1 MINUTES Milton Primary School PTA AGM Monday 9 th October 2017 In Attendance Jill Pate (Chair -JP) Mary Brownlie (Secretary - MB) Lorna James (Head Teacher LJ) Janet Graham (JG) Jennifer Manson (JM) Michelle Wiseman (MWi) Hazel McShane (HM) Apologies: Sandra Gardiner (SG) and Michelle Wailes (MWa). Action Items Update SG confirmed by that she will get all the items documented in previous meetings minutes for Halloween Disco. Other action item updates covered in relevant agenda points below Schedule of Meetings for the Year Discussed and agreed meetings on following dates (subject to let confirmation): 1 November 13 November 15 January 26 February 23 April 21 May Based on timing of events and avoiding holidays and clashes with parent council meetings Halloween Disco MB has booked and received confirmation of the let for the Halloween Disco 25 th October booked for 6-9pm to allow time for set and clear up. Primary pm Primary pm (Primary 7 will be able to attend this year as Lockerbie stay is the week after). 2 entry fee. Confirmed roles as follows (others to be allocated on the night): MW: collect entry money at door JG: in charge of games on the night. HM: collect decorations for corners games.

2 Others: one on door with MW, at least two in café, at least four in hall (with two on main doors) Ask Janitor if he would be kind enough to judge the best dressed competition. Davie Rollo to judge best dancer Costumes nothing too gruesome as some people do not like the fear factor. Mrs James will put a letter out this week in pupil post re confirmed date of disco and some basic rules. Agreed helpers welcome to wear costumes too! Mrs James confirmed the best time to have a look at what decorations we have under stage is 2.30pm on a Friday. MB, JP and JM will attend this Friday 13 th at 2.30pm. We will let HM know what is there in case she needs to get more than the corner decorations. MB has already picked up some banners. Christmas Cards MB gave a brief overview of the pricing details for both Lanarkshire Printhouse and South Lanarkshire Council (SLC) print room (supplier used in prior year). It was agreed we would go with SLC as the costing/profit ratio is financially more beneficial. The specifications available for the cards were discussed (see below) and MB will submit request ASAP in the hope of a quick turnaround. Due to the October holiday it is unlikely we will be able to get templates out to parents until (at earliest) Monday 23 rd October.

3 Due to time constraints Mrs James suggested it would be best if the templates were sent home this year for children to complete. It was agreed a turnaround time of one week will be put on the forms sent out to parents. Card specifications Agreed pricing for parents: 4 per pack Portrait orientation Greeting Seasons Greetings Request 185 templates as there are around 183 pupils at the moment MB will contact Gaynor in school office for school cost code (means no VAT charged) Expenditure Decisions Mrs James will research pantomime production companies at the moment few have approached the school and those that have are very expensive. We discussed the possibility (for future years) of fundraising to take the children out of school to a pantomime. Due to buses etc this is a significant cost but all agreed this would be a great experience for the children so it is something we could look into in the future. Forest schools is also still something the school is interested in pursuing the co-ordinator of the group is currently on maternity leave, so again this is something Mrs James will look into at a future date. As noted in a recent newsletter, the school house captains legacy project are researching the possibility of adding football and netball nets to the MUGA. This is something Mrs James has hinted the pupils may approach us for funding on. Christmas Fayre Date confirmed 1 st December time pm Consistent with prior year, instead of entry fee there will be a charge for refreshments ( 2 adults, 1 children). MB, JP and JM will check on Christmas decorations at the same time as looking at Halloween decorations. Letters to be drafted Letter to parents to note interest for stalls ( each - TBC), also asking for helpers and donations of home baking & for tombola Letter to local/big businesses re possible contributions, noting this and future events. Must mention request is from PTA not the school. Mention they will be acknowledged on the day for their contribution (possibly on poster/projector)

4 Acknowledgement of thanks to contributors Draft a poster to advertise event to be placed in local businesses and on Lesmahagow FB page. JG and JM have offered to ask Woodpark Nursey if we can place a notice on their newsletter (as they have future Milton pupils). Possible stalls/attractions Santas grotto JM will speak to her father-in-law to ask if he would be Santa as he is almost a professional Santa. (Confirmed immediately after meeting) 2 entry to see Santa + 1 extra to have photo Selection boxes for every visitor will speak to NISA to ask if they would supply small selection boxes on a sale/return basis. Mrs James has offered the services of some student helpers to run the grotto (elves) JM will research reasonably priced pre-made photo mounts Mrs James suggested using the meeting room as Santa s grotto to hopefully prevent the congestion issues we had last year. Agreed this was a great idea. Pupil items The pupils will again have stalls this year selling items made in class to raise money for the school. The Primary 7 pupils will manage these stalls. PTA stalls (predominantly based on last year s most successful stalls) Raffle sales Tombola Used books (speak to Karen Hynd) Knock Santa off the chimney Bottle bag selection game Playing card/sweet stall Coin rolling game Coin game Rudolph nose Outside stall holders Raffles Limit to 5 or 6 stalls due to space

5 MB has a list of local businesses we will ask re raffle prizes either by letter or in person. Agreed should have a list of raffle prizes available for those selling tickets (both in advance and on the day) Keep a hold of old shoe boxes to make up our own hampers like last year. Schedule of Future Events This was briefly discussed (and will be further discussed at next meeting). MB has asked Tesco for a date for bag packing we have a provisional date for 3 rd Feb 2018 (which will be confirmed by Tesco at least a month in advance). Fundraising night? Milton s got talent? AOCB JM mentioned that the Red Cross offer training for children in Basic Life Support however the request has to be made from the school. JP asked those present if there were any objections to the committee applying for internet banking for the PTA bank account. JP highlighted that under internet banking, only one signatory is required to transfer funds (vs two for manual payments currently). It was agreed that this was acceptable and the committee will apply and update signatories accordingly. Date of Next Meeting Wednesday 1 st November at 7pm (pending let confirmation)
