3 CONDITIONS 2017 AUSTRALIAN CHAMPIONSHIPS and SYDNEY INTERNATIONAL CVI1*, CVI2* & CVI3* National Championships/CVI: The Australian Championships and the Sydney International CVI1*, CVI2* & CVI3* are conducted as two events. Starting possibilities: it may be possible to enter both the CVI and the National class however this may only occur if the first class entered is completed prior to the start of the second class. If a vaulter wishes to transition from one level of CVI class to next by qualifying during the event they must enter both levels prior to the event. No refund is available if qualification is not achieved. AVR article 5.3: To Qualify for entry to Open Class Competition a score of 6.5 in any one round in advanced must have been obtained. Eligibility to remain in Open a score of 6.5 in any one round of Open or Advanced must have been obtained in 2 years prior to the competition date. Vaulters will be required to submit the event at which the qualification was gained. Requirements for vaulters, lungers and horses entering CVI classes: o All vaulters, lungers and horses must be registered with the FEI. This is done through the EA. Registration forms are available at: o Horses registering with the FEI for the first time will need an EA National Passport for identification. o Further information and FEI Passport or National Passport forms are available on the EA website: Page 3 of 17

4 Australian Championships: For each squad, two reserves may be entered via the Nominate Club entry process. The final reserve must be declared at the Chef d Equipe meeting. These vaulters must already be entered in the event. If not competing in another class, they must have paid to enter the Squad via Nominate to allow verification of membership of EA. Vaulting is an inclusive sport. AWD classes are offered for vaulters with a disability. Integrated Pas de Deux and Squads must have at least one vaulter with a disability. All vaulters with a disability are encouraged to compete in the class that they feel most comfortable. Where able, AWD vaulters are encouraged to compete in competitive classes. Athletes with a disability will need to indicate where appropriate on the Nominate entry to be considered for the AWD award. The Organising Committee reserves the right to split classes that are oversubscribed. The draw for each split class will be determined through a random allocation of vaulters entered. Class 5C Pre-novice and Class 6C Preliminary will be split as above. Classes 11A and 31A are for Pas de Deux combinations previously scoring 6.0 or higher Classes 11B and 31B are for Pas de Deux combinations previously scoring up to 6.0. New Pas de Deux combinations are encouraged to start in the level best suited to their ability. Class 40A & 40B are for Lungers (either at Walk or Canter). Lungers must nominate the horse to be lunged. Horse points for class 40A will be.05 points Horse points for class 40B will be 1 point. Judging will be based on the horse score component of FEI/AVR rules. Lunger must enter, salute, put the horse on a circle, trot a circle then walk or canter (depending on class entered) the horse for one minute, halt, salute and then exit. Lungers may have a person run in to assist with the whip. Page 4 of 17

5 Awards for the CVI & Australian Vaulting Championships: CVI Classes: Awards as per the CVI schedule. Australian Perpetual Awards as per the EAVC For the purpose of the Perpetual Awards both National and CVI classes will recognized. Perpetual Awards are for EA members only. National Champion Female Individual - Perpetual Trophy for the winning combination (Vaulter, Horse, Lunger) awarded to the winner of the highest final score of either the CVI3* or Open. National Champion Male Individual - Perpetual Trophy for the winning combination (Vaulter, Horse, Lunger) awarded to the winner of the highest final score of either the CVI3* or Open. National Champion Athlete with a Disability - Perpetual Trophy for the winning combination (Vaulter, Horse, Lunger) awarded to the winner of the highest class entered. National Champion Pas de Deux - Perpetual Trophy for the winning combination (PDD, Horse, Lunger) awarded to the winner of the highest score in the first freestyle round of the CVI2*, CVI3* or Advanced. National Champion Squad - Perpetual Trophy for the winning combination (Squad, Horse, Lunger) awarded to the winner of the highest score in the first round of either the CVI2* or Advanced. National Champion Horse - Horse High Score Award will be considered from Australian combinations of CVI classes in addition to Open, Advanced and Intermediate awarded to horse with the highest average horse score from any Final Score (averaged from each test) from any Individual/PDD/Squad (Intermediate and above). A small token will be provided to each vaulter as recognition of their participation. 7 GENERAL INFORMATION Indemnity: Any vaulter under the age of 18 not accompanied by an adult family member must provide the organizing committee with the name of the adult responsible for their welfare and demeanor during the event. This could be the Chef d Equipe or another adult not participating in the competition. Written proof from a parent or legal guardian that they acknowledge the arrangement, including the nomination of the person concerned who has responsibility, is required. This documentation is to be handed in at the Chef s meeting. 8 Veterinary Notes for Sydney CVI3* and Australian National Championships Veterinary Delegate: Permitted Treating Vet: Gillian Burns, BSc, DVM, Dip Eq. Manip. Agnes Banks Veterinarians At this event, FEI rules will be followed and applied to all horses competing in CVI events. There will be two horse inspections. Examination on Arrival: As per Article 1032, all horses will be inspected upon arrival prior to entering the stables. This examination is to identify the horse and conduct a brief physical examination. This is not a lameness or fitness test. If you have any biosecurity concerns about your horse at that time, please let Dr Gillian Burns know. In order to complete this inspection, I will need to meet you at SIEC upon your arrival. If you could please text me with a rough idea of your arrival times, I will organise to be there before you arrive. Since SIEC is a 2-hour drive from my place, please give me time to get there. My number is: Your horse should not move into its box or be close to other competitors until after it has been examined. Horse Inspection: This is known as the Trot-up and is scheduled for Wednesday, 2pm. Horses should be presented in a bridle, the bridle number attached to the left side. The handler can carry a whip up to 120cm long. During the course of the event, all CVI horses are under the FEI Veterinary Regulations. This means that they cannot be attended to by a veterinarian unless it is the PTV organised by the OC, or unless the attending veterinarian is a PTV and has made his or her presence known to the Veterinary Delegate. This includes overnight emergencies. FEI Equine Anti-Doping and Controlled Medication Regulations: (EDMCP Control) CVI horses may be subjected to random testing by the FEI throughout the entire CVI event. National horses may be subjected to testing by EA. Please keep in mind that the veterinarians are there to help you get your horse into competition. It is our job to assist you in supporting your horse throughout the weekend. If you are unsure of how we can help, please come and speak with one of us. Page 8 of 17

9 Security: Stable security is of paramount importance and there must be compliance with access restrictions imposed by the Organising Committee Stable security will be implemented at this event. The FEI Stewards and O/C will allow only people with the appropriate pass to enter the stable area. Five colour coded lanyards will be provided to the person nominated as the Responsible Person of each horse for distribution to club members. These lanyards must be worn at all times within the stable area. Anyone in the stable area without the appropriate lanyard will be asked to leave Arm Numbers: Squads are to supply their own numbers. Numbers for individuals will be available for collection by the Team Manager s at the Chef d Equipe meeting on Wednesday. A refundable deposit of $20 per number is required a blank endorsed cheque will be accepted if preferred Vaulters: Lungers: Vaulters are required to hold current EA membership. Lungers are required to hold current EA membership For EA membership please go to the following link: Horse registration: All horses competing at the Nationals must be registered with EA at the appropriate level. 10 Canteen: Mandavilla will operate a canteen out of the facility at the Indoor Arena. They will also operate a Coffee Van in the concourse area. Merchandise: Various items of merchandise will be available for sale via Nominate. Merchandise will also be available for purchase at the event. A Vaulters Forum: It is anticipated that the Vaulters Forum will take place at a time and place to be decided on the Friday evening and will be chaired by Ellen Vincent, the EAVC Vaulter s Representative. 11 Music: All music for running in/out, compulsories and freestyles is to be submitted no later than Friday 1 st September. Please read carefully the following information as there is only one way of sending music: 1. The Team Manager or a nominated person from each club/competitor is to share their state music Dropbox* with Nicole Collett nicaisha@hotmail.com This person will be the contact person for music and will be contacted if there are any problems or questions. 2. Each file must be clearly labelled as follows: a. For individual competitors: Club Name, Vaulter s Surname then Initial, Horse Name, Class Example: NEQC, Blogs J, Horse, Novice freestyle, b. For Pas de Deux: Club Name, Both Surnames, Horse, Class Example: NEQC, Blogs, Smith, Horse, PDD c. Where the club uses compulsory music for everyone using a particular horse: Club Name, Horse s Name, Class Example: NEQC, Bremen, State Canter Compulsories All d. For individual Compulsories: Club, Last name, First initial, Event, Compulsories Example: SVG, Smith, A, Advanced, Compulsories e. For run in music: Club name, Run in. Example: SVG Run In f. For individual with their own run in: Last name, classes in which this will be used Example: Smith, Run in Ind &/or Pdd * When there are siblings competing please always include first initial to avoid confusion. ** A single folder containing all the correctly labelled music (i.e. no sub folders) Page 11 of 17

12 3 CD s, s or USB sticks are not correct forms of delivery and will NOT be accepted. Alternative arrangements will only be made in exceptional circumstances. 4. MP3 format is REQUIRED and is the only format that will be accepted. Volume control on other file formats may be limited and can affect the music during the competition. The club s music manager will be notified if a file format is not acceptable. The music compiler will not amend incorrectly formatted files for you 5. A final check to ensure all the music has been received cannot be done until the final Order of Go has been distributed. Clubs / individuals are responsible for keeping their own list of the music they need and what has been sent through. 6. It is essential that all clubs / individuals bring a copy of all music in MP3 format on a flash drive to the event in case a file has been mislaid or corrupted during the sending process. 7. If music is not put in the Dropbox and is subsequently not supplied after an additional request, a generic music file may be used for the competitor. 8. Prior to the commencement of the event, Team Managers will receive a full list of any vaulters with no music 9. Please enter music via Google drive and drop box so we have a back up. 13 Dinners: Friday - there will be a Pasta Night catered for by Mandavilla at a cost of $25 per adult & $18.50 per child (3-10yrs) (we need a minimum of 50 people for the Pasta night). Please book numbers via Nominate. You will receive a refund via Nominate if we do not reach the 50 required. Saturday there will be a BBQ catered for by Mandavilla at a cost of $26. per adult & $18.50 per child (3-10yrs) - (we need a minimum of 50 people to hold the BBQ). Please book numbers via Nominate. You will receive a refund via Nominate if we do not reach the 50 required. Sunday - The final evening together will be the Presentation Dinner and will be held at the Mandavilla Function Rooms, Horsley Park (near the shops). Those bringing caravans on site will need to book a site via Nominate. Motels/Hotels: There are plenty of options for accommodation, from budget motels through to luxurious **** star hotels in nearby Parramatta. Some of the Motels/Hotels available in the near vicinity are below (or check website for more options). 14 Cabins on site: A limited number of twin share cabins are available for hire at SIEC. (Please note: Linen is not provided). These cabins are limited to two people, and cost $46:00 per night per cabin. These will be allocated to our overseas visitors first then on a first come first served basis. No cooking is allowed in the cabins. These facilities are in the Mess Hall close by. There will be a refundable Bond of $50.00 per cabin (included in Nominate entry) which will be refunded after the cabin has been cleaned, inspected and the key is returned. Refunds will be made via Nominate. Camping: A powered Camp site will cost $30:00 per night. There are no unpowered sites available. When booking a camp site via Nominate please indicate the number of days/nights required. Please indicate on Nominate whether you need space for a truck/float/caravan/tent as this makes allocation of sites easier. Please indicate size of truck. There is a cost of $24:00 if a 2 nd power outlet is required please indicate on Nominate Mess Hall: The kitchen and dining room will be available for those people staying in the cabins or camping. There is a commercial walk in cool room available in the Mess Hall. BBQ s are provided outside the Mess Hall. Stabling: Stables are available at $28.00 per 24 hour day or part thereof with an additional $70.00 payable for the first day to cover the cost of the 4 bales of shavings included in the stable hiring. Additional bales are available at $14.00 per bale. If required, the additional bales will be placed in the stable(s) hired. Please calculate the overall cost from the above,( i.e. per stable 1 day: $98.00; 2 days: $ days: $154.00; 4 days: $182.00; 5 days: $210.00; 6 days: $238.00; 7 days: $ and 8 days: $ In addition there is a refundable cleaning fee of $100 per stable required. Payable via Nominate Stables will be allocated after receipt of entries. On leaving the stable, you will need to obtain an inspection check in order to obtain your bond refund which you will receive via Nominate There are lockable tack rooms available in the stable block at $15.00 per day. Please indicate (or if more than 1, number required) for each day. The breezeway must be kept clean and free from obstruction at all times. Page 14 of 17

15 Manure bins: Only stable manure and shavings are to be put in the bins supplied by SIEC. Exercise areas: Prior to the start of the Championships horses can be exercised on Arena 11 near the stables also horses may be walked on the designated horse paths. But definitely not on the roads. Please observe the direction of any stewards/volunteer officials at all times as per EA & FEI regulations. Day Parking: For any horses not using the stables (e.g. floating on a daily basis and tethering the horse to the float) there will be a per day stay charge of $15.00 per horse per day. This charge will apply from and including Tuesday to Tuesday. Please complete, if applicable, by indicating the number of horses on a per day stay on the appropriate day(s), calculate the sum involved and enter via Nominate Trucks and floats not staying overnight (day parking) need to park in P7 as per the attached map (or check SIEC website for plan of site). Hot weather: Equestrian Australia s Hot Weather Policy will be implemented if it is necessary. There will be a $20 per horse fee which will be included in the stabling deposit via Nominate and refunded if not applied. Feed: To save you carrying all your feed Derks Pet & Rural, Picton is happy to deliver an order to SIEC if you wish. Please ring your order through to ( ) by Friday 22 nd September, so that they only have to make one delivery. The order will need to be pre-paid & will be delivered as per stable allocations. Horses training times in the arena: Roster to be prepared after entries received. This will take place on the Wednesday morning prior to setting up the arena. Page 15 of 17

16 SIEC REGULATIONS: THERE IS A TOTAL FIRE BAN which includes cigarette smoking anywhere in the National Park Area which SIEC is part of. NO ALCOHOL IS ALLOWED IN THE STABLE COMPOUND. Bicycles: Bicycles and scooters may be brought on to the grounds but are not permitted in the Stabling compound. Helmets MUST be worn whilst riding the bike and scooting. Bikes and scooters are not to be used in or around the Indoor Arena area. Internal Roads: The internal roads of SIEC are PUBLIC roads so we are bound by NSW traffic rules and regulations eg. Seat belts to be worn. Neither the Organizing Committee nor the EA accepts responsibility for any accident relating to the use of motorised vehicles on the grounds at any time. Horses: NO horses are allowed in the camping area and/or truck/float parking area. 17 CODE OF CONDUCT: Vaulters and officials must observe the EA and FEI Codes of Conduct. Competition etiquette should be observed at all times. Officials/coaches/lungers/spectators need to have their mobiles on silent mode. Vaulters must be under the supervision of a parent or responsible adult at all times. If this person leaves the grounds, alternative supervision must be arranged. Supervising adults are responsible for ensuring that the property of SIEC and of other participants at the venue is respected and for any damage caused to third parties. Competitors must comply with any instruction given by Officials at the event. Unsportsmanlike behaviour of any sort will not be tolerated from competitors or their connections. Page 17 of 17
