Mengel, Director September 10, OJR BAND SPRING TRIP Dear Wildcat Marching Unit Member & Parent/Guardian: This year s proposed spring trip for the band will be to Boston, Massachusetts. The trip proposal has been submitted to the administration and will be considered for approval by our school board at their next meeting later this month. Here s some preliminary information for you to review so you can decide whether or not you would like to participate: DATES: (Pending School Board Approval) We would leave on Friday, May 24 th 2013 early in the morning and return on Monday, May 27 th sometime late in the evening. The students have off from school, so no school will be missed for this trip. A much more detailed itinerary will be distributed prior to the trip departure. 2 PRACTICES: We will have several evening practices in May to prepare for our performance at Faneuil Hall / Quincy Market. All trip participants will be expected to attend each practice so that we will be prepared for our performance. A schedule will be distributed after New Year, CHAPERONES & PARENTS: All chaperone and student supervision responsibilities will be handled by marching band staff members. All parents are invited to come along on the trip and participate in every aspect of the trip along with the band, but all student supervisory duties throughout the trip will be handled by band staff members. PAYMENTS: A payment schedule is included with this letter and must be strictly adhered to. Parents, please give the payment schedule careful consideration when deciding whether or not your son/daughter will be permitted to go on the trip. PERMISSION SLIP: Please sign and return the preliminary permission slip included with this letter to Mr. Mengel as soon as possible (but no later than September 28 th ). Parents, please indicate on the adult participation form whether you are interested in coming along and if you plan to bring along other family members. The Red Sox will not have their 2013 game schedule out until later this fall, so at this point it is only a possibility. In the event that we do schedule a game, the cost of the trip may be a bit higher (up to as much as $50.00 more per person). It would not be more than $50.00 per person and may be less, depending on when it would be scheduled. We will make this decision and let everyone know once the Red Sox post their 2013 game schedule. Please consider the POSSIBILITY of an added cost (up to $50.00 per person) when deciding whether or not you would like to participate.

5 TRIP PERMISSION FORM WILDCAT MARCHING UNIT 2013 SPRING TRIP - BOSTON, MASSACHUSETTS (MAY 24 TH through 27 th, 2013) I hereby grant permission for my son/daughter (name) to participate in the marching band 2013 Spring trip to Boston, Massachusetts. I understand and will adhere to the payment schedule and realize that any refunds are subject to the travel company s cancellation policy which is outlined on this form and on the payment schedule. I also understand that there is a possibility that the band may attend a Boston Red Sox game, in which case there may be an additional expense (up to $50.00) per person. I understand that my son/daughter will be representing the Owen J. Roberts School District and Music Department and MUST abide by all guidelines and expectations which will be specified by Mr. Mengel in advance. I further understand that if my son/daughter is not behaving in a proper manner on the trip, I will be contacted by Mr. Mengel and may be asked to make arrangements to have them sent home. Any cancellations after November 16, 2012 and before January 18, 2013 will be charged a $50.00 per person penalty. b. Any cancellations after January 18, 2013 and before March 11, 2013 will be charged a $ per person penalty. c. 7 ADULT PARTICIPATION FORM WILDCAT MARCHING BAND 2013 SPRING TRIP - BOSTON, MASSACHUSETTS (May 24 th through 27 th, 2013) All parents and family members are invited to come along on the trip as participants and band supporters. (Supervision of the students and/or chaperoning responsibilities will be handled by OJR marching band staff members.) Any adult or family member who decides to come along on the trip must follow the group itinerary at all times and adhere to all trip guidelines and expectations. Adults coming along on the trip must also have the proper security clearances and background checks in place as required by the Owen J. Roberts School District. All adults or family members coming on the trip should follow the same payment schedule as the students.
