1 THE VILLAGES GOLF COMMITTEE MEETING MINUTES Friday, May 4, 2018 Montgomery Center The meeting was called to order at 9:00AM by Dave Needham, Chairman Committee Members Present: Wayne Bodamer-Programs, Gary Chappell-Golf Clubs Committee Co-Chair, Ken Peters Golf Analysis Chairman, Bev Poellot-Golf Clubs Committee Co-Chair, Scott Steele-Head Pro, Ray Struck-Golf Course Committee Chairman, Mary Wagle Communication/Education Chair and Recording Secretary Committee Members Absent: None Board Members Present: Howie Blumstein, Debbie Champion, Teddy Morse, Mike Poellot, Wayne Weiler, and Bob Wilk Approval of April 2018 Meeting Minutes - A motion was made by Ray Struck to approve the April 2018 VGC Meeting Minutes, and Ken Peters seconded the motion. All were in favor, and minutes are approved. Introduction of New Golf Course Maintenance Company Steve Schendel from Golf Maintenance Solutions came to the meeting to introduce himself and his company. Steve said they have kept almost all BrightView employees. Additionally, Steve gave us a brief overview of their vision for the maintenance of our golf course. All communication to GMS should go through Scott Steele, who is in charge of all golf course operations. Rule 1.14 The change to the rule dealing with outside group tournaments being scheduled on any day of the week at any time at the sole discretion of the Director of Golf will have a phrase included that says that the six golf clubs planned events will not be impacted. Golf Analysis Committee Ken Peters reported that green fee revenue for March 2018 is $83.7K, which is a $14.6K unfavorable variance. Fiscal year to date green fee revenue is $1003.5, which is a $76.2K favorable variance. For March 2018, total golf revenue is $165.0K, which is a $7.3K unfavorable variance. Fiscal year to date total golf revenue is $1739.6K, which is a $124.1K favorable variance. The green fee revenue is less than budgeted due to the heavy rain. If we average $100K per month for the next three months, we will hit the green fee budget. Total golf revenue continues strong mainly due to green fees and pro shop merchandise sales. Expenses in March were $158.5K, which is a $1.6K unfavorable variance, and fiscal year to date expenses were $1698.1K for a $92.4K unfavorable variance. There is a current surplus of $31.7K in the budget. The unfavorable variance in expenses is due to water, electricity, and tree trimming. The March play report has a green fee revenue of $87.5K vs. $83.7K on the financial statement, and Ken is investigating why there is such a disparity. Ken wants this issue resolved by the end of the fiscal year, and he suspects the problem could be with the Chelsea system. Ken encouraged the Board to approve the forward tee improvement project so that it is ready to start in October. Scott will report on GMS doing the forward tee work at our next meeting. Full report attached. Golf Program Report Scott Steele reported that for March 2018, total rounds were 1,922 versus 2,621 from the previous year, and this is a 699 round negative variance. In March, member rounds were down 543, guest rounds were down 156, nine-hole rounds were down 391, and par 3 rounds were up 8. Guest rounds for March 2018 showed 117 unaccompanied guests, 224 member guests, 29 guest day rounds, and 256 tournament rounds. Tournament rounds comprise 10% of total revenue. Year to date, there are 36,110 total rounds, versus 33,265 from the prior year, which is a 2,845 positive variance. Year to date member 18-hole rounds are up 1,425, guest rounds up 762, nine-hole rounds down 74, and par 3 rounds up 732 over the prior year. Golf Shop sales were $1,706 better to budget in March. Year to date merchandise sales are $29,517 better to budget and $16,914 ahead of last year. From the NCGA marketing campaign, there are 59 tours of The Villages, 23 of which are completed. We have received good feedback from all

2 people touring. From the Alzheimer s Tournament, Swinging for Memories, the Pro Shop donated over $20K to the charity, Alzheimer s Association of America. Scott said that they are promoting beginner golf, and one of the programs is Tim teaching a beginner class the first Saturday of each month. It was suggested that the six golf clubs heavily promote the Clyne Soley Memorial Tournament on the Par 3 course on May 19. Full report attached, Golf Course Report Mike Sculley provided his last report, and it is attached. Golf Course Committee Ray Struck reported that the Monument Beautification Project is on track with Ron Burke and the volunteers on his committee. The cart path slurry seal project might be delayed a week, and not start on May 7, because the contractor s truck has broken down. There will be a bunker audit by the GMS to ensure that the minimum sand depth is four inches. A bunker sifter will likely be rented, and not purchased, to remove the rocks and debris. The Arbor Group is going forward with gathering information on the trees by visual inspections. Concerns were raised about the brightness of the paint of the new bathroom, but the landscaping around the structure should take care of some of the concerns. There is algae on the hole #6 pond, so a biologic product will be used along with the bubblers. Scott spoke with Tim on adding bubblers on the #1 and #9 lakes. Full report attached. Golf Programs Committee Wayne Bodamer reported that for the two new groups, Thursday afternoon golf (Mary Wagle) and Sunday Partners Golf (Bev Poellot and Mary Wagle) these groups should just be fun and not a competitive golf format. Mary said that she has also started a couples group every Sunday during Daylight Savings Time. The Thursday and every Sunday groups are not competitive at all and the Pro Shop only enters names for the tee times and they do not do anything else. For the larger Sunday Partners Golf events in July, August, and October, Bev and Mary will handle setting up their own scoring to take some of the burden off the Pro Shop. A long-term plan is being looked at to decrease unaccompanied guest golf. The Just for Fun events handled by Gisele Barber might be advertised and promoted as fund raising events, just like the Alzheimer s Tournament, and the two remaining events may take on a different format to make it more entertaining and fun for participants. Golf Clubs Committee Bev Poellot reported that John Eige from the Ironmen has some concerns about the proposed changes in the golf rules as they relate to the Par 3 course, and Bev suggested that Scott Steele meet with John Eige about this. The Six Golf Clubs had concern about outside tournaments impacting their play, and their concerns should be taken care of by amending the Rule 1.14 as previously mentioned. An audience member brought up the fact that many women want to play golf for all three womens clubs, but the Swingers voted down any type of dual membership. Dave Needham encouraged more work between the womens clubs to ensure that this gets done. Full report attached. Communication and Education Committee Mary Wagle reported that Laura Swenson attended the New Resident Orientation on May 2, and she got two leads for women s golf. Names were passed to the respective clubs. The committee wishes to work with Dave Needham on re-print of the tri-fold golf brochure, as we are running out of them. Full report attached. We had over 10 days of rain/red flag conditions. Plus 2 days of aeration and that leaves fewer than 20 days of regular golf play. That negatively affected the golf numbers year over year. Rounds were down in March in every category year over year except for Par-3 rounds which was a bright spot in March. As we have learned, weather is the number one driver and deterrent to golf play. Tournament rounds continued strong productivity in March, even in the inclement conditions. 4 P age

5 Golf Operations Summary Marketing & Outside Play The Ambassador Committee is actively involved giving tours of the Villages as there is very high demand from the NCGA Villages marketing campaign; over 30% open rate and thousands of views with over 58 tours set up to date. On April 29, 2018 we will be holding our first annual SWINGING FOR MEMORIES tournament and fundraiser for the Alzheimer s Association of America. We are partnering with the Alzheimer s Association of America to raise awareness and funds to help fight this horrible disease. We have a full field of golfers with 144 players and over 180 attendees for lunch. The support from the residents and the local community has been fantastic and we are looking forward to a wonderful day. Golf Shop Merchandise Golf Shop sales were $1,706 better to budget in March. Year to date merchandise sales are $29,517 better to budget; and $16,914 ahead of last year to date. Yearly Cost of Goods is back in good shape at 76% after a strong performance in March given the weather. Pro Shop Staff Updates & Meetings We had one golf staff meeting in March. The focus was upcoming busy season safety topic was Drugs & Alcohol in the Workplace. Pete will be on vacation May 5-12 and Hannah will be on vacation from May I am looking to hire summer help for Outside Services currently conducting interviews. 6 VGC Greens aeration went really well on all greens. Greens have noticeable improvement every day in regards to healing. Greens are being rolled as per the normal schedule of Monday, Wednesday, Thursday, and Saturday. Waitea or brown ring patch is evident on some greens but we are spraying again this week. Greens were top dressed on Monday and then dragged in with a brush. This will help smooth out the greens and fill in any voids. Cart path repairs were intended to start on 4-16 but were delayed due to rain. Those repairs are now scheduled for 4-23 and 4-30 by K and M asphalt. Slurry seal begins on Mondays in May beginning with 5-7. Fairways and tees are in good shape after rye grass seeding this fall. We have started the battle with algae by spraying or applying organic products such as Amazing Dave s. Edging bunkers continues with all fairway bunkers done and greenside currently being done. We have begun spraying broadleaf weeds in mainly rough areas although some tees and fairways will also be sprayed. We are targeting broadleaf weeds. This spraying must be done on sunny days so the chemical can translocate through the plant properly. English daisies were recently sprayed on the short nine and other areas on the big course in the rough. Recent rains and warm days is making for a difficult battle of weeds this season. We have begun spot watering some dry areas in the rough. Watering does not take place before, during, or after rain events. 6 P age

7 We have been working on detail work such as edging Kirby markers and sprinkler heads. We have also started detailing lake banks. We have started our second round of crabgrass control sprays targeting the entire golf course except greens. This application will need to be watered in heavily. We were not able to make it last year as the new irrigation system was not completed and the new pump station was not operational. Tee aeration will occur in May on a Monday. Players will not be affected by this operation. Sprinkler yardage markers will be installed by no later than We will begin install this week and next. A huge Euke limb came down last Friday on number 10. BrightView Golf staff was able to remove the very large limb without needing to sub the work out. Thanks to all on this committee as its been a pleasure working with all of you. I have been here 2 years and 7 months but it feels as yesterday was my first day. What a wonderful experience working here at The Villages and for the residents here. My next superintendent s position with BVG is a coast to coast move to West Boca Raton Florida. This move puts me just two hours from my parents in Naples and 8 hours from my wife s parents in Perdido Key. It is important for my wife and me to use this change to get back to closer to family. 8 Golf Course Committee Meeting April 20, AM, Conference Room, Bldg. A. Members present: Ray Struck, Ron Burke, Richard Frey, John Delaney, Laura Lee Pixton, and Barbara Nilsen. Staff: Scott Steele. Members Absent: Jan Kiernan, Jim Castle, Mickey Wagle, Sue Daughtrey, Paul Swinson, and Mike Poellot, Others present: Janis LeCompte, Dave Parker, and John Thomas. Barb Nilsen reported the remaining Forward Tee renovations are awaiting funding. Scott Steele indicated that it has been requested in the next fiscal year budget and should be completed in Ron Burke reported the Monument Beautification project is on tract and the volunteers had a work day recently to bring things up to date. He cited the fender board used by John Thomas on Hole #5 as an example of new techniques being used with success. Scott agreed to help this group with some planting soil supplies. Ron also complimented the pro shop for the use of restraining ropes to maintain and improve the turf around the greens. Scott Steele reported that K & M will be repairing and filling in cart path defects in the next two weeks prior to the beginning of the Cart Path slurry and seal project which will be carried out on four Monday s starting on May 7, Scott reported with the new maintenance company coming on board all Bunkers will have an audit and brought up to a minimum depth of 4 inches of sand and they will then be responsible for maintenance. A bunker tilling machine is being looked at as well. One or two test bunkers will be tried this coming year with an eye to complete bunker renovation in the future. Barb Nilsen reported the Arbor group has reviewed some information and is planning a group visual inspection of each hole to gain more information. The recent weather has made it difficult to get together however. Concerns were expressed regarding the brightness in appearance of the New Restroom and Scott indicated he would pass those along. It was observed that the landscaping in the original plans should obviate some of the concerns. The plumbing issues have been resolved. Mike Scully s final written report was reviewed and included many of items above. The sprinkler yardage markers are scheduled to be installed by May 15. 9 To: Dave Needham, Mary Wagle From: Wayne Bodamer-Golf Program Committee Chair Re: 2018 April Report General: The golf Program Committee had our meeting on Thursday, April 19th. The main purpose for April was to further our 2018 goals. Reviewed March golf play report. Discussed efforts made and functions arranged to help utilize open tee times on both Thursday and Sunday afternoons. The priorities for April included: 2018 Total rounds played and revenue continue to be positive, including improvement in 9 hole play (one of our 2108 goals) despite March numbers revealing a decrease in play vs 2017 for this one month. Is was felt that the wet weather in March of 2018 was the reason. Discussed the 2 new groups formed to promote mixed golf participation and socialization Thursday afternoon (Mary Wagle) 9 hole women and Sunday afternoon mixers (Bev Poellot). There was discussion that this new group play was begun with the idea that it was primarily for fun and socialization and not to promote another competitive golf format. Scott detailed just how very much goes into club sponsored events. It was noted that with all the internal golf club events and outside tournaments the pro shop was involved with setting up, scoring, and running an average of one event daily!!! After discussion in the group we all agree that we must take some of this burden off the pro shop staff. We want to try and explain to group outings not sanctioned by the proshop (ie non-men and women golf club events and outside tournaments) that they become more involved in setting up their own score cards and handling their own post play scoring. Discussed that the Just for Fun events, spear headed by Gisele Barber, should be advertised and promoted as fund raising events (we discussed how well the Alzheimer s event was attended when participants knew the charity involved) These two remaining Just for Fun events may take on a different format than in past years to make it more entertaining and fun for participants. We discussed a par three format as a possibility. 9 P age

10 Dave Needham discussed the latest March NCGA E-Blast promoting the Villages. We have over 58 responses of interested parties. Scott explained that when he establishes the yearly schedule in October he DOES everything possible to not interfere with Men s or Women s club activities. There was a questioned posed at our last VGC meeting that outside tournament play was taking precedence over our club play at times. It is a fine line to meet budget so he only books outside tournaments that interfere with our club s play when necessary. He further explained that these outside tournaments are large revenue producers and only when he feels he will lose the booking does he concede on starting a tournament at 10 am rather than the usual targeted 12 noon. The program committee discussed that an increase in monthly club dues might help us eliminate some of these tournament overbookings BUT with the dues certain to increase with other concerns (minimum wage increases, water, electricity etc) that now was probably not the best time to explore this option The program committee will begin to explore ways to decrease or even eliminate the unaccompanied guests policy and play. It was discussed that many of these UAG are not abiding by our rules of etiquette and act as if they are indeed members of the Villages. It was felt that it would also increase the safety of residents if visitors were not readily allowed entrance without a resident s participation. Scott will take care of posting in the Villager those golfers achieving 100 yearly rounds as members of the century club. 11 VGC SIX GOLF CLUBS MEETING MINUTES Monday, April 23, 2018 Forum Room Cribari Center The meeting was called to order at 9:05AM by Bev Poellot Members Present: John Eige Ironmen, Teddy Morse Shonis, Mary Wagle - Swingers, Frank Garcia Pinseekers, Gary Chappell Men s Club, Bev Poellot 18 Hole Women Ironmen John Eige reported that last year's president, Jim Crownover died. Revised rules posted in "The Villager" remove all mention of collecting and paying sweeps money. The Ironmen would like some assurance that the Pro Shop will continue its collecting and awarding for their club. VP David Cook said that the Shonis and Ironmen really want to invite the other golfing clubs to come to the Clyne Soley Tournament on the Par-3 Course on May 19th. There is a flyer for distribution and posting. The challenge is for each club to send one or more groups in competition with each other. The Shonis had two or more 4-ladies groups last year, and they had a great time competing with each other, as well as with other players. There will be two flights- one at 9 AM and one at 11 AM. John Eige stated quite a few concerns with the proposed changes in golf rules, especially as it relates to the Par 3 course. (following) 2.B. "The rules of play, tournaments, and membership in Board -recognized golf groups shall be stated in the HANDBOOKS AND ROSTERS of these organizations." (caps added). The Ironmen have no handbook and their rosters have no rules or tournament info. Should be more general to allow various document types. 2.C.1. "300 ft. perimeter". (John feels ) that everyone knows what 100 yards looks like, from golf and football fields so state distance in yards! 3.I.1 "The maximum acceptable pace" does not apply to the Par 3 course yet but many of the Par 3 players are too slow for arbitrary time limits. Why ruin the enjoyment to squeeze a few more players in? 3. Golf Carts A.6. "Passenger golf carts shall not be driven on the Par 3 Course unless approved by the Director of Golf." There are no cart paths on that course, so they drive on the course to get to a shot-gun start. Is this approved? 3.Golf Carts. B. "Push and pull carts are not permitted on the teeing grounds.." John feels they do no damage there and they need to be handy. Shonis Teddy reported they have 49 active members and 8 associate members. There is quite a bit of enthusiasm for the Swinger/Shoni Mixer on April 24. Having former Shonis (now Swingers) involved takes a little bit of the fear factor away from the short course players. Special thanks to Mary Wagle, Laura Swensen, Joan Needham and Sheryl Driskell for reaching out to their former Shonis. The Eclectic starts soon and plans for the second annual Clyne Soley tournament are underway and it's hoped that long course golfers will join the tournament honoring the memory of Clyne and all he did for golf. 11 P age

12 Swingers Mary Wagle reported that their current active member count is still around 120. Swingers had a mixer with the 18 hole women and have one with the Shonis. The 18 Hole Ladies reached out to the Swingers to partner with them on the October 18 American Cancer Society Tournament. An ad hoc committee has been formed to update the By- Laws and Standing Rules for the Swingers as they have not been updated in years. The Corena Green Tournament will be on August 7, and the raffle proceeds from the Swingers' Invitational will go towards the tournament. This tournament is sponsored by WNHGHA for girls between the ages of 8-17, who have some background knowledge of the game. Thursday play is resuming in the afternoon. Mary Wagle reserves four foursomes and and players either play nine or 18 holes. Anybody from the Villages is welcome to play with them. The Sunday Partners Golf on April 15 was another successful event. The series launched on March 11 and will run from March until October during daylight savings time. Scott had given us May 13 and June 17, but those are Mothers Day and Fathers Day, respectively so we will not have events those days. Our next big event will be on July 29 where we will reserve 12 foursomes. This is a type of event where you can play with your spouse, significant other, or a friend. Sweeps cost is $5 per person, plus the price of a golf round. Afterwards we get together for non-hosted drinks and food. Pinseekers Frank Garcia reported that their membership is 41 and has declined in the last couple of years. May 15 is the biannual mixer with the Swingers. On May 22 is the annual lunch meeting. Scott will speak on handicap changes and the Club Champion will be crowned. New officers will, also, be elected. Men s Club Gary Chappell reported that ESC hasn't been followed so there is more education being done. The men haven't been able to do online signups for tournaments yet. The 18 Hole Men are a Hole Sponsor for the Swinging for Memories Tournament. The Men's Club Website has been brought up to date. POTY point/list Standings have been posted on the MGC website and featured in Villager articles. The June 9th Summer Picnic will not feature the picnic due to the unavailability of the Gazebo, but will still have coffee/donuts prior to the event. Home and Homes are underway. The Superintendent will no longer attend MGC meeting. Course maintenance will be reported and discussed under Scott's report. NCGA Team Play starts in June. 18 Hole Women's Club Bev Poellot said the Handicap Tournament runs through most of May and is one of our major tournaments. We, also, will launch the Village Challenge, a match play between teams, which takes place over 4 Tuesdays in May and June. Spring is a very busy season and we most recently hosted a mixer with the Swingers in which 106 women participated. Following the tournament we held a shower for Alan who will be married in July. He was presented with money and gifts from both groups. 12 P age

13 The 18 hole women had a strong reaction to the proposed rule change section D- Outside Groups, rule #2. Crossed out is "Outside groups tournaments may be scheduled on any afternoon of the week, in accordance with VGC guidelines. It has been replaced with; "Outside group tournaments may be scheduled on any day of the week at any time at the sole discretion of the Director of Golf." We discussed this and it was the unanimous positions from all the reps of each of the golf clubs that, when scheduling golf events, it should be "Villagers First". We would like representatives of the major groups or of new events sanctioned by the VGC Program Committee to be allowed to participate in the scheduling that normally takes place in August. We hope that our assumption is correct that regular play days for each club will not be impacted. However, when trying to implement a new program, such as Sunday Partners' golf, it is difficult to find regular monthly slots even though the chosen days were intended to fill underused times. Mary Wagle and Bev Poellot took this on after it was requested by The VGC Program Committee that we try to launch it. It was pointed out that Captains of some regular golf events, such as Men's Team Play, do not get their schedules until the spring and then need to work out dates that mesh with other clubs. While we recognize that outside play has been an important revenue stream, all six clubs feel that preferences should be given to Villagers whose assessments are a big part of the Villages' revenue. We feel that the rule change gives too much authority to the Golf Director and does not protect the residents' rights. Meeting adjourned.
