2 ST-UP AND SPONSOR INFORMATION Unloading/Check-in Guidelines If you are setting up a display, please check in at one of the entrance gates upon arrival. We recommend you verify your sponsor location on the map enclosed prior to your arrival. A Festival representative be available during the set-up hours listed below. Please share this information with your staff responsible for set-up. If you arrive after set-up hours on Wednesday or Thursday, you will not be permitted to set-up until the next day. Set-Up Hours Wednesday Thursday Friday 10 a.m. 4 p.m. 9 a.m. 5:30 p.m. 8:30 a.m. 2 p.m. All vehicles must be removed from Festival grounds by 1 p.m. on Friday, Aug. 4. Vehicle Grounds Access Driving on Festival grounds is only permitted during setup and tear-down hours and at the following times: Friday night 12:15 1 a.m. Saturday 8 10 a.m. Saturday night 12:15 1 a.m. Sunday 8-9 a.m. Sunday night 9:30 p.m. - midnight Tear-Down Hours Sunday Monday 9:30 p.m. Midnight 7 a.m. 5 p.m. No cars will be allowed on grounds to tear down until 9:30 p.m. on Sunday, Aug. 6. Any cars idling or parked on roadways near entrances must be removed. verything must be removed from the park by 5 p.m. Monday following the Festival. Power Overnight power will be provided on Friday and Saturday nights. No overnight power will be provided any other time unless sponsor is located in an area that is not run on generators. Generators will not be turned on until Friday at 10 a.m. If needed for testing or set-up prior to that, contact a staff member. You may utilize the silver outlet boxes and make plug-in connections to same. Under NO CIRCUMSTANCS may you make any connections to and/or have any contact with the electrical generators on site. Should you need help with any connections, please contact a staff member who can contact our on-site electrical contractors. You are required to supply 100 foot, three-prong UL listed electrical extension cords approved for outdoor use. Zip cords (two-wire electrical cords used in homes) are not acceptable. Giveaways Sponsors are not permitted to use giveaway items that repeat or conflict with official Dublin Irish Festival merchandise without specific prior written approval. All giveaways must be pre-approved by staff members prior to the Festival, and may not be branded with the Dublin Irish Festival logo. Tents Tents and space will be provided according to the signed sponsorship agreement. Festival staff strongly encourages sponsors to provide their own branded tent, if available, for maximum brand visibility. Sponsors are responsible for hanging all signs and banners within their tent. Get Social The Festival is embracing social media to help engage our guests throughout the weekend and beyond. To reach permit parking and/or Festival grounds: Primary Route From I-270 take exit 17B, Marysville, SR 161/US 33 west. xit onto Avery/Muirfield Drive North. Bear right at roundabout onto Post Road. Turn left onto Rec Center Drive and follow signs to either permit parking or Festival grounds. Secondary Route From I-270 take exit 17A, Dublin, SR 161/US 33 east. Turn left onto Post Road. Turn left onto merald Parkway (you will see Festival grounds in front of you.) Turn right onto Perimeter Drive, bear right at roundabout onto Commerce Parkway, turn right onto Rec Center Drive and follow signs to either permit parking or to Festival grounds. Parking Pass The number and location of sponsor parking passes will be determined based on the sponsor agreement and lot space availability. A DCRC pass will allow parking in the DCRC grass or paved parking lot while a SouthWest Field pass will provide parking along Post Road. Your pass must be displayed at all times in the window of the vehicle or the vehicle may be towed. The holder of a pass is not guaranteed a spot if the lot is full. Reference the above map for parking alternatives. 4

OCLC, 6565 Kilgour Place (off Post Road) Cardinal Health, 7000 Cardinal Way SAFTY PLAN The Festival has created a comprehensive plan in case of an emergency. The actions that you will take if we reach a Tier 3 or 4 incident are indicated below. You will be notified if we reach these tiers via radio, volunteer or public address system. Please review the plan below to understand your role in the event of an emergency. Tier 3 - Suspension of Operations will indicate that severe weather is imminent, or any other threat is identified which does not immediately threaten death or serious injury. In this tier, all Festival activities will stop immediately and entrances will be closed to new guests. Participant Action: Participants must immediately stop all activities. This includes entertainment, sales and all performances. Participants will be encouraged to seek shelter in the Municipal Building, DCRC or Dublin Coffman High School. Volunteers will inform participants and the outdoor warning system in the park will provide more information. Tier 4 - vacuation will be called only if an imminent threat of death or serious injury is indicated. Public safety personnel will require all patrons and participants to leave any area(s) that pose an imminent threat to their safety. Participant Action: Participants must immediately stop all activities. This includes entertainment, sales and all performances. Participants will be required to seek shelter in the Municipal Building, DCRC or Dublin Coffman High School. Volunteers will inform participants and the outdoor warning system in the park will provide more information. All Clear - Status describes the point at which no imminent or credible threat exists that could endanger the safety and/or security of the Festival guests and staff. Participant Action: Participants will be re-admitted to grounds when staff deems that the site is ready. 5

6 GNRAL INFORMATION Command Post A Festival Command Post has been set up to handle any issues on-site, from trash removal to golf cart needs. If you need assistance, please ask any staff or volunteer with a radio to call the Command Post on Channel 1. Festival Operations/Information Festival Operations is located inside the Dublin Community Recreation Center (DCRC). A staff member will be able to answer questions and provide needed supplies. You can also call Festival Operations at Media Room The media room is located immediately inside the D.C.R.C. All pre-qualified or on-site media need to check-in here before entrance to the Festival to obtain proper credentials. Volunteers and staff are also available to help answer any questions. First Aid First aid assistance will be available on-site from Washington Township paramedics located at the North, ast and Southeast entrances. If emergency assistance is needed, please call 911. Security If your sponsord area is in a tent, we recommend you put up your tent sides at the end of each night and secure all items under your table. Dublin Police will provide 24-hour security in the park. Lost, damaged, or stolen items are not the responsibility of the Dublin Irish Festival or the City of Dublin. Admission A credential will gain you admittance to the Festival. veryone entering the Festival must still go through a security check and must have a credential or participant ticket for daily admission. Alcohol Policy The Dublin Irish Festival will not provide alcoholic beverages to any sponsors. If you drink, please do so responsibly. Those working as a representative of your business are not permitted to consume alcohol while working your booth or sponsored area. Hotel Arrangements If hotel rooms are needed, contact the Dublin Convention and Visitors Bureau at or info@irishisanattitude.com. 7 FSTIVAL RGULATIONS I. General Requirements/Provisions A. SPONSOR acknowledges and agrees that they are not an agent or employee of DUBLIN. DUBLIN and SPONSOR are fully independent and non-affiliated entities and nothing in these regulations shall be construed to constitute the relationship between SPONSOR with DUBLIN as a partnership, association, master/servant or joint venture. B. SPONSOR is solely responsible for complying with all federal, state and local laws, including, but not limited to, tax laws. Additionally, SPONSOR agrees to comply with any applicable health, safety and/or fire rules and regulations. C. No provision contained in these regulations may be changed, modified, or altered except by an instrument approved, in writing, by DUBLIN. D. No discrimination for reasons of race, religion, sex, age or country of national origin shall be permitted or authorized by SPONSOR.. DUBLIN is the sole and exclusive owner of all rights, title and interest in and to the Dublin Irish Festival logo or City of Dublin logo. No SPONSOR is permitted to use the Dublin Irish Festival logo or City of Dublin logo without specific written approval. F. Nothing in this document shall be interpreted to confer any exclusive rights including, but not limited, the exclusive right to sell any individual product or service. DUBLIN reserves the right to sell any product and/or have more than one vendor sell the same or similar products or services. G. SPONSOR and its staff, employees, volunteers, contractors, and agents shall leave the Festival grounds in the condition in which it was provided. This means that SPONSOR shall not damage the facilities, buildings, trees, pavement, and other property located on the Festival grounds or other City Property. H. SPONSOR acknowledges that they have NO right to privacy while on Festival grounds. DUBLIN reserves the right to inspect, at any time and without cause, any vehicle, golf cart, tent, area or space (to specifically include all items, packages, etc.) on Festival Grounds. II. Security SPONSOR and/or their staff are solely responsible for the storage of all items and/or products. DUBLIN is NOT responsible for any items and/or products left unattended or unsecured at any time, including, but not limited, to set-up, tear down, suspension of operations or evacuation. III. Vehicle Access/Deliveries A. Vehicles may NOT park, idle, or block roadways being used by Festival patron shuttles at anytime. If an unauthorized vehicle is found in violation, the owner will be asked to remove it immediately. Failure to remove a vehicle will result in a parking ticket and the vehicle being towed. B. All equipment and materials must be removed from City property and/or Festival grounds by 5 p.m. Monday. C. At DUBLIN s sole discretion, some vehicles for food sponsors/vendors only (including golf carts) may be permitted to remain on site during the Festival. On Friday and each morning of the Festival, a staff member will be checking the grounds and will distribute a permit to those vehicles permitted to stay on the grounds. If an unauthorized vehicle is found on the grounds, the owner will be asked to remove it immediately. Failure to remove a vehicle will result in the vehicle being towed. Food sponsors/vendors only are allowed one vehicle; this does not include a trailer if it is in the serving area. The vehicle is not to be larger than a standard box truck. If permitted, vehicles must be parked and secured so that they are not readily accessible to the patrons and/ or guests. In addition, the vehicles must be parked in a manner so as to not impede and/or block access. D. SPONSOR will receive one parking pass per vending location to park in a designated area near the Festival. All other vehicles will need to be parked in Festival general parking.. SPONSOR is responsible for damages caused by it and its staff, employees, volunteers, contractors, or agents. F. SPONSOR must notify and make prior arrangements with DUBLIN for deliveries of equipment, food or tents. IV. Utility Connections A. DUBLIN shall provide access to electrical power on Festival grounds. B. DUBLIN may also provide access to water. C. DUBLIN may also provide access to use an onsite refrigerated truck. All materials must be removed by 8 a.m. Monday morning from truck or it will be discarded. D. SPONSOR shall be permitted to use only electrical service of the nature and amount as approved by DUBLIN.. To prevent unsafe conditions, DUBLIN shall provide an electrical contractor on Festival grounds. No other electrical contractor will be permitted to install electrical facilities at the Festival. F. lectrical services are provided solely for the convenience of SPONSOR without warranty and/or representations. SPONSOR specifically acknowledges and agrees that DUBLIN shall have no liability for any claims whatsoever relating to the provision of electrical power or for any failure to provide electrical power. G. Access to water is provided solely for the convenience of SPONSOR without warranty and/or representations. SPONSOR specifically acknowledges and agrees that DUBLIN shall have no liability for any claims whatsoever relating to the provision of access to water or for any failure to provide access to water. 7

8 FSTIVAL RGULATIONS CONT. H. Refrigeration services are provided solely for the convenience of SPONSOR without warranty and/or representations. SPONSOR specifically acknowledges and agrees that DUBLIN shall have no liability for any claims whatsoever relating to the provision of refrigeration or for any failure to provide refrigeration. V. Conduct A. SPONSOR and its employees, staff, volunteers, contractors, or agents are prohibited from taking any action that would be inconsistent or in violation of any State of Ohio Liquor Permit that DUBLIN or any other party/sponsor may have obtained including, but not limited to, providing their own alcoholic beverages on the Festival grounds. B. The Festival is intended to have a family atmosphere and to be appropriate for DUBLIN residents, guests and other visitors. As such, SPONSOR and/or its employees, staff, volunteer, contractor or agent shall be prohibited from engaging in any conduct, action, gestures or language that would be inappropriate in such a setting. C. DUBLIN reserves the right to request removal of items including pictures, posters, billboards, merchandise and other items used, worn or sold by SPONSOR and/or its employees, staff, volunteer, contractor or agent if, in DUBLIN s sole discretion, the material is not appropriate and/or conducive to the family atmosphere of the Festival or violates any rules and/or regulations of DUBLIN or the Festival. VI. Weapons/Hazardous Materials A. SPONSOR and its staff, employees, volunteers, contractors, and agents are prohibited from carrying in a concealed manner or otherwise bringing onto Festival grounds any knives, stun guns, tasers or any other item that may be used as a weapon, excluding firearms. B. SPONSOR and its staff, employees, volunteers, contractors, and agents are prohibited from bringing toxic, poisonous or hazardous substances onto the Festival grounds. DUBLIN, in its sole discretion, shall determine what constitutes a toxic, poisonous or hazardous substance. IX. Sponsor Requirements A. DUBLIN, in its sole discretion, shall determine the SPONSOR location. SPONSOR shall accept vending locations as is. DUBLIN may, in its sole discretion, reassign vending locations at any time. B. DUBLIN, in its sole discretion, shall have final approval for all signs, menu boards, or other advertising materials displayed at the Festival. In addition, DUBLIN reserves the right to request the removal of any sign or banner if, in DUBLIN s sole discretion, the sign or banner contains illegal, misleading, or other offensive content that is deemed inappropriate and/or not conducive to the family atmosphere of the Festival. Banners must be attached securely to the tent or other structure. C. No SPONSOR is allowed to set up or sell any products or signage outside of their assigned areas. Nor is any SPONSOR allowed to promote and/or advertise outside of their assigned areas. D. Festival staff has the right to require for music in a SPONSOR area to be turned down or cease any other activity that may interfere or disrupt the Festival. X. Cancellation/Suspension of Operation or vacuation A. DUBLIN, in its sole discretion, may suspend Festival operations or order an evacuation in the event of a weather related situation or any situation that may expose any official, employee, volunteer, resident, or guest to any property damage, bodily injury, death, or civil strife of any kind. In the event that DUBLIN temporarily suspends Festival operations, VNDORS agree to the following: i. SPONSOR and its employees, staff, volunteers, agents, contractors shall immediately discontinue sales of products and leave the Festival grounds. Those remaining on Festival grounds assume all liability for personal injury or damage to property resulting from remaining on Festival grounds. 8

11 The Dublin Irish Festival Dedication Paver Walkway In celebration of the Dublin Irish Festival, a commemorative Dedication Walkway will be created in Coffman Park. Complementing the walkway, will be a single ceramic 5-foot harp, the official emblem of Ireland. The harp will be made of dark clay and feature five brass bars as strings. The purchase of a walkway paver is a meaningful way to show you re a loyal fan of the Festival, honor a loved one, or keep heart-felt memories alive. Pavers are 4 x 12 with three lines of text for $300 or 8 x 12 with six lines of text for $500. Both pavers feature half-inch high letters with 22 spaces on each line. (All letters will be capitalized. Allow for spaces and punctuation to be included within these parameters.)
