1 VADA/NOVA, Inc Newsletter Volume 38 Issue 7 July 2009 HALT AT X The heavy rains this spring throughout Northern Virginia have played havoc with many riders as we splashed through puddles and sought out indoor arenas where we could work our horses. As we approached the June licensed show at Morven Park, we, as well as many of our competitors, were very concerned about the effects of the heavy rains on the footing. But Morven Park management took action that literally stemmed the tide. They completed extensive work to repair the base and re-graded all the rings. They also added ditching for drainage of the outdoor rings, and the week before the show, Morven Park rented an enormous 20 ft construction-grade leveling roller to pack down the outdoor rings. To further protect the rings, no riding was allowed in the outdoor arenas until the start of the show. As a result, despite the heavy rains that lasted until Friday evening, water drained off so well that from the first rides Saturday morning until the last rides Sunday afternoon, the footing held up superbly. The sun shined most of the weekend, and over 200 riders enjoyed a great show weekend. We received many compliments (and no complaints!) from the competitors about the conditions of the rings. In fact, they were so free of puddles that our board rings hardly got dirty! I strongly believe that the condition of the footing is one of the first things competitors consider in deciding whether or not to enter a show. Our thanks to Will O Keefe and the entire Morven Park team for their hard work and commitment to this critical aspect of our shows. We appreciate the part they played in making this show such a success for us. And, speaking of shows, the Region 1 Youth Team Show is just around the corner - July 18th & 19th at Morven Park. If you haven't experienced this one before, I can tell you it is quite unlike any other show VADA/Nova runs. Teams of kids from throughout the region (and we're talking as far north as New Jersey and as far south as North Carolina) descend on Morven Park, with team themes that get carried out in team VADA IS A USDF GROUP MEMBER ORGANIZATION. THEIR MEMBERS ARE AUTOMATICALLY USDF GROUP MEMBERS. Publication Deadline in Piaffe & Passage is the 20th. I can assure you that more than once, you will hear yourself saying, "that pony/horse is a saint - no way my horse would let me do that!" I mean, we're talking about horses in Mexican sombreros, hula hoops and just about every other crazy get-up that you can think of. I guess what I am trying to say is, if you want to see the definitions of team spirit and camaraderie in action, you need to check out this show. Every year, it reminds me that we do this to have fun! So you ask, what does this have to do with me (assuming of course you are not one of the kids who is participating.) This is the future of our sport and we all need to support this future however we can. And, there are several concrete ways you can do just that. As with any large show, tons of volunteers are needed to make the show a success. Also, we try particularly hard at this show to keep the costs reasonable for the participants, without incurring a loss for VADA/Nova. That is possible only because we get many generous sponsors. 3 PRELIMINARY SUMMARY MINUTES VADA/Nova Board Meeting June 8, 2009 Morven Park Classroom 7:30 PM The meeting was called to order at 7:30 PM and adjourned at 9:50 PM. Fourteen of the nineteen Board members were present. Five were excused and there was one guest. Treasurer s Report: Alison Head reported the current balance is $88,000. All the June licensed show expenses are outstanding, therefore, Alison estimated that after these are paid, the balance will remain near the amount that was reported in May, which is $48,000. President s Report: Sheli King read an apology letter from a member regarding a May schooling show entry incident. 501(3)(c) status: The VADA/Nova application to the IRS was tentatively denied on the basis that dressage shows are the majority of VADA/Nova s expenses, and that shows are not educational in nature. Sheli King and Alison Head composed a rebuttal, citing cases that state that sports and physical fitness can be educational activities. Because dressage shows offer riders feedback in the form of the test sheet, it is thought that dressage shows are more educational than other types of horse shows. If the rebuttal is also rejected, an estimate will be sought for legal work involved in an IRS appeal. It was noted that the application process is more rigorous now than in the past when VADA, and other chapters received this status. The benefit to VADA/Nova of acquiring this tax status is that it makes VADA/Nova more attractive to sponsors, as with this status sponsor donations are tax-deductible. June licensed show. It was noted that judges fees, airfare, food, and lodging costs are increasing. Dianne Boyd reported that Morven Park will be thanked for using a roller to groom the Davis and Bedford arenas for the June show, and as a result the footing was excellent, even after days of heavy rain. It was noted that Morven Park redid the drainage and upgraded the footing in all its arenas this spring. Dianne Boyd reported that there were 440 rides, and qualifying classes are seen as a draw. All the judges agreed to allow horses to wear fly bonnets, and riders were informed prior to the start of the show. Rebecca Woodward -Davis informed VTO, a vendor, so some were available for purchase at the show. (VADA/Nova schooling shows will also allow these bonnets, and judges will be informed.) There was an issue raised by a judge about the judge signals for the 3 rings in Davis, which were 2 bells and a whistle. Options such as an air horn, or bicycle bell were mentioned. Dianne reported that the laptops procured by Jill Ramsburg as a donation to VADA/Nova were utilized on Sunday, and that having these computers will be very helpful at big shows. VADA/Nova s cadre of experienced and new volunteers was praised. has agreed to have the book sale take place at the Aug 1-2 EEMI show at Morven Park. Stephanie Floros will set the books up. Sheli has priced the books at $1. Barns A and D now have the new plugs. It was suggested that fundraising goals be discussed, and that VADA/Nova seek support for this project from other users of Morven Park, such as PVDA. Susan Gustafson will make posters for the barns. The June 20 Schooling Show at Betsy Clark s is filled with a waiting list. Breed Shows: Dianne Boyd reported that the shows are sufficiently filled. Only IBC classes with paid sponsorships will be offered. Region 1 Youth Team: As in the past, fun/ special prizes will be given. The Volunteer Recruiter is Blake Crumbliss. Sponsorship is being handled by Leslie Lewis. Alison Head said that it is hoped the show will break even. There is a sponsor for the Friday pizza party. Activities such as musical freestyle demos, or a program with agility dogs was mentioned for Friday after the pizza party. Old Business: pricing for VADA/Nova brochures: Barbara Pickering edited the original template so that the information is up to date. Pricing: Bill s Copy Center: $450 for 500, $521 for 1,000. A vote was taken that unanimously authorized Barb to order 1,000 brochures. Membership: As of June 8 there is a total of 431 (395 seniors and 36 juniors). There have been 345 renewals and 86 new members; 61 renewals came from the Membership Outreach letter; $1385 in volunteer bucks used towards membership. Newsletter: Barb Pickering reported that after recent problems w/ reliability and quality w/ Office Depot, she will try Bill s Copy Center for the July newsletter. ARC: The Fox Chase contract was cancelled by the venue; the new camp venue is in Middleburg: Sunny s Corner Farm at Takaro Farm, run by Fay Strasel. Clinician Insurance: The Board continued to discuss options for implementing the requirement adopted at the May board meeting that all VADA/Nova clinicians have adequate insurance coverage to protect us as an organization. A need for a clear policy of insurance requirements for various educational formats (such as: classroom, vs demo with horse, vs mounted instruction) was stated. 5 An eleven year Vada/Nova member, Patty Knight lives in The Plains. She is a personal assistant to a family of Naturalists. Patty was first introduced to riding at age eight at a Girls Scout riding program on Long Island where she grew up. She did not ride for about 26 years and then got back into it. Her first introduction to dressage was at Anne Gribbons farm on Long Island. She now rides "Ascot Spring" or "Scotty", her 22 year old Hanoverian mare she has owned for 6 1/2 years. They are showing at First level and have won the Lady Patrick and Elder Statesman awards together. A VADA/Nova scholarship enabled the pair to make progress and open up opportunities to try new things as they progress through First level. Hobbies for Patty include gardening, (she specializes in day lilies), cooking and reading. She also enjoys birding and often attends birding breakfasts where they observe and learn the different birds and their songs. A familiar face at every show, Patty is scorer extraordinaire. She enjoys the scoring position because it is "the center of the action, the pulse of the show." If you would like to learn the scoring job get a seat next to Patty -she is a kind and patient teacher! 9 Kim Decker, of Centreville, VA, suffered a Traumatic Brain Injury in an automobile accident in May of 1986 two weeks before her eighteenth birthday. She was comatose for 3 1/2 months after the accident. After gaining consciousness she underwent years of speech, occupational, vocational, and physical therapy at various rehabilitation facilities in Virginia and Colorado. Kim rode and showed hunter/jumper prior to her accident. Throughout her many years of therapy one goal that always stayed with her was to once again become a competitive rider. In order to achieve this goal she rode with several therapeutic riding programs in Virginia and Colorado. After twelve years of hard work, her goal became a reality in May of 1998 when she rode her first dressage competition at a Therapeutic Riding Association of Virginia (TRAV) show in Leesburg, VA. In 1999, Kim represented the American Competition Organization for Riders with Disabilities (ACORD) at Dressage at Saratoga, NY where she rode her musical freestyle demonstration. In 2004 Kim was selected by the National Disability Sports Alliance Equestrian to represent the United States at the 2004 Canadian Open International Dressage Competition for Riders with Disabilities. The competition took place in Ashburn, Ontario. There were fourteen riders from five countries (Hong Kong, Great Britain, Canada, USA, and Bermuda). Kim took third place in all of her classes. She continues to compete in shows for disabled riders and able bodied riders in Pennsylvania, New York, Georgia, West Virginia, Maryland, Virginia, and Illinois. All of these accomplishments were with her Anglo-Trakehner mare Minuet. Due to health concerns Minuet was retired in early 2007 to enjoy a life of love and grass. She has since gone to The Great Pasture in the Sky. In the May of 2007, Kim found her current mount, a Hanoverian gelding, Dashers Destiny. Kim and Dasher had a wonderful competition year in As a result, Kim and Dasher were named to the United States Equestrian Federation (USEF) Para-Equestrian Advanced Riders list for 2008 with a median score of 70.02% and qualified to compete at the 2008 USEF Para-Equestrian Dressage National Championships at Lamplight Equestrian Center in Illinois. At the championships, Kim and Dasher posted a three day average score of % which ranked her as the number one Grade 1A rider in the nation. As the result of a great show year in 2008, Kim and Dasher maintained their position on the USEF Para -Equestrian Advanced Riders list. On May of this year, Kim and Dasher competed at the Cavalor/USEF Para-Equestrian Dressage National Championship and CDI***/CPEDI*** event at Lamplight Equestrian Center. The judges for this event consisted of O judges from The Netherlands, Norway, and Portugal. Kim and Dasher had a great competition finishing in first place of the Grade 1 riders and sixth in the nation out of 16 riders from all grade levels. She will receive her FEI Certificate of Proficiency with qualifying scores for the 2010 Alltech World Equestrian Games. Riders will be in the air-conditioned classroom, working with balance balls, a trampoline, and relevant programs of Wii Fitness, among other body awareness and coordination routines, while the horses are relaxing in stalls. This is the fourth in a series of clinics donated by our generous VADA/Nova professionals to benefit VADA/Nova s Adult Rider Committee and the riding/education programs it sponsors. Morven Park has donated the use of the arena and classroom. Auditing is free, and auditors may participate in the classroom sessions. Walk-in auditors are welcome. Susan Gustafson: Susan Gustafson considers the riding opportunities she has had as gifts that she enjoys helping others find greater confidence in their riding, and thus in themselves. Susan spent several years in the mid 80 s in Germany, working for and training with Christian Plage, in addition to teaching and competing. In Austria, she spent a month observing the daily training routines of the Spanish Riding School, and stable of Arthur Kottas. In the 90 s, Susan developed a successful private training business in Del Mar, CA. A Virginia resident since 1993, Susan coached Stephen Bradley in dressage at Fair Hill and Fox Hall in the late 90 s. She has ridden in clinics with a number of well-known European and American dressage experts, and attended several USDF clinics. Susan s training in Europe stressed the importance of an independent seat and she has continued her education with this focus through the Eckart Meyners Seat Symposium, and her ongoing work with Wendy Murdoch and the Feldenkrais method. Susan has also pursued extended training in Linda Tellington Jones s TTouch and TTeam methods. Shannon Pedlar: Employed by Morven Park Equestrian Center since 2002, Shannon Pedlar is a familiar face to many. Shannon has pursued her dressage training with several noted local instructors, in addition to numerous clinics with individuals widely acknowledged nationally and internationally for their dressage expertise. In 2007, she earned recognition as a USDF Silver Medalist. Over the past four years, Shannon has enhanced this background through her work with Wendy Murdoch, a rider biomechanics specialist and certified Feldenkrais Practitioner ( Training in the comprehensive Murdoch Method as a rider and an instructor, coupled with insightful reflection, enables Shannon to understand what is required to convey instruction in a manner that connects in a meaningful and positive way with students, helping them achieve a degree of progress and satisfaction in their riding that previously eluded them.

12 A GLIMPSE BEHIND THE SCENES OF A LICENSED SHOW The financial perspective Alison Head, VADA/Nova Treasurer Even wonder why licensed show fees seem so high? Wonder about the bottom line? What goes into producing a successful show? Recently, I prepared my report on our April Licensed show for the Board of Directors. As we discussed the bottom line and the factors that produced it, many of the Board felt that this information would be of interest to the rest of our members. Accordingly, below is the report on our April show that I delivered to the Board in May. I feel that this fairly representative of each of our 4 licensed shows. Income from a licensed show is often not easy to predict. Factors that can vary from show to show that can affect the bottom line include by way of example: number of entries and number of stabled horses, number of classes and level of classes entered, number of judges required (qualifying shows require more judges), travel expenses for judges, and whether vet and farrier are required by USEF rules to be on-site or on-call. The report below does NOT include every expense related to a licensed show for example, the cost of the storage unit needed to house all the show equipment or fees to USEF and USDF for licensing or fees relating to producing and distributing prize lists. 13 FACTORS AFFECTING BOTTOM LINE FOR THIS SHOW: Show requires 6 vs 5 judges for qualifying classes (Young horse, NAJYRC etc..) Judges costs vary S or I judges are the more expensive (and often are not local). The less expensive r judges are often local, thus reducing costs. Secretary expense is a bit higher because air travel required. Morven expenses increased in 2009 in some areas. Rings needed to be cleaned before first show. Some expenses included in this show (tests e.g.) could be prorated over the entire year. So start up expenses for the year are included. These expenses are included in the hotel/program etc.. line. I hope this report helps to make more clear why licensed shows are so much more expensive to competitors than schooling shows. Also, when you see the extent of our financial obligation to each show, you can see the need to maintain a reasonable cash reserve in our accounts to cover unforeseen events. For example, several years ago we had to cancel a show very close to the date to avoid an impending hurricane. After making reasonable refunds to our competitors, our show income was greatly reduced while many of the expenses were contracted obligations that had to be fulfilled. Our goal has always been to run the licensed shows as a service to the dressage community and to aim to make just enough profit to assist us in meeting our mission of education, plan for capital replacements and improvements (like the 4 new dressage rings purchased last year) and maintain a healthy reserve to cover emergency situations. 15 Barb s Bits 1. Intro Riders: Do you want to get the feel of a licensed show but you re not quite ready to show at Training Level? Well, VADA/Nova is offering Intro Level classes at their September and November licensed shows. You would need to pay: class fee ($25/class), grounds ($20/horse/day) or stable fees ($60 /day) or $110( weekend)), Drugs & Meds ( $15), Office Fee ($20). You would be excused from the membership fees so no non-member fees for USEF or USDF. However, if you also ride a Training Level class then all membership requirements apply. You may download an updated prize list from the calendar page at 2. Flies making your horse shake his head and ruin what would have been a lovely test? Did you know that ear covers are allowed under certain circumstances? Here is the USEF regulation: Fly hoods (ear covers) will only be permitted in order to protect horses from insects. The fly hoods should be discreet and should not cover the horse s eyes, and will only be permitted in extreme cases at the discretion of the presiding judge(s). Permission must be granted prior to the class and applies to all competitors in the class. So why not keep one in your trailer in case you arrive at a show and find that the judges have granted permission. VADA/Nova is taking it one step further. For all VADA/Nova run schooling shows, ear covers will be permitted. 3. Heat causing you to wilt? If jackets are waived, competitors must wear a regulation hat and solid white or very pale colored long or short sleeved shirt without neckwear. T-shirts and sleeveless shirts are not permitted. Cooling vests can be worn under a jacket. If jackets are waived, a white or very light solid-colored cooling vest may be worn over your riding shirt. If ever in doubt, just check with the show manager. 4. Correction: Julie McLearen s name was left off the volunteer list for the Heidi Berry clinic in May. 21 REPRESENT VADA/NOVA AT THE USDF REGION 1 ADULT TEAM COMPETITION! The Virginia Dressage Association (VADA) is hosting the official 2009 USDF Region 1 Adult Team Competition August 1-2 at Commonwealth Park in Culpeper, VA. All levels, from Intro through FEI, are offered, as well as musical freestyles. To encourage participation and support our organization s adult riders, VADA, VADA/Nova, and the VADA/Nova Adult Rider Committee (ARC) are offering to subsidize teams representing VADA/Nova. You can enter a team of three four participants from your barn or other group, which can be at the same or different levels. Or send in an individual entry and we will try place you on a VADA/Nova scramble team. So enjoy competing at a wonderful facility with excellent show management and special prizes, meet other VADA and VADA/Nova adult riders, and experience the extra fun of participating in a team event! HOW DO I ENTER? Obtain the TEAM and INDIVIDUAL entry forms from the VADA website ( Complete both those forms, and mail them along with your horse s current Coggins and full payment for entry fees, stabling, etc., to the show secretary. PLEASE WRITE VADA/NOVA AT THE TOP OF THE ENTRY FORMS. You need to submit full payment with your entry; you will be reimbursed half your entry fees by VADA/Nova. So a team would pay the full $400 entry fee and receive $200 back; an individual would submit $100 entry fee and receive $50 back. HOW DO I EXPRESS MY INTEREST IN REPRESENTING VADA/NOVA AND RECEIVING THE SUBSIDY? The closing date for the show is July 8, All required paperwork must be submitted to both the show secretary and the ARC team coordinator by that date. Late submissions will not qualify for the entry subsidy. HOW MUCH DO I NEED TO PAY? Submit the regular entry fees ($400/team entry, $100 per individual entry), and any other fees ($95 for stabling or $35 grounds fee, $40 freestyle entry, $20 competitors party) with your show entry. You will be reimbursed by VADA and VADA/Nova for half the entry fees for the team classes ($200 per team or $50 per individual). WHAT MEMBERSHIPS DO I NEED TO COMPETE AT THIS SHOW? To receive the VADA/Nova subsidy, every member of the team must be a VADA/Nova member. Competitors and their horses do NOT need to be participating members of USDF or USEF. WHAT HAPPENS IF I SCRATCH? Riders who scratch may jeopardize their team s ability to compete as a team in the competition. Accordingly, only riders who actually compete at the show will be awarded their entry subsidy. 25 Show Highlights by Debbie Marriot Remain flexible was the quote for the day. As storms passed through the Haymarket area, volunteers jumped to keep horses and riders safe and happy throughout the day. Special recognition needs to be given to Gary Cavell (our secretary s husband and ring steward). Gary kept riders informed of impending storms so they could adjust their warm-ups and ride times accordingly. Riders remained flexible and many rode their tests back-to-back in order to stay safe from the fronts circulating through the area. Show secretary, Cindy Hutter-Cavell was extraordinary. I was informed she was a first time secretary and would not have known if I hadn t been told. Her organizational skills were superb and she made it look easy. Well done! Scorer Laura Celia kept the scoring office clicking away, while Susan Whitmire posted scores and handled awards with an effervescent smile and congratulations to all. Runners Lise Katz and Alyson Pinter proved that neither rain nor thunder nor (well, you get the idea) will keep the test from being delivered to the scoring office. Thank you for braving the elements. And last but not least, a big thank you to our fabulous judge, Dilly Jackson, and her expert scribe Theresa Ball. No doubt Dilly s comments will encourage, motivate and assist riders for many days to come. Many thanks to Betsy and Brad Clark for generously allowing us to use their beautiful facility.
