Treasurer s Report Kristen A. Food Booth brought in $6,828 total income not including the charges or buyers/judges coupons. Committee Reports Static Building Leann S. and Lindsey There were 472 entries with 98 drops totaling 374 actual entries. This is similar to last year. Static judging for families with a large number of exhibits will be scheduled earlier. A static judge suggested judging the ambassadors earlier, so they have helpers right away. Possibly have ambassadors cut in line before members so they can be ready to help. More reds were given this year. A judge that has been with us a few years felt that the projects were not progressing. A judge commented that members need to show interest during the interviews. LeAnn H. suggested that the front of the static building needs to be cleaned up. Leann is willing to work with her club to clean up the rock gardens. Council approved the purchase of some new plants to freshen it up. Carrie suggested that the projects from this year could be entered in the women s building next year. LeAnn H. suggested that someone makes a static building cleanup list including a map of where the tables should be located. Lindsey will contact Celine to transport the projects to the state fair. Find someone else? Fetch s no longer in 4-H. o If they need to use Lautt s trailer, they need to contact them to schedule it. o The council previously approved $500 to be paid to the person making the trip. Explorers Group Krysten and LeAnn H. The sale went well. The group will meet before the next council meeting and finalize a destination.

2 The next fund raiser is the crop tour in Hurdsfield on July 17 th. Ambassadors Michelle and Krysten Things went well with the exception (of tractor driving and horse show being at the same time?) LeAnn H. made a motion to purchase a 2nd t-shirt for the ambassadors, as the shirts get quite dirty during the 4 days. Kristen A. seconded and motion carried. Committee will start awarding an Outstanding Ambassador plaque for the hardest worker. The Outstanding Ambassador will be able to pick where they work next year and a partner to work with. They chose Reese Jones as the 2014 recipient. The committee would like to acknowledge the graduating seniors by giving them a prepaid Visa card or something similar. o David Lautt suggested something such as a blanket that they can keep. Shooting Sports - Dale There is an archery meet on July 5 th. They have had 1 shotgun practice. They will be meeting at Hamburg. Tractor Driving This went very well this year. All reports have been very positive. Food Booth Michelle Hours o Sunday closing: The closing club can close later than 5 if it is willing to stay. o Thursday opening: It would be great if the opening club is willing to open earlier. We could end that shift earlier also. o Next year shifts will not end at noon or 6. The committee makes purchases based on what is used previous years. The menu is set up based on these purchases. o BBQ sauce needs to stay back by the grill not on the counter by the condiments. o Don t offer to add ingredients not specified in the instructions. o Next year the food booth will drop baked potatoes and potato salad. o Malts went over very well. Building needs o Due to the bathrooms by the barns being torn down, there is more pressure on our bathrooms. We will hire someone to clean the bathrooms next year. o Dale will build a cover for the grill exhaust fan at the food booth. Cooler o Krysten suggested a commercial side-by-side to replace the cooler. o LeAnn H. suggested this needs to be purchased locally. o The food booth committee will bring cooler suggestions to the next meeting. Charge accounts o There are a few slips without the names on top. o The food booth slips will be adjusted for the ingredients on tacos and such. Communication Art, Consumer Choices and Project & Living Expo - Vanessa The committee will set a date for Consumer Choices. Vanessa suggested the week before the state fair. The state contest is July 22 nd. Vanessa will send out a few dates and look for feedback. Small Animal Dog Show

3 o The show went well in the show barn. This made the show more formal. The dogs were less distracted and performed well. o The goody bags went over well. o Committee needs cones for the dog show. Poultry and rabbits - Carrie o Carrie requested changing the poultry registration sheet from weight to age. Birds less than 1 year of age do not need to be tested. o Poultry testing went well. They tested 21 birds including 3 ducks. All tested negative. Numbers were up from last year. o Chelsey suggested information cards on each cage. The committee will provide little key tags for each cage. o The poultry judge is willing to start earlier if possible. This is contingent on the beef show. o The waterers should be dumped in a bucket or back by the manure piles. Not in front of the barns or in the garbage cans. There is an exotic sale in Rugby in the spring. Carrie will let the office know the date, so the office can send out an informing the families. Horse Lindsey Sarah and Virginia were a big help. Sarah has some ideas for the show next year. We have not heard any complaints. Council discussed having the judge back a second year. Each family helped with the show. This was scheduled very well. The ambassadors will not help with the horse show next year which will free them up to do the tractor driving. Premium Sale/Opening ceremonies - LeAnn $52,950 in premiums. o Hogs averaged $666 o Calves averaged $950 o Steers averaged $1,850 The animals that go through the sale must be market animals. Make sure that your sale animal is selected when you get to the fair. Members MUST send a thank you to the buyers! It is also a good idea to go the extra mile and visit the buyer with a gift. Chelsey suggested we use paddles that say who is bidding and who they represent. Kelly suggested including the representatives name on the list. The lighting in the building also makes it difficult to see bidders. Lowell and Roger are easier to hear because they do not hold the microphone too close to their mouth is Lester s 60th year at the livestock sale. Leave more space between the bleachers and panels in the sales barn. Livestock Show and Sale Krysten M. suggested that only members and parents are allowed to the south of the barn during the show. o Jeff suggested putting up panels to prevent the spectators from going south of the sale barn during the livestock show and sale. Kyla suggested purchasing 4 walkie talkies to make it easier to line people up for the show. Chelsey seconded, and the motion carried.

4 Barn o Michelle Keller and Kelly Jones have a set of walkie talkies they would be willing to donate for the livestock show and sale. They will test them. The pig pen worked very well for the sale and round robin. Chelsey suggested leaving a bit more room for steers. Chelsey suggested scheduling the senior showmanship before the junior showmanship. There were a few safety suggestions from Lindsey such as learning how to tie slip knots and how to control your show stick. o The clubs need to do some training in meetings on things such as how to tie a slip knot and control your show stick o Carrie suggested the livestock camp. Lindsey suggested that clubs review with the new members how things work at the fair including: o Where do members get the numbers and parking passes. o Bring your own wheel barrels and items to clean stalls. o All members need to help with set up and tear down of the barns. The mandatory livestock meeting was scheduled for 4:00, but started early, and many members missed the meeting. This will be changed to state that the meeting will follow immediately after weigh in. Weigh in went very well. It worked well to have the calves first. The young members were done and out of the way of the steers Grand and reserve pens were not used because the members had already set up their animals with fans. Kristie suggested that more precautions need to be taken to protect the public. The public is less informed about livestock and how to behave around them. o This is important during the weigh in also. During the steers, everyone needs to clear out except the adults. The barns are not open until 6. Parents can ask people to leave. o Council discussed safety concerns with the width of aisles and box stalls. There were some items left at the barn that were put in the grand pen. Chad Friese suggested replacing the quilt with a clover. Building Maintenance - LeAnn H. The mats worked very well in the static building. The bill was found in the building. o The concrete is really heaved. LeAnn H. asked if she can cut the leaning tree down. Council approved. Fair Flyer Leann S. There are a few ads missing yet. Leann S. requested more pictures to include in the fair flyer. 4-H Award Selection Lindsey suggested the award program be held earlier. That may conflict with harvest. Honorary Award Selection LeAnn H. suggested Virginia Held or Laura Brynjulson. Jeff would like suggestions for the Honorary Award be brought to the next meeting. Old Business Fundraising Committee Jeff mentioned it to some supporters, and they suggested that the council bring a specific request.

5 4-H Camp donation The 13 doors averaged $90 each for a total of $1175. The windows brought in $1,325 total. David Lautt moved to donate $150 from the sale of the doors to the foundation for camp improvements. Chelsey seconded and motion carried. New Business Livestock Interview judging Chelsey suggested moving the livestock interview judging to Wednesday during the static judging. Lindsey will discuss with the judges. We will need to start interviews earlier. The interview judging needed to move up an hour anyway due to how long this is taking. Lindsey suggested moving up to 1:00. Leann S. suggested moving the project expo back to the winter. There were 4 participants. Fair Suggestions for Next Year LeAnn H. suggested a checklist to make it easier to manage the electronic version of all the fair forms. LeAnn H. suggested we do not have a dance. Council agreed The water balloon fight was fun last year. This year was cold. The kids can do this on their own. Lindsey has balloons at the office. Other Smoking around the steers agitates the steers. Kayla suggested that this would not be allowed around the wash racks. Next year this area will be posted and it will be brought up during the mandatory meeting. Parade: Carrie suggested having a challenge to the clubs to participate. Vanessa suggested that the parade go through the fairgrounds. Sweepstakes may need to be rescheduled since the interview judging is moved to Wednesday. Vanessa suggested putting the whole fair schedule in the 4-H fair book. It was suggested to add a club project to the static area. It was suggested to impose a project limit. Council decided not to limit the projects. The club that placed first in herdsmanship gets to choose their stalls. o Council discussed some of the comments. o It was suggested that the checklist be more specific. Ambassadors during the interviews suggested that we need to bring it into the school and explain what 4-H is. Lindsey and the ambassadors could wear their shirts and make a presentation to the students. All the members could wear their shirts on October Livestock barn looked great! The kids that showed up for the work days deserve a huge pat on the back. Kayla moved to adjourn, Dale seconded the motion, motion carried.
