NOTICE IS HEREBY GIVEN OF THE FORTIETH ANNUAL GENERAL MEETING OF THE AVONHEAD TENNIS CLUB INC TO BE HELD IN THE TENNIS CLUB PAVILION, CROSBIE PARK ON Saturday, 2 August 2014 at 4 pm AGENDA 1. The COMMITTEE MEMBERS: highlight was an increase : in the student category. Most of that Stuart Macintosh, Shane Tainui, Dale James, Zino Huang, Mike Radford, Greg Harding, Annette Corner, Karen Watts, Andrew Fraser, Jo Steencamp increase came from members moving out of the 12 to 18 year old age group. We saw a significant drop in numbers in the 8 years and under age group. The numbers of senior and midweek members were unchanged from last year. 2 PRESIDENT S REPORT 2014 is the year that all our courts have brought up to an excellent state and will support the club for many years. The new rubber based surface on the two hard courts makes them likely to be the finest outdoor courts in Canterbury. New nets have been installed and we have 10 spare nets which should kit the courts for many years New brighter floodlight bulbs have been installed and 2 new floodlights will extend evening play to 3 courts. The new bulbs should last at least 10 years. Council and club volunteer work have made the grounds and nearby park look appealing. Even with the investment in facilities, the club is in a healthy financial state, as our fundraising efforts (over $4000) and grants ($21,800) supported the upgrades. But we need to note that the grants, which total almost as much as our subscription income, are always at risk. Our club is very fortunate that Antoinette Taggart manages our relationships with the various grants authorities in a very professional and confidence building manner. Excellent facilities deserve lots of use. Both senior and midweek membership numbers are stable and often all courts are used during organised play. However Junior numbers show a decline year on year (a fact shared by many, but not all, tennis clubs). To encourage junior membership; the club has subsidised the subscription fee, the club has a top coach in Shane Tainui, the club put 5000 leaflets in letterboxes and schools last year, advertises in local papers, and runs programmes such as hot shots for beginners. But more ideas are needed. It s a credit to Shane Tainui and his junior teams that 5 of our 12 Junior teams reached their finals in the inter-club competition and 2 teams won their grades. Again, the Junior programme has been vitally supported by Julie Sugden as Junior administrator; and all her work is done as a volunteer. Speaking of volunteers; the club is run by volunteers and these people keep Tennis from being an elitist sport. Avonhead has an excellent record of volunteer service (as an example, 20 club members attended a recent working-bee ) but we need the membership to consider roles on the committee. The Mid-week representatives on the committee, Pam Ingram and Annette Corner, have announced their resignation. Both ladies have made an excellent contribution to club activities and we thank them for this, and thank them also for arranging successors! 2015 Next year, we would like to encourage more juniors into the club and more organised play such as opening the club on Sundays. We also wish to introduce new ways to run club championships and competition ladders. We now have great facilities and a good vibe in the club. Every week, we have had all courts occupied, with a range of abilities being catered for. There has been some very competitive games being played, especially amongst the younger members. Also social tennis has being catered for and after tennis, many members would stay on for a drink or two afterwards. Twilight tennis on Wednesday nights has been successful and enjoyed by all. The club championships went well. The format of the club champs will be changed next season. We may reinstate the ladder system or have the club championships played on a certain day. Looking ahead to the next season, we hope to sustain the continued growth of members and improve the quality of tennis throughout the Avonhead Club. Gwenda Wah INTERCLUB CO-ORDINATOR REPORT Junior Interclub season 2013/ junior teams with 5 making the finals. 2 teams won, 1 drew and 2 lost. There were also 3 mens teams made up of past junior interclub players and it is good to see juniors staying and becoming part of our senior tennis. Even though our junior numbers were down this year there has been an uptake on young juniors wanting winter coaching so confident next seasons numbers will be on the rise. We finished the season with our ever popular club champs, and even with the odd heavy shower we managed to get through before a hail storm hit. I m looking forward to a positive and pro-active 2014/15 season. Shane Tainui

A big thank you to all the captains and managers for looking after the teams. Well done to every parent for supervising and transporting the teams each week, tennis would not happen without your help. Fish & Chip Night and Prizegiving We had a good number of members and their families for our F & C night. Congratulations to all the prize winners. Thanks to Antoinette and Stuart for catering. Our juniors and families enjoyed playing tennis under the lights and in the dark! Championship Sunday We had a good turnout of players and parents again this year. Parent & Child championship is getting bigger and bigger, we are planning to have this championship on a day of its own. Many parents remarked that it was great to play with their children, there are not many opportunities to do this. Having a separate day would enable us to have a round robin format, giving everyone more games. Interclub Finals Results Avonhead Junior Tennis teams 5 teams in the finals 2 teams won 2 teams runners up... 1 draw... Well done to everyone in the teams and to Shane, coaching you all to be the best you can be. Congratulation to all the teams. It was wonderful to see a large number of parents and friends the club on the finals day morning. Team Shirts Please return your club shirt. Return you shirt by leaving it in the clubrooms, in a bag with your name on it, any fine Sat afternoon between 1 and 4pm. Phone Julie if there is a problem. Winter Saturday Afternoon Tennis Sen Satellite players 16 year and over, are welcome to play with the Saturday afternoon social senior tennis group for the winter, every fine Saturday from 1pm. If wet, platy is on Sunday.. Older juniors/senior satellites wishing to play in a senior tennis team next season, please let Shane know. We may be able to team you up with a mentor over the winter This could make the step up to seniors easier for you. MID-WEEK CAPTAIN The 2014 season has been very successful. We have a happy and enthusiastic group of members who are always helpful in the running of the club. We have had quite a lot of social events during the year. Judy Campbell is good at finding new places to have lunches! They seem to be the most popular events. Interclub went well and was organised by Joyce Taylor. Unfortunately, quite a few days were rained off. Our doubles championship was won by Avril Wylie and Allison Switalla. Pamela Ingram

In addition, plenty of minor work was done around the clubrooms and courts. This included: New nets, net tie-down straps and net post brackets were purchased and installed on the tennis courts. The open drain down south side of tennis courts was cleared, and the City Council was asked to clear the blocked stormwater pipe in Crosbie Park. This has now been done by the City Council (at no cost to the club). The door into the clubrooms from the carpark has had the locks replaced and been made more secure by a locksmith. An insurance claim was made for wind damage to our carpark side security fence, the adjacent wooden fence and the garden shed. This claim has been paid out, and the essential work of largely repairing the high mesh security fence, taking down the damaged section of the wooden fence and repairing the garden shed has now been done by club members. Some further work tightening some of the wires on the high mesh security fence still needs to be done. A court floodlight that stopped working has been repaired, and at the same time, the bulbs and igniters in all four floodlights were replaced. An increasing number of shoe marks have appeared on the new hard courts 5 and 6. A sign has been made up and installed on the fence by these hard courts, prohibiting the use of black soled shoes on these courts. A recent working bee was held to do the above wind damage repairs, trim bushes and trees, tidy up the garden and clear gutters, thanks to the 20+ club members who turned up to help. Thanks to Andy Vernon, who arranged for the donation to the club of some airport seating that is now no longer needed by the airport. New projects being considered for 2014/15 include: Extra two floodlights shortly on the spare positions on the existing poles between courts 2 and 3, to light up court 3. Investigate an improved gate entry/exit mechanism. Install a triangular shade sail to provide shade over the northern part of the veranda. Hard courts like courts 5 and 6 should be washed regularly. We intend to run a water pipe and tap to those courts. Alan Marshall Treasurers Financial Report The financial report for the Avonhead Tennis Club has been audited and this report can be read in conjunction with the audit report provided by Ainger Tomlin. Grants Received This Year: Total Grants Received $17,300 The Balance Sheet shows a bank balance of $43,071. Summary of Fundraising: Total Fundraising $2, At the end of the financial year the club showed a paper surplus of $19,585 and if depreciation is excluded, the club would have made a $35314 surplus. But note that about $20,000 of the surplus was committed to resurfacing the hard courts. The club's finances are in a very healthy state, especially considering that the two hard courts have been refurbished to an excellent state. Great work on obtaining grants has contributed to this, together with the boost from the Disputes Tribunal payments early in the year. Insurance payout $4,200, An insurance pay-out of $4,200 was received to fund the repairs to the storm damaged fencing and sheds This is included within Maintenance expenses and offsets the actual expenses; so the total true maintenance expenses was $710 + $4,200, nearly $5,000. At Avonhead, youngsters will not be put in big lines for an occasional hit, but will have an extensive programme of small group coaching with one of Canterbury s most senior coaches, Shane Tainui. New categories off peak casual For the player who may have a social game, with members or other paying casuals, 2 or 3 times a month or less and only plays outside of organised play hours junior social play For juniors who don t want a formal coaching programme nor want to play in inter-club. Is likely to be organised for Saturday mornings and fees have yet to be confirmed. (NOTE: no recommended increases from last year!)
