 2016 and not everyone registered has paid the fee. Please wire the funds this week. If you are registered and will not participate, you have to pay a cancellation fee. Payment of the fee for AS staff. Invoices will be sent to the SO Programs by mail in the middle of October The invoices must then be paid 14 days after receipt of the invoice to the specified account, which will be on the invoice. We do not accept any transfer costs (= bank charges). These are the responsibility of the SO Program. You can also pay the costs directly to the GOC at the HOD seminar. If you plan to do this, please inform the GOC in advance. Accommodation, Games times - Rooming Lists In October we will send the Rooming List for each Delegation who registered to attend the Special Olympics World Winter Games We kindly ask you to review it and meet the established deadline for the comments and confirmation. Hotel Information during SOWWG 2017 At each hotel a credit card will be deposited, it will not be charged unless there is some damage in the room. A credit card is required at check in and to receive a key

2 Host Town Each Delegation will shortly receive information about their assigned Host Town and contact for the Host Town representative. Important: All organizational requests must be run via the delegation service, otherwise it will not be processed 2017 SOWWG Ceremonies Opening Ceremony: Location: Planai Stadion, Schladming There will be no seating during the Opening Ceremony but during the staging there will be seats. The Ceremony will be held outdoors. Please dress accordingly. The ceremony will last for about 2 hours. Closing Ceremony: Soccer Arena Graz The Ceremony will be outdoor, please dress accordingly and the ceremony will last for about 2 hours. Tickets for Opening and Closing Ceremony for Families and Spectators: The two locations for the ceremonies have limited spectator capacity. Tickets for the Opening and the Closing ceremonies have to be purchased separately and will be available online. Tickets will cost 50 Euro for the Opening Ceremony and 35 Euro for the Closing Ceremony. You will be informed about when tickets are available online and it will on a "first come, first serve" basis. Please note: There will be Opening Ceremony watch parties both in Graz and Schladming at the Festival areas, free of charge. Special trains will run from Graz to Schladming (Opening) and from Schladming to Graz (Closing). Tickets will cost 25 Euro per person for the roundtrip and will be available also on our homepage. HOD Seminar 1. Shuttle Shuttle services from the airport to the Hotel will only be available on 27th October for arrival and on 31st October for departures. Participants arriving/departing on other dates have to organize and pay for the shuttle themselves.

3 MEETING OF MINISTERS OF SPORTS AND SOCIAL AFFAIRS On the day before the Opening Ceremony we are organizing a meeting of ministers of sports and social affairs in conjunction with the social impact summit. The ministers will debate the latest best-practices in inclusive sports and during the afternoon will have the opportunity to meet with their respective delegations and athletes. We ask you to send us the contact information for your ministers of sports and social affairs and also for youth, education and family affairs (we are aware it will be different constellations in each country) by 15 th October so we can send out the invitations in a time. Please be so kind to let us have the following information: Title, Name of the Minister, Name of the Ministry, Postal Address, Address, Phone Number of the Ministry Thanks in advance! Microsoft Sponsoring 30 Athletes through Mission 3000 Microsoft has donated to sponsor athletes from 30 delegations competing in the World Games. They support the Athletes accoridng the communication. These funds will help the GOC cover athlete expenses while they are in Austria. You should have already received an from the GOC if your delegation is included in the program. Nancy Lagomarcino from SOI, will be reaching out to you soon with details on identifying an athlete from your delegation to participate. Athletes selected will share their training and competition experiences with their local Microsoft office and could be selected for Microsoft s global marketing campaign around the World Games. Please respond to Nancy s by Wednesday October 19 th with two athlete nominations for your delegation. If you have any questions, please reach out to Nancy Lagomarcino (nlagomarcino@specialolympics.org) MEDIA REGISTRATION FOR 2017 GAMES Media registration has officially opened for the Special Olympics World Winter Games in Austria. Approximately 1,000 members of the news media are expected to attend the World Games from 100 countries. In addition, Österreichischer Rundfunk (ORF) will be the national in-country host broadcaster. ESPN is the international host broadcaster and will be covering stories and events throughout the Games. Below is the link to media registration for the 2017 World Winter Games:

4 GET MEDIA COVERAGE OF YOUR ATHLETES Special Olympics HQ is receiving many requests for stories about our 2017 World Games athletes. Some media outlets, including ESPN, already want to start scheduling their video shoots. We want to make sure ALL our athletes in ALL regions get great media coverage so we need you to send us your compelling athlete stories ASAP. We are looking for: Compelling stories with both a sports and human interest aspects to the story, including: Athletes who have achieved something unique in their sport can be in or outside of SO (example: personal best or competitive accomplishment outside of SO competition) Stories that have an element of surprise or a twist Stories of a unique bond between an athlete and his/her coach Compelling team or team training story Interesting family support story Athletes with unique jobs Athletes who are married and/or have children Athletes who use technology as part of their training regimen Athletes with video footage (of their training for these Games or past Games; or when they received the news that they were selected for World Games, etc.) Please send 2-3 sentences to describe your compelling World Games athlete (or coach or volunteer) to kmckenna@specialolympics.org.
