1 ASUH-HCC Emergency Meeting Minutes Thursday October 30, :06pm 9:05pm Online Laulima Site Call to Order/Roll Call: Meeting Called to Order by ASUH-HonCC President Joseph Lewis at 7:06pm. Present Members: Joseph Lewis (President), Mary-Jayne Militante (Vice-President), Jasmin Montgomery (Business Manager), Nicholas Chang (Senator-At-Large) and David Sakaria (Senator-At-Large) Absent Members: Shun Wen, Deenie Tanele Present Advisors: None Present Student Life and Development: Emily Kukulies Club Representatives: Jessica Gladman (AEC), Kimberly Aylett (CA),Florencio Ceria (Phi Theta Kappa) Guest(s): Vishal Hemalani, Jolene Suda Other Notes: - Senator-At-Large Shun Wen proxies his vote to Nicholas Chang. - Vice-President Mary-Jayne Militante proxies her vote to Nicholas Chang. - Vice-President Mary-Jayne Militante came late at 8:13pm. Quorum has been established. New Business Future of Activities Committee: - The current Activities Committee will be turned into the Planning Committee. The Planning Committee will responsible for proposing activity ideas to Senate and Senate will initiate the actual event. This committee will consist of the same members. - Jasmin Montgomery will step down from the committee. - The logistics behind the committee still needs to be worked out. This topic will be tabled until the general Senate meeting held on November 18, Christmas Trolley: - There were students interested in renting a trolley and riding around the city during the holiday session. The cost of the trolley will be $ Each fee-
2 paying student will be allowed to bring two guests and an RSVP will need to be made in advance. - (Please See Attached) - If space permits, students who are waiting at the pick up site will be allowed to board until capacity is filled. - Jasmin Montgomery motioned to allocate $ from budget line item 5.0 (Activities Committee) to be used to rent thee trolleys holding a maximum of 105 students. - David Sakaria seconded the motion. - Motion passed by unanimous vote. Decorations for Trolley: - A suggestion to decorate the trolley was raised by Joseph Lewis. - However, upon closer evaluation, the trolley company states on their form that the trolley will come pre-decorated. - Therefore, Senate decided not to decorate the trolley. Decorate Cafeteria: - Senate would like to decorate the cafeteria to liven up the school. Emily Kukulies did the research behind the event. (Please See Attached) - The researched amount figured to $ After much discussion, the following amounts were brought to the table for a vote: $1,000, $1,500 and $2, The result of the vote was 1 vote for $2,000; 1 vote for $1,200; 6 votes for $1,000 - The amount of $1, from budget line item 5.0 (Activities Committee) to be used for festive holiday decorations for the cafeteria was passed by majority vote. Christmas Tree Decorating Contest: - Senate would like to help families in need and get the campus involved. Therefore, Senate proposes that we have a campus-wide tree-decorating contest. After judging, the trees will be donated to needy students that attend Honolulu Community College. - Senate will supply ten trees for the school. The trees will be distributed on a first come, first serve basis. A maximum of ten trees will be purchased. - All school organizations, offices and groups are qualified to enter. The group or organization must supply their own ornaments. - Nicholas Chang motioned to allocate $1,000 from budget line item 5.0 (Activities Committee) to be used towards the purchasing of the Christmas trees with the condition that ten trees be purchased for this event. - Jessica Gladman seconded the motion. - Motion was passed by unanimous vote. - The group with the winning tree will receive a gift basket valued at $ Nicholas Chang motioned to allocate $50.00 from budget line item 5.0 (Activities Committee) to fund a prize for the winning tree. - Jessica Gladman seconded the motion.
3 - Motion was passed by unanimous vote. Giving Tree: - There are numerous families at Honolulu Community College that are struggling to survive. Senate would like to help those in need by having the school participate in a school wide donation drive. - (Please See Attached) - This project will monetarily cost Senate nothing. However, a great deal of coordination will have to be done. - Senate has decided that with the current projects that are being undertaken, taking on the Giving Tree project would be too demanding. Therefore, Senate will not implement this project. - Senate will ask Student Life and Development if they are interested in undertaking this project and we will help in anyway possible. Christmas Dinner: - Joseph Lewis has been trying unsuccessfully to find a place that will accommodate our Senate dinner for $17.00 a person. - However, Joseph Lewis was able to find a nice location that accepts purchase orders and will charge us $17.99 a person. - Joseph Lewis suggests that we allocate $50.00 more to the Christmas Dinner total. This will bring the entire total to $ David motioned to allot $50.00 more dollars From line item bringing the total for the Christmas Dinner to $ Nicholas Chang seconded the motion. - Motion passed by unanimous vote. - Jessica Gladman brought up the point that not all members of Senate might be religious and we should respect that. She suggests that we title the event as Holiday Dinner instead of Christmas Dinner. - Senate agreed to change the name. Kalihi Christmas Parade: - The Kalihi Christmas Parade is an event that Honolulu Community Colleges helps sponsor annually. Students and Faculty participate in handing out candy to the children as they walk in the parade. - Student Life and Development Coordinator, Emily Kukulies, proposes for Senate to help fund the T-shirts for the event. - The T-shirts will cost roughly $8.00 each and a total of fifty was suggested. This total comes out to $ but Joseph Lewis suggests a $50.00 cushion for expenses that were not taken into consideration as of yet. - David Sakaria motioned to allocate $ to fund fifty t-shirts for the Kalihi Christmas Parade with the stipulation that the ASUH name be visible on the shirt. - The motion was seconded by Jessica Gladman. - Motion was passed by unanimous vote. Building 7 Elevator Renovations:
4 - Joseph Lewis has been actively sitting on the Recruitment and Retention Committee. - The Committee would like to give the Elevators in Building 7 an exterior renovation by redoing the walls and flooring in each of the three elevators. - Joseph Lewis is asking that $2,000 ($1,500 to redo the walls and $500 to redo the flooring) be taken from Budget Roll Over Funds line item Nicholas Chang motioned to allocate $2,000 from budget line item 1.4 to be used towards renovation the elevators in building 7. - Kimberly Aylett seconded the motion. - Motion was passed by majority vote. To fill a place this size with regular scale decorations would take many more pieces to make a strong effect. These ornaments are about 37 in. The scale is visible in the photo in the left. The shiny ornaments mixed with large ball ornaments would hang from above. It would be like walking under a Christmas tree. They are balloons so the weight is not an issue and cost is low. The stage would be set in a Christmas scene with giant stockings hanging down & presents. *Trees from the decorating contest could also adorn the area if that project is chosen. Snowman & Santa inflatables could greet students as they come in the doors. Swags of ribbons or garland around the room to bring color wear needed. Elsewhere Outside (Location TBD): Wind, rain and vandalism are the main challenges. Posting or hanging may be difficult depending on the approach. Doing trees with all the limbs is very time consuming. Christmas lights (white LED) with Bows to be tasteful & festive placed on greenery & buildings as power is accessible. LED lights save power (avg $10 per 300 hrs) & last longer but are more expensive to invest in. Displays are additional: i.e Snowman waving ( LED-JOLLY-SNOWMAN_2). If you want these I would suggest roof mounting so they can t be stolen as easily. That will incur additional cost. This is a more long term investment. HCC has participated in this parade regularly and we want to make an strong showing again this year. This a great chance to be a part of the community and live our Core Values! When: Friday Nov 28 (the day after Thanksgiving), the parade starts at 6:30 PM but our HCC group will gather at 5:30 pm to coordinate roles and line up. The parade ends by 7:45 pm (depends on how fast folks walk) Where: The parade starts at Kalihi Union Church, 2214 North King St.. The route then goes right on Mokauea to left on Dillingham to right on Waiakamilo then right again on N. School Street. Ending at Kamehameha Shopping Center. Maps available. What: The parade committee relies on us to help guide the parade and ensure that the parade watchers maintain a safe distance safe along the route. We will also have a Ms HCC and the Kalihi Wallaby Kip again this year.
8 How: Just to make sure that we are all in sync, Student Life & Development will be coordinating all the volunteers & entries from HCC. Student, faculty, staff as well as guest individuals and families are welcome! Please identify yourself to Student Life & Development so we can have a shirt for everybody! Call us at to RSVP. Notes: This is an evening parade so keep in mind that you will be walking in the street that will be lit by street lights. Plan to stay in group when going to and from your cars or homes. The parade route will be blocked off completely to keep you safe but it also mean that you must arrive early to get to the Church/parade starting point on time. If you and your family & friends are not able to be walk in the parade then please have them come out to cheer for us. The route is about 2.5 miles long. If you have a physical limitation, consider having your group request to put a vehicle in the parade OR participating for a segment of the parade.
