2 BHS TREC Cavallo Horse & Rider Championships of Great Britain 2013 Congratulations on qualifying for The British Horse Society TREC Cavallo Horse & Rider Championships of Great Britain 2013 which is sponsored by Cavallo Horse and Rider. We are also very grateful to the Technical Delegates, Robert Billson and Helen Hunt and to Sarah Phillips and Andrea Parsons who have worked extremely hard throughout the past year to produce the POR routes and PTV obstacles that you will be riding across this weekend. All the routes will test all competitors across all the levels, but will also allow them to really enjoy the surroundings Wales has to offer. Outlined below is information which we hope you will find useful while you are at the event. Timetable of events please note all times are approximate and are subject to change Friday 13 September 0900 Venue open 1600 PTV course open 1600 Vetting starts and will run in number order. Please be ready at your appointed time, a list of times will be displayed in the Secretary s marquee Please wear your bib so that you are easily identifiable to the stewards Competitors and Judges briefing at the Secretary s Marquee (The judges briefing will take place after the competitor briefing) Saturday 14 September 0700 Start of POR phase 2000 onwards Social event held in the marquee at The Paddocks Farm. The Hogfather will be providing hog roast, a selection of salads and puddings. Please bring your own drinks, tables and chairs. Sunday 15 September 0700 Vetting starts 0730 Tack Check 0745 Start of Control of Paces phase 0800 Start of PTV phase 1700 Prize-giving If you have any urgent queries please call or competitions@bhs.org.uk up to Tuesday 10 September. After Tuesday, the telephone number on-site (if it can t wait until your arrival) is The BHS are looking forward to welcoming you to the event and wish you an enjoyable and successful weekend. 1. Corralling, Vet & Farrier Competitors, who are corralling their horse, please ensure that you bring your own electric fencing equipment and only use the designated areas. The corralling area will be fairly tight for space, so please try and keep your corral size to the minimum. Parking Stewards will be on site to help you park. Please ensure that the Emergency contact details are clearly displayed on your corral. The land owner has asked that all waste hay and haylage is removed from the corral. Please place in the trailer provided. Please ensure that you leave the site clean and tidy. If you require a veterinary surgeon, please contact the Secretary s Office and they will contact them. There will be a vet onsite throughout the competition. The event farrier, will be on call for the weekend. If you require his services please come to the Secretary s Office where he will be based between those times. Please be aware that all shoeing or treatment must be paid for on the same day. 3 2. Competitors Notes for Veterinary Inspections The purpose of the veterinary inspection is to make sure that the animal is fit to start the competition and capable of carrying the rider throughout the whole competition. The latter inspections are to ensure that the horse is fit to be ridden after a normal rest period and requires no treatment to ensure its health and well being. The veterinary surgeon s decision is final and must be respected at all times. 3. Preparation for initial vetting Competitors will need to arrive at the veterinary inspection in number order and present their horse in a bridle, with the saddle and protective boots removed. Horses must be presented to the vet as they will be ridden in the subsequent phases, which are either shod, fitted with hoofboots or unshod. All competitors must bring their horse s passport and present it to the vet at the initial vetting only. All competitors must present themselves wearing the appropriate rider number bib provided, this is so it will make you easily identifiable to the stewards. Competitors must wear suitable footwear, no open toed shoes, crocs or flip-flops. Horses will be trotted up on GRASS for approximately 30 metres and MUST be sound and comfortable on this surface. All shod horses must be recently and correctly shod, horses with loose or badly fitting shoes will NOT be allowed to compete. The vet will take the horse s pulse and will perform a brief clinical examination to include pulse and respiration rate. A pulse rate greater than 64 beats per minute will result in elimination (in some circumstances representation may be possible after a specified rest period). The veterinary surgeon will also be looking at the horses general condition including dehydration, open wounds or if the horse in his/her opinion is deemed unfit to continue. The Veterinary Surgeon will eliminate the horse from the competition on the following grounds: 1. Lameness 2. Poor body condition or unsuitable size to carry the rider 3. Wounds, saddle sores or mouth injuries, which in their opinion will be made worse or cause distress if the horse continues. 4. A pulse rate greater than 64 beats per minute 5. Unfitness to continue due to exhaustion, dehydration etc 6. Behaviour likely to endanger other horses or people. The veterinary surgeon will also be looking at the presentation of both the horse and rider and will be awarding a prize to the best presented horse and rider combination at the end of the competition. 4. POR vetting All Level s will be inspected at some point on the POR route. All horses will be inspected as per the initial veterinary inspection (Please note the horses passport is only required at the initial vetting) 5. Veterinary inspection prior to the CoP and PTV All horses will be vetted prior to starting the second day, this is to ensure that all horses have recovered sufficiently from the previous day s competition. All horses will be inspected as per the initial veterinary inspection. (Please note the horses passport is only required at the initial vetting) In some circumstances there may be cause for concern, insufficient to warrant elimination of the horse, but such that the vet may recommend a specified period of rest. The rider is obliged to comply with this advice.
4 All horses eliminated from the competition must be passed by the vet as fit to travel prior to leaving the venue. 6. General Information Don t leave vehicles unlocked and unattended thieves are aware of horse shows. Dogs Don t leave your dogs locked in vehicles, especially if the weather is warm. Please do not allow your dogs to roam off the lead in the camping and corralling field. Dogs must not be left on site in trailers or boxes overnight if you are sleeping off site. Dogs MUST be kept on leads at all times, please ensure that you clean up after your dog. Catering - Over the weekend the catering stand will be situated next to the Secretary s Marquee. Competitors will be provided with fruit, cereal bars and bottled water on the Saturday and are strongly advised to carry an extra drink for the POR. Judges will be provided with packed lunches on their working day(s) and a free Saturday evening meal at the social event if judging on both Saturday and Sunday. Water Water is located in water troughs, please note that this water will needed to be boiled prior to human consumption. There will be a tap with water for human consumption. Refuse A skip will be provided for competitors to place their rubbish. Please ensure that all rubbish is placed in the skip or taken home with you. Manure The owner of the corralling field has requested that all much to be removed from the field and be placed in the trailer provided. Hay and Haylage - If you are giving your horse/pony hay or haylage, please can you ensure that it is all removed from the field prior to your departure. A trailer is provided. Competitor Briefing - There will be a Competitors briefing on Friday 13 September at The briefing will be held in the Secretary s Marquee. Weather Please ensure waterproof clothing is included as part of your kit so you and your horse are prepared for all weather conditions. Please note that outdoor rugs are essential, please make sure that you bring them to the Championships to ensure your horse is prepared for the Welsh weather. Notices and information will be displayed on notice boards at the venue. PLEASE CHECK THESE REGULARLY! ALL TIMES FOR THE EVENT SUBJECT TO ALTERATION CHANGES WILL BE POSTED ON THE NOTICEBOARD. Competition maps will be printed with National Grid two letter ID. Competitors will also be riding on a short section of the A40 which will be stewarded.. Rules - Remember that it s the competitor s responsibility to know the rules. If you are in any doubt about a rule and would like to check, reference rule books are available in the Secretary s Office for your convenience. Championship Merchandise - The 2013 Merchandise can be purchased prior to the event at they will not be on sale at the event. Horse Passport - In England and Wales, the law now requires a horse to be accompanied by a valid equine passport when travelling to and from competitions, as well as in certain other circumstances. We recommend that all competitors make sure that their horses travel with their passports, so that the documents are available for inspection at any time during their journey. All competitors must bring their horse s passport and present it to the vet at the initial vetting. Protective Headwear must be worn at all times by anyone, whether a competitor or not, riding anywhere at a BHS TREC event. Harnesses must be correctly adjusted and fastened. Protective Headwear constitutes a hat which meets one of the following standards. Failure to do so will incur elimination. At BHS TREC Championships Protective Headwear must show a visible BRC or BHS TREC hat tag
5 Body Protectors must be worn by all competitors for the PTV phase. Please note that there will not be sufficient time between the CoP and PTV phases to return to your trailer/lorry to collect your body protector. Please either take or wear your body protector for the CoP.

7 Please note that all hats will need to be hat tagged prior to the start of the competition. Please bring your hat and body protector to the Secretary s Marquee when collecting your competitor packs. No packs can be collected until your hat has been tagged and your body protector has been seen by a member of staff. Permitted Tack - Please note that it is the competitor s responsibility to ensure they are wearing the correct tack for their class. Tack will be checked prior to the POR and the CoP phases. First Aid - During the PTV phase, the medical team will be based around the site. If you require medical attention, please contact the nearest official with a radio. Photography Steve Wall will be on site to take photographs and these will be on sale to competitors after the event. Website: 7. Nations Cup Information Each Nation may nominate between 4-8 members of their choice across any or all of the Levels run at the event Each Nation must have a minimum of 4 team members in order to count. If a nation can not find a minimum of 4 members to represent the nation or has less than 4 completing riders, the score will not be counted and therefore the Nation will not be placed. Only 4 members will count toward the score At the end of the competition 4 of the completing rider s placings will be added together for each team. The team with the lowest score will win. Pairs will be treated as one unit, if within a pair there are two nations, then the pair must nominate which country they will be representing. The Nation placing s are determined as follows 1 - the highest placed four riding units per Nation are added together the lowest total being placed first, etc. 2 - in the event of 1 resulting in a tie then the highest placed three riding units per tying Nation are added together the lowest total being placed highest, etc. 3 - in the event of 2 still resulting in a tie then the highest placed two riding units per tying Nation are added together the lowest total being placed highest, etc. 4 - in the event of 3 still resulting in a tie then the highest placed riding unit per tying Nation are used the lowest total being placed highest, etc. 5 - if we get this far then it is a tie Competitors can only represent the nation that they were either born or currently reside in or have grandfather rights. All competitors must declare on their Championship entry form which country they would be representing if selected for the Nations Cup, BHS Office to then inform the relevant Chef d Equipe of their pool. If no country has been selected then they won t be eligible to be selected to compete for their Nation. Team nominations from the Chef d Equipes must be presented to the Event Secretary by 2000 on Friday 13 September. 8. If you have any queries or complaints, please log them in the first instance with the Chef d Equipe for your Nation, if they are unable to resolve the query it will then be passed to the Secretary if they are unable to resolve the query will bring them to the attention of the Technical Delegate. Official Objections must be lodged only by the Chef d Equipe (for individuals participating in the Nations Cup) or the individual concerned. These must be in writing and accompanied by a deposit of 20. They must be addressed to the Championship Director via the Secretary s Office. Complaints or queries must be made no
8 later than 30 minutes after the scores for that phase have been published. The query will be resolved by the Ground Jury who will investigate the query and will report back as soon as the investigation has concluded. The deposit will be forfeited unless the complaint is upheld or it was decided that there were good and reasonable grounds for lodging the query. Please note that when making a POR query, competitor maps must be submitted along with the query, no query will be taken until the competitor map in question has been submitted. We will endeavour to get the results onto The British Horse Society website by Tuesday morning (17 September). 9. GBR BHS TREC Team There will be an instructed PTV Course walk with Anthea Kendrick GBR TREC Chef d Misson in aid of the GBR TREC Team. Anthea will be offering course walks on Friday evening (please book with the Secretary s Office) and if numbers demand on Saturday morning and Saturday evening (please book with the Secretary s Office) exact timings will be published in the Secretary s Office. The cost of the course walk is 5 per rider, 1 for any additional person, with all funds going towards to the GBR TREC Team NEW: An Envelope Draw to win a beautiful 5-point leather breastplate (full/cob-size) that has been donated. 10 Feedback Each year those involved in organising the event start making notes for improving the event for the following year, usually before the competitions have even started! We do welcome constructive feedback given on the basis of your experience of the championships, so please feel free to comment, by writing or ing us after the event. Finally, the championships are the culmination of a lot of effort and hard work by many people the competitors, technical delegates, traceurs, organising committee, officials etc. Please all enjoy a great weekend and most of all have fun! FAQ s Is there lots of grass in the corral area? There is limited grass coverage and we would advise for you to bring hay / haylage due to the limited corralling space. How far is the nearest shop and when is it open? The village of Crickhowell is only 1.5 miles away and has a variety of shops including a bakery, walking shop, hardware store etc. Abergavenny is 5 miles away and has a Waitrose and Tesco Metro. Are there local pubs? The village of Crickhowell is 1.5 miles away and has a number of pubs which serve food Is there a horse feed place nearby? A list of local tack shops can be found in the schedule What are the on site facilities? Portable toilets will be available on site from Friday 13 September. There is also a mains water supply. Where will the vetting be held? Adjacent to the marquee but in the corralling field, this will be held on grass. What time is the Competitor briefing and where? Friday 1930 in the Marquee. Do I need to get my hat tagged before the tack check on Saturday? You will be required to present your Hat and Body Protector when you declare, before you get your competitor pack and number. All hats will be tagged at this time. What do I do if I have any queries with my results? If you have any queries or complaints, please log them in the first instance with the Chef d Equipe for your Nation, if they are unable to resolve the query it will then be passed to the Secretary who id is unable to resolve the query will bring them to the attention of the Technical Delegate. 10. DIRECTIONS TO THE EVENT The Championship venue is located on the A 40 between Crickhowell and Abergavenny in the village of Glangrwyney. Travelling from Abergavenny on the A40 pass through the village of Glangrwyney and the entrance to the corralling field will be on the left hand side just before the entrance to the Rugby club.
