1 Central Coast Dance Festival Minutes: Meeting opened at 4pm Welcome to all and thank you for attending. All meeting will now take place at Erina High School. Please sign the attendance sheet. Accepted: Emmakate De Henau Seconded: Eleisha Taylor PRINCIPAL REPRESENTATIVES for FESTIVAL: Janine Debenham Kincumber High School Nicole Hunt - Lisarow High School TREASURER S REPORT: Kirsty McRae Money is now being held at Kincumber HS at Janine s request due to Jade Bush being on maternity leave. You will now need to invoice Kincumber HS if you require casual relief for committee work. Please ensure you send the CEPS form with the casual employed highlighted with your invoice. ALL invoices must be sent to Kincumber HS by the end of Week 6, Term 3 for payment to be made so all accounts for 2016 can be finalised. Funds available to date: $ Due to funds available there will be no ticket price increase for TEACHER WORKSHOP EVALUATION: This workshop was most valuable and was held in high regard by participants. Festival is looking at running more workshops in Term 4. COMMITTEE for 2016: Declare all positions vacant (other than Chairpersons and Treasurer). Committee for 2016 tabled. Committee to please remain behind at the end of this meeting CCDF INFORMATION: ALL INFORMATION IS ON WEBSITE AND THIS SHOULD BE YOUR FIRST PORT OF CALL. You will find information regarding all aspects of Festival. Please check it regularly and refresh if you keep the tab open Information will include: festival guidelines and all relevant audition, rehearsal and performance information; application forms; regional ensembles and NAISDA Company information. Please pay attention to due dates and times. At present we have approximately 110 items, so those items that; * DO NOT meet guidelines * and/or are missing any part of the audition package * and/or do not meet time frames * and /or DVD does not work PLEASE check your DVD works in more than one DVD player. WILL NOT be considered for inclusion in festival for It is extremely important that everyone READ all information contained within the guidelines. There have been some changes and you will need to be aware of these so as not to disadvantage your nominated item/s. There are already a number of items within the intention to participate that have not met guidelines for length of item. DUE DATES: It is essential that you abide by these dates and the drop- off points. There is additional information in packages. There is a form for you to complete and sign when dropping off your DVDs. This form will also need to be signed by the office staff at the drop- off point. Drop- off Points: Erina HS, Northlakes HS and Umina PS (there are contacts for each drop off point) NOT ALL will make it into festival so be sure you adhere to all guidelines set out. Items NOT meeting guidelines will be the first ones culled and not considered. These items include; paperwork not correct or complete, DVD not playing at time of auditioning process, deadlines not being met, inappropriate lyrics, length of item, inappropriate costuming of students and inappropriate movements for age and/or ability of students. There is a restriction on the number of students we can have in the holding rooms on each night. The number of students in each group will dictate how many groups can be accepted. The limits to the size of groups must be adhered to. Rehearsal Dates: May 30 & 31 and June 2 & 3. Please check these dates and place them on your calendar.

4 COPYRIGHT: Very Important! Guidelines have been updated and there have been significant changes, which MUST be adhered to. It is your responsibility to ensure your choice of music/accompaniment meets DEC agreement with APRA. If it does not, then you need to change your choice OR you can contact APRA for approval should you do this, written approval from APRA must be submitted with your audition application. If you go above and beyond these guidelines you will need to contact APRA yourself and make the necessary payments. You can obtain advice from the NSW Copyright site: NSW Copyright site (via NSW DET Intranet) This Copyright Unit provides support and advice to NSW Government Schools, TAFE NSW and State Office Directorates on copyright issues. NSW Government Schools National Copyright Unit Telephone: (02) Fax: (02) NSW Copyright Unit If you remain outside the copyright agreement for schools:- You will need to apply for performance approval and copyright. The cost will depend on ownership and is not a question we are in a position to answer. If you choose to do this you will need to contact APRA schools@apra.com.au To remain under the current license agreement for schools you can either: Use one song for your performance OR, if using more than one song for your item, - Edit your music so that there is a deliberate fade out and fade in for each piece of music in your item. If you are doing an item from a musical, choose a costume that has nothing to do with the musical context that the piece originally came from. DO NOT costume in the same manner as the musical as you are breaching copyright. Failure to adhere to the license agreement for schools will result in a fine as has been the case recently at events throughout the state. We ask that you adhere to the licence agreement. Any fines incurred will be the responsibility of the school. Theatre Information: We need to meet WHS regulations regarding the number of people in the holding rooms each performance night. All successful groups are limited to a maximum of two DEC staff per group each night. Please note that if you are using non DEC staff to assist with supervision then these people MUST have a working with children check. All successful groups are limited to a maximum of 22 students. GMS are back on board for 2016 and have agreed to let us access their rehearsal space for holding rooms this year. Many thanks to GMS and Chris King for supporting our festival we really appreciate it. It was agreed by all those present to make a $ donation to GMS for this generous support. ITEM SELECTION PROCESS: The selection criteria process is followed rigorously. The audition selection process is the same for all participating in festival and this includes those nominated by committee members. Being on committee doesn t mean automatic selection which each of us can attest to as we ve all had Items not selected.

5 Please remember that the item you audition will be the one performed if you are successful in the selection process. MC ANNOUNCEMENTS: The MC announcements need to be ed to the nominated persons by the due date. Please ensure you do this so that all program details can be finalised. Sound: If you have any Sound issues please the Committee members responsible for this area as listed above. Please be aware of guidelines for editing your music. DRESS REHEARSALS: Please check your school calendars. CHECK! CHECK! CHECK! Once the rehearsal schedule has been completed NO CHANGES can be made. We are on a tight schedule with the theatre and it is impossible to make changes. There is to be NO photography or video recording of your item at rehearsal. Directions for Successful Items at Dress Rehearsal: Arrive approximately 30minutes prior to your audition start time Arrive in full costume no changing facilities are available DO NOT enter or exit through the front doors of the theatre Please enter and exit through the side stage entrance There is to be NO eating and/or drinking in the theatre Each item MUST their evacuation list to the appropriate person by the specified dates No evacuation list No entry on rehearsal and/or performance days STATE DANCE FESTIVAL: Information will become available on the Arts Unit website. Schools wishing to audition need to video their own items and submit their video and paperwork to the Arts Unit prior to the due date. You can video your state nomination at dress rehearsals but you need to advise Kirsty/Tina if you intend to do this. There will be an additional box on your audition paperwork to indicate if you will be nominating for State. FESTIVAL NIGHTS: We need people each night for festival to run successfully. This is in addition to the individual supervision of groups. You should be concerned about the safety of your students. This is safety for ALL students. Schools need to provide help on another night/s other than when their individual group is performing. Please offer to assist or encourage people from your school to support CCDF. There is a Duty of Care and shows may have to be cancelled if enough people do not volunteer to assist. Please remember this assistance needs to be in addition to the night your students are performing.

6 ENSEMBLE AUDITIONS: Junior and Senior Ensembles will audition will be at TLSC The Entrance Campus from 4pm - 7pm on a date to be advised. Boys Ensemble auditions (Years 5-8) will be (Week 9) Monday March 21 at Berkeley Vale PS from 10am - 2pm Paperwork is on website. Maximum of 5 students to be nominated from each school. NAISDA: Please check the website for paperwork and times. Applications close Auditions will be held at Kariong PS on March 2. Aboriginal students K- 12 with no dance training can nominate. Non- Aboriginal students 6-12 with dance training are able to nominate. Other NAISDA Opportunities: Cultural workshops for Aboriginal and Torres Strait Islander students to be held at NAISDA studios at Kariong. There will be no cost to students. We need to get EOI from schools regarding interest and number of students who would attend. Work experience for two senior dancers which will be accepted by application. This will occur in Term 4 and students will attend morning technique classes and end of year show preparations throughout the day for a week. Applicants MUST be committed to attending ALL classes throughout the week. This is only open to Year 10 and 11 students (both Aboriginal and non- Aboriginal) who have a desire to continue in the dance industry in some aspect at the conclusion of their HSC. Teacher Professional Development Frances Rings has been appointed as an artist in residence and it s also NAISDA s 40 th anniversary this year, so stay tuned. T- SHIRTS: The committee is looking into some other options (tights, etc) for to sell along with the T- shirts this year. TICKET PRICES: Ticket prices remain the same for GENERAL BUSINESS: You need to buy your music NO stealing! Remember NO Disney. Krystle will assist with editing if needed. Edit your music to meet time requirements. Short and sweet is good! Instrumental is another option for you to consider. Be mindful of suggestive or inappropriate lyrics these are not meeting guidelines. Students with casts WILL NOT be allowed on stage this is WHS issue. DVD has to work on multiple players. Please use a DVD not a CD Only TWO people per group for supervision. If not a DEC employee then a Working With Children check MUST be done. This includes going to side stage. No filming from side stage. This is an alcohol free event and NO ONE is allowed to have alcohol in holding rooms. The CD number you need to fill in on your paperwork is on the spine of the CD it is 6-8 digits. The track number is different. Please be aware of this as your paperwork needs to filled out correctly to ensure your item/s are within selection guidelines. There will be NO Friday night show this year.
