2 Timeline Dec 7th Dec 12th Dec 15th Jan 20th Feb 3rd 11PM Registration Closes Conferences released 6pm 7:30pm A & HS Team Online Scheduling opens NCJLA Scheduling Meeting, Oakland 14UB & 12UB Game Scheduling Begins Girls and Boys Scheduling Ends Schedules loaded into NCJLA website 8U & 10UB Boys and Girls Jamboree Schedules posted Why wait until Sat, Dec 15th to begin? Conferences might change up until Sat, Dec 14th. Providing neutral format, so every club arrives on Sat, Dec 15th with the same advantage to build good schedules. A & HS receive a head start because they have more scheduling requirements to meet. 2

5 What to Expect Large lively social gathering. Move around a lot and talk to many people. Have a great time. Schedulers collaboratively working to accomplish the same goals. Primary goal is to complete your conference schedule. Good result would be ~60-70% of teams schedules complete. 5
6 Meeting Format Arrive 15 minutes early to check in and get settled. Conferences will be listed on the screen. WiFi is available, but have a backup plan if it's not working. Scheduling conference games is the top priority. Schedulers for both girls & boys programs must only work on their schedules during the designated times. Girls game schedulers should vacate the gym by 12:00 PM at the latest, to allow Boys game schedulers to get situated. A and HS Division schedulers are meeting in the cafeteria from 11:30 to 12:00 PM. 6
7 Things to Bring - Summary Dates & Times you must have: 1. Home field availability and times (turf and grass) 2. Blackout dates for your team(s) 3. Spring Break for your school district(s) 4. Holidays and school events Supporting Information: 1. NCJLA Game Scheduling Appendix & Info Sheets 2. Conference opponents for each team in your club 3. Your team's Strength Score 4. List of clubs that you owe travel to this season 5. Scheduling goals for your organization 6. Any materials specific to your scheduling needs Wear clothing with club colors & logos to make yourself easily identifiable! 7

12 Officials Considerations Boys and Girls Officials Considerations: Games must be scheduled continuously. If a team is going to play more than one game in a day at the same location, there should be no more than 20 minutes of down time for the officials between games. o Clubs are encouraged to schedule another game from the same gender in between the first and second game to accommodate longer breaks (example 14UB, 12UB, 14UB). Keep boys blocks separate from girls blocks, not intermingled. Schedule in blocks of youth vs. high school, best to schedule in blocks of teams close in age level. For example, schedule B12U, then B14U, then your G14UA round robin. Don t schedule 8U games (no officials) in between older teams games. 12
13 Things to Bring Home Field Info Dates and times fields are available. Designate time blocks for girls and boys programs (e.g., Boys from 8AM-12PM, Girls from 12:30PM-5PM). Consider the weather and the type of field you have when locking in host dates. Do not schedule a game if you do not have a field reserved! 13
14 Things to Bring - Team Blackout Date Spring Break (try to not blackout both weekends of spring break, just one) School trips/events (Plays/musicals, grade specific field trips, proms/dances, etc.) Group events Coaches availability Discuss in advance with coaches and team managers! 14
15 New for 2019 Saturday before Easter (April 20) is no longer a blackout date. Games may also be scheduled for Friday evenings. 15
16 Things to Bring - Scheduling Goals Questions to consider: Do you know when your 8U and 10U Jamborees are scheduled? Do your teams want to save tough matchups for before or after Spring Break? Do you owe any other clubs a travel trip? How many games do your coaches want for their teams? 16
17 Prepare a Plan that works for you Some schedulers use Excel worksheets Some schedulers print calendars Some use a separate sheet of paper for each home game Some use a separate sheet for each team, with available dates as blanks to be filled in 17
18 As simple as calendar pages With blackout dates entered. 18
19 Or more complex spreadsheet This example is a google doc that multiple schedulers can access. 19
20 You must have a plan! There is no one right way to do this. All of the previous plans are great. Its strongly recommended that clubs have one master scheduler, vs a scheduler for each team. Use a system most familiar to you as a scheduler. Talk with a experienced schedulers for ideas and tips. 20
