Hallett, Brady District Cruise, Tulsa Raceway and a car show!! NEW MEMBERS 2 MEETING MINUTES CLUB BADGE APPLICATION FORM CLUB SPONSORS The car show was a great success today... because of YOU! I can't mention all names because I will most likely miss someone... yet I must highlight a few... you guys that helped set up the lot layout Saturday evening, Steve Armstrong and Billy Henson for the judging, Mary Calvert and crew for the smooth Sunday registration process, Art & Paula Frerichs for the impeccable tabulating, the ten judging teams covering 180 cars and trucks, Jan Massey for running completed sheets to tabulation, all of those who helped hydrate our teams, you guys that worked both parking shifts, OMC and COM club members who made the trip out to help, head judges bearing the heat and taking time to mentor the newbie judges and scribes, all of you relatively new members for stepping up to the challenge under the hot weather, and those who made sure I was fed and hydrated. New Members Tom & Jeannie Allen, 2012 & Welcome Troy Rushing who can now attend meetings. Billy Jenkins. Board Members Had all stand up to be recognized. Financials Mary Calvert - Mary reported on the Business and Show Accounts. Secretary Rachael Have window stickers available for $2.00. Previous Minutes Not available. Not approved yet. Bylaws - John Article XIII proceeds minimum of 50% to charity (guideline). Motion. Approve. Ways to Grow Club John Need liaison for LLH. Sponsors. Online store. Bumper stickers. Advertising. Banner. Discussion. Research pricing for National Show. 7ft standup flag for $250. Car Wash. Roundup Roger Downtown Broken Arrow on Main Street on Sept 24. DJ needed. No word from Travis. Dale Turner booked. Financial Report Mary Mary presented the Business and Show account activities and balances. We received $500 check from Mid America Shelby to be deposited in General Account. Also received $1000 check to be given to the Little Light House. Secretary Report - Rachael Update Roster: remove Lemley, remove P-51 car from Bergerons, Ron to submit new address, Mark to add spouse & dates and update address. Roundup - Roger Spoke with Vonda, still on schedule. Ron to update address of 200 S Main for MCA Insurance. Debra provided the Red, White & Brew logo for us to use. Discussion to add to sleeve of show shirt. John to send Roger with our logo for their flyer. Can post/like BABuzz on FB. Unable to commit to indoor space for registration and tabulation. Need to wait till closer to date. Food trucks and local restaurants will be available. Suggestion of Middle School or Church for Tabulation. Farmers Market will still be under construction. RibCrib was leveled and new building should be completed by time of show. DJ gave info to Melvin. To charge $250 for show & $250 for 2017 picnic. 6 Waiting for site plan. Estimated for 110 cars for pre-site plan. T-shirts Will Suggestion for club to purchase t-shirts for the designer and his family. Board approved. John has only received 32 responses on surveys. May get with Tiffany to decipher charts. Trophies - Will Stopped in at SW Trophy. Estimated 1 week for orders. Discussion of acrylic, possibly engrave our logo. Passed example of 5x7 stainless steel that could be applied to wood or marble. Priced at $22-30 ea. Mark provided pricing directly from Daytona s webpage. Unlimited color, minimum of 100 for $7.90ea. Allow 4-6 weeks. Suggestion of black marble or cherry over wood. Decided on Top 3 vs 1st, 2nd, 3rd. Steve A to provide exact number of trophies. Estimate of 65. Roger to confirm that Mayor to be available to pick for City of BA. Decided on City of BA Mayor & Best of Show special trophies. Will to also order Dash Plaques. To order cheaper of magnetic vs sticky. Shelby Meet John Had 226 cars registered. Judged 180 cars. No feedback on missing cars. Received checks in mail for $1500 for judging & registration. We showed great. Had 10 teams of 3 people. Need more help on parking. May help to funnel in at one location rather than two. Discussion of staff t-shirts to be provided next year or may invest in yellow vests or possibly pre-order staff t-shirts. Some cars were classed incorrectly. Parking spaces are too tight. Had a couple of pre-registrations that were not prepaid. Had to turn away 2-3 cars after registration closed. Children of volunteers need to be supervised, a member's chair was broken. Melvin has one ice chest, possibly Hillards. Kids were driving golf carts around. Golf carts need logos or some sort of official ID. We were not listed as a sponsor in some of the literature. Was mentioned at Banquet & Awards Ceremony. Melvin won tires at Banquet. Steve A to provide Tip Page on Modification Rules. Calendars - John Attempting to contact Jeremy for production. Pictures at Haikey Creek on July 9 & July 16 for 7 members. Still need at least 12mp on picture quality. Door Prizes - All Roger to donate t-shirts that are still in plastic. Also Roger to donate different makes of Hot Wheels. Club Direction - John Possibly have National Show in
7 Attracting younger crowd with the newer models. Confirmed with Mary that our moneys in the checking accounts are not receiving interest. Possibly have cash prize for furthest distance & most club participation at our show. Possibly to match funds with OKC for National Show. Possibly create another bank account for National Show. Need research team, Melvin, Mark & Ken volunteered to see what is involved to hold a National Show. Broken Arrow was voted in Top 10 Main Streets. Suggestion of training facility in Norman for National Show. Prefer Tulsa. Suggestion of breakfast cruise, & workshop on different repairs on member s cars. Meeting Adjourned at 8:10pm 13 in attendance. The check was presented to the good folks of LLH by President John Hemby and Board Member Brad Long. Brad's niece Kadence, a Little Light House student, accepts the check on their behalf with a huge smile. 7
