1 INTERNATIONAL ICE CHARTING WORKING GROUP July 2, th MEETING OF THE INTERNATIONAL ICE CHARTING WORKING GROUP Greetings from the IICWG Co-Chairs; This is your invitation to attend the 17th Meeting of the International Ice Charting Working Group (IICWG-XVII) October 24-28, This year s meeting is being hosted in Ottawa, Canada, by the Canadian Ice Service. The theme for the meeting is Since 1999, the IICWG has successfully worked as a forum for the operational ice services and helped them to better meet the needs of their national and international marine clients through coordination and cooperation in data sharing, standards, training, product development, and research activities. The annual meeting has proven to be a valuable opportunity for national ice services to meet, along with their partners and clients, to discuss and coordinate along issues facing operational ice monitoring and forecasting today and in the years to come. The IICWG is an advisory body to the JCOMM Expert Team on Sea Ice and coordinates its activities with the WMO Executive Council Panel of Experts on Polar and High Mountain Observations, Research and Services. The IICWG s work is based on the activities of its two Standing Committees on Applied Science and Research and on Data, Information and Customer Support and its Iceberg Sub-Committee. Agenda For this year s meeting, we are focusing on sea ice and iceberg prediction. We want to examine the state of ice modelling science, how models are used in operational practice and the kinds of prediction products that users need. The ice information requirements of the IMO Polar Code and activities of the Year of Polar Prediction are expected to have particular prominence. Following the Science and Operations workshops on Monday, the open meeting will commence on Tuesday and will include an emergency incident response table top exercise to help the ice services prepare for a large-scale response effort in ice-infested waters. The scenario for this exercise will involve search and rescue and environmental response across multiple international jurisdictions. All participants will be involved in the exercise along with response industry representatives. Wednesday will be devoted to two themed breakout discussion sessions opened with overview presentations by invited experts. Plenary sessions on Thursday will highlight preparations for the IMO Polar Code and new earth observation missions. The IICWG business meeting, at which the IICWG charter signatories and invited guests will decide on the workplan for the coming year, will be held on Friday morning, October 28. A preliminary agenda is attached. Note that posters are welcome. Please send comments and suggestions to the IICWG secretariat.

2 INTERNATIONAL ICE CHARTING WORKING GROUP Meeting Venue The meeting will be held at the Novotel hotel at 33 Nicholas Street in downtown Ottawa. The Novotel is just a few steps from the ByWard Market tourist district packed with shops, restaurants, and clubs. It is adjacent to the University of Ottawa and a 15 minute walk from the Canadian Ice Service. Accommodation Blocks of rooms have been reserved at the Novotel and the Les Suites hotel which are adjacent. Accommodation in residences at the University of Ottawa may also be available at lower rates. Please see below for booking information. Travel As the capital of Canada, Ottawa boasts a large international airport with direct connections to many destinations. Travellers from Europe most frequently leave in the morning and arrive late afternoon the same day. Return flights are usually overnight, departing in the evening. A taxi ride from the airport to downtown Ottawa takes about 20 minutes and costs about $30. Public bus transportation costs $3.55 (exact change required) and takes about 40 minutes. Please note that all visitors to Canada, except U.S. citizens, will need either an Electronic Travel Authorization (eta) or a visitor visa. Social Events Following the workshops on Monday afternoon, there will be an icebreaker reception at the Novotel. On Thursday evening, a no-host dinner will be held at a restaurant in the nearby market district. A bus tour through Gatineau Park to the satellite receiving station and Canadian Data Processing Facility (CDPF) will be offered on Friday afternoon following the meeting close. Climate warming may delay the seasons just enough to preserve the spectacular colours of the autumn leaves in the Park. Tourist Information The capital of Canada sits on the banks of the Ottawa River. The national capital region, which includes the city of Gatineau on the opposite riverbank, has a population of about 1 million. It is home to several national museums, the National Art Gallery and the National Arts Centre. In the market area near the Novotel, there are many restaurants and clubs featuring live music. Ottawa is a bilingual city. English predominates but French is heard everywhere. In Gatineau, the reverse is true.

Average day-time maximum temperature is about 7 C with night-time lows near freezing.
