I have been working hard in the office these last few weeks learning all the ins and outs that make this club such a great place. I have been evaluating the staff routines and am working on making some adjustments that I hope will better serve the members. I want everyone to know there is now a maintenance staff member working Saturdays as well as a member of the office staff. As I get more familiar with the daily operations of the club you will see my face popping in and out more often around the club house and other areas of the facility. Please feel free to address me with any concerns or praises you may have for the staff or facilities as it is my hope to benefit the club with my presence and the best way of doing that is to know all of you and understand your concerns. I will keep this short but I wanted to take the time to hello and I look forward to meeting all of you in the future. Page 4 Thank you to the elves (Dave Bussey, Kitty Gutierrez, Ruth Howell, Budge Humphreys, Jill Humphreys, Kelly Humphreys, Russ Rieber, Chris Shepherd, Pam Wright, and Richard Wright.) of the House Committee for their hard work in the restoring and cleaning the clubhouse. We are the people, who sit on a Friday Night and question how we can solve the issues people have with the clubhouse. Some members have voiced concern about the smell behind the bar; others are concerned about the cleanliness of the kitchen. On November 8 th 2014 the elves came together for their first batch of many projects. If you walk around the clubhouse you will notice small and big improvements. We managed to clean the boardroom top to bottom, which included vacuuming not only the floor, but also air ducts and ceiling, we archived all the VHS tapes, the old floppy discs and more. In the kitchen we cleaned the spices cabinet out, and that was not an easy task, as it also en- tailed scrubbing the stuck on food on the shelves, it was also inventoried, so the members will know what we have for them to use when cooking for Fri- day night dinners. The salt and pepper shakers on the tables have all been cleaned, as in scrubbed for easier use. One elf spoke up about cobwebs in the raf- ters, so the grabbed a vacuum and cleaned them up. The drain behind the bar has been cleaned and will be cleaned regularly as it is keeping the smell from coming back. Two elves took it upon themselves to clean the high windows, inside and out. The most forgotten thing in recent history when cleaning the clubhouse was cleaned, the air ducts, in the main clubhouse. We took a look at them, and opened them up, scrubbed them down and now when the heater (or air conditioner) is on the members wont smell an odor and they wont breathe in dust. We still have things to accomplish and would like your suggestions, along with your support. In December we are looking at getting the boardroom table refinished, thank you to the members donating their time and materials on that project. Other things include looking for new ceiling tiles to replace the ruined ones, cleaning the drains in the kitchen, and the big task of cleaning the bar completely (similar to the boardroom.) **If you have an idea of what we can work on to keep our clubhouse looking good, or would like to join us, please put a note in the Social and Cruise mailbox. ** Next Gathering: Dec : 10:00AM

6 STOCKTON SAILING CLUB UNAPPROVED BOARD MINUTES-November 11, 2014 CALL TO ORDER The SSC Commodore, Gail Gradle, called the meeting to order at 18:30. A quorum was declared. Attendees: Faye Roberts, Past Commodore; Gary Eggert, Vice Commodore, Burt Mohr, Rear Commodore; John Courtright, Treasurer; Linda Buck, Secretary; Mike Stefani, Port Captain, Chris Shepherd, Director; SSC. Russ Rieber, Director; Steve Canapa, Director; Sue Dallas, Office Manager, Ross Alexander, Harbormaster Absent: Richard Wright, Director 1) Standing Business a) Approve November agenda With no additions or deletions. Motion to approve November agenda: Courtright/Mohr M/S/P b) Approve the October minutes: With no additions or deletions. Motion to approve September minutes: Rieber/Courtright M/S/P c) Approve September Financial Statements: It was noted by the Treasurer that there were no outstanding items and that all accounts were reconciled and properly stated. Motion to approve the September Financial Statements Shepherd / Mohr M/S/P d) Club Manager s Report i) As per the request of the Commodore at last month s meeting a new sign has been posted on the entrance gate which includes the Clubhouse phone number for those wishing access to the Club after hours. The sign is larger than the previously posted sign Page 6 and was obtained at a cost of $ The entrance gate continues to be closed 24 hours a day, and it was noted by a Board member that the gate had been propped open during a recent Retreat event. The Vice Commodore suggested that a confirmation letter be sent once approval has been granted for use of the Retreat including main gate access responsibilities. ii) Former member Peter Tripp and his son have purchased a boat and would like to apply for membership at According to the By-Laws, anyone who is a member in good standing when they resign from the Club may make application for membership at a future date. At that time, the initiation fee to accompany the membership application shall be reduced to fifty percent of the current initiation fee, provided the same membership category is applied for. His son will be eligible to join at the regular initiation fee iii) Work on H dock continues Harbormaster s Report In his first few days here, Ross Alexander mentioned that he is becoming familiar with the Club s policies and needs which were last formally addressed circa He is in the process of reviewing and updating maintenance job descriptions (facility and supervisory maintenance worker), and employee benefits. He received guidance from the Board members as how to implement any needed updates and to which committees to address these changes. Ross is currently reorganizing the Accomplishment guides (daily/weekly/ monthly/yearly) for the maintenance program. He hopes to have a clearly defined maintenance program and will be adjusting worker s schedules to possibly allow one worker to be available on Saturdays. He requested and received clarification on the Club s two signature check policy. (This policy is stated in Article IV (6) of the By-Laws.) Harbor and Facilities has requested verification of a $ limit that the staff can spend for maintenance before the use of a Capital Request form is required. Sue will review previous Board meeting minutes to determine what amount had been decided on previously. *The policy that vessel owners have current insurance coverage in force while berthed or stored at SSC and to list SSC as also insured was addressed by the Vice Commodore. Currently there is a message at the bottom of the monthly statement to monitor current insurance coverage. Sue has been tasked to update the status of insurance compliance and to report her findings at the next Board meeting. Motion to enter into closed session at 19:03 Eggert/Courtright M/ S/P Motion to emerge from closed session at 19:31 Mohr/Eggert e) Correspondence i) Correspondence was received on behalf of Social and Cruise Committee in regard to the recent Halloween Party expenditures. Due to lower than anticipated beer sales, a majority of the keg was left over after the event, and a credit was requested. However, it was pointed out by the Office Manager that the Club had purchased the keg. Reimbursement was also requested for Party accoutrements. Motion to reimburse for Halloween food and decorations: Stefani/Courtright M/S/P with two members opposed. No credit will be made to Social and Cruise for the Keg. ii) Jesse and Debbie Cendana, whom have sold their boat and wish to terminate their membership
7 iii) David and Marge Fries will be sailing to Mexico on December 1, 2014 and wish to have Cruising status. iv) Tal Yopp has sold his vessel Quickie (J-24) to Matt Kellstrom v) Malcom and Laura Fortune have relinquished their slip due to their relocation in San Diego and have requested Cruising status. Motion to accept the resignations/change in status provided all accounts are current and in compliance with the By-Laws: Eggert/Rieber M/S/P f) Member and Guest comments i) Dave Bussey would like to hold the Junior s End of The Year Party in the SSC Showroom and the request was met with approval by the Commodore and the Board members. g) Excuse Club Manager from Meeting 3) Old Business i) Sail Lockers-pending review by Harbor and Facilities of construction drawings. The location of the lockers has yet to be finalized. A list of materials has already been submitted to the committee. 4) New Business None. 5) Committee Reports a) Membership: *Eric and Cathy Yocheim-owners of a MacGregor 25 and Hunter 23.5 *John and Margaret Wood-owners of a 28 foot boat *Nobuyuki Shiraish-has sailed with Tom on Sir Leansalot Pending orientation: *Ron DeRamus and Corina Rapanut *Jeff Fair and Shelly Landis Motion to approve new members upon completion of orientation: Eggert/Courtright M/S/P b) Harbor and Facilities: Meeting of November 6, 2014 *Walk-In Refrigerator: The Project was completed under Budget. * Warehouse: Nearing completion and should be within Budget. * Docks: progress continues on H dock, screws are being replaced on D and B Docks. *Five Year Plan: The majority of the meeting was devoted to discussion of items to be included in the maintenance and Capital Improvements to be included in the SSC Five Year Plan. The following items were discussed: 1) Dock Carts-the committee would like to obtain approval to purchase eight dock carts during the current fiscal year to replace the wheel barrows currently used. The new dock carts are more stable and less prone to tip when wheeled on the docks. A Capitol request was formally presented to the Board in the amount of $2, ) Dock Ladders-the committee also requested approval to purchase 32 dock ladders and solar powered strobe lights. A Capitol request for the amount of $7, was also formally presented to the Board for approval. Discussion for pending motion to approve Capital requests: during the recent inspection by the insurance underwriter, it was suggested an additional item of Life Rings was needed, one per each dock. Motion to approve both Capital requests: Eggert/Rieber M/S/P 3) A dock carpet-due to heavy use throughout the year and now the newest playground for marine mammals such as Sea lions and otters, the recommendation of the Committee was to have the carpet removed under the direction of the Harbormaster. This will allow the decking to dry out during the winter season and will allow any needed repairs to be made. Replacement of carpet should occur in February at an estimated cost of $1, Ross has researched the use of repellents to discourage the animals. 4) Dead Blackberry bush removal from the Point-may be possible through the use of a backhoe. Gary Eggert was consulted on this issue and will research. 5) Security cameras-proposed to be placed at the main entrance gate. The cost of the equipment is estimated to be $1, ) Clubhouse deck-provision for replacement of the Clubhouse deck needs to be considered in the next ten years. 7) Parking lot-areas in front of the Clubhouse and the Warehouse and Showroom are in need of repair which will be addressed in stages rather than all at once. It was also suggested that the small lawn south of the Clubhouse stairs be removed and be replaced with artificial turf of gravel. 8) Curb area between parking area and riprap-removal of current lawn and replacing with a more drought tolerant variety of grass. 9) Clubhouse-replacement of windows with double pane glass which may require some alteration of the window frames. It would be cost effective to add insulation to the wall at that time. 10) Exhaust system in downstairs restrooms-may be remedied by the maintenance staff. 11) Janitor s closet floor-recommended that the floor be covered in linoleum or tiled to prevent water damage in case of water leak. 8 12) Clubhouse floor-bids are being solicited for recoating the floor. Because of the exposed screw heads, the floor cannot be sanded properly to refinish the wood. 13) Clean and paint the interior of the shop-possibility of volunteer project 14) Point building-this building is used by the Juniors and Learn to Sail Programs. The roof, fascia boards and skylight are in need of replacement. 15) Office electrical upgrade-needed to accommodate the office equipment. Gary suggested that Carr Electric be consulted for needed upgrades. 16) Warehouse Boat Storage Area Floor-One area of the interior boat storage floor is in need of repair. 17) Willow tree replacement-linda Driver is researching replacement trees for the Willow. 18) Lawn care contract-the Harbormaster will be renegotiating a new lawn maintenance contract. The estimates provided in the committee report will be finalized before the December Board meeting. Motion to accept the Harbor and Facilities Committee Five Year Report: Eggert/Mohr M/S/P c) FBLI: will be reviewing the Harbor and Facilities report and Five Year Plan and include in the Budget report in January. d) Regatta committee: no report e) Rules and Policies: no report f) Social and Cruise: no report g) Junior Sailing: no report Board questions and Comments *The Commodore thanked and expressed appreciation to the Board for the support given her during her tenure. *On October 25 our Past Commodore, Faye Roberts attended the 100 year celebration of the San Joaquin Delta Power Squadron as a representative of the Stockton Sailing Club. The event was held at the Waterfront Warehouse and was attended by many local yacht club members to represent their involvement with the power squadron. Faye took an Opti for show and tell, Tom Lueck and Burt Mohr s CREW NEEDED fliers, Club and Junior sailing information. Peter Hine came to help out for a few hours as well. Rep Jerry McNerney spoke and presented an honor award to the Squadron and a Delta Sheriff also presented a plaque to their honor. The Coast Guard Auxiliary and Restore the Delta were also in attendance. Faye also mentioned that the Coast Guard and Sheriff s Department Fire boat were able to navigate the Hyacinth infested waters. Raffle items were given away and great information on safe boating was made available to the public. *It is with great sadness that we notice the passing of two Stockton Sailing Club members: Thelma Colberg and George Robinson. 9 Especially those mast owners that have masts in the Mast Repair Area at the Point. The area is overcrowded and masts need to be removed to make way for other members who want to use the area to get ready for spring. If you have a mast at the point on sawhorses please label it, put it back on your boat or move it to long-term storage in the small boat yard. Some of the masts have been there for years and may have been abandoned. If you can identify some of them, simply write the info on the label that is attached to the masts. May You Rest In Peace It is with great sadness that we notice the passing of two Stockton Sailing club Members: Thelma Colberg and George Robinson SSC would like to e x t e n d o u r prayers to all of their family and friends during this difficult time. There's been a lot of talk around the Club that members don't volunteer to help maintain the facility has certainly been an exception to that.
