1 BOARD OF DIRECTORS MEETING MONARCH AT ROYAL HIGHLANDS, INC. June 24, 2016 A meeting of the Board of Directors of the Monarch at Royal Highlands, Inc. was called to order at 8:00 am by Vice President Dick Therrien in the Great Hall Meeting Room. Those present: Dick Therrien, Gene Sass, Ray Smith, Diane Christie, Linda Gietz and Ann Carter. Harry Taylor & Terry Neikirk were absent. Also in attendance was Sam Floyd from Par for the Course Management, Craig Misch, Monarch Head Golf Professional and Linda Eaton, Monarch Food & Beverage Director. 2 Vice President - Long Range Planning Dick Therrien Dick passed out a draft of the Long Range Plan for the board to review. It will be discussed at the next Board Meeting at which time a formal proposal will be presented to vote on. The goal is to get a cash figure at end of year to be a positive number for future years. Sam is negotiating a plan for leasing golf carts to try to save money. This new program is now being called the Social Program. Sam needs to determine if this proposal will be beneficial to the club and if it can be managed, particularly in the billing area. He will come back to the Board with a decision at the next Board meeting. Gene has requested the Board to come back with any changes or suggestions. Golf Ray Smith 11 couples have signed up for the Independence Day Tournament scheduled for Friday, July 1 st. Ann is sending out another eblast reminding people to sign up. Because the restaurant is already open, the 40 person requirement is not a problem having fewer players The member Guest Tournament for next year will be April 20, 21 & 22, The Golf Committee is going to prepare a questionnaire to see what the membership wants regarding the events the Golf Committee is doing. They want to find out why people are not signing up for these events.

Strip with baked potato & vegetable $16.99 Friday s Dinners July 1 Pan Seared Sea Scallops with risotto & vegetable $18.99 July 8 Sesame Seared Tuna with rice & vegetable $16.99 July 15 Fried Catfish with coleslaw & hush puppies $13.99 Liaison Ann Carter There have been complaints about course conditions, specifically the burned in tire tracks covering what seems to be every fairway, the greens all look horrid, there are those big weeds bursting forth from fairways and the rough, and the bunkers have no sand - still. My own opinion is that the course looks the worst it has ever looked since my husband and I moved here full-time in July Why is this happening? The Broken blades of grass due heat and the tracks are happening with golf carts. It is something we are unable to prevent. It is mainly because the lack of rain. As soon as Mother Nature helps us out, you will see a huge improvement. The weeds are being treated. It does take time for the chemical to take effect. Normally the life of greens is about 15 years. We are going into 18 years and working hard to preserve what we have before we have the huge expense of developing new greens. We are using tif-dwarf (hi-bred Bermuda) grass on our greens which requires over-seeding. We are now in the transition from the winter rye. Also, when the course was made, the irrigation

4 system is insufficient. When the time comes to start replacing the greens, the irrigation system will have to be redesigned for better service to the greens. The older these greens get, the harder they are to maintain, and it s the fact of golf course life. There was a mole cricket application, which is a slit injection system applied on the fairways which put the grasses in shock. That will soon recover. We also have put down a wetting agent to the greens and fairways to try to hold the moisture to the roots. The Bunkers will be a winter project and will be in the budget. Why do we need fundraisers to pay for new toilets? We didn t It was the MWGA's president and officers that wanted to do a fund raiser for the ladies bathroom. That was when they did the dance and worked hard to raise the money. At the dance, one member, the Hitchcock's said they would purchase a toilet and put it before the group to see if others would purchase the other three. That did happen; Tom Lawrenson & Ann Carter did purchase a toilet along with the Corbin's and Weasner's & Christie who split the cost for one. New countertops and sinks will be installed shortly. Why do we not have a budget account for regular maintenance? ( I was told that we do not have this.) Generally, there is a reserve account that sets aside anticipated regular maintenance expenses annually so that sand can be purchased for bunkers, and plumbing can be repaired, machinery can be maintained, etc., etc. Each department has a maintenance budget. We try to anticipate all maintenance requirements, but sometimes things break unexpectedly. These issues are always discussed at the Annual & informational meetings. Where does our monthly dues money go if not for maintenance? Everything is budgeted and goes to every area to run the club. Why is the restaurant treated as a separate entity even though the club owns it? It is not a separate entity.we have three businesses underneath the umbrella of the Monarch Golf Club. They are Golf, Retail & Food & Beverage.

5 NEWSLETTER Please note. A copy of the monthly newsletter not only is sent to all members via eblast, it is on the Monarch Golf Club Website and in addition to that, there are 2 copies in the building, one above the thermostat in restaurant and one on the table in the lobby. These are copies for people read, not to take. eblasts We are still encountering a problem with the eblasts. We know about 28 members are not getting messages which is unacceptable. In the meantime, until this is corrected by Golf Now Solutions, Sam will be sending out a second message through a different data base. By doing this, some people will receive the blasts twice where some will only be getting it once. We are doing this so that all can get the proper information they need to have as a member. Entertainment Diane Christie Bingo is scheduled for June 29 th and July 20 th. Marketing Marshall Leich Golf Revenue is on track for budget. Sam Floyd, Par for the Course Management Dry Ject There are 5 greens left to do including the practice green. Management is working on proper scheduling before the end of the year. #16 ravine is in process, ground has been tilled. It hoped to plant the flowers after July 4 th. The rocks from #16 are going to be put on hole #7 by the green tee. Construction barrier will be put around the area to allow for the flower s safety. A server Elizabeth Levin has joined our staff along with a new mechanic that will start Monday. It has not been decided if we are going to continue with Crippen. Crippen s quote is $8500 to do it this year. This is required for our annual review by the mortgage company. Granite countertops & sinks in the ladies bathroom will be installed on June 27 th. All of the tile & carpet floors in the clubhouse will be professionally cleaned the middle of July. Dusk to dawn lighting has been installed on the Celebration Patio. An anonymous donor has graciously purchased the new silverware for the dining room. The miscellaneous silverware that we will no longer use will be going to charity.
