1 Report for EAPC March meetng - TC Tour de Yorkshire A meetng was held at Raven Hall, Ravenscar on Tuesday 3 March to give details currently to hand on the Tour de Yorkshire. Background from Tour de France in 4 Yorkshire residents watched the Tour de France 4 million persons lined the route 1,000 overseas visitors came specifcally for the race 18 million persons watched on TV The Tour de Yorkshire will begin at Bridlington to Scarborough (route available on htp://letour.yorkshire.com/stage-1/map); the Bridlington Spa is the start of the run in with Sewerby being the locaton of the proper start line and it fnishes outside the Oasis Café on Marine Drive (174km). The race begins at Sewerby at 12noon and is expected to pass through East Ayton at approximately 12.50pm; there will be 16 teams of 8 riders (104 persons) taking part in the race (all males) and a circuit for the female riders has been organised for the York area before the end of the weekend. There is a request to let the Borough Council know of any events that are to be created for over the weekend, especially the day itself so that it can be included in any informaton given out to the Press, etc. There is no indicaton whether royalty will be atending any part of the race route but this is the norm due to the need for strict security. However, a request has been made by the Police to ensure they are informed should any local dignitaries be atending in case this changes the crowd dynamic and thus impactng on their risk assessments we do not need to carry out any risk assessment for the day's Event. Relevant informaton for Ayton area Our leg of The Tour is through East Ayton (from B1262 Seamer/Ayton road) along Main Street then it will turn up Castlegate and go into Forge Valley on its way to Hackness and beyond. The ofcial branding for The Tour is to be turquoise and yellow with the branding logo (free of charge) being able to be used on websites and leter headings by all areas involved (including East Ayton). There will be ofcial buntng for sale at a cost of 150 for 100 metres plus postage/packaging (and I believe plus VAT) and is available for order from the Tour de Yorkshire organiser's website htp://letour.yorkshire.com/buntng but orders must be by 12 March. The Tour is to be a yearly event but (probably) won't use the same route two years running. The Natonal Park has ofered toward the cost of purchasing buntng and forms will be available shortly
2 an amount of both up to 200 was mentoned and this would need to be claimed asap as the pot is not infnite. As part of the event, Yorkshire Bank is creatng a bike library which intends to give access to all children to bicycles. There will be rolling road closures throughout the route with a cavalcade of Police motorbikes ahead of the cyclists shut down road junctons, etc., approximately 30 minutes ahead of the racers with road closures lastng no more than an hour (it is hoped) but obviously tmings will have to be a litle fuid due to circumstances. The preference is for no cars to be parked on the main race route and leafets will be dropped by the organisers before the event; trafc orders will be in place with regards parking with cones being place as thought ft. It's my intenton to put an artcle within our Parish Assembly magazine with a request that no-one parks on Castlegate or the Main Street for that day. Parking restrictons are lifed once the last ofcial Police vehicle passes through the area (it will have a sign on statng that it's the last of the race vehicles so there is no doubt). As for our residents who wish to line the route through the Village it would help tremendously if (for the most) they walked and lef their vehicles at home. There will be crowd management in place and there is no need for EAPC to create a risk assessment document as the Police will have already done one however, should there be a decision to have something on in the Village (i.e. something on the playing feld for instance or camping, music or a cycling event) the Police ask that we let them know in case it impacts on their risk assessment. Tour makers (volunteers) will be along the route giving advice of how to stand (safely) and qualifed stewards will be provided by The Tour so we have nothing to organize in that instance and it will be the stewards who carry out crowd control, not the Police. The Police riders who are out front, won't be giving high fves as they have an important task to carry out and need to concentrate but there will be the community feel that was present in the Tour de France last year. There will be a Welcome to Yorkshire Safety Booklet sent out about a week beforehand and Social Media will be heavily used as was in As part of the media for the day there is a request for any quirky local informaton so that commentators can give accurate details on local landmarks, etc.
3 Roadway signs will be erected in advance of the route though no tmings will be mentoned in case there are delays along the route; these signs will be erected 3 weeks before the race weekend and will help to remind people that it is imminent. Penny fags will be available (I believe the cost will literally be 1p) for residents to wave if wished and there is a request that no drones are used on race day for taking photos as it is possible that TV coverage will be stopped if it is thought to interfere with any helicopters that may be in the area. A request was made by Janet (SBC) that should EAPC decide they wish to do something to mark the occasion, that we contact her so she can collate all informaton. NB. - I have found out this evening via Paul Thompson (SBC) that Avis Turner from Beton Farm is gathering the bicycles together (as previously mentoned) and Yorkshire Television have picked up on this informaton. I respectully ask that you all have a think before Tuesday's Parish Council meetng so that we can thoroughly (and quickly) discuss what we would like to achieve for the day itself or aferwards. A leter has already gone out to local businesses to advise of the Event (due to the tme-scale of ordering the buntng) and it's hoped that they'll contact us with anything they wish to do to make this Event a truly community feel.
