9 Sokol Detroit Unit Meeting July 5, 2016 Meeting called to order by President, Sr. Renata Greene, at 7:10 p.m. 18 members were in attendance. The Pledge of Allegiance was recited. Past member Joe Malik passed away. A get well card was sent to Br. Petr Peska. Application for Membership: Sr. Susan Bares presented an application for Richard & Michelle Reinhold, sponsor Br. Ron & Sr. Donarae Hill. Discussion on sponsorship procedures. Sr. Greene read our by-laws on this matter. Sr. Wiggle interviewed Jennifer Harrington & recommended her for membership with no objections from the unit. Correspondence & Bills: Executive Board Officers Reports: President: Sr. Greene had no report. 1st Vice President: Sr. Carol Brandon had no report. 2nd Vice President: Br. Eric Singley had no report. Secretary: Sr. Beverly St. Thomas had no report. Treasurer: Sr. Ann Marie Hurych was excused. Financial Secretary: Sr. Kirsten Conely was excused. Discussion on receiving quarterly reports. Sr. Greene will contact Sr. Conely for the membership list. Educational Director: Sr. Bares noted her presentation for the meeting was already in our newsletter. This article in the Detroit News shows our old hall, the historic National Bohemian House, being bought for renovation. Sr. Jerry Kalivoda will comprise an historic account of the hall & send it to the new owner, Jerry Belanger. BOI: Sr. Lynn Conrad reported that summer classes have started. Sr. Bares noted Saturdays at the camp: Started Fun & Fitness class with about 12 children attending; cardio drumming class has had an average 7 attending. Unit Property Committee: Br. Alex Novacek excused. Scholarship: Sr. Kalivoda noted the number of scholarships since The vast majority of donations are from contributions in memory of one that has passed, with small donations from flower sales & pancake breakfast at the camp. There was much discussion on new members, sponsors responsibilities, mandatory work hours, members working hours for those members not doing so, and other working issues. Sr. Mary Ann Fiordelis will write an SOP on procedures for interviewing potential new members. Sr. St. Thomas will participate on this also.
10 NEDBOD: Br. Charles Bares noted attendance is needed at the Administrative Conference, September 23, 2016, in Chicago. Sr. Greene, Br. Carl & Sr. Fiordelis will attend. Br. Chris Cortis was requested to address this issue to the UPC. Representatives are also needed for the District meeting, October 2, Cottage Owners: Sr. St. Thomas reported the 4th of July annual picnic had 151 adult & 19 teens admissions. Attendance increased this year along with the expenses but a fun time was had by all. Trivia Night: Br. & Sr. Bares team took first place. Fishing Derby: Br. Rodney St. Thomas: August 26-28, Fliers are available. Ethnic Festival: Festival is July 16-17, Please use the sign up genius for work schedule. Workers are needed. Please contact Sr. Kalivoda. The June 7, 2016, unit meeting minutes were accepted as submitted. Sr. Fiordelis took 1st place in the Fitness Challenge at the USA Slet, in Pittsburgh, PA, last week! Along with her medal (!) she brought us the program booklet that we placed an ad in. Sr. Greene received a scheduled list of Sokol Dinners at the Bohemian National Hall in Cleveland, OH. There is a Sokol Day at Cedar Point, Sunday, September 4, 2016, at 10am. Unfinished Business: Sr. Bares, along with Br. Eric Singley, will be on the future of Sokol Detroit committee. There is no August meeting. The next meeting is September 6, 2016, 7:00 p.m., at the hall. Any amendments to the by-laws must be presented at this meeting, which will be voted on at the annual meeting in October. 11 Sokol Detroit UPC Meeting Highlights June 10, 2016 Attending: M. Novacek, A. Novacek, D. Bares, J. Conrad, J. Michalek, D. Hurych, D. Fair, D. Mily, J. Seidel, M. Eisenstein. Excused: B. Jandasek, C. Cortis, L. Cortis Guests: Sue Bares, Carol Brandon Meeting called to order at 7:07 pm. May minutes and Treasurer s reports approved. Guest Issues Approval granted to Sue Bares to weed landscaping, purchase and plant flowers at the Center entrance. Concerns about items around a cottage being addressed. Boats in the storage area of the Camp are all stickered and allowed to be stored there. Unit Items Refinishing of the concrete Sokol sign added to the camp work list. Correspondence Molter camping dates request approved. Camping guidelines will be done in the future. Dunlaps will use the extra space at the Frommert dock. Cottage owners and guests are asked to be respectful of their neighbor s space and right-of-way areas (parking, storage). Center Report Vital Sign Co. will handle repairs of the marquee; cost of repair is $2900. Center statue will be welded/repaired by Br. Jeff Kolar & son, and repainted. Repair for HVAC will run $1200 and involve removal of zones to have the airflow better matched to the fan. Existing ductwork will be flashed and caulked to stop roof leaks. Camp Report Still need volunteers for camp clubroom bartenders. Camp Clean-up was successful-thank you to all who participated. The new picnic tables received; old tables were sold for $500 via Craigslist. Volunteers are needed to replace the Plaza soffit/fascia. Ice house door work scheduled for completion later this summer. Ongoing discussion is being held regarding long term plans/design of the camp kitchen. Page 11
12 Old Business The UPC has been monitoring all dock usage thus far into the season. Jonathan Conrad requested approval to put a dock in between the Novacek/Frommert dock and the Day-Use dock. After lengthy discussion, motion carried to. David Bares and Derrick Fair volunteered to finalize wording of any proposed changes to the Camp Rules for incorporation into the Unit By-Laws by the end of August. Need to work with affected cottage owners regarding dead pine trees at the Camp. Only trees in common areas are the responsibility of Sokol. Requests/sketches received from Mike and Karen Cortis for several enhancements to the cottage perimeter. Approved request for walkway (must be completed by July 2). Rejected requests for other enhancements at this time. New Business UPC position regarding fireworks at the Camp is that State law must be followed and full responsibility of any issues remains with persons using fireworks (damages, cleanup, etc). Kayak storage racks will be discussed at a future meeting. 13 Sokol UPC Special Meeting Minutes July 2, 2016 Attending: Alex Novacek, Meg Novacek, David Bares, Johanna Seidel, Diane Hurych, Lindsay Cortis, Chris Cortis, Jonathan Conrad, Derrick Fair, Bruno Jandasek Excused: John Michalek, Doug Mily, Milo Eisenstein The meeting was called to order at 9:02 a.m. Purpose of the meeting was to clarify UPC voting procedures and revisit July 10 decision regarding addition of a new dock at Sokol Camp. Voting Process/Alex Novacek Quorum is defined as ½ of the UPC or 7 members as 13 currently sit on the board. If a conflict of interest is present (if you have a personal stake in the item being voted on) an abstention is understood and changes the number of votes necessary for a quorum. Going forward, requests for items to be added to the agenda will being stated in depth as much as possible regarding content as pertaining to the request. Errors on agreement regarding verbal aye and nay votes over general consensus need to be addressed real time at the meeting not after the fact.
14 Docks/Alex Novacek: Alex stated that two years ago the UPC voted not to put in an additional dock near the Frommert/Novacek dock. In June 2016, the UPC voted to allow a new dock be placed between the Novacek/Frommert and Day-use dock thus changing the previous decision and undoing the previous (2014) motion. Several members of the UPC are concerned about this conflict. Alex stated because of this fact the vote is not clear and that he wants to move forward in this matter with final resolution. Alex made a motion to create another dock space between the Frommert/Novacek and Day-Use docks. Meg seconded the motion. Alex requested discussion from all UPC members present with their views on the dock issue. After all UPC members stated their position regarding the dock, a general consensus regarding verbiage of the motion was reached and that the wording dock site be used in place of the word dock. Alex presented an amended motion to create another dock site between the Novacek/Frommert and Day-Use docks, understanding that this changes the previous decisions from July 2014 and June 2016 regarding dock sites. Motion carried, 5 in favor, 4 opposed. Jonathan Conrad recused himself to avoid any appearance of conflict of interest. This brought the number of members present and voting to 9.
