2 2017 State Basketball Tournament Medical Emergencies Please call 911 Crisis Management Procedure - Injury/Illness During competition - First aid supplies will be available at each venue. Athletes, coaches, officials or volunteers should familiarize themselves with the Venue Director (neon green shirts) and should seek his/her help for athletes needing medical attention. Emergency care may be provided at the venue, or referral to another facility may be suggested. Ambulances will be stationed at the Opening Ceremony, Carnival/Dance and Healthy Athletes. Venue Directors must call Jamie Wood as soon as possible following an accident/injury. Phone: Immediate Care of Athlete- DO NOT PANIC! KEEP THE AREA AROUND THE ATHLETE FREE OF CROWDS! The athlete should be kept quiet and calm until help arrives. Talk calmly and slowly to the athlete to keep him/her calm and relaxed. Stay with the athlete, encouraging him/her to take slow breaths and lie quietly. Do not give any liquids or food unless directed by the First Aid personnel. Do not move the athlete unless directed to do so by medical personnel. After Hours - St. Peter s Hospital 2475 Broadway St. Helena (406) In addition, PLEASE call Jamie Wood at Emergencies - If an ambulance and/or first aid station is available at your venue, notify them first! If there is no ambulance, ask questions to determine your needs and facilitate appropriate response services. As soon as the situation has been attended to, please call Jamie Wood at Medical Care During competition: If an injury occurs, immediately inform the Venue Director (wearing a neon green t-shirt). If the injury requires immediate or serious medical attention inform the Venue Director and call 911. Coaches, make sure that you have immediate access to your athletes medical forms at all times (SOI requirement). 4 Team Check-In Team check-in is 4:30 6:00 pm on Thursday, November 9 th at the Lewis & Clark Fairgrounds. Follow the entrance signs. Coach and athlete packages, along with raffle tickets will be distributed at this time. A representative from each team/delegation MUST check-in. Delegation fees will be collected at this time (or billed to program) at $20 per registered person. Parade of Athletes/Opening Ceremony Parade of Athletes Delegations will line up in the staging area. Look for your team s delegation sign. Everyone will be escorted in a parade by volunteers and VIP s, then ushered to their seats in the arena. Delegations should arrive no later than 6:30 to line up for the Parade of Athletes Opening Ceremony An interpreter will be at the Opening Ceremony and there will be seating in the front for those needing service. Athletes should wear their warm-up uniforms, if possible. Competitors not in uniform should wear appropriate clothing, giving a uniform look to each team. Athletes who use wheelchairs will accompany their teams into the arena, and then remain on the arena floor in their designated area. Loud sounds and bright lights may accompany the Opening Ceremony. Please be prepared to help athletes who may be sensitive to such situations. Mandatory Coaches Meeting A mandatory coaches meeting will take place in the bleachers following Opening Ceremony. - Divisions/Competition format: pool play on Friday bracket play on Saturday - Re-divisioning Saturday schedule will be distributed in the evening, via Facebook, the SOMT website and s to LPCs. Printed brackets will be posted at every venue. - Venue Directors will be in neon green t-shirts - Game length 5 on 5 o Friday- (2) 12 min halves, 5 min half time, (4) 30 second timeouts per half o Saturday- (2) 15 min halves, 5 min half time, (4) 30 second timeouts per half - Game length 3 on 3 o Friday- (2) 6 min halves, 5 min half time, (2) 60 second timeouts per half o Saturday- (2) 10 min halves, 5 min half time, (2) 60 second timeouts per half - Have your team ready to play prior to the completion of the game scheduled before yours. Have rosters submitted before prior game ends. - Protest form - Family Dinner For family ONLY, not athletes. Team Dinners All teams must attend their assigned Team dinner and MUST HAVE CREDENTIALS! - Lunch tickets 1 per day, per person on registration. Treat tickets, 1 per person for Carnival/Dance - Show up minimum 15 minutes before game time to be prepared
5 Bus Parking/Drop Off/Team Entrance Capital High School Bus parking in front on Valley Drive Clancy School Turn right off exit 182 and proceed to stop sign, go straight. School will be on the right CR Anderson Middle School Gym entrance is on Knight Street- bus drop off, buses need to turn left onto Cleveland and follow Special Olympics signs Four Georgians Elementary School Follow Special Olympics Montana signage. Be courteous of No Parking signs. Helena High School - Drop off on Roberts Street. Buses park on other side of practice football field along Harris Street. Helena Middle School Follow signs for drop off and parking once at the school. Montana City School Do not park in lower sections (staff parking). Use upper spots. Enter through the main entry then proceed to the gym. Smith Elementary Please follow Special Olympics Montana signage. Be courteous of No Parking signs. Friday Night Dine Out Dine out will take place at various venues around Helena. Every team must attend their assigned dine out. They will be included in the delegation/team packet at registration. Credentials should be worn at all times during the tournament, except when the athletes and unified partners are competing.
7 Thank You Cards Blank thank you cards will be available in your registration package and at the coaches meeting on November 9 th. Athletes and coaching staff can write a quick thank you and please distribute them as you see fit. You can leave them at restaurants, with your Friday night host, school custodians, your venues, and referees, etc. The community of Helena has been an incredible host and we want them to know how much we appreciate everything they have done. Lunches Lunches will be available for pickup on Friday and Saturday at Lewis & Clark Fairgrounds Entry Hall from 11:00am-1:00pm. Coaches are responsible for picking the lunches up for their teams and delivering them to their athletes. Team who are scheduled at Montana City and Clancy will have their lunches delivered between 11:00am noon. Please give your tickets to the volunteer delivering lunches. When picking up lunches, tickets will be required. Volunteers have been instructed to give only the number of lunches equal to the number of tickets. Tickets will be located in the registration packets. Merchandise Sales Get your Special Olympics Montana merchandise: Universal Athletic will be on site. Friday, November 10 th 7:00pm 9:00pm Carnival/Dance at Lewis & Clark Fairgrounds Healthy Athletes and Carnival/Dance Healthy Athletes and the Carnival/Dance will be held simultaneously at the Lewis & Clark Fairgrounds. Athletes can enjoy both events during the same evening, Friday, November 10 th : 6:30pm 9:00pm 7:00pm 9:00pm Healthy Athletes Carnival/Dance The following disciplines will be available for athlete exams:

9 Coaches Responsibilities Coaches are responsible for the well-being of their athletes 24 hours a day. Coaches must ensure that the physical & emotional needs of their athletes are met during the tournament. Athletes should: Properly warm up prior to competition. Be treated for any medical conditions or injuries at the nearest first aid station as soon as possible. Have adequate rest. Eat properly (avoid missing meals and overeating). Be supervised closely due to the excitement of the tournament and be aware of the new behaviors this excitement may cause. Coaches should: Supervise athletes intake of pop and snacks. NOTE: It is the coaches responsibility to provide for special dietary needs. Be aware of athletes personal possessions. Check for any lost items at the volunteer check-in. Become familiar with the medical condition and medication requirements of each athlete. It is the coach s responsibility to administer his or her athlete s medication. A complete understanding of the medication regimen is essential, including the type of medication, the proper dosage and times for administering the medication. Ensure athlete s wear their nametag at all times (except while competing). This is essential for the athletes safety! Be familiar with the schedule of events. It is the coach s responsibility to ensure that athletes are on time for all sports competition and also have every opportunity to participate in special events. Awards Using the same structure as last year, awards will be taking place at each gymnasium upon completion of each bracket for team play, then after final competition for individual skills.
