We know it is only a short time away until we hear the crack of a bat on the diamonds. So what s new in 2019? In summary: Our constitution and bylaws have been updated Revised the refund policy Both head coaches and assistant coaches are required to have a criminal record/vulnerable sector check completed every 2 years We have staffed an Executive Administrator on a contract salary We are purchasing new orange and black jerseys for our Mosquito, PeeWee, Bantam and Midget teams. Grey jerseys will be our third colour and purchased as needed. A new style of hat will be provided to all players and coaches Provincial attendance at the A and AA is encouraged but optional to the players on the team. AAA players are required to attend provincials. Junior and Senior Rally Cap teams will be picked ahead of indoor drop in sessions and coaches will lead drop in sessions Implementing a system of accountability for our team equipment, baseballs and jerseys Online registration will be open Feb 1- Feb 28. We will not be extending registration so I encourage you to mark our calendars and to spread the message to your family and friends. Upon the AAA team selection, the additional $ fee will be collected Payment options include: cheque, e-transfer or Visa and MasterCard that can be used online at the time of registration. To register, go to our website on Feb 1 and follow the link under the registration heading. Those players in the Mosquito A divisions will receive a $30.00 refund on their registration fees as there are no umpires assigned for these games. Upon completion of evaluations and team drafts, refunds will be issued to those players. Volunteer or pay a volunteer fee Options As we introduced last season, we are providing our families a choice if they want to volunteer or pay a fee at the time of registration. We understand some may not want to volunteer or simply don t have the time, so to treat all families equally, we provide a choice. Option 1: volunteer at one of the activities listed below Option 2: pay a volunteer fee of $60.00 at the time of online registration. The monies will be used to pay for services that need to be done. Volunteer activities: (per registered player) Three (3) hour shift at a worker bee to work on the ball diamonds and surrounding grounds Three (3) hour shift to run a station at the indoor camps in March Three (3) hour shift to set up and take down equipment used at the indoor camps or evaluations Three (3) hour shift in sorting and moving equipment and baseballs Three (3) hour shift at the Rally Cap year-end tournament Umpire mentor for a minimum of two (2) games to assist in the development of our umpires Head coach, assistant coach or team manager An officer of the SFGA executive committee We will use the SignUp program to coordinate, schedule and track for families that choose the volunteer option. More information on this will follow after registration.

Indoor drop in sessions & player evaluations In past years, we have scheduled three (3) drop in sessions for our Mosquito-Midget divisions prior to evaluations and two (2) indoor sessions for our

As an executive we feel these are important and once again have scheduled these drop in sessions. Each drop in session for our Mosquito-Midget divisions will have stations where players can work on any of their skill sets at any session; hitting, fielding and/or pitching. Our drop in schedule and evaluation schedule will be posted to our website and communicated by to all registered players. Please stay tuned. Constitution and Bylaw updates At our annual general meeting on Oct 29/18, various amendments to our constitution were approved by our membership. One particular amendment included removing both secretary and treasurer positions and adding an Executive Administrator position. Further to our annual general meeting, the Executive Committee amended a number of areas in our bylaws effective Jan 20/19. In summary, our bylaw amendments included: Revising numerous sections of Bylaw 1, Powers and Duties of the Executive Committee, including the roles and responsibilities of the Executive Administrator Various consequential amendments with the addition of an Executive Administrator and removal of treasurer and secretary Revising the power and duties of the Finance Committee under Bylaw 2, Committees. Removed the definition of immediate family and senior executive as these are stated in the constitution Revising the refund policy under Bylaw 3, Player Registration Revised bylaw 8, Criminal Record and Vulnerable Sector Checks, to include the requirement for both head and assistant coaches and to specify a due date of May 15 for submission. The Executive Administrator s main roles and responsibilities include our Associations Secretary, Registrar and Treasurer. Junior and Senior Rally Cap Programs In the past we received numerous requests from parents wondering what days of the week the Rally Cap teams play on and how many days a week the teams play/practice. We don t have an exact schedule from year to year as it depends on the number of players & teams. Our Rally Cap teams play in Dalmeny and Warman and generally practice and play twice a week. All teams and head coaches will be picked prior to the indoor drop in sessions. How many players & teams? As an association we look at the previous year numbers, the birth date of the players and make projections from year to year. Our registration closes at the end of February as this gives us just enough time to have teams, equipment, jerseys etc. in place for the beginning of May. We are projecting the following number of teams and players per team in These numbers may fluctuate and ultimately depend on registration numbers. Jerseys This season we will be replacing all of our existing orange jerseys that were purchased a number of years ago.

Several white jerseys were returned last season where the stains were not removable so we have decided to use orange, black and grey as our main colours for our Association.

However if the jersey is not returned at the end of the season, returned uncleaned or damaged, the Association will charge the family for the replacement cost of the jersey.

5 Jerseys This season we will be replacing all of our existing orange jerseys that were purchased a number of years ago. We introduced black and white jerseys for a number of our teams in 2018; however a small amount of white jerseys were used on a trial basis. Several white jerseys were returned last season where the stains were not removable so we have decided to use orange, black and grey as our main colours for our Association. The white jerseys will continue to be used until they are eventually phased out. Emphasis will continue to be placed on the families to launder and take care of the jerseys. However if the jersey is not returned at the end of the season, returned uncleaned or damaged, the Association will charge the family for the replacement cost of the jersey. Player Attendance Requirements The Executive Committee understands that family time and vacation are important; however at the same time players registering for baseball must be able to commit regularly to a team as this is unfair to the team and the coaches. AAA Players: Must be able to attend 80% of the games and practices that are scheduled by the coach or the Association. AAA players are required to attend provincials. Provincial dates vary by the division and tier as assigned by Baseball Sask; usually happening between middle of July and August long weekend. AA Players: Must be able to attend 70% of the games and practices that are scheduled by the coach or the Association. Players are encouraged to attend provincials. Provincial dates vary by the division and tier as assigned by Baseball Sask; usually happening between middle of July and August long weekend. A Players: No minimum requirement is specified however it is expected that players who register for baseball are committed to attending games and practices that are scheduled by the coach or the Association. 6 Concession & washrooms In December 2018, the Affinity Credit Union presented our Association with a $15,000 cheque towards the construction of two washrooms and small concession at Mocon Park.
