1 Minutes from the Board of Management meeting of Illawarra District Hockey Inc. held at the Illawarra Master Builders Club on Tuesday 22 January, 2013 at 7.00 pm. Present: Garry Bull (President), Craig Nealon (Immediate Past President), Terry Ashby (Vice President), Warren Gale (Indoor Director), Wes Johnston (Finance Director), Craig Klaus (Umpires Director), Janet Cowan (Rep Team Director), David Rieck (Development Director), David Sharpe (Planning Director), Graham Body (Director Planning). In attendance: John Pemberton (IMHI Administrative Officer). Graham and David S had decided that their skills were better suited to a swap of portfolio's and the meeting ratified a change in roles with Graham taking the Planning and David S the Competition positions. Unfilled positions: Coaching Director position. The Masters committee recently held their AGM; however, no delegate was appointed to the Board. In the interim, many of the current Board members are prominent members of the Masters fraternity and will keep the meeting informed of masters matters. Item 1. Minutes from the previous Board meeting: The minutes from the previous meeting were moved and accepted as a true and accurate record. Item 2. Business Arising Australian Rep shirts framing: Garry has Tristan White's and Peter Huk's Kookaburra shirt for framing and David Gentles will supply a shirt ASAP. He will contact Airlie Ogilvie to purchase her Hockeyroos shirt for framing. Once framed, it is hoped to display the framed shirts in the "Bullpen' in the future. Future of Illawarra Hockey Workshop: The workshop will be held on Sunday 3 February from am to 5 pm at the UOW SMART building. Invites have been sent to IDHI and IWHA club representatives, members of both association executive committees, a representative from both associations life members, HNSW observers and independent facilitator Greg Knight. Terry, Craig N, Wes and David S will represent IDHI with John as note taker. Wayne Billett will represent IDHI life members. Garry will distribute venue details and some workshop information soon. Chat to junior umpire: Garry will speak to the umpire about breaching the IDHI Code of Conduct and the importance of conducting himself in an appropriate manner at future championships. HockeyNet workshop: Wes attended the HNSW workshop last Sunday. He distributed a report to all clubs noting some shortcomings in the current system identified at the workshop to which the provider plans to rectify soon. The major problem identified with the system is that it registers a player to a single club. Duplicate player records need to be created if a player plays for more than one club or in multiple associations. Importantly when a player registers online to a club they will be immediately billed for their Hockey NSW component including a 4% processing fee. It will not be compulsory to pay at the initial registration in 2013 but will be for Players will have a date that they need to pay by for 2013 probably 31 May. It is expected that further information and Association and club logins will be received soon. Wes plans to organise club official training sessions as well produce a user's manual soon as the new system will be used for the Illawarra Under 17 competition.

2 Summer competition registrations: Wes will complete all summer competition registrations on HockeyNet by the HNSW census date of 11 February. Sydney/Macarthur trial dates: Janet has contacted organiser Ian Jessup about a suitable date for the U17 trials hosting in the Illawarra. The dates for U15s - Narellan or Moorebank - Sunday 19 May and U13s - Moorebank or Narellan - Sunday 16 June have been confirmed. Action: Janet 2013 theme: The meeting ratified the 'Golden Goals' theme and logo for the 2013 season. It is on the ihockey.com.au website and IDHI paperwork. ihockey TV: Craig N will talk to David Gentles about an ihockey TV segment on umpiring matters. ihockey TV is proving very popular with 1000s of hits on each segment and up to 10 new subscribers weekly. Action: Craig N PeopleCare sponsorship: Health provider PeopleCare have confirmed their 2013 Umpiring sponsorship. They will not use 'PeopleCare Eyes & Teeth' in the sponsorship only the PeopleCare name on the umpires shirts and other correspondence. Another 30 new Umpires shirts will be purchased this season and they will include the PeopleCare logo on the back. Craig K will also enquire of the cost of a 'PeopleCare' patch over the old Smart Eyes logo on the current shirts. Action: Craig K PeopleCare are happy for another health provider such as My Dental Team to discuss other possible sponsorships with IDHA. Action: John to contact My Dental Team regarding their interest in custom-fitted mouthguard supplies. Junior sponsorship proposal: Terry tabled the final proposal and letter for the new junior representative teams sponsorship package. Some minor changes were noted and a final copy will be given to all Under 17 rep team players to gain sponsorship for themselves for the 2013 championships. Action: Terry & Craig N HNSW letter regarding U18 player financial liability: Wes had spoken to HNSW Finance about the liability of parents/guardians paying debts incurred by an U18 player. HNSW are enquiring about the matter. Item 3 Director s Reports: Correspondence: 1 The 2013 HNSW Affiliation and Contacts form must be completed by 15 February. John will contact clubs about their 2013 office bearer details and complete the form. Action: John 2 The Active After School program provided information about hockey program opportunities in the Illawarra for The meeting strongly encourages all clubs to get involved with the program. Action: John to distribute information 3 Garry will attend the HNSW Presidents Forum on Saturday 16 February. Competition: 1 Presentation night will be either Friday 30 August (before the semi-finals) or Friday 6 September (before the finals) - decision at the February SGM. Action: John

3 2 Nominations for the Under 17 competition are Albion Park (2), Dapto, Fairy Meadow, Kiama, Shoalhaven, Southern Highlands, University, Wests. In addition, an Illawarra U15 rep team will play until their state championships. As such, the competition will be a 10 team i.e. 5 matches per week. Suggested times are: U15 to play their weekly match at 5.30 pm (i.e. their players will be able to play for their club team at the later time slots each week) with two matches at 6.40 pm and the further two matches starting at 7.50 pm - all matches on ICU Fields unless agreed by the teams. The competition will start on Wednesday 13 February with all 10 teams contesting one round i.e. 9 competition rounds. Illawarra U15s will then drop out of the competition with the remaining highest placed 5 teams playing A Division and the remaining four teams playing in B Division. As such the competition will run for 15 rounds with semi-finals on 5 June and grand final on 19 June. Action: David S to produce the draw 3 Shoalhaven requested that two or three 18 year old girls be able to play for their team. The meeting confirmed that no overage players are allowed to play in the U17 competition. There have been several requests over the past few seasons for allowance of overage players and the Board has not allowed these requests. The meeting understands Shoalhaven s situation but they felt they must adhere to past practice. Shoalhaven noted they are short of a goal keeper and asked if any club had an additional goal keeper they contact Shoalhaven about playing in their team for the U17 competition. 4 Wests HC requested that both the IDHI and IWHA consider round 1 first grade matches be played at ICU Fields on Friday 22 March with women's 1st grade at 6.30 pm and men's 1st grade at 8.00 pm - as a promotion/season launch of the 2013 season. The meeting supported the concept and David S will talk to his IWHA counterpart Kerry Baird about such a draw. Action: David S 5 Southern Highlands HA have changed their playing format for the 2013 season with men's first grade playing Friday nights, lower grade men on Saturday afternoons and all women's matches on Sunday. Mittagong and Robertson HCs have confirmed that their 1st grade teams will play in the IDHI 1st grade competition. SHHA will meet with their clubs soon to fully discuss the new concept and IDHI officials will meet with SHHA officials and Mittagong and Robertson representatives soon afterwards to discuss the IDHI first grade format and draw. Action: John Development: 1 Invitations had been sent to players for the 2013 junior high performance program with the vast majority accepting. The program will run in February and March with dates to be organised with coach Barry Reid ASAP. Action: David R 2 There was not enough clubs interested in holding a junior pre-season competition. Finances: Wes presented the Balance Sheet, Profit & Loss, Aged Receivables and Bank Reconciliation statements to 22 January Total Equity $94,410.56, Net profit $ The meeting approved the Financial Statements. The meeting approved: All accounts receivable 31 days or older are unfinancial All Players from Oak Flats Juniors in 2012 are declared unfinancial All Players from Cavaliers in 2012 are declared unfinancial All of the above players be declared unfinancial with Hockey NSW in February Clubs are requested to provide details of their unfinancial players for inclusion on the list to Hockey NSW

4 Wes tabled an updated draft 2013 Budget. It included Umpires payments paid by the clubs (rather than in the team fees). The budget will be discussed at the February SGM. Indoor: 1 Results from the Indoor finals: A division Stick Kents 6 def Dragons 5, B division Grumpies 3 def Dodgers 0, C division Matt Elliott Plumbing 4 def Test Eagles 3, U15s Wests Blue 3 def Uni Blue 1, U13s Wests Black 4 def Wests Blue 3. 2 Illawarra is sending two teams to the Masters indoor state championships in early February. The meeting decided that clearances would be granted to any Illawarra player wishing to play for South Coast in the Masters championships. Planning: Graham will discuss thoughts on 2013 Technical Officials with Ian Counsell before submitting a proposal for discussion at the February SGM. Action: Graham Representative Teams: 1 Applications for rep team coaches were received from: Simon Beaton - Opens A Tom Walker - Opens B (unless selected in the As) Chris Richards - U15 A Zach Duncan-Viles and Daniel Jolliffe - U13 team. The meeting accepted Simon as Opens Coach, Tom as Open B coach (pending selections) and Chris as U15 A coach. The meeting accepted Zach as U13 Development team coach but could not accept Daniel's application as he is under 18 years old (not old enough to complete the Working with Children paperwork). Action: Janet to contact each applicant David tabled his application as U13 A team coach. The meeting accepted the nomination. Applications for rep team managers were received from: Karina Welsh - U15 A team (if son Hayden selected) Barry Reid (FM) - U15s, U17s and/or Opens The meeting asked if Karina could act as interim manager of the Illawarra U15 team in the Under 17 competition - noting selection of the U15 teams (and thus managers position) will occur after selection trials have been finalised i.e. much later in the season. Action: Janet The meeting accepted Barry's help as manager for the various teams - decisions to be made later in the season for each championship. Coaches are still required for: Under 15 Development and Under 17 A & Development teams. Action: Janet to ask for applications ASAP U11 - several Carnivals in July & August U13 boys - Illawarra team & Illawarra Development Team 11 to 14 July Manning Valley U15 boys - Illawarra team & Illawarra Development Team 31 May to 2 June - Orange U17 boys - Illawarra team & Illawarra Development Team 3 to 5 May - Macarthur Open Men Div1 & Div 2 team - 8 to 10 June - Newcastle 2 Motel accommodation for players, parents and supporters have been booked for the Taree, Orange and Newcastle championships. Players, parents and supporters must organise their own transport & book their accommodation for each championship. The U17 teams will travel daily to Macarthur.

5 3 Campbelltown City HA distributed information about an U11 boys carnival on 5 May. The meeting felt this date was too early in the season to send Under 11 rep teams. Umpires: Craig Klaus will review the umpires payments rates. Craig K will talk to David G about a rules revision night before competitions start in March. Action: Craig K Masters: 1 Brian Eastham is again chairman of the Masters Committee with Warren as chairman of selectors and training organiser, Jim Hindle as equipment officer and Wes in charge of finances. Selectors, managers, coaches and umpires will be appointed soon. Two teams will be nominated for each age division of the state championships (except for one O35s team). Training commences on Monday 11 February at 6.30 pm at ICU Fields. 2 Warren along with Jon Laurenson will be he Illawarra delegates to the NSW AGM on 2 February. Illawarra Hockey: It is anticipated that the Shellharbour Hockey Centre management proposal will be lodged with Shellharbour City Council in January. Four IDHI representatives are required for the 2013 Board. Garry, Warren along with Allan Went will continue. Garry will talk to several people about becoming the fourth IDHI representative. The fields have been cleaned in readiness for the new season. Warren noted that a notice of motion for the IHI AGM includes awarding of IHI life membership along with a phrase which gives life members voting rights. The meeting supported the life membership proposal but did not support the granting of voting rights and asked its delegates to vote accordingly at the AGM. Action: Warren & Garry Hockey NSW: HNSW Awards Night is Saturday 16 February. Garry and Pauline will represent IDHI. HNSW are reviewing the Game Development area and currently there is no Illawarra/South Coast development officer. Other Business: 1 The next meeting of the Board will be at 6.00 pm on Tuesday 19 February followed by the SGM at 7.00 pm. 2 The President and Finance Director signed the Diskray PL contract to supply administrative services for the 2013 season. 3 A review of the Match Result Sheet and in particularly whether IDHI returns to the previous method of all players signing the sheet will be discussed at the February SGM. Duty Officials will be reminded that they also need to add 'own goals' the match goals tally this season and a suitable column will be added to the result sheet. 4 Terry noted an Illawarra Mercury article stating a number of local sports clubs had received grants from the DSR Participation and Facilities Grant program. Garry advised that IHI and local hockey clubs were not successful in gaining grants. The second round of grant applications closes on 26 February; however, groups were not allowed to re-submit their first round applications for the second round grants. Garry Bull, President
