6 SPEEDWAY ADMISSION POLICY To ensure the safety of our guests, the admission policy below will be in effect. ITEMS ALLOWED THROUGH THE ADMISSION GATES: *One soft-sided cooler per person, no larger than 14 x 14 x 14 inches Size typically hold cans of Coca-Cola or other beverages (for coolers with liners, the liner must be removable) Soft sided cooler may contain ice Telescoping handle and wheels are permitted on soft sided cooler (the size with collapsed handle cannot exceed 14 x 14 x 14 inches) *One soft-sided bag, no larger than 18 x 18 x 4 inches Soft-sided bag may NOT contain ice Soft-sided bag may be a scanner bag, camera bag, purse, fanny pack, daypack, lightweight backpack, eco-friendly type grocery bag, canvas tote, bag with souvenir purchase Telescoping handle and wheels are permitted on soft sided bag (the size with collapsed handle cannot exceed 18 x 18 x 4 inches) * Additionally, fans are welcome to bring: Binoculars, scanners, headsets and cameras, not in a bag, worn separately over the neck or on the belt Plastic souvenir and insulated cups no larger than 24 oz. Standard seat cushions and stadium seats without armrests THE FOLLOWING MAY NOT ENTER THE ADMISSION GATES: *Hard-sided bags, coolers *Thermoses, metal cups of any size *Glass containers *Scooters, wagons, folding chairs, umbrellas, bicycles, roller blades, skateboards, pets (trained assistance animals for disabled guests are welcome), banners/signs/flags attached to any poles (small nationality flags attached to a pencil-sized diameter wooden stick will be allowed) * Firearms, knives, fireworks and items restricted by local, state or federal laws All items brought through the admission gates are subject to inspection. Homestead-Miami Speedway cannot store, hold, or check prohibited items. Items left unattended will be removed and discarded. Changes in security levels may affect security procedures at HMS. 6
7 GOLF CART POLICY GOLF CART POLICY: Golf carts or other approved vehicles used on the Homestead-Miami Speedway property are permitted for business purposes only Permitted golf carts must be registered (including provision of insurance) with Homestead-Miami Speedway and must display the annual ISC permit or a single event license issued by Homestead-Miami Speedway. One of these two credential s must be adhered to the golf cart at all times Golf Cart Credentials must be arranged prior to event weekend through Americrown by contacting Shanna Elliott at or Selliott@americrown.com Golf carts must be driven by a licensed driver over the age of 18 No one under the influence of alcohol may operate a golf cart. Consumption of alcohol is not permitted in the cart. Alcoholic beverages are not permitted in any powered vehicle, except for outside commercial delivery purposes only Violation of these regulations may result in the golf cart being impounded for the remainder of the event weekend 7
8 HOSPITALITY INFORMATION HOSPITALITY TICKETS: All Hospitality tickets will be shipped via UPS to the shipping address indicated on the Hospitality Information Form. Please check your tickets upon receipt and contact us immediately if you have any questions or concerns. Please do not stub your ticket s, tickets will be stubbed at the admission gates upon entry. HOSPITALITY AREA LOCATIONS: Skybox Suites - Fifth and sixth floors of the Administration Building Champions Club On the third floor of the Turn 1 Suites Tower Pit Road Cabanas - In the infield above the Garage bays Pit Box newly relocated in the infield, above Gatorade Victory Lane and the two adjacent outdoor Cabanas (14-15) LIMITATIONS: A GRAND-AM Annual Credential or Single Event License (SEL) does not allow access into any Hospitality area. If you intend to have a Driver/Celebrity Appearance in your Cabana or Suite, please contact Homestead-Miami Speedway prior to the event to ensure accessibility into the Hospitality areas. HOSPITALITY ACCESS ROUTES: Skybox Suites: Enter Speedway through Gate 3 or 4 Proceed to the Administration Building (across from Gate 4) Take the elevators to the 5 th or 6 th floor depending on the location of your Suite Directional signage will direct guests to the proper Suite HOSPITALITY ACCESS TIMES: Grand Prix of Miami Weekend: Saturday, April 28: 9:00am Sunday, April 29: 9:00am All Hospitality locations will close one hour after the completion of track activities HOSPITALITY ADMISSIONS: A valid Hospitality ticket is required for all guests in order to enter the appropriate location. HOST/HOSTESS PASSES: Two Hospitality Worker Passes are included with your Hospitality package. These passes allow access to your Hospitality area on the day printed on the pass and are intended for the person(s) managing the Hospitality area. HOSPITALITY CONCIERGE: Hospitality Concierge is located at the main entrance or lobby of each Hospitality area. Please see your Hospitality area s concierge for any questions or needs during the event. 9 HOSPITALITY INFORMATION CATERING STAFF: In addition to our Homestead-Miami Speedway staff, catering personnel will be attending to your Suite or Cabana. They will be wearing Americrown Service Corp. uniforms with appropriate identification. As part of the service provided by your caterer, one full-time service person will be assigned to your Hospitality area for the duration of the event. Your server will be responsible for maintaining the food and bar set-ups, replenishing food service upon request, general clean-up, etc. DÉCOR: Guests may not alter the existing décor or furnishings of the Hospitality area without prior approval by Homestead-Miami Speedway. Hospitality clients must have written approval from Homestead-Miami Speedway to display decorations, including but not limited to signs, banners, posters, or pictures in the Hospitality Facility. A written request for approval must be submitted to Homestead-Miami Speedway not less than thirty (30) days prior to event Hospitality area usage. Homestead-Miami Speedway will notify you of their decision within ten (10) days. No banners or signage may be displayed from the railings outside of your Suite or Cabana. IDENTIFICATION SIGNAGE: Suite numbers and company identification signs will be posted in the lobby of each Skybox Suite level and at the entrance of each Skybox Suite and Pit Road Cabana. Please indicate your preferred identification signage on the Hospitality Information Form included in this guide. PROGRAMS: To assure program delivery to your Suite or Cabana prior to event start, please order your programs in advance. To order, please complete the Souvenir Program Order Form included in this guide. See the Hospitality Concierge or Americrown catering staff for last-minute program purchases. SECURITY: Twenty-four (24) hour general security is provided at Homestead-Miami Speedway. However, you are responsible for controlling access to your individual Hospitality areas. For additional security, please contact Fabrizio Romeo at Homestead-Miami Speedway Security at , or by at fromeo@homesteadmiamispeedway.com. All on-site security MUST be arranged through Homestead-Miami Speedway Security. No outside security vendors will be permitted on property. Homestead-Miami Speedway will not be held responsible for any property left unattended in the Suites or Cabanas. RAIN DELAY: In the event the race is postponed, all tickets will be honored on the rescheduled race day. All ticket sales are final, no refunds or exchanges. ADDITIONAL SEATING/SUPPLIES: Additional seating options and Hospitality supplies are offered through our recommended vendors listed on page 5 of this Guide. Any lost items should be taken to this location as quickly as possible. If an item is lost, please visit this location to notify a Security representative who will contact you when/if the item is found. Guests may visit this location to find out if items have been turned in or to report items that they have lost. After the race weekend, guests may call in regards to lost or found items. CHILD IDENTIFICATION: Children can receive a free identification wristband at Information Centers. The child s bracelet records the family s seat location and name. This program will assist in reuniting children who have become lost with their parents. Stop by one of our Information Centers for more details and to sign up your child. CONDUCT: We request that all guests maintain proper decorum at all times while at the Speedway. Suite customers are responsible for the personal conduct and financial obligations of their guests. FAN COURTESY: Please extend the courtesy of asking others seated around you if smoking will impact their event experience in an unfavorable manner. Please do not smoke in the presence of others who request that you do not. Smoking is not allowed indoors at any time. Champions Club / Pit Box Patrons: Smoking is not allowed in any Hospitality areas. The designated smoking area for Champions Club Patrons is outside on the ground floor of the Turn 1 Building. Please follow the signs to the designated smoking areas. INFORMATION CENTERS: Tiki huts, indentified by Information signs, are located throughout the Speedway. Please check the facility map for Information Center locations
14 GENERAL INFORMATION BEVERAGES: Alcoholic beverages purchased in the facility must be consumed within the facility. Beverages served in the Hospitality areas may not be removed or carried to other areas of the facility. Additionally, consumption by minors is prohibited. Your help in complying with these rules is greatly appreciated. Please remember to ask your guests to always drink responsibly. ATM s / CREDIT CARDS: ATM s are located at various locations throughout the facility. VISA, MasterCard, Discover, and American Express are accepted at all Ticket Offices, Gift Shop and selected concession stands. GIFT SHOP/SOUVENIR MERCHANDISE: The Gift Shop is located in the lobby of the Administration Building. A variety of Official Homestead-Miami Speedway and event merchandise is available. Official race merchandise can also be purchased at our souvenir stands located throughout the Speedway. VISA, MasterCard, Discover, and American Express credit cards are accepted. You can also purchase merchandise at the Motor Racing Network website, SELLING AND/OR SAMPLING: Selling and/or sampling of goods or services is not permitted in any of our Hospitality areas or on Speedway property without prior written consent of Homestead-Miami Speedway. WEATHER: The climate of South Florida is tropical. Be prepared for exposure to the sun by wearing sunscreen and/or a hat. Umbrellas are not permitted in the facility. Please drink plenty of water to avoid dehydration or heat exposure. HELICOPTER LANDINGS: Prior arrangements must be made to obtain access to the facility helipad. Contact Hope Mees at or Hmees@HomesteadMiamiSpeedway.com. POLICE ESCORTS: Police Escorts to/from the Speedway must be coordinated in advance. Arrangements are requested by contacting Heather Palmateer, Homestead Police Department at or info@homesteadfop.com. All vehicles entering the Speedway, including those being escorted by police are subject to security search and all occupants must present a valid ticket or credential for admission. All vehicles must have proper parking passes issued by Homestead-Miami Speedway. CREDENTIALS/REGISTRATION: Credentials are to be picked up and signed for by the person to whom it is issued. Photo identification is required. Credentials are only available at the Registration Office during registration hours. The Registration Building is located off Palm Drive (SW 344th Street). Enter through Gate 18 (rear of the facility). Credentials are nontransferable, not for resale and may be revoked at any time. Hours of operation* are: Thursday, April 26 8am-5pm Friday, April 27 7am-6pm Saturday, April 28 7am-6pm Sunday, April 29 7am-3pm *(hours subject to change) Registration for sanctioning organizations is located in the same Building. Hours of operation may differ from those of HMS
15 GENERAL INFORMATION ADA GUESTS: If you anticipate hosting ADA guests, please notify the Speedway at least two weeks prior to the event to ensure appropriate accommodations. All Hospitality areas are accessible by ADA guests. Tickets can be purchased in advance by calling or on race weekends at the Ticket Box Office (based on availability). ADA Guests can be assisted by and seated with one companion. ADA Accessible Parking Information ADA accessible parking is available on a first come, first serve basis in Blue Lot and Lot A (South Blue Lot). A state issued handicap license plate or windshield hanging credential must be displayed to access accessible parking areas. The person to/for whom the pass is issued must be present in the car. For Pit Road Cabana guests needing ADA accessible parking, please call ADA Disability Assistance Carts Homestead-Miami Speedway has a fleet of ADA accessible golf carts to help our guests who require assistance. This fleet of specially designated golf carts will assist ADA guest and one companion. ADA Assistance Carts are available to deliver ADA guests and one (1) companion to the admission gate closest to their seat location. After the checkered flag, ADA guests may return to the nearest admission gate or information center for transport back to their vehicle. Please be advised that delays may occur during peak volume times immediately before and after the race. ADA guest transports will occur in the order of the guests arrival on a first come, first served basis. For the safety of all guests, ADA assistance carts may not be operational immediately following the conclusion of the event. HMS staff will determine when conditions are safe to resume operation. ADA assistance carts may be accessed through Speedway s Information Centers, contacting a radio equipped Homestead- Miami Speedway employee, or by calling This service is FREE of charge. Electric Convenience Vehicles (ECV s) Physically impaired, disabled or handicapped persons are permitted to use purpose-built, single person electric convenience vehicles (ECV s). These vehicles will not require a registration credential. Elevators Access to the upper grandstands wheelchair seating on row 49 is available via the Speedway Club elevator, located behind Section 215. Access is restricted to the ADA guest and one companion. Administration Building elevators are reserved for Skybox and ADA guests. Pit Road Cabana elevators are located between Cabanas 15 & 16, behind Gatorade Victory Lane
16 CERTIFICATE OF INSURANCE REQUIREMENTS A valid 2012 Certificate of Insurance is required for all Hospitality areas. INSURANCE REQUIREMENTS: Licensee shall secure and maintain a comprehensive general liability insurance policy (including coverage for bodily injury and property damage) with a combined single limit of not less than One Million Dollars ($1,000,000) and including as additional insureds: Homestead-Miami Speedway, LLC., its parent, subsidiaries, limited liability and affiliated companies and their respective shareholders, officers, directors, agents, employees, parent companies, related or affiliated companies, subsidiaries, trustees, receivers, successors and assigns, and City of Homestead(collectively, the Indemnified Parties ). Such policy shall provide that Licensor will receive at least ten (10) days prior written notice of any termination or modification of such policy.
