He will be on call all weekend. Participants should not wait in the event of a colic or laceration that needs immediate care. Do you have any suggestions? 4 Please refer to the class sheets in your coaches packet for ride times, division order and arena assignments. ** All Awards Ceremonies will begin at the end of each class.** THERE WILL BE NO RIDING ALLOWED BETWEEN THE B & C ARENAS BY ANYONE AT ANY TIME Trail course will be set up Saturday evening. Coaches and horses are allowed on course Saturday until the arena closes at 11 pm. Athletes can walk (on foot, no horses) the course on Sunday from 7am 8am. 21

5 REMINDERS Coming Soon State Indoor Winter Games to be held in Cobb County, Georgia January 11-13, 2019 Paperwork is due on November 13, 2018!! ATTENTION COACHES!!!!! A MANDATORY COACHES MEETING WILL BE HELD IN THE A ARENA SATURDAY MORNING AT 7:00 AM CLARIFICATIONS AND CORRECTIONS WILL BE ADDRESSED AT THIS MEETING. DO NOT MISS IT. If you would like to be part of an area management team, local management team or even a state games organizing committee, please contact your Program STALL INFORMATION SHAVINGS: Stalls will NOT be pre-bedded with shavings. Shavings can be purchased thru the Ag Center. NO CHECKS WILL BE ACCEPTED FOR SHAVINGS!! Please preorder additional shavings if needed!!. Shavings through SOGA are $10 per bag through SOGA. Please refer to the Stalls allotment form for the ratio of tack stalls allowable by SOGA. All extra tack stalls are to be secured and paid for prior to the show. No extra tack stalls will be sold at the show. **IMPORTANT** The Barns have all clay floors!! Be prepared to purchase extra shavings!! You will find the barns very comfortable, access to water is everywhere, just bring your hoses. ** IMPORTANT** All stalls must display Coggins Papers AND delegations Emergency Contact Information sheet at all times. No exceptions. ** IMPORTANT** NO DELEGATIONS SHALL CHANGE STALLS. Stalls are NOT first come, first serve. You must use the assigned stalls. The stall fee we pay is for 2 nights only! If you decide to come early & stay Thursday night SOGA incurs an additional fee!!! If you do intend to arrive on Thursday please contact liz.smith@specialolympicsga.org by October 6th or the Nerve Center at Thursday of the show. You must be on a list to be allowed through the gate. **Thursday Barn Check in times will be 5-9 p.m. No earlier arrivals will be allowed thru the gate. This is an Ag Center policy. The barn check in office will be under the announcers booth at the covered arena. Friday barn check in hours are from 9 a.m. to 9 p.m. If you need to arrive early on Friday, please contact Liz Smith at liz.smith@specialolympicsga.org ( ) or Emily Hamilton at EmilyHam001@yahoo.com ( ) Emily Hamilton will be available during these times to direct you to your assigned stall. Original Coggins will be checked as the horses are put into stalls. Each horse must have a copy of its current Coggins papers stapled to the front of its stall all weekend!! 20 5

6 Stall Decorating Contest SOUVENIRS **Souvenirs will not be sold this year at the Horse Show. You may purchase souvenirs at Opening Ceremony on Friday evening at Laurel Park. INCLEMENT WEATHER The theme this year is: Cowboys & Aliens Stall Decorations will be judged before lunch on Saturday. Prizes given Saturday night at the dance. In the event of severe weather conditions we will postpone the show and allow the weather to pass. Everyone will report to the Activity Hall. We do not anticipate having to cancel the show due to weather. **Remember that no decorations shall cover Coggins or Emergency Contact Info!** **Please do not use anything that flashes or makes noise in your decorations!** NO decorations will be allowed on the Barn end-caps this year. 6 19

7 Commercial Messages on Athlete Uniforms and Competition Numbers In order to avoid commercial exploitation of persons with intellectual disabilities at World, Regional or Multi-Program level Games, no uniforms, and no bibs or other signs bearing competition numbers, which are worn by Special Olympics athletes while competing or during any opening, closing, or award ceremonies of any Games may be emblazoned with commercial names or commercial messages. The only commercial markings which may be displayed on athletes' and coaches uniforms during Games competitions and opening and closing ceremonies are the normal commercial markings of the manufacturer. For purposes of this Section 5.08(a), "normal commercial markings" are limited to the following: (1) On larger clothing items, such as shirts, jackets, pants, jerseys, and sweatshirts, one logo or commercial name per clothing item is permissible, if that name or logo display does not exceed an area of six square inches or 38.7 square centimeters (such as a display measuring 2" x 3" or 5.08 cm x 7.62 cm); (2) On small clothing items, such as caps, socks, hats, gloves and belts, one logo or commercial name per clothing item is permissible, if that name or display does not exceed an area of three square inches or square centimeters; and (3) On athletic shoes, no logos or commercial names are permissible except for names or logos which are included by the manufacturer on athletic shoes which are sold to the general public. Curfew & Supervision of Athletes Athletes & Coaches should be in rooms & quiet by curfew (11:00 pm). Assistant Coaches and Coaches are responsible for the conduct of their athletes AT ALL TIMES. Remind your athletes that there are other paying customers in the hotels. Any athlete(s) found unsupervised, or who are engaged in disruptive behavior can be disqualified from the Games. Please ensure the safety of your athletes and help provide an enjoyable weekend by being responsible for their whereabouts. Swimming Policy Please make sure that your coaches and assistant coaches enforce the policy of NO recreational swimming at Special Olympics Events. This includes pools, spas, hot tubs, etc. 16 9

10 FINAL REMINDERS HOTEL Check in on Friday, October 19, :00-5:00pm at the entrance to Arena A. Please do not try to check in early at the hotel. You must be checked in by SOGA staff only and will not be given keys any earlier by the hotel. Keys will only be given to the Head of Delegation. If you have a medical situation and need extended accommodations, please let liz.smith@specialolympicsga.org know before the show so that she can arrange your extended accommodation. Thank you. Upon Check out: Check Rooms for all personal items. Take keys to front desk to check out. Pay incidental charges... SOGA pays room & tax only. Your agency is responsible for any damages. Agency will be billed for missing linens, towels, etc. ACCIDENT INSURANCE COVERAGE Athletes, coaches, and volunteers are covered by accident insurance up to $5,000 while attending this Competition. Coverage is secondary to any primary coverage the individual has. If the individual has no coverage, this accident insurance becomes primary coverage. This applies ONLY to accidents... not earaches, stomach aches, etc. Accident/incident forms are available at the hospitality table (main medical) during the Show. Medical volunteers will complete this form for any incidents. ALCOHOL, ILLEGAL DRUGS The possession or use of alcoholic beverages or illegal drugs by athletes, coaches, Head of Delegations, and other volunteers involved with the event is not permitted during the Competition weekend. Violation of these regulations will be cause for immediate expulsion from the Competition. SATURDAY LUNCH, DINNER & SUNDAY LUNCH: Agencies are on their own. SOGA Hotel/Dorm/Venue Emergency Plan In the case of an emergency please respond accordingly. In the case of a fire/false alarm please make sure your entire delegation calmly vacates the building and that they are all accounted for. Remember to take your keys and your housing list. (The Head of Delegation should make a final sweep of the housing/building counting your athletes/coaches and make sure you have everyone when exiting or re-entering) In the case of bad weather (tornado, flooding) please make sure your entire delegation is in a secure and safe environment until the weather has cleared. Make sure that each athlete/coach in your delegation is accounted for after the weather has cleared. Remember to take your keys. In the case of a missing member of your delegation (athlete, coach, family member) please contact the Nerve Center/SOGA Staff as soon as possible. Please calmly provide a detailed description of the situation and adhere to the SOGA Crisis Plan regarding the dissemination of information. The Nerve Center phone number:

12 HOUSING & CAMPING The Best Western Plus, Jameson Inn, Fairfield Inn, and Hampton Inn have been booked for Athletes, Partners, Horse Handlers and Coaches according to the SOGA allotment. Rooms and taxes will be paid by SOGA for these rooms. We house 4 people to a room with 2 Double beds, 4 people for a King bed with a pull out sofa bed, and 5 people for a room with 2 Double beds and a pullout sofa bed. RV S / POP-UP CAMPERS can reserve an overnight hookup for $35 per night. Please contact Liz Smith for details regarding camping x 1108 No Sleeping in Barn Fire regulations prohibit anyone from sleeping in the barns or the barn area. Needless to say, no fires are permitted at any time.
