1 APPROVED MAY 10, 2018 Kitsap County Fair Advisory Board Minutes April 11, 2018 Meeting called to order at 6:00 PM by President Cassie O Hara. Board Members Present: Cassie O Hara, Maaren Stroble, Danise Barnes, Joe Drouin, Penny Sapp & Linda Moran. Absent George Serrano, Staff: Travis Buell, Billie Schmidt & Leigh Snyder. Fair Manager: Sunny Saunders Members of the Public 11 Approval of the March 14, 2018 minutes Motion: Linda Moran Second: Penny Sapp Motion to accept the March 14, 2018 minutes as presented Discussion: None Action: Minutes approved. Directors Reports: Parking Penny Sapp-have reached out to the parking vendor (Kitsap Chordsman) to set meeting. Admissions Danise Barnes- CPOA s set to sign contract this Friday. Rodeo Joe Drouin- most Rodeo contracts set judges information for contracts will be available in late June. Queens Committee Queen Vanora Washburn and Katie Kitsap Payton Burlingame are looking forward to Rodeo season and to the Volunteer Appreciation Reception on April 19 th at the County Administration building. Commercial Maaren Stroble 77 Commercial confirmations and 26 Concession confirmations have been sent. Security no report Still Life Linda Moran Superintendent meeting tomorrow with the exhibitor guide drafts and changes the focus. Please investigate the possibility of a phone app for the fair. Sunny will get information from Linda to review and discuss possibility with Jim/Travis. Cost is approximately $1500 to $1700. Discussed obtaining shirts for Penny to match existing board members. Asked for clarification of the wristbands on the website to make sure patrons understand they are good for one day only. Farmland has donated $300 for a cooking event and would like George to pair them up with veterans to participate in this. Livestock-Cassie O Hara- Mark, Norma and Cassie have met. Library ribbons are in and completed. 4-H Exhibitors guide will be in Friday. Seeking a swine superintendent. 542 kids enrolled with 70 pending. Hopefull that horses will be part of the fair this year.

2 FFA- work party for the swine barn on April 20 & 21 st. Spring Show on April 28 th starts at 10:00 AM with the auction scheduled for 2:00 PM. Staff Reports-Assistant Director Travis Buell reminded everyone the Kitsap Great Give April 24 th is out. Donations can be specified on the website. Operations Superintendent Billie Schmidt- Fair Capital improvement grant submitted to Olympia today asking for critical electrical improvements. RFP for Fair Janitorial are in and will be meeting with Fair Manager to discuss. Have secured an electrician for the fair (see full report attached). Fair Manager Tents and golf carts secured, Kitsap Bank is back, $110k in sponsorship confirmed, have some new food vendors this year, working on the MOU for the Rodeo then the last of the contracts will be completed. Need volunteers to assist with VIP on Sunday, decorate, clean-up before and after, help deliver food with Penny. Sunny advised that it would be ok. Sunny asked the board if they would consider giving complimentary tickets to other Fairs (2-4 tickets) each for promotional and good will purposes.
