1 FAQs Frequently Asked Questions about NHS marching in the Rose Parade Current as of 6 Dec 2016 Please monitor the NHS Eagle Pride Band website for the most current information and forms. 2 New Question: What additional forms are required for the trip? Answer: The following forms must be completed prior to the trip. Please note all forms, except the ToR Student Participant Medical Release, are on the NHS band website and on charms. Recommend print the required forms, fill them out, and bring to the Town Hall Meeting. Go to Click Charms tab, Files and Handouts tab, then the ToR Parade handouts folder. Forms are also posted on the website under the Rose Parade tab. Notaries will be available at the 12 Dec town hall meeting, in addition to extra forms. We hope to have the missing form from the ToR organization by 12 Dec; we will send separately if we receive it sooner. Parent Contact and Acknowledgement form Request for Student Release from Pasadena trip form. This form must be filled out in advance and notarized. It is only required if checking a student out after the parade. Request to Visit Student form. This form must be filled out in advance and notarized. It is only required if planning to visit a student at the hotel. Answer: Yes, all travelers must have a valid ID. If students and chaperones do not have a driver s license or military ID, you must obtain an ID card in order to travel at one of the Okaloosa County Tax Collectors offices listed below. Call for an appointment. Florida has new documentation requirements for residents renewing or obtaining a new driver s license or identification card. For office visits, you must bring original documents that prove your identity, social security number and residential address.

Answer: We need your health insurance information in the event your student develops a situation in California requiring medical care beyond our first aid team capabilities. Having your insurance information protects you from receiving a full bill & having to sort out insurance after the fact. New Question: What number do I provide if I have Tricare? Answer: If you have Tricare, there is a member benefits number in the back of the dependent's ID card that you can be provided instead of the sponsor's social security number. New Question: What do I do with my child s medication required for the trip? Answer: The following guidelines should be followed. - Certain medications should be kept with your child at all times such as Epi-pen and inhalers.

5 - Pill type medications (prescription* or medically necessary) should be turned-in to the First Aid table on luggage turn-in day, 28 Dec 2016, in their original packaging, with the accompanying Med Dispensing form (available online and at all TOR events). - For discretion, birth control pills can be kept in the student s luggage, and self-dispensed with a signed waiver turned in to First Aid (see First Aid at luggage turn-in day). - Cream type meds can be kept in the student s possession or turned in to First Aid at the parent s/student s preference. - Vitamins should not be brought on the trip. If your child takes a medically necessary vitamin, see the pill instructions above. * Prescription medication needs to be in the original packaging with CURRENT prescription information on it. Please, only send as much medication as your student will need on the trip. Additional medical questions can be ed to NHSBandFirstAid@gmail.com New Question: What does my child do if they are not feeling well during the trip? Answer: Speak to their chaperone and/or the First Aid Chaperones as soon as possible. First Aid will have all the over the counter (OTC) meds listed on the med form and OTC meds will be dispensed as needed based on authorizations granted on the med form (handed in around the time of Band Camp this summer). If you need to update or review your child s med form, please NHSBandFirstAid@gmail.com New Question: What do I do if my Health Insurance information has changed since summer? Answer: to update your child s Med Form, please any changes to NHSBandFirstAid@gmail.com and it will be added to their Med Form, which was turned-in over the summer. New Question: Will there be a medical doctor on the staff for this trip? Answer: Yes, we are fortunate to have a medical doctor as one of our chaperones. She will be available in the event any student requires additional medical attention over and above medicine dispensing and minor ailments. New Question: What are the band uniform turn-in schedule and instructions? Answer: The uniform turn-in day information is posted on the band website. Do not try to turn in during someone else s turn in time, as uniforms are packed in boxes by section. If students cannot come to check-in, parents will be able to turn in their student s uniform, BUT only their students, no one else s. Identification tags will be provided for the garment bags. Student Attire for the 2016/2017 Rose Parade Trip Limit one suitcase per person, must weigh 50 lbs. or less, leave room for souvenirs. Items to Pack in Your Suitcase DO NOT LOCK SUITCASE! No tank-tops, shorts, or flip-flops of any kind outside of hotel All clothing must fit in 1 suitcase. There is a 50 pound limit (less if you plan to buy a souvenir). 9 1/3 TRAVEL HOME All: jeans/khakis, belt, tennis shoes, TOR jacket Instruments: school approved shirt (Eagles Nest T if you own one, not required) Color Guard and Majorettes: Black N t-shirt New Question: When do I turn in my luggage and instruments and check-in for the flight? Answer: All passengers flying on the plane (students, chaperones, staff, F&F, and extra ticket holders) must turn in their checked luggage and check-in for the flight on 28 Dec according to the schedule below. For security purposes, everyone over 18 years of age must deliver their luggage and instruments in person and check-in with a government approved ID. Parents can check in luggage for their children if they are less than 18 years of age. Luggage will not be accepted unless the traveler is paired with the luggage and they have a government approved ID. If your schedule does not permit you to check in at the designated time listed below then please check in at one of the other available times. Recommend chaperones, staff, and friends and family check in at the same time as their students. Drug dogs may be on hand to inspect bags and all bags may be opened for security purposes. Answer: All passengers are allowed one carry on bag, and a purse. However, Back Packs or backpack-sized bags are recommended and preferred. No wheeled carry on luggage will be allowed. Normal TSA restrictions apply for all carry on liquids and items. All liquids must be less than 3 oz. and all fit in a 1 quart Ziploc bag.

With the exception of two lunches, everything is included such as lodging, food, tickets to events, and transportation. Recommend students bring at least $50 for two lunches, snacks and spending money. 11 New Question: Will there be beverages and snacks on the plane? Answer: There will not be any snacks on the plane but beverages will be available. Recommend packing breakfast and snacks in your carry-on luggage. Remember, liquids are not allowed. New Question: My student has dietary allergies or special dietary needs. Will each restaurant provide a meal for my student? Answer: Yes, for all students, chaperones, and F&F travelers who have provided their dietary allergies or special dietary needs in advance, Grueninger Music Tours will handle informing every restaurant/dining facility throughout the trip. Also, your Grueninger Music Tours Travel Directors will be verifying all of the dietary needs with each restaurant the day prior. However, students need to selfadvocate by communicating with each waiter/waitress what their dietary restriction is.

12 New Question: What are the departure morning plans on 29 Dec and where do I park? Answer: All travelers flying on the airplane will be meeting and departing from NHS in buses. We recommend drop off and carpooling if possible. For those parking, please park in the main lot in front of the gym. Parents please say good-byes in the parking lot since no parents will be allowed in the auditorium, unless they are travelers. All travelers will be bussed to the airport and proceed through security in a separate hanger from the main terminal. We will then be bussed to the plane, which will be parked on the Eglin AFB taxiway. There will be no provisions for anyone to get on the plane by going through the main commercial terminal. Time 5:30am 5:45am 6:30am Departure Day Schedule Activity Chaperones arrive and report to the auditorium - Students be in seat by day groups with chaperone according to diagrams - F&F, Staff and Extra travelers report to the gym * Roll call, boarding pass distribution and final departure comments will occur promptly at 5:45 so be in place Load Buses and prepare to depart for airport New Question: What are the times for the return day on 3 Jan 2017 Answer: The airplane will land at Destin-Ft Walton Bch Airport (VPS) on 3 Nov at 2:45 pm. All travelers will be bussed back to NHS with an estimated arrival time starting at 3:45 pm. Please be patient since we will have to unload 470 pieces of luggage and band instruments. Students will not be allowed to leave until all band equipment has been unloaded and stored. We will need all hands on deck to unload everything. New Question: What security precautions are being taken? Answer: The safety and security of the students is our primary concern. The city of Niceville is providing two police officers. They will be flying with us on the trip and staying at the same hotel. They will be patrolling the halls at night to make sure no unauthorized personnel enter or exit the Niceville area. They will also be attending selected events to provide additional security. We will also follow all of the Rose Parade security precautions and protocols. New Question: Can I checkout my student during the trip? Answer: Students can only be checked out to travel home with their families and after the Rose Parade. There is no provision for students to be checked out and returned to the group during the trip. In order to be checked out, parents and/or guardians must complete the Request for Student Release from Pasadena Trip form prior to the trip and has to be notarized. This form is located on the band website and in charms under the TOR Parade handouts. Please note, students may only be checked out

13 at the hotel on the afternoon after the Rose Parade and they may not return. This means they will miss the Blast Off dinner on the Queen Mary. New Question: Can I visit my student at the hotel? Answer: The only opportunity to visit students at the hotel will be the afternoon after the parade at the hotel lobby from 3:30 to 4:30 pm during their rest time and uniform turn in. For security reasons, visitors will only be accepted if they have filled out the Request to visit student during Pasadena Trip prior to the trip and had it notarized. This form is located on the band website and in charms under the TOR Parade handouts. New Question: What are the trip policies, rules, and regulations? Answer: The trip policies, rules, and regulations are posted on the band website and in charms under the TOR Parade handouts. All parents and students should read the policies to understand the expectations and consequences for the trip. New Question: Where are Friends and Family Staying? Answer: The A/B (escorted) group is staying at the Westin Long Beach. Answer: The intent is for the F&F to be in the same venue as the band, but there is no plan for the students to sit with their parents. There is no reserved seating so students can sit where they want to. We expect the students to all sit together. New Question: What is the chaperone uniform of the day? Answer: The Niceville High School Band is one of 19 high school bands in the United States accepting an invitation to march in the 128 th Rose Parade in Pasadena, CA. The parade will step off at 8:00 a.m. (PST) on Monday, January 2, Please note the parade is on the 2 nd in 2017 since the 1 st is a Sunday. There will be about 700,000 spectators along the 5 ½ mile parade route and about 81 million TV viewers around the world. Students will march about 6 miles with their instruments from the staging area to the finish at a pace of about 2 ½ miles per hour. Answer: The overall trip duration is planned from Thursday, Dec 29, 2016 to Tuesday, Jan 3, The most current itinerary is posted on the NHS band website under the Rose Parade link at

16 Question: Is Tuesday, Jan , an excused absence for students? Answer: Tuesday, Jan 3, 2017 is a teacher workday so school will not be in session. The students will not miss any school due to this trip. Question: How much will the trip cost? Answer: The trip is optional and will cost $2500 per student. All students must pay full price, even if they plan to travel back separately with their parents. This price includes the following: - Airfare: Round trip charter flight and fuel surcharge - Lodging: Long Beach Marriott, 4 students/room - Entertainment: Entrance fees to all events - Food: All food, except 2 lunches - Transportation: Charter bus transportation to all events - Apparel: T-shirt, jacket and Commemorative pin Question: How will the students travel to Pasadena? Answer: The students will travel on an ATLAS charter airplane, which will fly direct from the Destin-Ft. Walton Beach Airport to Pasadena, CA. Question: Will a trip deposit be required? Answer: Yes, a non-refundable trip deposit of $200 was due on Jan 15, 2016 along with a signed letter of intent to make the trip. The letter of intent form is posted on the NHS band website under the Rose Parade link at Question: How do we pay, will there be a payment plan, and what is the refund policy? Answer: Payments can be made by check (default payment method) or credit card, according to the table below. Only one method may be used and credit card payments will start on 15 March. In order to pay by credit card, the credit card payment commitment form must be filled out and turned in to the school red box by 11 March, Check Payment: The check payment schedule is listed below. Fundraising money posted to the students charms account can be applied monthly. Please fill out the check payment form and include with every payment. - Credit Card Payment: The credit card payment schedule is listed below. Fundraising money posted to the students charms account can only be applied once, in September. A 5% service fee is applied to each credit card payment. Any extra payments will be refunded to the credit card. Any parents wishing to pay by credit card must submit a credit card payment form by March 11, 2016 to be considered.

Super 50/50 Drawing What: Super 50/50 Drawing by Chance When: Feb-Apr Drawing occurred on 22 April at Jazz Dinner Comment: Students raised over $19,000! 3. Golf Tournament

Question: Will there be scholarship opportunities for those in financial need? Answer: Yes. Qualified students may be awarded a maximum of 50% of the trip cost, based on availability of scholarship funds. Recipients will be required to submit an application. Selection will be based on attitude, character, scholarship, financial need, and their active participation in fundraising activities. The scholarship forms are available on the website under the Rose Parade link or from the band directors. All scholarship forms must be hand delivered to the band director by Nov 1, Donations to the scholarship fund can be made by downloading the sponsor form, which is posted on the band website under the Rose Parade link at Question: How can I make a corporate or individual donation to the band or for a specific student? Answer: All donations are graciously appreciated and are tax deductible. We will have three options for donations as follows: - Red Rose Sponsor: This donation is applied to the general Rose Parade fund to offset overall trip costs. This donation benefits all students. - Yellow Rose Sponsor: This donation is applied to the scholarship fund to defray the cost of students with demonstrated financial need. - Pink Rose Sponsor: This donation is applied to a specific student s account to fully fund or partially fund his/her trip. If you or your business would like to make a donation, please download the sponsorship form from the Rose Parade link at Question: How and when will chaperones be selected? Answer: The chaperones have been selected and we will take 32 chaperones on the trip. Question: Can parents and other family members travel with the band and attend events? Answer: Yes but all slots are filled up. The travel agent, Grueninger Music Tours, has prepared a tremendous friends and family travel package. The plan is for all friends and family to travel on the 747 aircraft with the band. A friends and family brochure and the registration website is located on the NHS band website under the Rose Parade link at Question: Can I just fly with the band to take advantage of a direct flight to LA?

20 Answer: There are no more available seats. Question: Will there be a discount if I keep my child in Pasadena and travel back separately? Answer: No. All students must pay full airfare since the trip is based on a round trip airfare. Students will be allowed to be checked out from the hotel after the parade and travel home with their families. However, there will be no discounts. Question: Can we check out our children during the trip to visit relatives who live in Pasadena? Answer: No. Due to safety, security, and logistics reasons, students cannot be checked out during the trip. Parents will have the opportunity to check out students permanently from the hotel after the Rose Parade and have the student travel back separately from the band. Question: Can we visit students at the hotel? Answer: Yes, but only during designated visiting hours and in the lobby only. Visiting hours will be posted one our final itinerary times are provided in early December. Question: Will new color guard & majorettes participate in the trip since tryouts are typically in April? Answer: Both the color guard and majorettes are key components of the band, and they are encouraged to make the trip. The majorette tryouts have been completed and the results are posted. Color guard tryouts are scheduled for the week of Feb 29-Mar 4. All majorettes and Color guard will need to fill out a letter of commitment form to make the trip. Question: Will new transfer students be allowed to go on the trip? Answer: Yes. New transfer students who join the band and want to go on the trip must begin payments as soon as possible upon arrival in the NHS Eagle Pride. New students will need to work directly with the treasurer to make payment arrangements.

21 Question: Can my current 8 th grader who will be in the Eagle Pride Marching Band in the Fall of 2016 participate in fundraising activities with the NHS Band? Answer: Yes. High School Charms accounts have been established for each current 8 th grader who may join the Eagle Pride. Trip payments and fundraising profits will be posted to this account.
