1 Nashville State School P & C ASSOCIATION Minutes of General Meeting held 19 March MEETING OPEN 1.1. The meeting was held at the Shorncliffe Room of the Full Moon Hotel and opened after the AGM closed. 2. 2 7. BUSINESS ARISING FROM PREVIOUS MEETING 7.1. ACTION - term 2 calendar and sport / 2018 Bramble Bay Calendar. Tracey advised that this does change, and we are on version 5, it includes all the events that the children can nominate in to go to District and Regional level. In last newsletter Tracey set out what the process is to nominate children for District and Regional sport. 8. CHAPLAIN S REPORT 8.1. TREASURER S REPORT Reports submitted and attached; As at 28 February 2018 Cash book balance 31 JANUARY 2018: $55, Income $5, Expenses $$7, Cash funds:28 FEBRUARY 2018 $53, ($13, in general account and $40,000 in term deposit) Expenses the Treasurer went through the expenses for the month: Bank fees: $ Uniform: $ Tuckshop: $1, Fundraising nil P&C General Meeting March 2018 finalised Page 2 of 7
3 Superannuation: $ PAYG payable: $62.00 Wages: $1, Nashville SS: $1, (Dance Fever) Insurance: $1, Moved by: AbbyH Seconded by: LachlanB 11. TUCKSHOP REPORT Report submitted and attached; Kym ran through the key points. Total earnings: $4, Total stock expenses: $3, Total wage expenses $1, Total: -$ Reasons why there was no profit: Start of a new year Had to restock items such as ice creams, drinks, coles food, gladwrap etc hours of wages were paid for prep week when there was no income. This only happens once a year (after the long summer break) First month is usually slow as parents are not exhausted making lunches yet Tuckshop general business: A great number of volunteers have committed already Blue cards are up to date Pizza trial went well selling about 30 per week. We sell about 30 to 50 sausage rolls per week Kym sought approval to make changes for terms 2 and 3 change sausage rolls for pizza as sausage rolls are labour intensive, use a lot of room in the hot box and may boost sales of pizza, which have better profit. Pizza is a green item. Add hot chocolate. Change salad bowls to lasagne for winter P&C General Meeting March 2018 finalised Page 3 of 7
4 months. Change cheese scrolls to vegemite and cheese scrolls. Taking 2 green and 1 amber items off and replacing with 2 green and 1 amber items Chopping boards and class boxes have been kindly donated Looking at the opening days, usually the income is: Wednesday $270, Thursday $400, Friday $400 volunteers always there, volunteers happy.. We need to look at how much it costs to open, as it is $130 odd dollars just in wages. Kym said having tuckshop open Wednesday, Thursday and Friday rather than Monday, Thursday, Friday cuts down a lot of time, makes it easy to get to the shops, salad lasts the whole week, fruit lasts the whole week, only have to go to the shops once We could do with having data about how many kids we are serving on Wednesdays ACTION Kym will work out how many orders she receives each day. 5 25 May: Under 8s Day 19 and 20 June: NAIDOC ( Incursion: Dance Fever: every Wednesday and Thursday this term 19 and 20 June Goomuckar bus inclusrion ($10.00 per child) Variation to school routine: 27 March: NSS Cross Country 28 and 29 March: NBEEC excursion year 3 and 1 2 May: Prep farm excursion 3 May: Bramble Bay Cross Country 28 May to 1 June: year 5 and 6 camp Tracey advised that she must let the P&C have the financial report and variations to school routine First day next term pupil free day teachers will either come to school to do a professional learning or accrue days to use throughout We have 360 students, with 3 new enrolments, and two students coming next year The curriculum overviews are on the school website Teachers will be having release time to look at units for next term and look at planning Teachers will also be released from class to look at data step Leadership team is (Tracey Rhonda Allison and master teacher) Tender for outdoor area closed on Friday a couple of people looking around. Investing for success Allison has been reallocated to Payne Road school Soft launch of totems, painted 4 and we need 16 done, map of where they are going to go, accessible Tracey advised that the only red day is under 8s day. Still a few things that will come up. Katie in the office is the guardian of the master diary Abby has organised ice blocks for cross country, Abby will hand out with Su and Lynda Moved by: Tracey seconded by: LachlanB Action master diary planning for year so that P&C can plan red days we can have two a term, also can work out volunteers. Term 2 already planned, and the school will plan for P&C General Meeting March 2018 finalised Page 5 of 7
6 terms 3 and 4 over course of coming weeks. Fundraising committee will have input. 14. GENERAL BUSINESS (per agenda) We are looking at having all reports submitted prior to the meeting, so instead of going through them at the meeting, we will just bring up action points. If you are an official report provider please provide to secretary at least a week before the meeting. ACTION: report writers to provide the secretary with their reports before each general meeting, secretary to get reports and agenda out to members a week before each general meeting Reports submitted in advance. Lachlan raised that the first 40 minutes of the only meeting he has been to was people reading out reports agreed we would have reports to secretary on Monday prior. Tracey let us know that hers has to be read out. Abby let us know that the treasurer has to read out expense Tables hold over, we just need to work out how many, how to store Jess will look at fixing with the laptop. Internet connectivity issues Need someone who is technically savvy to look at it and is available when tuckshop open Action Lachlan will Kym to work out time to look at the laptop Stuart Harvey: Stuart and lindt spoke about taking over fathering project. Haven t had a formal meeting as yet, spoke to dean, Nathan a couple of dads at the school. One event per term, fishing night / morning, camp out on the oval, have hall open for toilets / kitchen, push a few dads nights, catch up, golf day, try to get more involvement of the dads. Mums have their mum s nights. There is a DoNs FB page in place, some members did not like the idea but it needs to be done, dads and mums can join Action stuart and lindt will meet with Patrick for a hand over Chenani casual pool for 2IC for uniform shop. Need a volunteer, 2IC s son in grade 6; so need a new person so Chenani can train for when Chenani leaves in 3 years. Lynda advised how that works. Mondays and Wednesdays. 7 14.8. Stuart read out from MadonnaG about lunches. Tracey said 10 to 15 mins to eat, lots of reminding, circulating, checking Madonna s daughter was still eating, and had to pack it up Tracey explained it is a staffing problem Also need to have kids being active Tracey said we have tried many strategies over the years including preps being sent out earlier. There was an eating group, for slow eaters last year but it became a supervision issue. Tracey will remind teachers to let kids out on time. We should put something in newsletter about strategies and maybe more lunchbox guides. Action Tracey will discuss with teachers about getting kids out on time, dot points in the newsletter Abby school dance, we have a system to book meals online. We need volunteers on might a few people on the door, ticking names off, selling glow stuff, and a few in the kitchen. Mozzies will be bad. We need a barrier along the hill and we need gas. Tracey will ask Alan to fill gas bottle and put it in kitchen. The dance is 5 to 7 Abby will there at Abby put a call out for rice cookers Lynda storage discussion, area under A block, school wants to turn into two rooms and section up near sports storage cupboard, have enough trade based talent in the school, plan under block A to get it happening. Look at doing the whole lot. Not a class room, reading storage area, the other will be an IT area Tracey will speak to facilities manager, look at DoNs people have skills.
