3 March 2018 Dear Coach, Participant and Supporter: On behalf of the Buffalo Niagara region, the Buffalo Niagara Sports Commission would like to welcome you to Buffalo and thank you for participating in the NYSPHSAA Ice Hockey Championships held over the dates of March 10 & 11, 2018 at the HarborCenter in Buffalo, NY. We pride ourselves as one of the top sports destinations in the country and we are grateful to assist in bringing another great sporting event to this community. We are proud to partner with the State University of New York Athletic Conference on hosting this Championship. By competing and participating in this event, you contribute to generating a positive economic impact that will help drive tourism, showcase amateur athletics and local businesses prosper. We look forward to your arrival and hope that you have an enjoyable experience while you are in Buffalo. It is our intention to make this not only a first-class championship weekend, but also to make your stay here in our city, hospitable. I hope that you find this tournament packet helpful in assisting you in planning your trip here. Our local Section VI committee also feels that it is important to be there with you every step of the way, so we assigned a local person to each team to help with arrangements, directions, information, getting around town and just all around making you feel welcome. The team liaison will help your team with any questions, concerns or issues you have leading up to the tournament until you depart from the tournament. Teams must communicate with their liaison so proper arrangements can be made for your arrival. The tournament committee already has rooms reserved. Please let your liaison know how many rooms you will need and the number in your team travel party when they make contact with you. We need to finalize Friday night s banquet numbers, and credentials, so please make sure your numbers are accurate with your travel party. Complete rooming lists need to be in by Tuesday morning, March 6, along with any additional tickets you may need for those attending the banquet on Friday night. Also, please complete the roster form with the phonetic spelling of all members of your team. Please use the enclosed forms at the end of this packet. Admission and Ticket Sales For purposes of admissions, 25 participants and 7 bench personnel (coaches, statisticians, athletic directors, other school administrators, and other persons associated with the team) will comprise the traveling squad and will be admitted to the tournament site. All other participants or bench personnel will be charged admission. Refer to for current NYSPHSAA Championship Ticket pricing. Tickets are general admission ($8.00 per ticket). Bus drivers with proper I.D. will be admitted to regionals, semis, and finals free of charge. 4

5 Awards For Regional Tournaments of the NYSPHSAA, each championship and finalist team will be awarded a team plaque and all team members will receive certificates of participation in both divisions. For NYSPHSAA Championships in Buffalo, championship, finalist, and semi-finalist plaques and certificates will be awarded to teams in both divisions, plus individual medals to members of the championship and finalist teams. For all levels of participation, including regionals and NYSPHSAA championships, only twenty-five (25) individual awards are authorized for each team. Each state champion team will also receive twenty-five (25) champion t-shirts. If you would like to purchase extra champion t-shirts, or medals an order form will be provided. Participant Credentials All staff and players will be provided credentials when arriving at the arena on Friday. These credentials should be worn at all times during the course of the weekend. Only those with credentials will be allowed in the locker room areas. Any players that plan to go back and forth between their hotel room and the arena to watch other games, will not be allowed in without their credential. The credentials will be distributed based on the provided roster that the committee needs by Tuesday morning. We also ask that all players and staff wear your credentials to the dinner on Friday night. Gate List Each championship team is required to submit a Gate List (attached) to the NYSPHSAA office two (2) days prior to the championship event. Each school will be provided a gate list of school personnel that will be allowed into the games without being charged an admission. No one will be allowed into the arena without proper credentials or on the gate list unless they pay admission. Gate lists need to be sent directly to Kristen Jadin by Thursday, March 8 th at NOON. If changes need to be made to the gate list, you need to do so with Kristen directly. Please see the gate list in the attached addendum. Advance Sales For all NYSPHSAA Ice Hockey State Tournament games to be held at the HarborCenter, advance sale tickets may be purchased by visiting Lodging The HarborCenter Marriott is the official tournament site of the NYSPHSAA Championships. All teams will be staying on the premises. The hotel is located above the rink. Players and coaches can walk out of their locker rooms after practice on Friday and go up the elevator to their rooms. Please contact Aubreyanna Curtis on Monday to make your team arrangements (acurtis@shanercorp.com), (716) Parents and others traveling separate should not contact Aubreyanna. They should contact the hotel directly (716) The enclosed rooming list and tax exempt forms should be sent to Aubreyanna by Monday, March 5. The Marriott will send schools an invoice by Tuesday, March 6, for PO purposes. Check-in is 4 PM. Room keys will not be issued to teams until all rooms are ready. Some rooms may be ready prior to the 4 pm check-in time and we will try to accommodate teams. No guarantees can be made prior to 4:00, so please check with your liaison or Aubreyanna ahead of time. On Saturday all teams are asked to check out by 11 AM. Bags can be stored in the banquet rooms and teams who win, will return and check back in with new keys. 5

6 Enclosed please find more detailed information about the amenities that HarborCenter Marriott provides. Uniforms/Home Team: The home team will be in white or light-colored jerseys and the away team in dark. The home and away team will be determined by a flip of the coin. The team that travels the farthest will be the team that calls the flip. Saturday s games will be determined at Friday s banquet in front of all of the participants. The coaches of the teams that advance to Sunday will report to the hospitality room immediately following the second game on Saturday of their classification for a coin flip for Sunday. The team that wins the flip, calls their jersey color which will also determine who will get last change as the home team. Practice Friday: Each team will be allotted 50 minutes of ice on Friday, March 9, at HarborCenter on the main rink, which will be the surface that all games on Saturday and Sunday will be played on. Teams will be scheduled by the Tournament Director as soon as the teams are determined. Practice times will be based on travel with those teams that are closest to the site, practicing earlier. If you would like a full hour practice on Rink 2, that can be arranged as well. Pucks will be provided for practice on Friday, as well as pre-game warm-ups for all teams. There is no need for you to bring pucks. Arrival at the Rink: When you arrive on Friday at HarborCenter, you will be met by your team liaison. Your liaison will show you to your locker room which will be yours for the weekend. All hockey gear should be left in the locker room until your departure. No equipment will be allowed in the hotel rooms. Please make sure your liaison knows your arrival time. Buses should unload on the Washington St. side of the building. Teams will unload and go up to ice level on the freight elevator. Bus drivers will be instructed where to park in the surface lots. Bus Drop Off Protocol Please make arrangements with your team liaison when you arrive. Follow directions to 1 Perry St., Buffalo, NY to the team bus drop, which is located between the south end of HarborCenter and the First Niagara Center. Drop off players underneath crossway on Perry St. and wait on bus until your liaison meets you. Players enter at Level 1, turn right to elevators, and take elevators to Level 6. Please proceed and park bus in surface lot by following directions below. Please call HarborCenter front desk if there are problems with your arrival at To Surface Lot from Perry Street Bus Drop off: After player drop off, turn left onto Seymour H. Knox III Plaza. Continue on South Park Ave. Turn left onto Michigan Ave. Turn left onto Perry St., then another left onto Baltimore St. Take Baltimore St. almost until it ends, then enter lot on the left. Locker Rooms/Laundry: Each team will be assigned a locker room for the weekend. Keys should be picked up and returned to Customer Service daily. Please do not bring the key with you when you leave. Teams will leave all of their gear and sticks in that room for the duration of their stay. The rooms will be stocked with water and Gatorade on Friday. There will also be a laundry cart in your room that players can have articles 6

7 washed for the next day. Players at the end of practice Friday or end of the game Saturday should place their garments that they want washed in the laundry cart. When the team exits the room, a HARBORCENTER staff member will collect the cart and wash those articles and have them back to the locker room before your next scheduled ice time. Banquet Friday night we will be hosting a pre-tournament Banquet/Press Conference at The Lexus Club inside the Key Bank Center (home of the Buffalo Sabres) for all participants. All team personnel are expected to attend. This event is a shirt and tie affair and we ask that team captains bring their jersey with them for photos. Dinner will be buffet style, and it is the committee s intention for us to be done by 8:30 PM with the entire banquet. No transportation is needed. Teams can walk through the parking ramp to the tunnel connecting HarborCenter and the Arena. Liaisons will assist in guiding you to the location. Members of the media will be invited and will be taking photos and conducting interviews with players and coaches. We will start our program promptly at 6:30. We ask that coaches be prepared to say a few words about their team, as well as part of the program. In addition, we will determine Saturday s home and guest teams with ceremonial flips of the coin. The cost of the banquet is $20 per person for all team members and staff. Purchase Orders and/or checks should be made out to Section VI, NYSPHSAA, Inc., 355 Harlem Road, West Seneca, NY Transportation Transportation expenses at the rate of $1.35 per mile, per grid chart, for competing NYSPHSAA member schools will be paid by NYSPHSAA upon submission of a State Voucher by the participating Section Treasurer, directly to NYSPHSAA, 8 Airport Park Boulevard, Latham, New York Attn: Assistant Director. Regionals: All on-site expenses will be paid by the treasurer of the host section. All profit or loss at this level will be the responsibility of the competing sections. Semi-Finals and Finals: All on-site expenses will be paid by NYSPHSAA after submission of approved vouchers. Travel vouchers are available at Submitting Rosters for Championship Programs Section coordinators/schools/coaches must follow the roster submission procedure to ensure their roster appears in the program. Rosters should only be submitted via MaxPreps website. Instructions are below: 1. After you sign into Maxpreps.com with your and password, hover over text in the upper right-hand corner that says hi, Your First Name to access your admin account. IMPORTANT: you can contact MaxPreps at x1 or support@maxpreps.com if you don t have your access code already. 2. Once you go to your team page you can upload your roster by clicking Roster in the horizontal menu bar. 3. From the Roster page, you have a few options to update your roster: a. You may Copy Roster From Last Year b. To add individual athletes, select +Athlete c. You may also your roster to rosters@maxpreps.com and MaxPreps team will load them in 3-5 business days. 7

8 4. To load your team photo, go back to your team admin homepage by clicking HOME in the horizontal menu bar. 5. Then click on Photo in the Mascot & Team Photo section in the lower right-hand section of the admin homepage. 6. From there simply click Choose File and select the file from your computer, then click Submit and you are done! In addition, for detailed questions about MaxPreps partnership with the NYSPHSAA you may contact MaxPreps New York Representative Eric Frantz at or FOR INQUIRIES WITH THE NYSPHSAA OFFICE, CONTACT Chris Watson at Press Chris Watson, NYSPHSAA Director of Communications will accept media credential requests and make press seating assignments at the tournament. The Director of Communications must be satisfied that the request for a credential is made by a bona fide member of the working press (Daily/weekly newspaper, broadcast/community television station, and/or broadcast radio station). Bona fide members of the working press must contact either Chris (cwatson@nysphsaa.org) prior to Thursday, March 8th at NOON to assure a credential(s) will be available for them and that seating arrangements can be provided. ALL MEDIA REQUESTS will be reviewed prior to the tournament. Media and Film Rights Any requests for TV or radio coverage of the state quarterfinals, semifinals, or championship game must be handled through the NYSPHSAA office one week prior to the contest. For radio contracts, visit and click on Media to download a tournament contract. Print and complete the contract then fax ( ) or to Chris Watson, Director of Communications, at cwatson@nysphsaa.org. He will approve all radio requests and forward an approved contract back to you with site information. The radio broadcasting fee is $250 per contest for semis and finals.
