1 Annual General Meeting 13 th May 2017 hosted by SO East Herts at Amwell View School and Specialist Sports College, Stanstead Abbotts, Herts. SG12 8EH Attendees & apologies: See signing in sheet attached at the end of these minutes. The meeting was opened by Susie Williams (Main Contact) who welcomed everyone to the Annual General Meeting. Election of Officers: The following officers were proposed and unanimously agreed for the next term: SOStAlbans / Main Contact: SOEastHerts / Secretary: SOEssex SOSuffolk SONorfolk SOPeterborough Treasurer/Finance Regional Competition Coordinator Events Coordinator Family Liaison Coordinator Head of Delegation NSG17 Assistant Head of Delegation NSG17 Susie Williams Janet Warrington Maria Neary Terry McEntee Nicola Fish Kay Greenaway John Collins Stuart Haw VACANT VACANT Lauren O Leary Lucy Currie The next AGM will be organised by SO Essex in May 2018 AGM Coordinator 2018 Essex 2019 Suffolk 2020 City of Cambridge/Peterborough 2021 Norfolk 2022 St. Albans 2023 SO East Herts The minutes of the last meeting were agreed as true and correct.
2 It was agreed that all branches will pay 2.00 per affiliated athlete to SO Eastern following this AGM. John Collins will contact each branch to raise the invoices. Payments should be made by cheque and sent to Susi Williams or pay through electronic banking (BACS). Susi Williams read her report thanking each branch: SO East Herts very busy year and started a new club Fitness & Wellbeing. Amelia Lawes is taking the activity session today on the Astro Turf. SO Essex Congratulation to Ellouise Currthers who represented GB at the SOGB World Winter Games in Austria in Figure Skating and coming away with a ranking of 7 th place. SO Norfolk held their first Eastern Regional Boccia Competition in February which was a huge success and enjoyed by all who took part. SO St Albans two new associate groups Rush Judo and Gymnastics Trampolining, plus a new core fitness session called Spartacus. Special Mention to Matt Dodds who after a very rigorous application process has been selected to represent SOGB at the 2017 Special Olympics Global Youth Leadership Summit in Austria in March SO Peterborough Calum Titmus went to World Winter Games competing in figure skating he came home with a silver medal, we are a very small club but we have made links with Inspire Peterborough to help increase numbers and have put in a funding bid. SO Suffolk has been to lots of Athletics competitions and the coaching day. Treasurer report was read out by Susi in John s absence. Report is attached to the minutes. The AGM closed at 10:20hrs
3 NSG17 Sheffield Presentation Lauren O Leary (HOD) and Lucy Currie (AHOD) for NSG17, Sheffield covering: Venues Transport Accommodation Medical, Safeguarding and Welfare Opening Ceremony Families Media A copy of the presentation is attached to these minutes and will be accessible from each branch. Any athlete or coach who is wearing an SO Logo or has a lanyard will not be served alcohol for the duration of the games for safeguarding reasons. Q. How do we get out tickets? A. There will be a Family and Friends are in Tudor Square, Sheffield City Centre A. This will open Saturday 5 th August. A. If you are travelling up for the Opening Ceremony on the Tuesday 8 th August your Family Lead must collect your accreditation passes by 3pm because they will be closing early that day because of the Opening Ceremony. A. They will be open every other day until 10pm. Q. Where is the Football, what is its address? A. I will get the address for you afterwards. Q. Are there practice courts at the Tennis venue? A. There are about 6-8 courts so I think so Q. What venue have we got for Equestrian? A. It was where we went last year. Parklands Equestrian Centre Worksop Rd Aston Sheffield S26 2AD Q. Do we get wi-fi? A. Accommodation yes, but venues, probably not. Q. Is there a gym to use to warm up? A. There will be a warm up area in your venue but you will have to work on your personal warm up routine. Q. How far is it away from the dorms to the games?
4 A. Depends on what sport. Golf is about 35mins away from accommodation, football mins. Q. On the Athletics will there be additional coaching sessions? A. No just competition, warm up track but that is it. Q. Tennis is there a players lounge? A. Probably an athlete area and cafes and you will be able to have time out area. Q. Are you able to take phone and tablet? A. Yes, but at your own risk. Q. Aquatics is it Short Course (25m) or Long Course (50m)? A. JW will check, but think it is Short Course. Q. Can we take our athletes away from the group, if they are not competing? A. Yes but they need to sign an Athlete Release Form signed by the Head Coach and you have to say when you are going to be back. It is then your responsibility to get back by that time. If you are 10 mins late you will be reported to the HOD who in turn reports it to SOGB who will contact the police as you will be deemed a missing person. There is no parking at all in the City Centre if you are planning to drive to the games. Sheffield has a very good park and ride infrastructure. Golf will be okay. Meadowhall has a good park and ride. SOGB are sourcing a field where people will have to part and then make their way into the city centre through the public transport system. Q. Do we have to book accessible parking? A. No SOGB knows who needs accessible parking and will arrange it for you. A. Special buses are being put on for powered wheelchairs. Q. Will coaches/escorts be with athletes when they travel? A. Yes athletes will always be with their coaches throughout the duration of the games. Q. On arrival can we drop off athletes? A. We are waiting for confirmation on how the arrivals will work. Q. If we want to take athletes to an event do we have to pay for public transport? A. Yes Q. At one stage there was going to be free parking but it may not be the case now. We will check about transport outside of competition with SOGB. The accommodation is very nice. Susie will be providing a packing list. There is a microwave and fridge and kettle in the kitchen. They will supply one towel so would be good to pack a couple of towels especially aquatics. Q. Are there hairdryers?
5 A. No Q. How many people in a room room? A. FOB system to your room. A. You get your own room. Q. Do we need to take sleeping bags? A. No. Q. Is there laundrette A. Yes we will have prepaid cards and we have access to the laundry room. You will be housed in accommodation together by your sport for the duration of the games. Sleep in a block together, eat together, go to the competition together. Check about spending money from SOGB. Q. Medication A. Daily prescription medication must come in a prescribed box in your name and in date. Q. Paracetomol is okay to come in a normal box. Q. Refrigerated medication? A. Yes that is fine it can be put in the fridge. Q. If you can give your medication to yourself can you keep it in your room? A. No the head coach has to keep, record and monitor medication. We will work with SOGB to write a medical protocol and send to the branches. Q. What is the plan to get to Sheffield as a Region? A. You will travel to the games as part of your branch (coach/bus; cars; mini-buses) and we will meet at the game. Q. Where will the closing ceremony be? A. Each sport will have their own closing ceremony Q. Is there a family night? A.
