2 Information Package Welcome to the 2015 ASAA 2A Boys Provincial Volleyball Championships. Strathcona-Tweedsmuir School is proud to host this event in our Sandy Heard Sports Hall near Okotoks, AB. We hope you enjoy your weekend of great volleyball, team play and sportsmanship on and off the court. Host School Information STS traces its roots back more than 100 years to its founding schools. Over time, we have developed a set of rich traditions and shared values that strengthen our sense of community and provide an enriched learning environment for all our students in Grades 1 through 12. Our school motto, Nil Nisi Optimum, compels each of us to do nothing but our best in all of our endeavours. All games including playoffs are a best of three. The top team in each pool will receive a bye to the semi-finals while second and third place teams in each pool will cross over and play a quarterfinal playoff. Registration Details Registration Deadline is Monday, November 25 at 12:00 Noon. 4 Team Picture, JPEG format only (minimum 7 megapixel, with no digital zoom, in.jpg format) School logo, JPEG format only Team History/ Season Summary (team record and overview paragraph) Fees: Registration and Banquet All fees must be submitted by the Coaches Meeting on Wednesday, November 25 at 8:00pm. Please make all cheques payable to Strathcona-Tweedsmuir School. The Banquet is mandatory and teams are responsible for indicating the number of individuals at time of Registration. The banquet will be held THURSDAY EVENING at 7:00 PM (doors open at 6:45.) in the small gymnasium at STS. Banquet tickets are ordered on the team order form during on-line registration. The banquet will be semi-formal. The cost is $28 per person. There will be an area at the banquet for team pictures. Registration Fee Banquet Fee $500 (set by ASAA) $28/ attendee (player/ coach) Practice Time Registration Practice Times will be available between 12:30 pm and 8:00 pm on Wednesday, November 25 in the Sandy Heard Sports Hall. Teams are reminded that they will be responsible to bring their own practice balls to use during their practice time. Times will be given in the order in which they are received. Please requests to zelezk@sts.ab.ca by noon on Monday Nov. 23 rd. The practice schedule will be posted Tuesday Nov. 24 th on the host website. Photo Time Registration Pictures will be taken in the small gymnasium at STS a half hour prior to your scheduled practice time on Wednesday November 25. This is a mandatory part of the championship. Please be on time in full uniform and/or warmups. Schedule and details will be on the host website. Hosts Each team will be assigned two hosts to help make your tournament an enjoyable one. If you have any questions or problems, they will be more than willing to assist you or find a person who can. They will be responsible for opening and locking team rooms, filling water bottles, etc.

6 Game Rules and Information Officials Major Officials will be provided by the ASAA and arranged through the Alberta Volleyball Officials Association. All Spectators, Coaches and Players are expected to treat the Officials professionally and respectfully. Minor Officials Minor officials for line judges and scorekeepers will be students and athletes from STS who are trained and assigned. Please treat them professionally and respectfully. Official Game Ball The official game ball will be the Tachikara SV-5W Gold Volleyball. Practice Balls Each team must provide their own clearly marked volleyballs to use during warm up and your scheduled practice time. Grievance Committee The Grievance Committee will convene to deal with matters that occur during competition, including discipline/conduct issues or appeals that may arise from ejections. They will handle any other matters that arise that require dispute resolution. Members of the Grievance Committee will include the Tournament Chairperson, as Chair, and include other members of the organizing committee. In the event anyone on the Grievance Committee is in conflict of interest, an alternative will be chosen from the greater STS Athletic coaching faculty, based on availability. Tie Breaking Procedure Please refer to the Tie Breaking Procedures on Page 128 of the 2015/16 Policy Handbook. The ASAA refers to the Volleyball Canada tie break procedure as outlined in the Policy Handbook. Award Presentations Award Presentations will be held following each Gold Medal, Bronze Medal and Consolation. At the completion of the Gold Medal Match, the Champions will receive gold medals, keeper plaque, annual plaque, championship t-shirts, and the Championship banner. Both teams competing in the Gold Medal Match will receive a match ball. The second and third place medalists will receive silver and bronze medals respectively, keeper plaque and annual plaque. Fourth place teams will receive a keeper plaque and annual plaque. Results Results will be available online at or at the Results Centre located just inside the entrance to the Sports Hall. Sportsmanship One of the objectives of the ASAA is To maintain good sportsmanship, integrity and good will within and between high schools participating in interschool athletics. (2015/16 ASAA Policy Handbook, pg. 26) There will be a Sportsmanship Committee to look for acts of Sportsmanship and will collaborate with committee members and officials to determine the recipients of the Team Sportsmanship Banners. The Sportsmanship committee will also announce individual Sportsmanship Pin Awards throughout the weekend. Coaches will receive nomination forms for Sportsmanship Pins in their Team Registration Package. If you would like to nominate someone for a Sportsmanship Pin, please speak with your teams coach. The following policy can be found on page 27 of the 2015/16 ASAA Policy Handbook; Fair Play and Sportsmanship

7 All competitions must be conducted with a high standard of courtesy, fair play and sportsmanship. All those involved share this responsibility. A. Coaches The coaches must demonstrate qualities of courtesy and good sportsmanship. These are evidenced by proper acceptance of officials judgment, positive encouragement of player performance and bench behavior. B. Athletes Athletes must demonstrate qualities of courtesy and good sportsmanship by proper acceptance of officials judgment and by showing proper respect for opposing athletes as well as for teammates. C. Cheerleaders Cheerleaders must demonstrate courtesy and good sportsmanship by the appropriateness and timeliness of the cheers they lead, respect for the other cheerleaders and athletes, and their attempts at effective crowd control. D. Spectators a. Spectators, both student and adult, must demonstrate courtesy and good sportsmanship by positive cheers of encouragement for their team, not against the opposing team. This is evidenced by the absence of booing and vulgarities. Spectators must also show proper acceptance of officials judgment. Artificial noisemakers are not permitted during provincial championship tournaments/events. These noisemakers may include but are not limited to: air horns, cow bells, plastic tube horns, garbage can lids, etc. The provincial championship host shall have the authority to eject from the competition facility individuals who, following a warning, refuse to comply with this requirement. b. Eviction for Inappropriate Language and/or Behavior The Executive Committee or its host/designated representative shall have authority to direct any person to immediately leave any premises or venue hosting any ASAA sanctioned event if that person: 1. Exhibits rude or abusive behavior to any other person 2. Uses vulgar, obscene or abusive language and/or gestures 3. Fails to promptly follow any reasonable direction given to that person by the designated representative of the ASAA The Executive Committee or its designated representative shall have the authority to notify local law enforcement personnel of the failure of any person to immediately comply with a direction to leave any premises or venue hosting any ASAA sanctioned event. E. Administrators and Teachers Administrators and teachers must demonstrate courtesy and good sportsmanship by their positive examples. Opening Ceremonies Teams are asked to arrive at STS between 8:30 am and 8:45am. Teams will be greeted by volunteers before being escorted into the Sandy Heard Sports Hall for the Opening Ceremonies. Opening Ceremonies are scheduled to start at 9:00 am and should conclude by 10:00 am. Coaches will receive important information regarding protocols for Opening Ceremonies at the Coaches meeting on Wednesday evening. Photographs and Action Shots All teams are required to have their Team Photo taken by the tournament s official photographer on Wednesday, November 25 during their assigned time. The tournament s official photographer will also be taking action shots throughout the weekend and these picture will be available for download on the tournaments website on the Photography Page.

8 Coaches Meeting/Captains Meeting The Coaches Meeting will be held at the Peter B. Ditchburn Library, Breakout Room, located at STS at 8:00 pm on Wednesday, November 25. This is a mandatory meeting. The Captains Meeting will also be held in the library at 8:00 pm on Wednesday, November 25. As per Policy found in the 2015/16 ASAA Policy Handbook on page 66 quoted below this is a mandatory meeting and we ask that each team send no more than two representatives. g) Team Sport: coaches/schools failing to attend mandatory coaches meeting Any team (football, volleyball, basketball, cheerleading, curling, rugby, team handball) that attends provincials as the zone/regional representative and fails to attend or send a team representative to the mandatory coaches meeting will be fined a fee of $250 for failing to send a representative to the coaches meeting. This fee will be collected by the ASAA office and split between the host of the championship and the ASAA; the latter of which will be earmarked for the ASAA subsidy account to help offset costs to ASAA provincial hosts. The Executive will have the sole discretion to waive the penalty based on the rationale provided by the school for failure to attend the coaches meeting. Coaches Room Hospitality rooms will be provided for Coaches in Room 11. A variety of snacks, hot food & beverages will be provided throughout the weekend. Players Area Teams will be provided team rooms for their scheduled matches. Please do NOT leave any valuables in the change rooms after your scheduled match. Common change rooms will also be available. Please do NOT leave any valuable in the change rooms. As regular classes will be going on, teams are asked to not congregate in the main hallways of the building. Teams will have access to the common locker rooms (with showers) throughout the entire weekend, but are reminded not to leave valuables without being locked in the lockers. The venue will not be responsible for any lost or stolen items. While not in the gymnasium or designated change facilities, we ask that players remain in the cafeteria areas. First Aid and Athletic Therapy There will be individuals with Standard First Aid, CPR-C with AED on site for the duration of the tournament. First Aid can be found at the Sport Med Room located on the East end of the Sports Hall. Ice will be available here. While taping services will not be provided, should you need, ask Ms. Hebert or Mr. Zelez for assistance. Athletes/ teams should supply their own tape and other supplies. If supplies are needed to perform the taping services please ask. Tournament Souvenir Apparel As an Official Supplier of the ASAA, Gimmics will be onsite throughout the weekend, Thursday through Saturday, to sell tournament souvenir apparel. They will be located in the Rotunda in the upper hall near the main entrance of the school.

9 School Musical STS is proud to announce performances of the musical Big Fish. This is an excellent production for athletes, coaches, parents and visiting families. While some of the performance times conflict with tournament schedules, there exist opportunities for attendance. General tickets can be purchased at: These tickets are non-refundable. Group tickets can be purchased by contacting Group tickets will be refunded if needed due to potential time-breaking procedures. The admission for the tournament will by donation to support Round Square service projects. These projects support organizations such as the Calgary Interfaith Food Bank, The Prince Alexander Project Fund and????. Players and coaches are also asked to participate and contribute either individually or as a team to this valuable cause. Suggested donation is as follows: Day Pass Weekend Pass Adult $10.00 $20.00 Student/Senior $5.00 $10.00 Under 12 Free Free Spectator Conduct Please refer to the Policy quoted earlier in the Information package under Sportsmanship as it pertains to Spectators. Also, please note that the ASAA expects its high standards of behavior to be follow by all spectators and will exercise its right as the host of the championship to remove spectators from this facility if and when required. Programs Commemorative programs have been provided to all players and coaches as part of their individual packages. Programs will also be available for download on the tournament website. Concession There will be a concession in our Black Watch Bistro (school cafeteria which has hot/ cold lunches, fresh baked goods and drinks). WATER: There are reverse osmosis water fountains located outside of the Sports Hall and in the Black Watch Bistro.

10 Parking Parking will be limited at times due to several events that are going on at the same time. We ask that participants follow signage and directions from attendants while locating parking facilities. Bus parking for visiting teams is located at the North end of the playing field, please use this area after dropping athletes near the front door. 11 Directions and Maps Please note traditional GPS systems and web-based map programs (Apple Maps, Bing, Google Maps, etc.) often contain inaccurate directions to STS. Please use the directions supplied below. For further assistance, please call our Reception desk at Refer to for further instructions. From Calgary using Macleod Trail South South on Macleod Trail (becomes 2A). Go 5.2 km from 22X (Stoney Trail Overpass) then turn west (or right) onto Highway 552/226 Ave W (do NOT take 16 St W into DeWinton) stay on 226 Ave W. Strathcona Tweedsmuir will be 9.5 km from this point. Continue along 226 Ave W/32 St (heading south), past Trinity Mennonite Church on right hand side then over train tracks. Continue heading south past 265Ave, then 274 Ave, continue to 306 Ave W. You will be turning left at 306 Ave W. You will know you are getting close by the blue Calgary Polo Club sign on the right hand side of the road just before 306 Ave W. Look for Calgary Polo Club sign and Strathcona-Tweedsmuir sign at SE corner (left hand side) of 306 Ave W and 32 Street. Turn left and continue along 306 Ave W. Left at sharp turn then through our gate, follow road ending at our school parking lot. From Calgary using Deerfoot Trail South Follow Deerfoot Trail (turns into Highway 2) until you see the Dunbow Road exit. Take this exit going west past Heritage Pointe Golf Course and subdivision until you reach Highway 2A (major highway). At the set of lights, cross all lanes of the highway and continue straight for 1 km until you reach 16 Street W. (T intersection). Turn right (north) for 1.5 km to Highway 552/226 Ave W and turn west (left). Strathcona- Tweedsmuir will be approx. 9.5 km from junction of 226 Ave W. and 2A. Continue along 226 Ave W/32 St (heading south), past Trinity Mennonite Church on right hand side then over train tracks. Continue heading south past 265Ave, then 274 Ave, continue to 306 Ave W. You will be turning left at 306 Ave W. You will know you are getting close by the blue Calgary Polo Club sign on the right hand side of the road just before 306 Ave W.

12 Look for Calgary Polo Club sign and Strathcona-Tweedsmuir sign at SE corner (left hand side) of 306 Ave W and 32 Street. Turn left and continue along 306 Ave W. Left at sharp turn then through our gate, follow road ending at our school parking lot. From Okotoks From Fast Gas Gas Station located at 125 Elizabeth St (cross streets are Elizabeth Street and Northridge Dr/Highway 2A) turn west onto Highway 549. (Strathcona-Tweedsmuir School will be 9.3 km from this intersection). Continue over the train tracks. Continue on Highway 549 curving North (this will also say 32 St on road signs). Do not take Highway 549 that turns towards Millarville. You will see a blue Calgary Polo Club sign on right hand side just before 306 Ave. At 306 Ave there will be a Strathcona-Tweedsmuir School sign. Turn right and continue along 306 Ave W. Left at sharp turn through our gate, follow road ending at our school parking lot.

13 Emergency Action Plan All coaches should review the Emergency Response Protocol (ERP) and inform their athletes of expectations should it need to be put into play. If athletes are not accompanied by their coaches, their parent or guardian would assume that responsibility. EMERGENCY INFORMATION 911 address for Strathcona-Tweedsmuir School: #20, th Street West First Aid facilities and AED locations: Sports Med Room- located at the East end of the Sports Hall (No AED) Care centre (near reception within the school) Emergency Numbers: Fire Department 911 Ambulance 911 Police 9 11 Nearest Medical Clinic: Okotoks Health & Wellness Centre 11 Cimarron Common, Okotoks :00 a.m. to 10:00 p.m. daily Nearest Hospitals: South Health Campus 4448 Front Street, Calgary Oilfields Hospital 717 Government Rd, Black Diamond High River Hospital Avenue SW, High River Muster Point: The grass area north of the Sprung structure (North of school on Rugby Pitch) Chain of Command: Assistant Head of School Tournament Coordinator Athletic Director Tournament Volunteers SPECIFIC PROCEDURES Medical Procedure If medical attention is necessary, go to the TOURNAMENT ADMIN table located outside of the Sports Medicine Room in the Sandy Heard Sports Hall. If medical attention is needed and the injured person(s) is/are not able to get to the first aid station, contact a TOURNAMENT VOLUNTEER who will contact the TOURNAMENT COORDINATOR with the nature and location of the injury. The TOURNAMENT COORDINATOR will assign a FIRST AID ATTENDANT to assist with the injury. The TOURNAMENT COORDINATOR will request the adult supervisor for the student to stay with the EVENT COORDINATOR. The FIRST AID ATTENDANT will take charge of the scene and notify the TOURNAMENT COORDINATOR of additional resources needed. The TOURNAMENT COORDINATOR will contact 911 if necessary and coordinate with EMS.

14 School Evacuation Should the school need to be evacuated, the fire alarm will be activated (bells) All persons in the school must leave the building using the closest safe exit and gather at the muster point. The TOURNAMENT COORDINATOR will notify all TOURNAMENT VOLUNTEERS that a fire alarm is occurring. The TOURNAMENT COORDINATOR will stop the matches. All persons outside the school must proceed to the muster point and all COACHES should account for their team and advise the TOURNAMENT COORDINATOR if any persons are unaccounted for. The FACILITIES STAFF will notify the TOURNAMENT COORDINATOR of the reason for the alarm. If necessary, the TOURNAMENT COORDINATOR will initiate a site evacuation ensuring that all persons are accounted for. Persons must not leave the site until they have signed out with the TOURNAMENT COORDINATOR.
