This year marks the 16th running of the Old North State Council s hugely popular Scouts on s program at Winterplace Resort in Ghent, West Virginia. Located just two and a half hours north of Greensboro, the mountain is both convenient and challenging for all levels of skiers and riders. This year s basic package will have you zipping down the slopes in no time and comes complete with your lift ticket, ski rental, helmet rental and School/Merit Badge lesson! To top it all off, each package comes complete with a lunch voucher to Mountain Mama s Food Court so your families can refuel with ease. 3 JAN 28 FEB 11 FEB Scouts on s Pre-registration and Check-in All groups must register prior to trip, Check-in Sunday Only Any and all registrations turned into the council office after the deadlines below will be subject to the $65 rate so do not wait to get a final head count from your group. Walk-ons will be welcome at check-in but reserve the bulk of your group in advance to lock in the sale price! Reservations will not be taken at the Council Office after noon on Thursday before the trip; you can check in and pay at Winterplace Sunday. Please use only the attached form to make your pre-registration no home-designed forms please! For your convenience a writeable PDF form has been included online for your use. Leaders who attempt to submit another form to the council office will be asked to transcribe their group onto the form provided. Your group must check-in on Sunday morning between 8:00 AM 12 Noon. Check-in is located upstairs in the main ski lodge building. SATURDAY NIGHT CHECK IN IS NOT AVAILABLE What to pre-register for Pre-registration / Pre-payment Deadlines Sunday, January 28th Preregistration deadline is Friday, January 19th ($5.00 late fee after the 19th) Sunday, February 11th Preregistration deadline is Friday, February 2nd ($5.00 late fee after the 2nd) Sunday, February 25th Pre-registration deadline is Friday, February 16th ($5.00 late fee after the 16th) Basic Packages (includes ski rental equipment (skis, helmets, boots & poles) & lift tickets), All Snow Tubing Tickets, Snowboard Rental, Bib Rentals, Damage Waiver (covers damage to Rental Equipment only), and Extra Meal Vouchers In order to receive the $60.00 rate your pre-payments must be received in the council office by 5:00 pm on the deadline for your trip s date listed on the left! Any packages purchased after the deadline at either the council office or at Winterplace will be subject to the $65 rate. Note: Any additions will be handled on Sunday morning at the Council check-in table.

4 JAN 28 FEB 11 FEB Scouts on s Payment and Refund Policy Full Refunds Please be advised refunds on Council, District, or OA Events and Activities will be made only if an adult calls 10 days before the event to the Council Office to cancel that registration. The only exception to the policy will be the case of illness, accident and/or death in the family and that cancellation must be called in the day before the event. For cancellations made 10 days or fewer prior to the trip, a 5% cancellation fee will be applied. Partial Refunds (One Per Group) Partial refunds are only given when cancellations are made by 12 noon on Friday before the ski date. The refund request form must be either faxed or ed to the Council Office before 12 noon on the Friday before the ski date. Refunds will not be given for no shows. There will only be 1 refund per unit. Refund requests submitted to the council office after the Friday before the ski day will not be considered. We will allow for a person to carry over his or her payment to another ski day, except for the March trip. Once you have decided to roll-over credits you cannot submit a refund request for those credits on a later trip. Credits are transferable to other families. Rollovers If your unit submits proper notice (see above) canceling its participation in one of the first two outings it has the option to roll-over its credit to a remaining 2018 date. If a unit intends to role its credit over to another weekend it must declare this intention before noon on the Friday before the trip it had been registered for. A new registration form is due for the future trip. Example: If you wish to roll over credit from the Jan. 28th trip to be used on the Feb. 11th trip your unit must declare that it wishes to cancel and rollover its credits by noon on Fri., Jan. 26th. Your unit would then submit a revised registration to the Scout Office indicating the rollover credits by 5 p.m., Friday Jan. 26th. Anyone from a unit can use credits from anyone else in that unit who had earned them. Inclement Weather Refunds will only be given if weather conditions cause the slopes to be closed. This almost never happens. Keep in mind if you peel and stick a lift ticket or tubing ticket to your jacket you bought it no refund! REMEMBER THERE ARE 2 OPTIONS FOR CANCELATIONS FOR THE FIRST THREE TRIPS: PARTIAL REFUND OR TRANSFER TO ANOTHER TRIP. THERE IS ONLY ONE OPTION FOR THE LAST TRIP: PARTIAL REFUND ONLY

6 Checking in Groups checking-in on Sunday morning should send only your group leader to the check-in table (located on the 2 nd floor of the main lodge building). All other group members should sit at the tables in the Group Orientation area (also located on the 2 nd floor of the main lodge building). Remember Everyone attending Scouts on s MUST attend with their Pack, Troop, Team, Crew, or Post - NO INDIVIDUAL FAMILY REGISTRATIONS (unless you re the only family attending) - ALL GROUPS MUST HAVE A REGISTERED BSA GROUP LEADER who is listed on the pre- registration form! Directions to Winterplace: From Greensboro take I-40 to Winston-Salem. Get on 52 North. Follow signs (via I- 74) to I-77 North (near Mt. Airy). Stay on I-77. Winterplace is located between Princeton and Beckley, W. VA. Exit #28 (to Ghent). Plan on about a 3 hour drive. Questions?
