MUSIC PROCEDURES All music needs to be uploaded via internet by August 1, 2017 OR if mailed, it must be postmarked by July 27, To upload via internet: Create an account at - Select a Personal Account Free for 10gb of secured storage. - Create a folder with your Club Name and Event, i.e. ABQVaulters_Nationals Share the Folder with: Lori Robison (lori@fourwindsrc.com) Please have ONE person at your club in charge of uploading all your music. Prior to uploading, RENAME your music file s attributes as described below: - Filename and Title should be the same. - Artist should be your club name. - Album should be NATIONALS ONLY MP3 File Formats are allowed! This is the naming convention needed for the filename and title for individuals: CLASSNUMBER_CLASSNAME_club abbreviation_firstname_lastname_avanumber - Use underscores when naming so there are no spaces in the file name - For team classes, use the team name in place of the vaulter name. If you do not have access to a fast internet connection you may mail (postmarked by July 27, 2017) your CDs or thumb drives to: Lori Robison, Creviston Dr NW, Gig Harbor, WA Questions about music preparation may be sent to Lori Robison at Lori@fourwindsrc.com. Files not submitted in.mp3 format or improperly named will incur a $5 processing fee per file. Bring a thumb drive backup of all of your music files. No CDs will be accepted. If music is not uploaded or received by mail by Aug 1st, bring your music on a thumb drive to be submitted at check in and incur a $250 processing fee, plus $10 per track. No music will be accepted at the music table during the competition schedule. If no music is provided, none will be played. Thumbdrives, if you wish to retrieve them, may only be picked up during the half hour after close of daily competition. Staff is not responsible for music left behind after competition. DO NOT bring or pick up drives during competition times. Page 3
4 WELFARE OF THE HORSE The AVA requires all those involved in the sport of vaulting to adhere to the AVA's Code of Conduct for the welfare of the horse and to acknowledge and accept that at all times the welfare of the Horse must be paramount and must never be subordinated to competitive or commercial influences. HORSE HEALTH REQUIREMENTS All horses entering the grounds at USEF licensed competitions must be accompanied by documentation of Equine Influenza Virus and Equine Herpes Virus (Rhinopneumonitis) vaccinations within six months prior to entering the stables. ARENA Red Arena: 125X250X18 at lowest point. Custom Loam/Sand mix. 1 Warm up ring. White arena: Possibly in Red arena DOE AWARDS Ribbons will be awarded to places 1-15 with all others receiving a participant ribbon. Overall ribbons 1-15 will be awarded in classes that include compulsories and freestyle. Award ceremonies will be held after the close of arena on the day the class is completed. All placed vaulters are expected to attend the Awards Ceremonies in team attire. The gate manager will not admit unsuitably attired participants into the arena for awards. Additional ribbons per management decision. ALL CLUB POTLUCK There will be an all-club POTLUCK on Thursday evening at 6:30. Awards following the potluck. STALL DECORATING All clubs are invited to participate in a stall decorating contest. Everyone in attendance is encouraged to cast their vote for the best decorated stall 30 mins prior to the all club potluck. There will be a prize awarded courtesy of Pegasus Vaulting Supply!! AVA BOARD OF DIRECTORS MEETING The AVA Board of Directors will meet at 6:30 pm on Friday August 25th. All AVA members are invited to attend. Location will be posted near the fest office. Page 4
5 VOLUNTEER REQUIREMENTS When you register your club for the competition, you MUST provide a name, and cell phone for a Volunteer Coordinator from your club. Until this information is provided, your club is not fully registered for competition. Jobs will be posted after the Order of Go is released. An will be sent to each club's volunteer coordinator when jobs are posted. Every competing club is required to provide an equitable number of volunteer hours to match their number of vaulters. (i.e. a club with 15% of the vaulters competing is required to fill 15% of the volunteer jobs.) Clubs are not allowed to sign up for practice time at the competition until the required number of jobs for their club are filled. We strongly recommend that each club bring enough ADULT non-vaulters to fill their requirements for job credits. All jobs must be filled by Aug 14 All workers/volunteers entering the competition arena (clerks, timers, gate managers, gate assistants, announcers, music staff, runners, day managers, arena scorers, etc.) should be neatly attired in khaki pants with a blue shirt. Closed toe shoes are required for all volunteers working in or near the arena or barn. Let's all look sharp! TRAVEL AIRPORT (SLC): HOUSING BEST WESTERN PLUS CottonTree Inn: S. 6 STABLING Barn Manager is Kim Kaylor ) Stalls are 10x10 or 10x20. All double (10x20) stalls are located in the 700 barn (max 50 available). Because of this limitation club stalls will probably be split between two different barns. One bale (2 for 10x20) of shavings is included. Extra shavings are $ The following feed stores are close to the facility: Cal Ranch (801) , IFA (801) and Aaron Evans Hay (435) Clubs are NOT required to strip stalls before leaving. There are wash racks but you need to bring your own hoses. Absolutely no smoking in the barn area or arenas. All stalls and aisles must be kept clean. All manure and used shavings removed from stalls or trailers must be placed in specified areas, not in garbage cans. See layout posted in barns area. All aisles and roadways around barns must be kept open per fire regulations. WARNING: MEDICAL WASTE (needles, syringes) MUST NOT BE DISCARDED IN STALLS, MANURE PITS, GARBAGE CANS or on the GROUNDS. Needles, syringes and other medical supplies must be placed in the appropriate sharps containers located in each barn. Fines imposed have been as high as $2, for abuse of this rule. Sharps container(s) location(s) will be posted in the barn and show office Flyers/Notices may NOT be posted with nails or staples. All posted material must be removed before check-out. Horses may not be schooled over obstacles. Stallions are not allowed at this event. DAY USE There is $100 per horse per day haul-in fee for day use. Horses may not be tied to trailers overnight and may NOT be put in stalls in facility without permission of the Stabling Manager. HORSE TRAILERS Horse trailers must park in the designated lots. No parking is allowed in the barn or stabling areas. If you are using a horse in both the fun fest and USEF/AVA Nationals, arrange your stabling through the Nationals Entry. Page 6

Vaulters must have an assisted mount. Assisted mounts receive zero for mount. Vaulters may have spotters present during compulsories and freestyle. Vaulters will receive a deduction for assistance in Novice Trot and Novice Advanced Walk but not in Novice Walk and Novice Modified Walk. That means only vaulting moves and dismounts which are allowed on the horse at that level will be allowed in the barrel. These events will be judged on Content/Performance and General Impression. 08 A/B - Walk Team. Freestyle: 90 Seconds 62B - Family Pairs Barrel. 90 second freestyle routine. One non-competitive vaulter (ie parent or sibling) and one active vaulter. ADULT CLASSES General Rules/Requirements: Assisted mounts are Mandatory at walk. For trot and canter a boost/leg up is encouraged. If there is an assist there is a 1 point deduction for the mount score. This is for Adult 1* compulsories and freestyle. Walk, trot, and canter Adult 1* Freestyle rules as per trot and copper. Adult 2*: Is at canter only. (an assist for the mount is allowed but will score a 0) Freestyle rules as per bronze and above. 10 Special Wednesday Night Event! Wednesday Night Fun Vaulting Hobby Horse Style Let s have some fun with this. Get your creative juices flowing. Come up with a 60 second vaulting routine using a hobby horse. Horses may be any age or breed. No stallions! You must have a lunger. Other vaulters are a great choice for this role. A lunge line of some sort is required. Circle size to be determined by number of participants. All gaits are required in your routine. All moves must be able to be transferred to a real horse. You must remain in contact with your horse at all times. If you do a jump, so must your horse. Spandex optional. Costumes encouraged. All ages welcome. You do not need to own your own hobby horse; you may borrow one. You may also purchase your very own hobby horse under Extra Items on Compweb. 12 Penalties and Refunds READ THIS CAREFULLY! A missing paperwork or incorrect paperwork penalty will be assessed as follows: the first 5 missing/incorrect items submitted with the release/payment will be assessed a flat fee of $10. For more than 5 items, the charge will be $10 per item. This fee will be charged for all incorrect/ incomplete/missing payment/paperwork items submitted with the entry or after the deadline of July 21, Any changes made after August 5, 2017 (horses, order within go, lunger, classes, etc.) will be assessed a penalty of $25 per change (excluding changes with medical/veterinarian excuse). Changes made on or after August 14, 2017 will be assessed a penalty of $50 per change. A blank check will be required from each club/independent vaulter at check-in. All penalties, change fees and other charges will be added to that check. If there are no additional fees the check will be returned at check-out. A $50 NSF fee will be charged for any returned checks. You are responsible for reading and being aware of all Fun Fest rules for vaulting. Page 12
