YOUTH SAILING PROGRAM Sailing Camp 2017 AT THE OKLAHOMA CITY BOAT CLUB Quick Start Guide for Parents Hours 9:00 am to 4:30 pm, Monday through Friday MONDAYS FRIDAYS On the first day of each session, please try to arrive by 8:45 am to get your child settled in before camp starts at 9:00 am. On the last day of each session we have an Awards Presentation at 4:30 pm. 5 LIGHTHOUSE CHARITIES, INC. YOUTH SAILING PROGRAM Sailing Camp 2017 AT THE OKLAHOMA CITY BOAT CLUB WELCOME! We are excited you are coming to sail with us this summer! The entire Sailing Camp Crew from last summer is back for another summer of sailing. We are looking forward to another safe, fun-filled summer of Sailing! Sailing! Sailing! Charlie and Michelle Nick, Chandler, and Alex Duane and Celine HANDBOOK The purpose of this handbook is to orient both new sailors-to-be and returning sailors and their families to Sailing Camp Please take the time to read through the information before the first day of camp so we all start the summer sailing on the same course. The handbook is a work in progress. We will post new information on the Youth Program section of OCBC s website (okcboatclub.com) as it becomes available. SAILING SCHOLARSHIPS Thanks to continued support from Lighthouse and individual donations, the Youth Sailing Program is awarding Sailing Scholarships again this summer! We want Sailing Camp to be accessible to all youth interested in sailing. Scholarships subsidize the cost of camp fees for youth who might not be able to attend Sailing Camp otherwise. Scholarships are need-based and awarded on an individual, first come, first served basis. Applications are available on the Youth Program section of OCBC s website at okcboatclub.com. 501(C)(3) NON-PROFIT STATUS Lighthouse Charities, Inc. is organized and operated exclusively for educational and charitable purposes. As a taxexempt 501(c)(3) charitable organization, Lighthouse is eligible to receive tax-deductible contributions. 6 ORGANIZATION AND STRUCTURE OF SAILING CAMP LIGHTHOUSE CHARITIES, INC. AND THE OKLAHOMA CITY BOAT CLUB Lighthouse Charities, Inc. is a subsidiary of the Oklahoma City Boat Club (OCBC) created to connect our sailing community with the greater Oklahoma City community through the sport of sailing. As the parent organization, OCBC controls all aspects of Lighthouse. The members of OCBC s Board of Governors also serve as the members of Lighthouse s Board of Directors. The two organizations have separate purposes, but share a single passion: Sailing. OCBC BOARD OF GOVERNORS AND LIGHTHOUSE CHARITIES, INC. Lighthouse provides the administrative and operational support (e.g., management and sailing instructors) and three fleets of sailboats. OCBC provides an exceptional sailing facility and associated infrastructure (e.g., safety boats and bathrooms). OCBC is a first-rate sailing club, with an active racing program and recreational sailing. All these elements come together to make Sailing Camp at OCBC a great place for youth to learn how to sail and to become sailors. The Youth Committee is responsible for the Youth Sailing Program and, by extension, Sailing Camp. The Committee makes sure the facilities, equipment, personnel, and policies are up to date and appropriate for Sailing Camp each summer. This will be our fourth summer working under new leadership, with a new program organization model. We are proud to present a professional, high-quality sailing program for youth and honored that you have entrusted your children to us for a safe, fun sailing experience at Sailing Camp SAILING CAMP MISSION The mission of Sailing Camp is for youth to go sailing, develop sailing skills, and become sailors. GUIDING PRINCIPLES Sailing Camp is all about kids and sailing. As a sailing specialty camp, our program focus is getting a diverse group of children on sailboats, out on the balmy waters of Lake Hefner, and sailing. By default, it s safety first, then fun, and from there it s smooth sailing. Here is our formula for success: Safety First + Lots of Fun + Quality Instruction + Lots of Sailing = Sailing Camp 2017 These basic principles are at the core of everything we do: they drive our decision making; guide us in our daily work; and give direction to how we relate to each other, to our youth, and to our community. 6

Youth Sailing SAILING CAMP 2017 at the Oklahoma City Boat Club Essential Eligibility Requirements for Participation Sailing is a mentally and physically challenging sport. We want every sailor at Sailing Camp to be safe, have a fun, and learn to sail. Our goal is to make sure all youth who attend Sailing Camp have the life skills necessary to enjoy the camp experience and to successfully master new sailing skills. To that end, all youth must meet the following eligibility requirements to participate in Sailing Camp. AND 1. 8 through 18 years of age 2. Complete a swim check to the satisfaction of the Head Sailing Instructor 3. Learn and perform one- and two-man capsize drills to the satisfaction of the Head Sailing Instructor Demonstrate a positive ATTITUDE and responsible BEHAVIORS as shown by the ability and willingness to: Listen to and obey authority figures Understand and follow instructions given at the individual and group levels Learn small boat and water safety rules and once learned, follow the rules Learn sailing skills and engage in tasks required to sail alone or with others Treat self, others, and the environment with respect, in both words and actions Keep self, others, sailboats and equipment, and the environment safe Take responsibility for self-care, including adequate hydration and sun protection Try new things and keep trying, even if something is challenging Interact cooperatively with others on an individual basis and as a team member Handle unexpected changes in daily routine or plans Possess the focus, learning capacity and social/emotional maturity to learnabout sailing with a diverse group of peers Good general HEALTH and PHYSICAL CONDITION, with the capacity to: Move about the facility at the same pace as peers Lift and carry the weight of personal belongings and sailing-related gear Wear all protective gear recommended or required by US Sailing Get on or off a wet or dry boat independently Change position on a sailboat quickly and independently Tolerate being outside and on the water several hours every day Tolerate variable weather conditions, including extreme heat, significant sun exposure, wind and rain Possess the strength, fitness, balance, and agility to sail a boat on Lake Hefner Demonstrate effective COMMUNICATION skills, including the ability to: Speak English fluently Communicate (give and receive information) with others, verbally and with visual and/or sound signals Communicate (hear or be heard; see or be seen) over a distance of 50 yards, under challenging conditions such as high winds, rough water, or poor visibility 7

8 SAILING INSTRUCTORS SAILING INSTRUCTION OVERVIEW All Sailing Instructors and Counselors are certified US Sailing Small Boat Level I Instructors or higher. Valid certification includes current First Aid and CPR certifications and an Oklahoma Safe Boating certification. All of our camp crew have a passion for sailing, enjoy working with youth, and have worked at Sailing Camp a minimum of three summers. SAILING CURRICULUM Sailing instruction content and methods are based on US Sailing s National Standards for Quality Sailing Instruction. Each Sailing Instructor brings his/her personality and sailing experience to camp, as do the different combinations of new and experienced sailors each session. Every session follows the same sailing curriculum, yet every session is unique, with a slightly different tempo and style. SAILBOATS Sailing Camp uses Picos, Optis, and 420s because they are ideal boats for young sailors to learn and develop sailing skills. We only use Lighthouse-owned boats ( club boats ) during Sailing Camp. SAFETY IN NUMBERS Sailing Camp 2017 has three Sailing Instructors, plus one Sailing Counselor on board and two safety boats. Enrollment is limited to a maximum of twenty sailors per session to ensure every sailor has a positive sailing experience. Our ratios of sailors to instructors and sailboats to safety boats is well within US Sailing guidelines, allowing for some leeway if an instructor is absent or a safety boat is out of commission. No sailors will be left unattended on the water. Ever. COMMUNICATION ON AND OFF THE WATER OCBC s VHF radio system is an integral component of Sailing Camp. Sailing instructors and the on-shore staff use radios to communicate with each other out on the water and on shore. TYPICAL DAY AT SAILING CAMP 8:45 Sailors start arriving 9:00 Stow gear, put lunch in cooler, fill water bottle, apply sunscreen 9:15 Warm-up exercises, rig boats 9:45 Chalk Talk, boat assignments, Water/Sunscreen 10:00 Sailing 12:00 Lunch on south porch or somewhere on Lake Hefner 12:45 Chalk Talk, Water/Sunscreen 1:00 Sailing 3:30 De-rig boats 4:00 Debriefing and ice pops 4:30 Pick-Up Time 8

9 SWIM CHECK SAFETY GUIDELINES FOR YOUTH SAILORS All sailors, regardless of age, are required to complete a swim check the first day of each camp session. In addition to confirming youth have adequate swimming skills and confidence to safely participate in Sailing Camp, the swim check also allows Instructors can ensure sure each youth s PFD (life jacket) fits properly Youth new to sailing have a chance to become accustomed to being in lake water with their PFDs (life jackets) and sailing shoes on A prospective sailor may schedule a practice swim check prior to his/her camp session if he/she has any concerns about swimming well enough in lake water to participate in Sailing Camp. Note: If the Head Sailing Instructor determines a youth cannot safely participate in Sailing Camp, we will refund all but the $50 deposit of the camp fee. CAPSIZE DRILL The Sailing Instructors teach and administer capsize drills the first day of every camp session. All sailors, regardless of experience, must complete one-man and two-man capsize recovery drills. LIFE JACKETS Personal flotation devices (PFD s or life jackets) must be worn and properly fastened at all times when sailors and staff are on the docks, in a boat, or near the water (e.g., ramp by Youth Shed, beach, etc.). PFD s must be U.S. Coast Guard approved and must be properly fitted to an individual s size and weight. A whistle on a short lanyard should be attached to the PFD. If you have a US Coast Guard Type III (or II) personal flotation device (PFD), please bring it with you to Sailing Camp. If you don t have a quality lifejacket, we will provide one for you. APPROPRIATE CLOTHING AND SAILING SHOES Quick drying clothing is best. Avoid cotton because it is heavy when wet and takes a long time to dry. Pack extra clothing as needed for rain or cooler weather. Shoes must be worn at all times, whether on land or on water. Shoes should either strap on or lace up so they will stay on your feet. Open-toed shoes are not recommended. No flip flops! We recommended a hat and sunglasses. Make sure you have a way to attach your glasses and/or hat to your head, shirt, or life jacket! ADEQUATE HYDRATION AND SKIN PROTECTION Bring a reusable water bottle every day. We provide a large cooler of water and a second cooler of diluted Gatorade. Sailors are encouraged to refill water bottles regularly. Sailors must wear sunscreen and reapply frequently. Any sunscreen lotion with at least 30 SPF is fine. Please DO NOT bring spray sunscreen because it does not cover well enough, especially when it s windy. Frequent water/sunscreen breaks are built into our daily routine. LUNCH HOUR Bring a nutritious lunch to help maintain your energy level for a full day of sailing. Add extra snacks (e.g., energy bar or fruit) if you tend to get hungry between meals. Put your lunch in a waterproof bag (e.g., Ziploc freezer bag) so it won t get soggy in the cooler. Please don t bring anything that needs to be cooked or heated in a microwave. There are no microwaves on the shores of Lake Hefner! Lunch is a time for everyone to take a break and relax. Michelle or Celine (or equivalent adult) supervise the sailors to make sure they eat lunch, drink plenty of water, stay in the shade and relax. 9

10 SAILING CAMP 2017 Daily Checklist for Sailors Sailing is a mentally and physically challenging sport. You need to take care of yourself at home and at Sailing Camp. Please get a good night s sleep and eat a healthy breakfast every morning. You will need to bring some basic gear to camp every day. Use the following checklist to make sure you have everything you need for camp every day. MUST HAVES are essential items you MUST HAVE to participate in Sailing Camp. RECCOMENDED items are optional, but are highly recommended! MUST HAVE TO SAIL Reusable Water Bottle Cold Lunch Sunscreen Sailing Clothes Sailing Shoes Lifejacket and Whistle* RECOMMENDED Hat Sunglasses Towel Change of clothes Dry shoes Bag to keep all your stuff together Lost and Found: Please write your name clearly on all your belongings. Keep track of your belongings. Things seem to get lost a lot more often than they get found! Lost and Found is located at the bottom of the big storage bin we use to store everybody s gear. Water Bottle: Bring a reusable water bottle. Please do not bring sports drinks, juices, or pop. We have plenty of water, ice, and Gatorade available for plenty of refills all day long! Cold Lunch: Pack a nutritious lunch to help maintain your energy level for a full day of sailing. Add extra snacks (e.g., energy bar or fruit) if you tend to get hungry between meals. Sailing Shoes: Your shoes should either strap on or lace up so they will stay on your feet. No flip flops! YES! NO-NO! Sailing Clothes: Quick drying clothing is best. Sunglasses and Hat: Make sure you have a way to attach your glasses and/or hat to your head and/or your shirt. The bottom of Lake Hefner is covered with sunglasses and hats! Sunscreen: Any sunscreen lotion with at least 30 SPF is fine. Zinc oxide is good too. Please DO NOT bring spray sunscreen because it does not cover well enough, especially when it s windy. Lifejacket and Whistle: If you have a US Coast Guard Type III (or II) personal flotation device (PFD), please bring it with you to Sailing Camp. You will also need a whistle to attach to your lifejacket. If you don t have a quality lifejacket, we will provide one, with a whistle attached, for you. You must wear an approved lifejacket and appropriate sailing shoes to sail. 10

11 BEHAVIOR GUIDELINES FOR SAILORS EXPECTED BEHAVIORS Keep Yourself Safe Wear appropriate sailing shoes at all times Wear life jackets at all times on docks, boats, or in the water Reapply sunscreen frequently Drink water frequently all day long Listen to the Sailing Instructors and follow directions Keep the People Around You Safe Treat each other with respect (e.g., no hitting, pushing, roughhousing, swearing, etc.) Offer help if you see someone struggling Be kind. Step up if you see someone being left out or bullied Keep Boats, Equipment, and the OCBC Facility Safe Put trash in trashcans and recyclables in recycle cans Use the back door to access the bathrooms and keep bathrooms clean De-rig boats properly return to dry slip put away after use Make every effort to avoid collisions (boat-to-boat or boat-to-dock) Report any damage to boats or club property Be a Team Player Stay with your group unless you have permission to leave Make an effort to sail out and return to harbor together Stay within hailing distance of the safety boat prior to drills De-rigging is a team effort. Don t leave the area until all the boats are put away Only blow whistle when in urgent need of help Basic No Nos No sailors on docks without supervision No swimming (except with the permission of the instructors) No jumping off boats (except with the permission of the instructors) No playing on or near ramps and hoists No sailors in the clubhouse (except to access bathrooms) BEHAVIOR MANAGEMENT POLICY Sailing Camp does not have a one-size-fits-all Discipline Policy per se. We expect our sailors and staff to make good choices and follow the rules. Typical strategies for inappropriate or unacceptable behaviors include reminders to stay focused, time outs, one-on-one conversations before or after sailing camp hours, or even a day off. Our primary goal in addressing behavior issues is to maintain a safe, effective, and fun learning environment for all, including sailors with challenging behaviors. We are all here to go sailing! If a sailor or staff member behaves inappropriately, we use the following levels of intervention as indicated: Minor behavior problems may be handled by anyone working at Sailing Camp Recurrent or serious issues will be referred to Charlie Shafer, Head Sailing Instructor Unresolved issues or problems will be referred to Duane Dahlgren, Youth Program Director 11

12 HOURS BASIC GUIDELINES FOR PARENTS Camp starts at 9:00 am and ends at 4:30 pm. The OCBC gate will be open at the beginning and end of the day, but will remain closed during the rest of the day as a safety measure. We are not equipped to supervise or handle sailors before or after the camp day. Ideally all the sailors will be on time and ready to go when the first sailing instruction activity starts at 9:15 am. And we will do our best to have your child ready to be picked up between 4:15 and 4:30 pm. MORNING DROP OFF Please drop your child off at no earlier than 8:45 am and no later than 9:15 am. o If you arrive too early (before 8:45), the gate may still be locked and/or there may not be an adult free to take charge of your child. o If you arrive too late (after 9:15), your child will start the day a step behind the rest of the sailors. MONDAYS only The first day of each session tends to be a little hectic. Please try to arrive early enough to complete the registration process and get your child settled in at by the time camp starts at 9:00 am. AFTERNOON PICK UP You must come to the south porch to sign your child out from camp. Please pick your child up no earlier than 4:15 pm and no later than 4:45 pm. o If you arrive too early, your child may not be ready to leave (still out sailing, on shore, but de-rigging a boat or in the middle of a Chalk Talk). o If you arrive too late (after 4:45), someone will stay with your child until you arrive. The second time a sailor is picked up late, we will charge a late fee of $1 per minute starting at 4:45 pm. o FRIDAYS only The last day of each session is always busy. We have an Awards Presentation at 4:30 pm to recognize each sailor s achievements during Sailing Camp. It is a meaningful event and we encourage you to attend. Then all the sailors need to gather their belongings (shoes, towels, etc.) and get them from the porch to the car. It s their last chance to find anything they may have misplaced during the week; some need more time than others. ABSENCES, LATE ARRIVALS, EARLY PICK UPS Please notify us (text Celine Davis at or Michelle Shafer at ) as early as possible if your child is going to be late or absent. We will call you to make sure your child is safe if your child does not arrive by 9:30 and we have not heard from you. Please notify us in advance if you need to pick your child up early. Specify what time you need to actually leave OCBC with your child in the car. Based on that time, we can make sure your child is on shore, with all his/her belongings, and ready to go. Be sure to let us know if your child needs to be in dry clothes or not INCLEMENT WEATHER Sailing Camp is held every day regardless of weather conditions. Learning about weather is part of learning about sailing. We routinely monitor the weather throughout the day for signs of changing conditions. If the weather is not safe for sailing, the sailing instructors will take advantage of the opportunity to present sailing topics (e.g., rules, knot tying, etc.) more suited for sailors to learn on shore. The Head Sailing Instructor makes the final decision to return to harbor or to delay sailing in the event of unsafe weather. 12

13 LOST AND FOUND Sailors are responsible for keeping track of their own belongings and taking them home daily. Lost and Found is located at the bottom of the big storage bin we use to store everybody s gear. Please write your child s name clearly on all belongings. ELECTRONICS Sailors may only use cell phones during lunch. No cell phones or other electronics are allowed on the water. COMMUNICATION BETWEEN PARENTS AND CAMP STAFF If you have any questions or concerns, please don t hesitate to contact a Land Crew member (Celine or Michelle). If we can t help you, we will take a message and pass it on to the appropriate individual. The Sailing Instructors are not available to take calls during the camp day. If your child calls/texts you with a problem (e.g., forgot lunch, doesn t feel well) during camp, please speak with a staff member before taking any action. We might be able to solve the problem and save you an unnecessary trip to camp. Other forms of communication include: ocbcyouthsailing@gmail.com OCBC website: okcboatclub.com, click on Youth Program Facebook: facebook.com/sailoklahoma (not likely to be as up-to-date as website) Please bring your day-to-day concerns about instructors, teaching methods, your child, or other sailors to the Head Sailing Instructor. The best time to have a conversation with Charlie is at the end of the camp day. The sooner you bring a concern to his attention, the sooner he can address it. If you have a significant concern or an unresolved issue, please put it in writing (text or work well) and submit it to the Youth Committee Chair. The Chair will address the problem or refer it to the Board for further consideration. PRIVACY Registration Packets, which include personal contact and health care information, are kept in a locked file cabinet. We maintain a Master List of all sailors who attend Sailing Camp over the summer on the Youth Sailing Program google drive. Access to the Master List is limited. We do not share any personal information without parent consent. Please let us know if you have any concerns or suggestions related to privacy. 13

14 MEDICAL CONDITIONS OR SPECIAL NEEDS It is in your child s best interest to let us know if he/she has any significant medical condition. Please be sure to notify us of any conditions in writing. The information will be attached to your child s registration packet in case your child needs emergency medical care. Please let us know if your child has any significant non-medical special needs or challenges. For example, faints at the sight of blood, anxiety attacks, or any other reactions to stimuli most children handle easily. MEDICATIONS The only over-the-counter medications we have on site are acetaminophen and ibuprofen. We will contact you prior to administering either one to your child. All prescription medications must be in the original labeled container. We secure prescriptions in a locked file cabinet. Medications must be administered by a Sailing Camp Manager (usually Michelle or Celine) or the Head Sailing Instructor (Charlie). Sailors are only allowed to self-administer a medication (e.g., asthma inhaler) under the direct supervision of a Camp Manager or the Head Sailing Instructor (Charlie). If your child has an Epipen, you will need to provide us with specific instructions regarding the indications for use and method of administration. MINOR INJURY OR EARLY SIGNS OF ILLNESS All Sailing Instructors hold current CPR and First Aid certifications. Instructors and Managers may administer care for minor cuts and bruises. Basic first aid kits are located on both safety boats and on the south porch. Historically, the most common injuries we deal with at Sailing Camp are blisters and splinters. Sailing Instructors routinely monitor for signs of dehydration and heat exhaustion. In the event a sailor becomes overheated, he/she must rest, rehydrate, and cool off in one OCBC s air conditioned bathrooms. Once feeling better, the youth will not be allowed to return to sailing that day. In the event a sailor experiences a blow to the head (usually a boom is involved), we will assess her/him for signs of a concussion and apply an ice pack for the swelling. We will notify parents of any illness or injury requiring more than a bandaid. If a youth cannot return to sailing, we will call a parent immediately. Otherwise, we will notify the parent at the end of the day. SERIOUS INJURY OR ILLNESS In the event of a serious injury or illness, we will call 911 first, then the emergency contacts. If EMS determines the youth needs to be transported to the local Emergency Department, one of us will: o accompany the youth in the ambulance o bring the youth s insurance policy information and Medical Authorization for treatment o remain with the youth until a parent arrives. If there is any question whether a child needs urgent care (e.g., stitches, tetanus shot, x-ray), we will call a parent immediately. 14

15 YOUTH REGATTAS BEYOND SAILING CAMP Regattas are open to youth sailors from a number of different sailing organizations. We encourage sailors who have completed at least one session of Sailing Camp to participate. Sailors active in Sailing Camp may race Lighthouse boats. Regatta details will be posted on the Youth Program section of OCBC s website at okcboatclub.com. Youth Sailing hosts two regattas at OCBC every summer: Dockrats Regatta, sanctioned by the Central States Sailing Association (CSSA) John Pearl Youth Regatta, an OCBC-sponsored event. The Ninnescah Sailing Association hosts the CSSA Junior Championship Regatta. The Texas Sailing Association (TSA) has an active youth racing program. Please contact the Head Sailing Instructor for additional information. OTHER YOUTH SAILING OPPORTUNITIES The Oklahoma City Boat Club has a busy racing schedule, providing plenty of opportunities for youth sailors to go sailing. The Lead Sailing Instructors will help youth sailors find appropriate opportunities to sail at OCBC. Centerboard racing is every Tuesday evening. Once the Head Sailing Instructor determines a youth sailor is ready, he/she is encouraged to race with the adults on Tuesdays. If we have enough youth sailors racing on a regular basis, we will have a Youth Summer Series, based on the official Centerboard race results. Keel boats race on Wednesday evenings. Youth sailors are encouraged to ask the Lead Sailing Instructors about how to find a ride on a keel boat. OTHER LIGHTHOUSE YOUTH SAILING PROGRAMS AND ACTIVITIES Sailing Camp is Youth Sailing s biggest program, but we also offer the following sailing programs when resources (e.g., water level, weather, instructor) allow: Race Clinics usually one-day events, scheduled in association with regattas Fall Sailing recently revived at OCBC on Thursdays after school Spring Sailing canceled this spring (2017) due to low lake water level Youth Sailing summer activities including events such as: Movie Night on the Beach Youth Fund Raisers PRIVATE SAILING INSTRUCTION Private sailing lessons are only available through the Lighthouse Youth Sailing Program. All arrangements must be conducted through Lighthouse, including a formal registration process and payment made directly to Lighthouse Youth Sailing Program. Sailing Instructors must be at least 18 years old, hold a current US Sailing Level I certification or higher, and have current approval from the Lighthouse Youth Committee to give private sailing lessons.
