1 Hyannis Yacht Club Organized 1927 Commodore s Report Like the beautiful bittersweet vines that permeate our wetland areas and serve as a harbinger of quiet times ahead, I have navigated the final approach to the conclusion of my wonderful year as Commodore. It has been an honor to lead our Board of Trustees, and I thank everyone who had the confidence to support my advancement to this final year. I am also grateful for all of the members who energized my commitment through their enthusiasm and dedication to our Club. The Board started the year together in Edgartown, gathered in a cozy conference room at the Harborside Inn. We invited Rick Fenuccio and Tim Sawyer, our architects, to dust off the renovation plan and reintroduce the Board to the original drawings. The reinitiation to the hard work of our original Renovations Committee energized the Board members and led to a commitment to bring the project as close as possible to the celebratory ground breaking. Along with the renovation project, we identified five other proposals to work on over the course of the year. Board members selected the project(s) of interest and fulfilled leadership roles with each of the identified initiatives. The endeavors included: sponsorship, renovation project financing, enhancing waterfront programs, the development of a 501c(3), and a review of our current membership categories as outlined in our Club s by-laws. It is with tremendous pride that I share with you the results of our year s work. We developed a sponsorship policy that will help guide future Boards with decisions surrounding offers of support. 2 Commodore s Report continued. detailed guidance of John Field, our magnificent Treasurer, we are prepared to finance our renovation project and have demonstrated our ability to pay the proposed mortgage. We also supported the development of an ad-hoc committee, under the leadership of Jacquie Newson, to fundraise and help offset the costs of the remodeling. Together with Charlie Cooper, Race Committee chairperson, Betsey Aitken, One Design chairperson, and Lincoln Baxter, Ocean Race leader, we organized a wonderful season of racing that included the introduction of the Harpoon-sponsored Wednesday night races and the reintroduction of the July 4th Family Day Race. John Field and Jack Meade have researched and are prepared to introduce the 501c(3) following our renovation project. Board members met many times to look at the current categories of membership, sharing several revision proposals. Consensus with eleven can be a challenge, and by-law changes define who we are as a club and are labor intensive, so this crucial work will continue into the upcoming year. After establishing our year s Board objectives, the fouryear lawsuit that had delayed our renovation project was withdrawn. We were ready to proceed! The Renovations Committee began meeting weekly with our architects throughout June, July, and August. We interviewed contractors, selected the company we believed to be the best match for our renovation parameters and entered into a pre-construction contract with Acella. At this point, our plans are permit ready, and we have gotten our contractor s first pricing estimate. We were all working hard and hoping that if everything came together, construction could commence this October. This timeline was exceptionally aggressive, but we were committed and were not willing to give up. While working with the architects and contractor, we were simultaneously quietly negotiating with the three trustees of the Dunbar s Point Trust, Hugh Findlay, Chuck Lockhart, and Ed Mackay. The Dunbar s Point trustees support the renovation project, but both our board members and the Dunbar s Point trustees know that we cannot enter into a mortgage without a formalized agreement between the two entities. We have worked throughout the year on a lease agreement. On August 10th, a question regarding the trust requiring legal research began to slow our ability to complete the lease. Lawyers are now researching the question, and no agreement is possible until this is resolved. Unfortunately, this has returned our project to its original starting date of October I leave this work to the 2009 Board of Trustees and have great confidence that they will be able to complete the negotiations in time for next fall s groundbreaking. While the Board s work on identified goals was proceeding, wonderful committees, led by highly committed chairpersons, were working hard to maximize our membership value. We enjoyed a well done roster book, highly maintained docks, a well organized mooring field, a fabulous youth program, a safe and fun-filled regatta and youth invitational, terrific one design and PHRF racing, stylish logo clothing, a cadre of active new members, and terrific parties throughout the year. We will conclude with our one design and ocean race banquets, where carefully selected trophies will be presented to deserving participants. Shared leadership, having the confidence to join with bright, hard-working, committed individuals to meet established goals, allows every member of our Board to look back with immense pride at this past year. The work of the Board and committees would not have been possible however without the support of our Club s management team who supported us on all of our initiatives and activities. I would like to especially thank Wes Richardson, our club manager, for his ongoing encouragement and support throughout the past twelve months. He has a great management team, and together they continue to enhance our Club. Congratulations to Jared Wallin and Mark Minahan, new to their positions this year, you both did a fabulous job! I wish the best to Jack Klim, our new commodore, and the 2009 Board of Trustees. We had a great season to swim and not too many complaints. NO big jellyfish scares! However, not too many miles chalked up...what s up with that?? We had some newcomers this year. Watch out for Moira McCullough, Barbara Hersey and Sheila Stagman!!! Thank you to everyone who participated and what a great trip on the Starfish Cruise. We had 30 people join us as we cruised down the Bass River and no one got struck by lightening, thanks to our great skipper Cliffy Smith. 4 General Manager s Report Summer is nearly over and we are about to go into one of the most beautiful times of year on Cape Cod and at the Club. As summer slips away however, not everyone is able to relax and enjoy the season. September closes our fiscal year and, through our budget process, we begin the process of planning for All of the committees are solicited for input on policy and procedural changes and capital expenditures that will impact the budget and shape the future of the Club. It also is the time of year to reflect on our mission statement and ensure that the budgeting and planning process drives us to achieve our stated goals and mission. The mission statement of Hyannis Yacht Club reads: Annual Meeting Sunday, October 26, :00pm Agenda for the Annual Meeting Call to Order Secretary s Report Treasurer s Report Budget Report Committee Reports Old Business New Business Adjourn The purpose of this Club shall be to encourage the sport of yachting, to promote the education and science of seamanship and navigation, and to provide and maintain a suitable clubhouse and anchorage for the recreation and use of its members. Employees and members are reminded that this is why we are here as an organization and that HYC succeeds through the hard work of a very dedicated staff and more importantly, through the hard work and dedication of the members who volunteer for the various committees. The true success of the Club is members working together to make something special happen. How much you volunteer dramatically impacts the budget. It is amazing how much we save when members volunteer and how expensive it will be to hire staff to provide the growing list of services that members have come to expect from a first rate private club. The Club is certainly financially sound however, with increasing costs, it is imperative that members continue to volunteer to help ease the burden and maintain the affordability that HYC has enjoyed over the years. Now is the time to volunteer for a committee, to host a party, to house a summer instructor, or to help out at an event. Thanks to all the volunteers and staff who have helped to make 2008 a great year. Have a great fall! 5 Sailing Instructors Wanted! Yes, it s only October! And yes, we re getting an early start! However, we intend to put together one of the best teams ever, so if you re interested in becoming an instructor or coach for the summer of 2009 and meet the following criteria, please apply now. We are hoping to finalize our head coach and senior instructor positions by January 15th. Please forward your resumes to Wes Richardson at wes@hyannisyachtclub.org or for questions call (508) Head Coaches US Sailing Level 1 certified, Level 2 a plus Current or former member of a college sailing team Entering at least the junior year in college preferred A minimum of one year coaching or instructing experience at another program At least two references American Red Cross First Aid and CPR Certification Strong experience with specific boat (420, Opti, Laser) Senior Instructors US Sailing Level 1 certified At least two references American Red Cross First Aid and CPR Certification Broad sailing skills College sailing experience will weigh heavily on the decision to hire an individual but the demonstrated ability to work with children of varying skills will be a must. Junior Instructors Anyone wishing to apply for a junior instructor position in sailing should forward his/her letter of interest to Deb Newson at sailmaster@hyannisyachtclub.org, or for swimming to Pam Nothacker at swimmaster@ hyannisyachtclub.org. The application deadline for junior instructors is December 31, Please include in your letter of interest your availability during the summer Monday through Friday between 8am - 5pm. One Design Update We had another very fun year in the one-design world. We kept the Optis, 420s, lasers and J-22s busy with a great variety of conditions and ample number of races throughout the summer. The J-22 fleet was by far the largest and most competitive. We regularly had boats on the line on Thursday nights, and a very competitive fleet out for the Sunday Races. As usual, the J-22 Commodore s Cup championship was decided on the very last racing day of the season. Congratulations to all! I want to thank all of you who volunteered to support the one-design racing this summer. It is quite a feat to pull off, considering the need for Thursday night racing as well as THREE one-design lines each Sunday. We couldn t have done it without all of you. To the racers, please take a minute to thank these people when you see them you know who they are!! This year s one-design awards banquet will be held in the Scudder Room on November 1, 2008 at 6:00pm. Watch your s and Telltale for details. Hope to see everyone there!!! ~ Betsy Aitken One Design Chairman Docks and Grounds Update Unfortunately it s time to stop thinking about boating and start thinking about getting the HYC docks out of the water. The big day is October 25th at 8am. Mark your calendar to be there and remember to stay and enjoy the cookout lunch. 6 Interclub Frostbite News The 2008/2009 Interclub Dinghy season will begin on October 19, 2008 and sail through the New Year s Day Regatta on January 1, Races will consist of 5-7 short course races, usually minutes each. Every IC season provides a sailor with as many as 70 starts and finishes, 180 mark roundings, and hundreds of tacks, jibes, tactical, and strategic decisions. The 2007/08 season was successful and we are anticipating an even better turnout this year. The combination of excellent sailing conditions, challenging level of competition, and our venue continue to provide the foundation for continued growth and success. We welcome all sailors to join the sailing, there are used boats available. We also welcome anyone willing to help run races or anyone who just wants to come down and watch from the warmth of the HYC bar area. Weekly sailing is followed by a friendly social hour in the bar area where beverages and chowder are available. Everyone registered last year will receive updates as we get closer to the season. Ocean Race Update Here it is October, boats are being pulled, and the diehards are coming to the realization that it s soon time to put a close to this year s sun and fun. We ve had a great season of racing for the PHRF fleet. Weather shut us down several times, but we can honestly say it was a great season and a good time had by all! This year the Wednesday Night Series was sponsored by Harpoon Brewery, and attendance was great. (Perhaps it was putting the actual beer into Beercan racing that did the trick!) Although we were plagued by either fog or heavy wind on a few nights, we still managed to average more than 10 boats at every Wednesday night race! The weekend races were more of a mixed bag. Although we shortened this year s schedule to encourage weekend racing, we found that with the exception of the regatta (11 entries) and the Hurricane Cup/Eye of the Storm (18 and 10 entries respectively) the events were not as well attended as we hoped. This will once again be the committee s focus as we meet over the winter to review this year s results and look for ways to try to get more boats out on the line. The Ocean Race Awards will be held at 6:00pm on November 8, 2008 in the Scudder Room. It will be a fun evening of reveling in the season s accomplishments as well as reliving some of those moments we may wish to forget! It promises to be great time for all so keep an eye out for details via and on the website.
