1 WEYMOUTH GOLF CLUB MINUTES OF GOLF COMMITTEE MEETING Monday 27 th March 2017 HELD AT WEYMOUTH GOLF CLUB Those Present: Alan Bates - Captain Russ Conway - Vice Captain Lennie Harris - Seniors Captain Caroline Tapster - Ladies' Captain Pat Crane - Chairman of House Graham Vile - Chairman of Competitions Frank Martin - Chairman of Greens Des Lochrie - Professional Nicola Adams - Assistant Secretary 1. APOLOGIES 2. APPROVAL OF MINUTES OF GOLF COMMITTEE MEETING The minutes of the meeting held on Wednesday 8 th February Proposed by: Seconded by: Graham Vile Alan Bates 3. MATTERS ARISING 4. CAPTAIN S REPORT Alan Bates I would like to start off by welcoming all the new committee members to the golf club committee. It is my wish for us to move the club forward in the forthcoming year to the benefit of all members. On the 11th through to the 13th April Weymouth Golf Club will be welcoming the county juniors for their match in the four counties event. Funding was approved at the AGM for the repair work on the 8th tee and the drainage ditch at the bottom of the 5th and 8th holes. This work will start later in the year probably during the month of September, as the work needs to be completed before the course gets to wet. Hopefully my reports will have more substance in the future as nothing much newsworthy has happened during the past week. Finally can I request that all reports are in by close of play Friday 24 th March?

5. VICE CAPTAIN S REPORT Russ Conway Practice Area Enhancements Post the authorisation of the project funding at the AGM last week, more discussions have taken place with the Head Greenkeeper. Rob Bayliss has volunteered the Green Staff to undertake all of the work where possible, only bringing in Contractors or extra labour where deemed essential. This work will be planned in detail over the next month. The intention is to complete the project by the end of February I am working on the submission of the bid for obtaining 1 or both of the Practice Shelters owned by the DGU. This will be submitted by the deadline of 31 st March. Russ suggested if we are unsuccessful with our bid for the shelters from DGU then we should purchase one with any money saved by our own greenstaff working on the practice area. Wessex Golf Centre Partnering Agreement The agreement has been signed by all parties. We now have 100 Wessex golf cards in the office for sale to members and to golf beginners as selected by our Professional. These cards will cost 25, giving 40 value of balls at the Wessex (they can be topped up at the Wessex for 30 when used up). Fire Alarm System Renewal To bring us up to the latest regulation standard we have had the fire system renewed. This work has been carried out by Pye Hill Electrical, installing numerous smoke detectors, smoke alarms and call points throughout the clubhouse. It has been discovered that the old system was at some point disconnected from the call-out system. This is now being remedied at an extra cost. This is the final part of the audit of the system post an insurance assessment last year. Thanks to Gerry O Connell for his role in Health and Safety of the Golf Club. Training will be given to the clubhouse staff over the next few weeks. Next Steps Slow Play Re use of the grass tees on practice area Strategy for the lateral water hazard on 6 th hole. ACTION: Des Lochrie to contact the County as to the position for taking away the relief of a water hazard on the 6 th and 9 th tee. CASC strategy and formation of a Sub Committee Russ Conway stated he did not want a Pro Am in 2018 when he is Weymouth Golf Club Captain. An open discussion ensued and the census was the Pro Am had run its course and therefore could be cancelled. Russ Conway asked if this year s Pro Am was confirmed. Mr Lochrie stated this year s Pro Am had not been contracted and there was a meeting on Thursday at Weymouth Golf Club with the PGA. The Committee agrees unanimously to cancel the pro Am this year. Des Lochrie invited one of the Committee to attend the meeting with the PGA on Thursday to inform them of the decision. Russ Conway way nominated to attend. Mr Lochrie post meeting said he did not agree on the cancellation of the Pro Am. 2

3 6. SENIORS CAPTAIN S REPORT Lennie Harris First of all on behalf of the Seniors Section we would like to congratulate Stuart as President, Alan as Captain, Russ as Vice-Captain and Caroline as Ladies Captain and all the other new members to the Committee of Weymouth Golf Club. Special thanks to Gerry O Connell, Bob Mico, Sally Davis, Alan Roberts and Elaine Rockingham for all their hard work towards the success of Weymouth Golf Club. Ona personnel note I would just like to say how proud and honoured I am to have been chosen as the Seniors Captain for 2017/18. I will endeavour to do all I can to continue the success of the Seniors Section. The Seniors teams have now started their matches with a very good win for Alan Roberts and his Team 3 against Came Down to win the Nantes Cup 4 2 not quite sure where we are going to put it as it is quite a large cup. Team 1 led by John Coward played on the 13 th March as mixed Greensomes with the Ladies played as a Stableford made up of 12 teams with 3 teams on 39 points. The winners on count back were Mick Pashen and Gillian Bucke, everyone said they had a great day. We have had our first major competition of the year the Seniors spring Scramble was played in lovely weather, the winners with a score of 61.3 were Ian Walton, Dave Morris and Len Harris. A special thanks to the kitchen staff for a very good bacon bap and bar staff. Although the entries were quite low everybody said they enjoyed the day. Our next meeting is on 12 th April The Seniors Winter League has been won by Weymouth. The Seniors are holding their Arthur Clark Competition (best handicap) on the club Championship day. Pat Crane offered to donate a trophy for a Seniors scratch competition on the same day. 7. LADY CAPTAIN S REPORT Caroline Tapster The ladies golfing season has started well with relatively good weather for our Captain v Vice Captain match which took place on a Saturday this year, 24 ladies played resulting in a narrow win by the Captain`s team! A big thank you to Pat Ray and Sally Davis for running the half-way house and my friend Pippa for the magnificent cakes. The Match play competition the following week was a draw and the winners of Three clubs and a Putter were Penny Hunt, Jean Vile and Ruth Bray in each of the three divisions. Dilys Grant and Di Loving beat Bridport in the first round of the Daily Mail Foursomes and we wish them well in the next round. Our first friendly was with the Seniors a mixed Greensomes won by Mick Pashen and Gill Bucke on count back our next match is with the Navy. We have received details of the draw for the Humphries Bowl and Parkin Cup; sign- up sheets for both competitions are on the notice board together with sheets for the Beales and Interclub matches. A special thank you to Pat Ray for organising the friendlies last year, as a reward she has agreed to be Beales captain this year and is looking after the friendlies until Audrey Garnet (Vice captain) is more available. Penny Hunt has agreed to continue as Interclub Captain. As stated in our Rules and Guidelines the Selection Committee this year will be myself, Julie and Audrey, the Handicap Committee is Julie, Sharon and Audrey. Our Coffee morning is on the 10 th May and this year gentlemen are welcome!

As you all know my charity this year is Marie Curie Nurses, their daffodil appeal continues until 12 th April, a collecting box is available on the bar in the clubhouse. 8. CHAIRMAN OF COMPETITIONS REPORT OCTOBER Graham Vile 1. Current funds T.B.C Competitions during Feb & March Date Competition No of Entries 2017 No of Entries 2016 Var +/- 4 th /5th Feb Winter S ford th Feb Valentine Scramble th Feb Ward Cup th Mar Famous Grouse th Mar St Patricks Medal th Mar Captains Jug th /19 th Feb Winter Medal 100 N/A It s encouraging to see competition entries up in the early part of 2017, I would also like to say well done to Di Loving who has played in most of the weekend Club Comps hopefully we can see a few more ladies joining her in the months ahead. 3. The first Tankard Competition is on the weekend of 1 st /2 nd April and we have agreed that people will be able to enter these comps on a DBE basis from 2:30pm until the Pro shop closes for the remainder of the year. It was agreed from 2.30pm on a Saturday and from 10.00am on a Sunday. 4. I have received the Match fixtures for 2018 from both the Seniors and the Ladies Sections and by the date of our meeting will hope to have input these on to the Tee Booking system. Once these have been agreed I will forward the final list to Nikki for input into the Club Diary Hole Comps I have been asked if it s possible to run some 8 hole competitions on a Friday evening to include a meal in a basket afterwards. If the restaurant can come up with some food

5 options for around 5.00 we could look to do something on the third Friday of each month. The views of the committee would be appreciated. The Committee agreed to run the competition the 3 rd Friday of each month and start the competition in May. 6. Pace of Play The only suggestion I ve received is from the vice-captain who would like to see the following introduced:- All those playing outside of the time which the BRS operates (9:30 16:00), should when the Pro shop is open, inform the Professional or a member of his team of the names of all players in their group, this will then be input onto the system by the professional thus giving us the opportunity to provide a more accurate start sheet to the Course Marshall for the purpose of monitoring pace of play throughout the day. My thoughts are the as follows: - 1. We should agree what is a reasonable time for a 4 ball to complete 18 holes. 2. We should then agree appropriate wording and place notices informing members of this time, these to be placed in both changing rooms and on the main notice board. 3. We should agree appropriate wording for notices to be placed at specific points on the course. (IE 5 th Tee, 9 th Tee, 14 th Tee, 18 th Green). 4. We should agree what actions will be taken if members regularly fail to meet the agreed time and place notices informing members of this action. 5. We should look to recruit several Course Marshalls to be deployed as and when required, decided by the Professional with input from the Chairman of Comps. We need to decide an appropriate incentive to encourage members to take up these positions. The views of the committee would be appreciated. An will be sent to members asking for Course Marshalls. Members should contact the office with the times they are available to Marshall. Payment of reduced subscription would be offered on the same basic as staff golf. All members will be asked to register in the Pro Shop between 8.00 and 9.30 and to to record course usage for entry into CASC. ACTION: To speed up the pace of play Graham Vile will arrange for a sign on the course quoting the maximum time expected for a 4 ball is four hours. 7. A notice informing anyone who wishes to apply or retain Club Roll Up Group status including conditions and timescales for the coming year has been posted on the main notice board with application forms available from the office. 9. CHAIRMAN OF GREEN REPORT Frank Martin Week commencing 13 th March The ban on club buggies was lifted on 17 th March for the first time in several weeks. Yellow tee markers have been put back onto grass on some of the tees. Par 3 tees are still on mats. The 161 yard white plate has been installed on the new 15th tee. Greens were given a pass with the Verti-Drain with micro tines fitted at the start of the week. Greens have started into spring growth now that the fertiliser is working. An application of fungicide was necessary to halt an outbreak of Fusarium (noticeable as patches of yellow-brown grass). The greens have come through the winter with a good covering of grass so to have allowed damage at this late stage through Fusarium would have been disappointing.

Greens have been cut 3 times this week and this morning (17 th ) given a roll with the Greens Iron just to smooth out some of the footprints. Tees and fairways have all been cut and most of the semi rough where the ground was dry enough to take the weight of the machine. Post and rail fencing at the 5th is being painted. Some of the anti-slip matting on tee steps is wearing out and a start has been made on replacing these. 6 Week commencing 20 th March Total rainfall since last Friday was 10.5mm. Managed to avoid imposing buggy restrictions though. The drainage ditch between the bridges at 16 has had its annual dredging and cleaning this week. Safety net by the side of the chipping green has been replaced with a completely new net. When the old net was down we took the opportunity to strengthen both ends by the addition of braces. Three new straining wires have been put up to give the net more support than the single wire previously did. The above two jobs concludes the winter work projects. Ben has continued with painting post and rail fences with preservative. Most of it has now been done I believe. On the 12th fairway a section of sunken drain has been raised with soil and turfed over again. Mowing regime now well under way with tees, fairways and semi all needs a cut this week. Greens required cutting every morning as growth was strong after the effects of the spring fertiliser application. 10. CHAIRMAN OF HOUSE REPORT Pat Crane House Sound System Quote received to upgrade the Sound System (music, microphone and option to link to t.v.) Men s Locker Room Unfortunately the verbal quotes received would seem to be excessive and I would put forward myself to carry out the work at cost. To be started in March. Handrails Still the weather is not suitable to complete the sealing of the joints. Buggy Shed Prices for the removal of the central steel pillar and replace it with beams have been placed on hold, until a price for a new roof has been received. On Going. Refurbishment I am currently receiving prices for the refurbishment of the bar and restaurant. Including additional quotes as requested. Decorating in progress.

Refuse The current refuse contract with Suez (Sita) is currently under review and alternative quotes are being sought. One quote has been received and I am waiting additional quotes. Members Cards It has now been agreed by the Management Board that staff cards must remain in the credit before use as from the 1 st April 2017 and members revert back to 5 in the debt. A note to this effect will be attached to their March wage slip. Kitchen The gas safety valves has been fitted and commissioned as requested. Fire Alarms The fire alarm system installed and tested. Brewery We are in talks with three separate Breweries and are making a decision on Monday 11. JUNIORS REPORT March 2017 At the most recent meeting of the junior committee we decided that we would reinstate a monthly report on the Junior section to the main club committee. As this is the first report from the current junior committee to the main club, we thought we would take the opportunity to celebrate the successes of the junior section during 2016 before we head into the new golfing year. The year started with the election of Sean Dimmick as Junior Captain for Sean had a great year once again, and among his many achievements, he was Junior Club champion for the 2nd year, 3rd in the South of England Boys Championship, 3rd in the county champs, and lowest gross in the junior opens at Bournemouth, Yeovil & Lyme Regis. He also cut his handicap during the year from 3.1 to 0.5. Other individual junior member highlights included Jacob Tidswell winning the Peter Alliss Young Masters Trophy, and the County Boys Net Championship. Alex Johnston became the South West Counties Under 14 Champion with Sam Trott as runner up on countback. Molly Kington represented the junior girls with a win in the Queens Park and Broadstone Junior Open. Sean Dimmick, Billy Hathway, Mark Rankin, Sam Trott, Alex Johnston, Jacob Tidswell, Jack Pallister, Tom Bastow and Molly Kington were all members of one of the county squads. Given the relatively small junior membership at the club, this is a significant achievement. The juniors also had many other successes during the year, including but not limited to the following: n Chataway Trophy at Came Down. Team 1 was Jacob Tidswell, Jack Kerslake, Toby Trott & Sam Simmonds. Team 2 was Alex Johnston, Jack Pallister, Molly Kington & Luke Brown. Both teams scored 126 points, but team 2 won on countback. Jack Pallister also won the U13 s with a fantastic 44 points. Sam Trott, Toby Trott & Jack Pallister. illiams, Billy Hathway, Alex Johnston, Sam Trott & Jacob Tidswell. This is the first time that the club has progressed this far in the competition for over 10 years! -finals of the Dorset Knockout losing 2 ½ to 3 ½ to Broadstone. On the 22nd August there were further successes in the Dorset Boys Age Group Championships held at Weymouth. o U12 Handicap Toby Trott Winner 7

8 o U13 Scratch Jack Pallister Winner o U14 Scratch Sam Trott Runner Up o U14 Handicap Alex Johnston Runner Up o U16 Scratch Billy Hathway Winner The coming month: The Juniors have a very busy month ahead with a home tie against Parkstone in the Royal British Legion Junior Championship, then away to Sturminster in the first round of the Longmore Shield on Sunday 2nd April. On top of this they are performing well in the Peter Alliss Trophy with 4 Juniors in a good position to qualify for the last 16. They are also excelling in the Henderson Trophy again with 4 more Juniors in a good position to qualify for the last 16. The Tigers are starting to come out of hibernation on Saturday afternoons and the numbers are increasing each week. We will be having our first junior Birthday Party at the Club on Sat 25 th March where 2 of our young Tigers have invited 15 friends to try golf and have food afterwards fingers crossed for a good weather and maybe a few new recruits. The Junior committee is also working on a safeguarding children policy refresh for the junior section of the club, and hope to have it ready for review at the next junior committee meeting. Toby Trott, Tom Bastow and Jack Kerslake have all qualified for the finals of the Peter Alliss Trophy on Saturday 2 nd April. 12. PROFESSIONAL S REPORT Des Lochrie No Written Report 13. ITEMS FOR DISCUSSION 14. AOB a) Lennie Harris asked if the Seniors Scratch and Handicap forms could be put on the notice board. b) Lennie Harris asked Des I the Senior events could be put in his newsletter. c) Des Lochrie asked if the Golf Club is running a Family Day. It was agreed for Sunday 21 st May. Des, Graham, Pat and Nicola to hold a meeting to discuss what is required. There being no further business the Captain closed the meeting at 7.55pm. and the next meeting will be on Tuesday 2 nd May at 6.00pm.
