If you want these costs charged to your account, please be sure to tell them you are a Pinehaven Country Club member, give your member number, and legibly sign (or print) your name on the charge slip. This will avoid any problems at the other club or here in the office as to whose account should be charged. Late payment To avoid a finance charge, payment must be made on or before the 15 th of each month. If you discover an error on your bill, please notify the office immediately and we will do our best to resolve the discrepancy. Any unpaid balance on the first of the following month could affect your membership privileges. Please refer to the delinquency policy in the Members Handbook. The fee for golf is $20 which includes a continental breakfast, greens fee, carts and prizes. The office will charge your Pinehaven account a $20 interclub golf event fee. The cost for lunch is $20 and will be charged to your Pinehaven account by the host club. 9 PAGE 9 THE CHATTERBX 2016 NEWSLETTER Just a friendly reminder as we move into the golf season that Pinehaven does have Club policy on proper attire in and around the Club. To refresh you on that policy, below is a paraphrased excerpt from the Club Member Handbook pertaining to Rules and Regulations for expected member and guest attire. (See the Member Handbook for more detail.) K. ATTIRE, DEMEANR, EQUIPMENT & MISCELLANEUS Members and guests are expected to wear proper private club attire at all times, unless otherwise accepted. Members are responsible for notifying their guests of the Club s attire rules. For those members or guests wearing shorts, only finished* shorts are acceptable. Swimsuits, cutoffs, brief shorts (More than six inches above the knee for men, mid-thigh for women, bike shorts, or jogging or sweat pants may not be worn. Denim jeans* (including designer jeans ) or dungarees may not be worn anywhere on the golf course, driving range/practice facilities. Denim jeans are permitted in the Clubhouse only (no ripped knees, etc.). Men shall wear a collared shirt, at least quarter-sleeved shirt or turtleneck or mock turtleneck at all times. Women shall wear collared sleeveless golf shirts and fashion tee shirts suitable for golf. Shirts not designed to be worn outside shall be tucked in at all times. Tank tops, fishnet shirts, halter tops, and sweat suits are not permitted. It is not the Board s intention to dictate fashion, rather it is the intent that the policies, rules, and regulations here at Pinehaven that apply to all members and guests be known and complied with by all members at all times. We hope that all members can respect this particular policy. While the Board certainly does not want to create any conflict over this issue, but since it is a rule of the Club, the Board has authorized the staff of the Pro Shop to monitor this policy to ensure compliance. If a member or guest is identified as not in compliance with this policy, one advisory warning will be given. If a second non-compliance is identified, the member will be asked to change his/her attire before playing golf that day. Thank you for your respect for and adherence to this policy. 10 PAGE 10 THE CHATTERBX 2016 NEWSLETTER HANDICAP CMMITTEE REPRT From the Handicap Committee: The Pinehaven Handicap Committee has been reformed for In its initial review of handicap protocol, it was determined that some information previously provided to members regarding the rules on the posting of scores might have been ambiguous. In short, members may have been advised that they could post scores from weekend tournaments, but that they were not required to because members in two-person events often had X s on their cards. This was incorrect advice. Even incomplete cards and cards recorded in two-person team events can and should be used to post scores under the guidelines of the USGA. The committee conducted a thorough review of the results of the entire 2015 season. Each and every tournament score, both for the men and the ladies, were included in the review. Using a number of statistical methods, some anomalies were uncovered that warranted additional analysis and led to recommendations. Tournament play is intended to be one of the many wonderful features of membership at Pinehaven, and the handicap committee is committed to making sure that these competitions are conducted fairly. The USGA and the NYSGA require every sanctioned golf club to have a fully functional handicap committee. While the head Golf Professional serves as an advisor to the committee, he is not allowed to be a member. The oversight of this important function has to be led by club members. The primary tenets of the USGA handicap system are to create an equitable playing environment for all players of all levels from all tees and to maintain a handicap index which accurately reflects each player s potential. To help ensure consistent score posting for handicap purposes, beginning in the 2016 season, all scores from tournaments will be posted by the Pro Shop Staff using the guidelines found in the attached document. In addition, and this is new guidance from the USGA, the Handicap Committee is authorized to deem the scores from our significant events as tournament scores. The committee has identified which tournaments will be included (See below). The significance of this change is that rounds counted as tournament scores are entered into the GHIN system like all other scores for handicap purposes, but they are also kept in a separate database found at the bottom of the GHIN report: These tournament scores are maintained for a running 12-month period, or longer if the player does not post a total of 20 scores in that 12-month period. The USGA has determined that a round of 3 under par, Net, or better, is to be deemed an Exceptional Tournament Score. A player posting two such rounds in the period will automatically have his or her handicap listed with an R next to the handicap index in the report. The expectation is that the Handicap Committee will review any such instances and determine if an adjustment to the handicap is warranted. The tournaments which will be counted as tournament scores in 2016 are: Ladies Spring Handicap, Men s Stableford, Ladies Member-Member (Round 2) Men s Memorial Day Member-Member, Ladies Club Championship, Men s Club Championship, Ladies Senior Club Championship, Men s Senior Club Championship, Ladies Member-Guest Men s Three-day Member-Guest, Ladies Queen Bee Men s Presidents Cup Continued on page 11

Members who take advantage of club storage have access to their clubs 7 days a week and your clubs are cleaned every time you play. If you had club storage last year your spot for 2016 is already reserved. If you did not have club storage last year but would like to sign up for this season please call the Golf Shop. 14 PAGE 14 THE CHATTERBX 2016 NEWSLETTER Golf Course Pace of Play Pace of play is always a hot topic of conversation. I believe there is a delicate balance that we are trying to establish and maintain. ur Course is rated to be played in a little over 4 hours, this would be for a foursome playing under average conditions. With this in mind there are many variables that can impact a groups pace of play such as; number of players in the group, weather conditions, format of play, etc. Some players and groups play faster or slower than others please try to be understanding of that. I think everyone having an enjoyable round experience is our most important goal. With this in mind please try to be courteous and understanding of your fellow members and golfers. Below are some helpful hints of how we can all work together 1. Be prepared and be ready to play 2. Manage your time on the tee. Playing honors on the tee is preferred however if you are struggling to keep up with the group in front of then "hit when ready" 3. Plan your next shot. nce you are off the tee, plan ahead for your next shot. determine your yardage and make your club selection before it is your turn to play. 4. Keep your pre shot routine short. Make your club selection, pick your line of play and trust yourself. A concise pre shot routine will help you play quicker and more confidently (so you don't over analyze) 5. Be helpful to others in your group. Follow the flight of all shots in your group, not just your own. Be ready to help others out; rake a bunker, replace a divot, repair a ball mark or attend to the flagstick. 6. Keep up with the group in front of you. Your correct position on the golf course is directly behind the group in front of you, not immediately in front of the group behind you. 7. Put the conversation on hold. Never delay making a stroke because you are in the middle of a conversation. Play your shot and then resume the conversation. 8. Be efficient on the putting green. Mark, clean your ball when you arrive at the putting green so you will be ready to replace it and play when it is your turn. 9. Be courteous to other golfers. If you have an issue with the pace of play of a group in front of you or behind you please handle it politely. A confrontation on the golf course does not help the pace of play or a groups enjoyment of the round. if the problem persists then allow the Pro Guest Passes Guest passes will now be paperless and can be redeemed in the Pro Shop when bringing a guest to Pinehaven. Members will be charged a cart fee for all guests who utilize a guest pass. Members are not required to ride a cart. Non-member stockholders do not have to pay a cart fee when playing using one of their playing privileges. Transfers to other member accounts must be made in writing to the Pro Shop in advance if you are allowing another member to use one of your passes Please remember that only an active member is able to use or transfer guest passes For all rules and restrictions about guest play and guest passes please view the 2016 Member s Handbook

15 PAGE 15 THE CHATTERBX 2016 NEWSLETTER GLF ACTIVITIES REPRT JUST A REMINDER As previously reported in the January, March, and April Chatterboxes, on the Saturday and Sunday of Memorial Day Weekend, May 28 and May 29, the Men s and Women s member/member tournaments will tee off at the same time with a shotgun start at approximately 8:30 am 9:00 am. There will be no regular tee times assigned in the morning on those dates, except that primary members not playing in the tournament may request to play in the morning through the lottery system, and they will be assigned an available tee within the shotgun if all of the shotgun assignments are not filled by tournament play. Selection of available shotgun tees will be on a first come, first serve basis as cards are drawn from those on the lottery. f course, any member may request a tee time following the tournament play. 16 PAGE 16 THE CHATTERBX HUSE CMMITTEE REPRT 2016 NEWSLETTER As mentioned in earlier Chatterbox articles this year, the House Committee has been working tirelessly since December, with the support of Scott Warren, who has immersed himself in the food and beverage operation trying to help us meet our objectives, along with Steve DiBella, our consultant, to address concerns and to make plans that would enhance the food and beverage experience for our members and guests in The Committee made known to our caterer, Rick Treacy, what our priorities were, laid out several approaches that could contribute to his success, while at the same time improving member satisfaction with the food and beverage service. Rick was extremely responsive to our suggestions regarding the menu, the need for a full time bartender, and the idea of having a full time floor manager, and he expressed an understanding regarding our concerns for food quality, consistency, and pricing. He has made a significant financial investment, bringing on Joe, Ken and Ernie to handle bar operations, and hiring Linda Dombroski as the floor manager to coordinate the wait staff and the bar operations. We believe we made great strides over the last 3-4 months so that the structure is in place that should help Rick and us to achieve our objectives. If only it were that simple! There are a host of intangibles that impact our meeting our objectives, and we ask that you at least keep a few of these in mind as you evaluate and criticize your food and beverage experience. Pinehaven is really not a restaurant in the true sense. Since we are not open year round, each season, no matter who the caterer might be, is like starting all over. Staff come and go, food supplies have to be ordered, everything has to be set up, etc. It would be akin to a new restaurant opening for the first time. Tough place to recruit and retain staff. Every caterer we ever had, has had trouble recruiting staff. The caterer has to almost guess plan staffing not knowing exactly how many customers might come in on a given day, or if many more or many less than anticipated appear. It may rain or be a cold day, and no one comes in. The caterer is paying staff, and staff is not making any money via gratuities. Even on a nice day, if no one comes into the restaurant thus the staff again are idle, with the caterer having to pay staff for standing around. These occurrences can impact the caterers bottom line and can also impact the weekly wages of the staff. Coordination of customer influx with kitchen capabilities. At your favorite restaurant, many times you will have to make a reservations. That is not only from a table availability perspective, but to help coordinate the influx of diners with the kitchen s capacity to deliver timely meals. Even where reservations are not required, you can walk into a restaurant and see an open table and wonder why you are not seated, when what is likely happening is they are managing the ability of the kitchen to serve the meals to those already sitting and ordering. At Pinehaven, many members want what they want when they want it. They arrive without reservations and seat themselves. ften times several members enter to eat or drink, and sit down at the same time. This poses a challenge for the food & beverage staff to identify patrons, prepare their food and service them efficiently. The purpose in being so forthright and candid is to ask your patience as we progress this season. We wanted you to appreciate the situation in which we find ourselves, so that when things don t go as you might have anticipated, you can understand why that might be. We are remain optimistic that we will see the progress we all strive for. Frankly, to criticize without the appreciation for what the circumstances are, is just not right or fair. Hopefully, everyone can look at the situation as half full rather than half empty.

17 PAGE 17 THE CHATTERBX 2016 NEWSLETTER We, and the caterer, want your constructive feedback. If there is a problem, don t just grouse or gossip about it, tell Linda or Rick. They want to know if something is wrong so they can address it. Likewise if you have a good experience, or find the food you receive to be to your liking, tell them. They are working hard to satisfy you. You should know that in the future for dining after a well-attended event, for example when we have a men s and women s tournament on the same day with a shotgun start where everyone will be finishing at the same time, or if there is another event like Trivia Night where everyone comes in at the same time, we will likely be asking members to pre-order from a limited menu, or there will be a hamburger/hot dog/ chicken, salads etc. barbeque with ordering from the menu suspended or very limited that day. Doing things like this will help avoid the delay sometimes experienced at times like these. A NTE ABUT THE PATI PENING There has been some concern expressed as to why the patio was not available on the weekend of April 16-17, when the weather was so nice. There is good reason. In years past, the patio was opened on the weekend of the opening scramble, which was on April 23. It was opened by that date. It should be noted that no one was using the patio on April 23, no doubt because it was cold. You will recall that we had a 6 inch snow storm on April 4. There was snow on the patio. Thinking ahead to the anticipated patio opening by April 23, on April 5 the Club Manager called the Viscusi Awning Company who installs the awning for us. They stated that we should be sure that no further snow is forecasted because it will damage the awning and the under-carriage if it were installed, and if snow should pile on it. The vendor also said that the patio had to be free of snow, as well as any furniture because they had to have room for several ladders used to install the awning. The Club Manager looked at the long range forecast, and noting that no further snow was forecast, he arranged an appointment for the awning installation. The first available date offered by the vendor was April 18, almost a week before the intended opening scramble. It was installed that day as scheduled. It was unusual and unexpected that the weather would be so nice on the weekend of April 16-17, especially since we had a snow storm less than two weeks prior. The patio furniture could not be placed on the patio because it needed to be clear for the awning installation. Because we only have one staff, who, along with the Club Manager (two people) installed the furniture on April 19 one day after the awning was up, it was not feasible to install the furniture for the weekend of April 16-17, then move it off the patio for the April 18 awning installation. We took the time here to explain this so you know the rest of the story and so you can hopefully appreciate that there is only a small staff and a number of volunteers, all of whom are members, who are trying very hard to make your Pinehaven experience a good one. So before criticizing, ask your questions, and perhaps you will receive information that puts your issue in perspective. Thanks for your consideration.
